Renew Order
Objectives
 Find Orders that will be expiring in 30, 60 or 90 days
 Renew selected licenses (partial orders)
 Renew entire Order (all licenses)

Conditions
 Each Dealer is responsible for renewing their Customer License Orders
 Customer order life begins the day the order is created and expires 365 days later. (If order is
created March 1, 2016, it expires February 28, 2017
 Caterpillar renews Dealer Site License orders annually in the fall for the next use year
 Dealer Site License orders run from January 1 to December 31 each year

Scenario
The Cat dealer is responsible for renewing their Customer License Orders. Since the customer order life
begins the day the order is created and expires 365 days later, renewals will be occurring throughout the
year. In order to keep on top of the upcoming renewals so a customer is not left without a valid Cat ET
or SIS DVD license, the administrator needs to know which license orders are expiring with the next 90,
60 or 30 days.

Objective 1: Search for orders expiring in next 90 (60 or 30) days

1. Choose Search.

2. Select the drop down arrow to display various search options

3. Search for Order by General Criteria – utilizing the option for ‘expires in the next xxxx days’

Select License Type NEXG5007. Select 90 days. Click Search.

4. Results show five orders will be expiring in the next 90 days. Choose Dennis’ Diesels for renewal.

With that piece of information (those orders expiring in


the next 90 days) one can develop a schedule to
renew the licenses. The data can be exported by
clicking on the green X in the navigation bar to export to
Excel.

Objective 2: Renew selected licenses (partial orders)

5. Select Renew Orders from the left panel on the main page.

An alternative way to search for Orders approaching expiration is to choose Renew Orders.

6. Select the correct license type and the correct organization code – followed by Search

When selecting Dennis’ Diesels, because there’s more than one license in the order, this screen will
be displayed:

7. Choosing Renew Individual Licenses, yields a screen where 3 steps and more selections are
required.
a. Changing Order Details
b. Renewing or Rejecting Specific Licenses
c. Carrying over Unassigned Licenses from the Order

Step 1: Changing Order Details:

a. Change purchase order information (optional)


b. Change organization (if available from dropdown) (optional)
c. Click Update Order Details (required)

This message appears when order is successfully updated.

Move to Step 2 –

Step 2: Renewing or Rejecting Specific Licenses

Renew or Reject specific licenses - For each license listed in the table, use the first
column (License Action) to decide if that license should be renewed or canceled
(rejected) in the new order. You also have the option of changing the Attention (Assign
Name) field for each license.

As each license in an order must be addressed when you choose Renew Individual
licenses, it does provide the opportunity to NOT renew a license, whereas Renew All
Licenses means just that – renew every license in the order.

a. Click in first column to choose between Cancel or Renew for EACH license.

b. Click in the third column to change the Assign (Attention) name.

c. Click Save to keep the changes.

Step 3: Carrying over Unassigned Licenses from the Order

When ‘unassigned’ licenses exist in the order being renewed, by default, all unassigned licenses will
come forward with the new order. To reduce the number of unassigned licenses, change the number to
delete. Click Next.

At the conclusion of renewing, canceling, and carrying over, this summary message will be presented:

Check the “this is correct and I accept” box, then Confirm.

The official renewed order header information is presented for print.

If the Order link is selected, one will see the new expiration date:

Objective 3: Renew all licenses in an order

1. Select Renew Orders from the left panel on the main page.

2. Select the License Type and Select the Organization. Click Search.

Any orders eligible for renewal will be displayed. The various columns can be sorted (by clicking on the
column name) or filtered (by typing in a search criteria in the open box above the column name).

3. Select the order to be renewed by clicking on the link in the Order Name column.

To Renew All Licenses in this order, click Renew All Licenses.

The option exists to change the Order Name and/or the Purchase Order name. (This example, the
Purchase Order name was changed.)

Click Renew

Selecting the link of the Renewed Order name provides these details.

In either renewal selection, it’s up to the user to complete the renew process, by having the PC on which
Cat ET or SIS DVD is installed, be connected to the Internet, then start the respective program. The
renew process completes when the new activation id is synched with the licensing server. Otherwise,
the activation id is in the Pending State (and can be found on the Pending Tab when looking at Order
Details.
