WHAT IS MICROSOFT POWERPOINT?

Microsoft PowerPoint is a powerful slide show


presentation program. It is a standard component of the
company's Microsoft Office suite software, and is bundled
together with Word, Excel, and other office productivity
tools. The program uses slides to convey information rich
in multimedia.The term slide refers to the old slide
projector, which this software effectively replaces.
What can you do with PowerPoint?

PowerPoint gives you the ability to share your presentation with others in
real time on the web. You would supply the user with a link to the
presentation. After selecting the link, the user(s) will be able to follow you
and your presentation online.

Custom animations:
Add photos, videos and sound effects
Save as a webpage
Print presentations as handouts
Embed YouTube videos
CREATING POWER POINT PRESENTATION

Whenever you appear in front of one or more people to present your ideas,
deliver speech, give classroom lecture, organize computer conference, etc.,
you have a presentation. The basic purpose of any presentation is
communication.

Click on the New Slide button located on the Home tab in the Slides group.
The new slide should appear below the selected slide. If you want to add a
new slide between two, select the first of the two slides and click New
Slide. Notice the New Slide button contains a New Slide button arrow.
A PowerPoint has two methods for creating a slide presentation:

Choose a theme template Create a blank presentation (this method is


covered in Unit 3) PowerPoint software has built in and free online
pre-designed templates that contain various color schemes and pre-
arranged elements in a slide, eg. text and graphics. Select a template
and PowerPoint will format the entire presentation according to that
template. Steps to choosing a theme template: Open PowerPoint. At
the PowerPoint window, click the File tab, then click New. The
Available Templates and Themes screen will appear, click on an
available template or download a free template from the office.com
online templates.
HYPERLINKS IN A PRESENTATION

-Hyperlinks in PowerPoint are similar to links you might have


seen on a web site. They allow you to jump back and forth
between specific slides in your presentation, to movie files that
don’t work on PowerPoint slides, to other files, or to a webpage
-In PowerPoint, you can create a hyperlink using any text
within your presentation. When clicked on, a hyperlink can
directly link to a specific slide within your presentation, a saved
file, a web page, another PowerPoint presentation, or a custom
email.
To insert a hyperlink into your presentation:
1. Open the PowerPoint presentation.
2.Highlight the text or object you would like to hyperlink.
3. Right-click the highlighted text and select "Hyperlink...“

4. From the "Link to:" side panel, choose the destination for
your hyperlink.
*For Existing File or Web Page, browse your computer to
locate the file you wish to link to.
*For Place in This Document, choose the slide you wish to
link to.
*For Create a New Document, type the name of your new
PowerPoint presentation and choose when to edit the
document.
*For E-mail Addresses, enter the recipient(s) email address
and the subject line of the email.

PRESENTATION VIEWS

Presenter view lets you view your presentation with your speaker
notes on one computer (your laptop, for example), while the
audience views the notes-free presentation on a different monitor.
Note: PowerPoint only supports the use of two monitors for a
presentation

View a Presentation:

This is the default view. It allows you to see and work with
several aspects of the presentation simultaneously, including the
slide, the outline/slide sorter section, and the notes pane. There
are many ways to navigate from slide to slide in the normal view.
Where is presentation views in
PowerPoint?

Select the Slide Show tab. Select the Use


Presenter View checkbox. Select which
monitor to display Presenter View on.
From Beginning or press F5.
PRINTING A PRESENTATION

Print your presentation Select File > Print.

For Printer, select the printer you want to print to.

For Settings, select the options you want:

Print All Slides: To print each slide on a single sheet or


change to just print a range of slides.

Slides: From the drop-down, choose to print all slides,


selected slides, or the current slide. Or, in the Slides box,
type which slide numbers to print, separated by a comma.
Print Layout: Choose to print just the slides, just the
speaker notes, an outline, or handouts. The number of
slides per page is also an option, an effective way to
save paper.

The Outline prints only the text in the slides, without


images. The Notes of a presentation show the slide and
the related speaker notes below it. If you choose to print
Handouts, you can print several slides on one page using
a variety of layouts, some with space for note-taking.
Color: Choose whether you want color, grayscale, or
pure black and white.

Edit Header & Footer: Select to edit the header and


footer before printing.

For Copies, select how many copies you want to print.

Select Print.
SAVING A PRESENTATION

It's important to save your presentation


whenever you start a new project or
make changes to an existing one. Saving
early and often can prevent your work
from being lost. You'll also need to pay
close attention to where you save the
presentation so it will be easy to find
later.

• Locate and select the Save command on


the Quick Access Toolbar.
Clicking Browse
• The Save As dialog box will appear.
Select the location where you want to
save the presentation.

• Enter a file name for the presentation,


then click Save.
Saving a presentation
• The presentation will be saved. You can click the
Save command again to save your changes as you
modify the presentation.
PRESENTATION FILE FORMATS

PPT and PPTX file formats are Microsoft PowerPoint


Presentation formats that are supported in the Document/Medical
products. PPTX/PPT files store collections of records and
structures that specify slides, shapes, pictures, audio, video, text,
and other presentation content.
PPT:
PPT is the proprietary, Microsoft PowerPoint Presentation binary
file format used as the default presentation format for Microsoft
Office 97-2003. Files are loaded and saved as raster image files.

The default file extension is .PPT


PPTX:
PPTX is a zipped, XML-based file format that is part of the
Microsoft Office Open XML (also known as OOXML or
OpenXML) specification, introduced as part of Microsoft
Office 2007 and later. PPTX is the default presentation file
format for new PowerPoint presentations. Support for
loading and saving PPT files is built into PPTX.
