Microsoft Powerpoint is a graphical presentation through which user display his dada thoughts

graphically. there are many editions of Microsoft Powerpoint. Here only Microsoft Powerpoint edition
2013 has been explained. Powerpoint 2016 is the edition of Microsoft Office.

5.1 Introduction
Any data or object can be easily understood by graphics or presentation. One picture is more effective
than a thousand word or digits. Graphical presentation can be prepared by Microsoft Powerpoint also .
Currently, it is widely used. People in every field are using Powerpoint to express their views to other
people in an effective manner.

5.2 Starting powepoint


Microsoft Powerpoint 2013 can be started in different ways. But Windows Start button is right and
useful path to start powerpoint. for this first of all click windows Start button. Now go to all Apps
select Microsoft Office option. By this all applications of Microsoft Office will appear. Now click on
powerpoint related different type of template will displays. Now you can define your presentation by
selection of appropriate template.

 To create new blank presentation, click on “Blank Presentation”option.


 to create design based presentation, select the appropriate design and click on “create” button.
 to create template based presentation, select the appropriate topic or type topic name in
“Search for online templates and themes.” Now select topic name and click on “Create “ button.
 to open existing document , click on “Open other Presentation” link.

5.3 Elements of powerpoint Windows


you can use powerpoint after starting it. when you start powerpoint then a new presentation
(presentation 1) creates automatically. After saving a presentation, the file name will be display here.
the powerpoint window displays as per given below.

the top line of power point window is called title Bar. Name of the file, program name related
information is displayed in he title bar. In Microsoft powerpoint 2013 commands are accessed through
ribbon, which were placed in menu or toolbar in the previous editions. the main objective of ribbon is
to display the command while at the time of working. Ribbon is a panel which keeps the commands,
icons organized in tabs.

Quick access tool bar is situated at the left side of the title bar. There are some commands already
formed on it which are different from ribbon tabs. they are used to do the work fast. that means, those
commands which you are using again and again, they can be displayed on quick access tool bar.

status bar has views buttons through which slides can be seen through different point of views. Here
normal , slide sorter, reading view and slide show buttons are available.
you can see slides in big or small view with the help of zoom slider. the zoom size of slide in Microsoft
power point 2013 is

70% by default . you can make it up to minimum 10% and maximum 400%

Rule bar is displayed right below the ribbon bar. it displays that functional field, where we do typing of
slide. in powerpoint 2013, you can on or off ruler bar with the help of ruler command. Status bar is
displayed at the bottom in Microsoft power point windows, which displays the current position of the
slide or presentation like- slide number title , slide number, column number, views button , zoom level
etc.

Note pen is that field of power point where any type of note can be written about the slide. if we are
making more than one slide in a presentation, then notes window will open separately for each slide in
which different notes can be typed for each slide. During slide show notes show will not be with it.

5.4 creates a new presentation


powerpoint files are called presentations. whenever you start a new project in powerpoint, you’ll need
to create a new presentation, which can either be blank or a template. you can also create a new
presenation to overwrite the existing presentation.

use new command from file menu to create a new presentation in powerpoint. besides this, you can
create a new presentation by using shortcut key(ctrl+N) through keyboard. you can create new
presentation in the following tree ways:

1. blank presentation
2. design template
3. existing presentation

5.4 Create a Blank presentation


with the help of this option, a blank presentation can be opened. later you can change it to any other
design according to your requirement. this is always based on blank presentation. follow the below
steps to create a new blank presentation.

 first select New command from FILE Menu


 Now select Blank Presentation

5.4.2 create presentation using template


A template is a pre-designed presentation that can be used to create a new presentation
quickly. Templates often include custom formatting and designs. With the help of this option
background can be set to make the presentation effective. there are already made background
formats in design template.
if you make a new presentation using shortcut key ctrl+N then this presentation is based on
blank presentation. If you select New command from file menu then new windows will appear
according to the picture displayed below. from here you can select different alternatives to
create new presentation.

5.4.3 opening presentation


in Microsoft powerpoint the meaning of opening a presentation is to display the presentation
prepared previously. Use open command from file menu to open powerpoint presentation
besides this, presentation can be opened through keyboard using shortcut key (ctrl+O) or
(ctrl+12).
If you use shortcut key(ctrl+O) then open dialog box will be displays as per given above picture.
if you use shortcut keys (ctrl+F12) Then open dialog box will be displays as per given below
picture.

Close a presentation
the presentation opened in Microsoft powerpoint can be closed by two types. One is to use
close command from file menu and second is to use short key(ctrl+W). if you are closing the
presentation then powerpoint will ask you to save the changes made recently. By this, following
dialog box will appear.

5.4.4 save a presentation


the following three methods can be adopted to save the presentation prepared by you in
Microsoft powerpoint.
 using save command from file menu
 save through save button of quick access tool bar
 using shortcut key(ctrl+s) through keyboard

save as dialog box will be appear on using any of the above option. here you can select three
options(one drive, computer, add a place ) to save a presentation. one Drive and add a palace option
can be used for saving presentation online. To save a presentation in you computer, select “computer”
options and click on browse button. to do this save as dialog box will be appear.

Here type that name in the file name field with which name you want to save this presentation. if you
will not give name to the presentation then it will on its own get saved with the name of title of
presentation. F12 key is also used to save the presentation.

5.4.5 Entering and Editing Text


A presentation is created byu the group of slides therefore text will be entered in the slide only.

Click on text box given in the slide to enter text in the slide. By this, cursor will set in the text box.

Now you can enter text in the slide. If there is no text box then it can be inserted at any place in the slide
using the text box icon given on the standard bar.

5.4.6 Inserting and Deleting Slides


In Microsoft powerpoint while preparing a presentation, new slide can be inserted and that can be
joined at any place in the middle of the presentation. To insert a new slide first of all, select that 0place
where you want5 to insert new slide, Now go to home ribbon click on New slide icon. For this, shortcut
key crtl+M can also be used. By this, new slide will joinin your presentation. This slide will be inserted
after the selected slide.
Remember that the layout of this slide will be same as the slide selected by you. if you want to insert
sldie in a different type of layout then click on the arrow sign at new slide icon. by this, slide sub-screen
will be displayed. From here suitable slide can be selected . slide sub-screen depends on the type of
presentation selected by you. for example, if you are making a presentation based on design template
then this screen will be according to that slide

Deleting Slide
you can easily delete any slide in Microsoft power point presentation. for this , select slide form slide
task pan and press Delete key. Now that slide will be removed form the presentation. you can also
delete slide through right clicking on slide.

change slides layout

There can be slides of different layouts in a presentation. Besideds this, you can change layout of any
style while preparing the presentation of after preparing the presentation. For changing layout of the
slide go to home ribbon click on layout icon. By this, slide layout list will be displayed as follows. From
here click on that slide layout which you want to apply in thye current presentation.

Apply Animation in slides


in Microsoft Powerpoint, after preparing the presentation you can add animation in it to make it more
attractive. the use of animation in the presentation is done on the slide you can give different types of
animation on different slides. Similarly, different animation can be given in one slide also but there can
be only one animation on one object of the slide animation ribbon is used to set animation on the
slide.to apply animation in the slide use animation tab form animation ribbon. By this, that animation
will be displayed. form here you can select animation of your choice. Besides this ,you can use add
animation Icon and display other animation in the list.

you can apply this animation in the slide on one object or all objects together. To select this, click Effect
options icon select suitable option. to view the details of animation effects, use animation pane.
Animation pane. Animation applied on any one object can be applied on other objects in the slide also.
For this use Animation painter.

you can set the medium and time of display of effect of animation on the screen applied on the slide. for
this , use Timing tab. here you can also set the medium of starting the animation.

preparation of slide
A presentation in Microsoft power point is one or a group of more than one slide. That means power
point presentation is creates by slides only. In Power Point slide is one page on which data (text,
graphics, and audio video) is prepared. There are many layouts of a slide in Poer
Point.

You can design a slide according to your need in Microsoft Power Point and can format it. According to
your need. While preparing a slide text, graphics and chart etc. is placed in a slide according to the given
object. For this you can use different types of layouts. Besides this, you can also customize the slide
according to your need. In one slide table, picture, auto shape, art, text box, etc. can also be placed.
You can insert clipart picture also in the slide. For this click on picture icon from insert ribbon. Similarly,
click on Clip Art icon to insert clip art.

Inserting Other Objects


You can insert other objects also in a slide. You can insert the following objects in a slide.

Resizing and Scaling an Object


After inserting different objects from different places in the slide, the size and scale of those objects can
be set. To set the size of any object, firstly select that object. Four corners will be displays. Its size can be
increased or decreased by holding these boxes by mouse. If you want to rotate any object then use the
button located in the middle of the upper line of the object.

Similarly, you can minimize any picture by cutting. For this, use Crop tool on Format toolbar. Like other
objects size of the picture can be increased or decreased and can be rotated in any direction. Picture can
be cut through Crop tool to increase or decrease it but object cannot be enlarged or reduced by cutting.

Providing Aesthetics
You can give different types of color, text style, theme, voice etc. to the presentation to make it
beautiful. By this, your presentation will look more beautiful and attractive. A presentation can be made
beautiful in the following way:
