PowerPoint 2007 Overview

What is PowerPoint 2007?


PowerPoint 2007 is a presentation graphics application
that can be used to create presentation materials that
can be shown on projectors or as multimedia screen
shows.

Presentations play an important role in business


communications. Although many speakers give formal
presentations to hundreds of participants, most of the
33 million presentations delivered daily in the US are
delivered informally to groups of 10 or less. This means
people throughout organisations are being called upon
to present their ideas, often on short notice.

With PowerPoint, you can create presentation slides that include:

 Fonts, text sizes and styles such as bold, italics and underlining
 Bullets, numbering, alignment and other paragraph formatting
 Diagrams drawn from scratch or based on master PowerPoint diagrams
 Charts to display figures in an easy-to-understand way
 Images inserted from file or Microsoft's image library
 Effects for on-screen shows, such as transition and animation
 Multimedia such as movies, sounds and CD tracks

PowerPoint 2007 promotes consistency across presentations, allowing you to re-use formatting, text and
other information in all slides to create a coherent look and feel. Features that assist with this include:

 Styles and themes to keep all formatting the same within a presentation and across similar
presentations
 Templates to allow you to create many presentations with the same format and similar content
 Slide masters to ensure items are positioned in the same way on each slide

PowerPoint 2007 also makes it easier for you to share your presentations and collaborate with colleagues.
You can publish presentations in a document workspace or on the web, and can save your slides in PDF
format so that you can distribute the presentation in a standard format that cannot be tampered with.

You can exchange information between PowerPoint, Word and Excel as required. You can copy text and
images from Word onto a PowerPoint slide, or can copy any worksheet range or chart from Excel into
PowerPoint.

Starting PowerPoint 2007


Once you have logged onto Windows, you are ready to launch PowerPoint 2007 and start creating and
editing documents.

If you have a PowerPoint 2007 icon on your desktop, double-click on this to launch PowerPoint.

If you don't have an icon on your desktop, you can launch PowerPoint 2007 via the Start menu.

 Click on the Start button


 Click on All Programs - new menu will be displayed
 Choose Microsoft Office from the Programs menu
 Choose Microsoft Office PowerPoint 2007

If you are using Windows 2000, or the classic Start menu of Windows XP, choose Start, Programs, Microsoft
Office and Microsoft Office PowerPoint 2007.

Screen Layout
The Title Bar

The title bar is positioned at the top of the screen and displays the name of the application as well as the
name of the presentation you are currently viewing.

If the current presentation has not been saved, the word Presentation will appear followed by a sequential
number matching the number of documents created in the current session.

The standard Windows controls appear at the end of the Title Bar:

 Click on Minimise to hide the window and place it on the Task Bar

 Click on the Task Bar button to restore the window


 Click on Maximise to enlarge the window so that it fills the entire screen

 Click on Restore to return the window to its original size

 Click on Close to exit PowerPoint 2007

The Office Button

The Office button of PowerPoint 2007 is the main access point for commands for working with
presentations. From this menu you can open a presentation, create a new presentation, save files in
various formats and print your presentations.

You can also prepare your presentation for publishing by changing properties, adding digital signatures and
marking the version as final. Once fully prepared, you can publish your presentation e.g. to a Sharepoint
space or document management system.

The Office button is also used to close presentations, set options and exit PowerPoint 2007.

A list of the most recent presentations you have worked in will show on the right-hand side of the Office button
menu. Click on a presentation in this list to re-open a file.

The Quick Access Toolbar

The Quick Access Toolbar displays to the right of the Office button
and contains shortcuts to common commands such as Save and
Undo. This toolbar can be customised to add commands you use on a
regular basis.

To add a default button to the quick access toolbar:

 Click on the drop-down arrow at the end of the toolbar


 Choose the command you wish to add - each command
already showing on the toolbar will appear ticked

The Ribbon

In PowerPoint 2007, the ribbon replaces the menu and toolbars of previous versions of PowerPoint. This is
a strip of buttons and drop-down menus that is divided into groups of related commands via tabs.

The following tabs display by default on the ribbon:

Ribbon Contains

Home Editing commands such as cut, copy, paste and the find and replace commands. Text,
alignment and number formatting, plus drawing tools, are also included

Insert Commands to insert items onto your slides, from tables, images and charts to headers,
footers, movies and sounds

Design Page formatting commands such as setup and orientation, plus themes and
background styles

Animations Tools for adding transitions and animations to slides and objects, as well as slide
timings

Slide Show Commands to run and set up a slide show, including hiding slides, rehearsing timings,
screen resolution and custom shows

Review Commands to review your presentation including spell check, thesaurus and
translation. Collaboration commands such as comments and protection are also
included

View Options for viewing your presentation, as well as which elements are displayed
(gridlines, ruler, etc.). Commands to work with multiple presentation windows are also
included

You can also display a Developer ribbon for recording and managing forms and macros. Click on the Office
button and click on PowerPoint Options, then check Show Developer Tab in the Ribbon. Click on OK.

The ribbon changes to show all commands relevant to the selected object. If an image is selected, for
example, an additional group of Picture Tools tabs are displayed with the Format tab selected by default.

The Navigation Pane

The navigation pane is divided into two tabs:

 The Slides tab shows a miniature of each slide in the presentation. This tab can be used to
reorder slides by dragging them up and down

 The Outline tab is used to type the headings and different levels of paragraphs on each slide. Up
to 6 levels of text can be created, including the slide title

You can hide the navigation pane by clicking on the X to the right of the Slides tab.

The Notes Pane

Each slide of the presentation has an accompanying notes page. Notes


page contain a copy of the slide and a blank space in which notes can be
typed to remind the speaker of key points during the presentation.

Notes can be added to the current slide using the notes pane at the bottom
of the PowerPoint screen.

The Status Bar

The status bar appears at the bottom of the screen. By default, this shows the current slide, the theme
applied and the status of the spelling check. The language used in the presentation is also displayed:

The status bar can be customised to add and remove elements.

 Right-click over the status bar


 Choose the option you wish to add - each command already showing on the status bar will be
ticked

PowerPoint 2007 Views

There are three views in which you can work in PowerPoint. These views can be selected using the view
buttons towards the right of the status bar along the bottom of the screen.

View Button Description

Normal This view shows three panes by default - the navigation pane, notes pane and the
current slide. The current slide shows exactly as it will print or display in an on-
screen presentation.

Slide Sorter This view displays a miniature of each slide, complete with graphics and text. This
view is used to reorder slides and prepare electronic presentations.

Slide Show This view is used to show electronic presentations. All screen elements such as
the ribbon will be hidden, and the slide will fill the entire screen.

You can also change the view by clicking on the View ribbon and choosing the required view from the
Document Views group:

The Zoom Bar

The magnification of the slide can be changed to increase or decrease the size that the slide displays on
screen. You can zoom out to display the entire slide as a whole, or can zoom in to view the detail of a
certain image or diagram.

 Click on the + in the zoom bar to zoom in to the slide. Magnification will increase by 10% each
time you click on the button
 Click on the - in the zoom bar to zoom out of the slide. Magnification will decrease by 10% each
time you click on the button
 Drag the arrow up or down to decrease or increase the magnification manually

The button to the right of the + button will quickly fit the slide to the screen, so that the entire slide is visible.

Click on the percentage indicator on the zoom box to show more zoom options:

 Choose a set percentage, or increase or decrease the Percent box as required


 Click on OK

The Home Ribbon

The Home ribbon is the default ribbon that displays when you launch PowerPoint and create new
presentations.

This ribbon contains the following groups:

 The format painter to copy formatting from one range to another
 Click on the Paste drop-down arrow to show additional options e.g. Paste

The Animations Ribbon

The Animations ribbon is used to set animation and transition effects.

 Edit a comment
 Delete the current comment or all comments in the presentation

The View ribbon is used to view the presentation in various ways.

Getting Help
PowerPoint 2007 offers both offline and web-based help, depending on whether you have an Internet
connection or not.

To get help in PowerPoint 2007, click on the Help button at the end of the ribbon.

The help window will be displayed:

 Click on any topic in blue to link to more information


 On the toolbar, click on the Back button to return to the previous help topic
 Click on the Home button to show the Help home page with links to all major categories of
PowerPoint 2007
 Click in the Search box to search for a particular help topic. Click on the Search button after
typing the text you wish to find.

By default, PowerPoint help topics will be found in the offline help files as well as the Microsoft Office online
web help. You can choose where help is found by clicking on the Connected to Office Online link in the
status bar of the help screen.

Where is It?
In PowerPoint 2007, a ribbon replaces the menu and toolbars of previous versions of PowerPoint. This is a
strip of buttons and drop-down menus that is divided into groups of related commands via tabs.

The ribbon changes to show all commands relevant to the selected object. If an image is selected, for
example, an additional group of Picture Tools tabs are displayed with the Format tab selected by default.

The File menu within an item window has been replaced by the Office button which allows you to run
commands such as saving, printing and creating new items.

The Quick Access Toolbar displays to the right of the Office button and contains shortcuts to common
commands such as Save and Undo. This toolbar can be customised to add commands you use on a
regular basis.

Obsolete Commands

Some commands are no longer available in PowerPoint 2007, but the majority of these can be added to the
Quick Access Bar as follows:

 Click on the Office button


 Click on the PowerPoint Options button
 Click on Customise in the left-hand menu
 From the Choose Commands From drop-down list, choose All Commands not on the Ribbon
 Choose the command you wish to add, then click on the Add button
 Click on OK when complete
