VI. Concept Notes


PowerPoint 2016 as a part of the Microsoft Office 2016 package helps the
user create compelling presentation with a minimum of effort. PowerPoint’s attractive
presentation themes, superior text handling, exciting animation, and excellent
graphics capabilities allow the user to deliver ideas with maximum impact.

A presentation is made up of series of slides that contain charts, graphs,
bulleted lists, text, video, sound clips and more. PowerPoint presentations are widely
used for presenting information used in companies, schools or any group/user that
require topic demonstration to a big group of audiences.

Common Terms Used in MS PowerPoint:


ANIMATION – is a visual or sound effect along with text or graphics.
PRESENTATION – is a file containing the collection of slides.
SLIDE SHOW – is the presentation of your PowerPoint slides.
TEMPLATE- contains slide default settings.
TRANSITION- is the effect that takes place when advancing from one slide to the
next

New Features in Microsoft PowerPoint 2016


In PowerPoint 2016, numerous important features were added to accomplish
tasks in creating a presentation. Users can navigate and learn their way around the
PowerPoint environment.
Real Time Presence – Users can now see what others are working on and at the
same time, share their presentation.
Ink Annotation
Ink annotation in the earlier versions of PowerPoint is only available to be
used in the slide show. Ink annotations can now be used by accessing the Review
tab and click the Start Inking button. The Pens contextual tab will appear. Users can
choose what to use to annotate, the style and even convert the annotation to
shapes.

New Themes
Three new themes can be used to customize the appearance of Microsoft
PowerPoint

Tell me what you want to do


It is a new feature in PowerPoint that allows the user to enter words/phrases
related to what feature or actions to be performed. It can also be used to get help on
certain unfamiliar commands.

New Chart Type
There are six new charts added in PowerPoint 2016, giving users more
choices in presenting data.
Screen Recording
The user can now record what they are doing in their screen and insert it in
PowerPoint presentations. The user needs to set up whatever is needed to record on
the screen then, go to Insert tab> under the Media group select Screen Recording,
then select a portion of the screen to be recorded and captured.
Simpler file sharing
Users can easily share and work collaboratively with other users using Share
button. Click on the Share button on the Share button on the upper right corner of
the window, type the email address of the people the user wants to invite, then set
permissions on how the other users can view the shared data.
Better video resolutions
Users can now export files with resolutions as high as 1920x1080 allowing the
presentation to be viewed on larger screens.
Quick Style Formatting
The “Presets” styles is the new addition to the quick style formatting options.

Starting Microsoft PowerPoint


Starting PowerPoint is not different from starting any other Microsoft
Applications (Word, Excel, Publisher, Access etc.); it can be done in various ways.
The four most common ways to start MS PowerPoint are:
1. From the Microsoft Office Taskbar

3. By selecting the Windows/Start button located at the
bottom left side of the screen, then selecting All Programs-
PowerPoint 2016.

4. Using the search tool. Click on the Search icon in the


taskbar and type PowerPoint on the search box

The Microsoft PowerPoint 2016 window is most likely different from the older
versions of PowerPoint.

1. File Tab – will take the user to the Backstage view. Here, users can create
new file, open, save, print, share and export presentation.
2. Title Bar – displays the name of the presentation and the PowerPoint
program name.
3. Quick Access Toolbar- contains the most commonly used commands in
PowerPoint. It also includes the Touch/Mouse Mode button which is an added
feature in PowerPoint 2016.
4. Ribbon- is the panel at the top portion of the document. PowerPoint 2016
contains 8 tabs: Home, Insert, Design, Transitions, Animations, Slide Show,
Review, and View.
5. Slide Preview Pane – Displays a thumbnail view of all the slides in a
presentation. Users can change the arrangement of the slides in a
presentation. Users can change the arrangement of the slides by clicking and
dragging the slide thumbnail.
6. Slide Stage- is where the user places all text, images, and other objects used
in a presentation.

7. Status Bar- shows the number of slides in a presentation and the spell check
icon.
8. Notes and Comments- Notes can be used to keep important information and
guide the user when presenting. Click the Notes button to open or close the
Notes pane. Comments on the other hand can be used to add feedbacks
while drafting the presentation. Click the comments button to open or close
the comments pane.
9. View Buttons- View buttons can be used to change the view of the
presentation.
Normal View- The default views. Shows the slides and outline tab along with
the current slide.
Slide Sorter View- Displays the smaller version of all the slides.
Reading View- Shows only the slides with buttons at the bottom of the screen
for navigation.
Slide Show View- Play slides that serves as an actual presentation.
10. Zoom Slider – Used to zoom in and zoom out of the presentation.

Navigating Inside the Presentation

When moving around the PowerPoint program there are important functions
that a user must know. First, a placeholder text not only appears in the placeholder
on the slide, but also displays the content in the presentation outline. Second, the
slide tab allows the user to determine the number of slides in a presentation.

Moving Around a Presentation

The use of keyboard and mouse in navigating the PowerPoint workspace


allows the user to maximize the use of the program.

Closing and Exiting PowerPoint

1. Click File tab>Close to close only the current presentation.


2. To exit the program, click the Close button at the upper right corner of the
screen.
3. Users can also press Alt+F4 key to close the program.
