Work Instruction

Create Functional Location IL01

Purpose
Use this procedure to create a Functional location.

Trigger
Perform this procedure when you want to create a Functional location.

Prerequisites
All the details related to Functional Location like Functional location category, Structure indicator should be
known.

Menu Path
Use the following menu path to begin this transaction:
Logistics ➔ Plant Maintenance ➔ Management of Technical Objects ➔ Functional Location ➔ Create

Transaction Code
IL01

Helpful Hints
● IL01 is the SAP transaction code for creating a Functional location.
● Functional Location is defined as the business object in an organizational unit that structures the
maintenance objects of a company according to functional, process-related or spatial criteria.
● A functional location represents system area at which an object can be installed.
● The name of the Functional location should be in line with the Structural Indicator.
● Field values can be queried using the F4 help wherever available. This can be done either by placing
the cursor in the field and pressing F4, or by clicking on the match code that appears next to the
field.
● You can click on a field and press F1 to view the Field help. This allows you to understand the field
and decide what contents should be entered.

Procedure

Create Functional Location

● Enter the T-Code IL01 and click on icon to create Functional Location.

● You can also double click on the menu “Create” as highlighted in the below screenshot to create a
Functional Location.

SAP Easy Access

● This opens the screen as shown below.

● Creating Functional Location – Initial screen

● Use the “Copy from “field to copy the contents from any required functional location.
● The name of the Functional Location should follow the pattern shown in the “Edit mask” field.
● The structural indicator in our case is defined by “S2WP”.
● This defines the “Edit mask” field as “XXXX NN AAA NN AA”.
● The Functional location name can be “S2WP 41 C ”
● You can click on the field “Edit mask” and press F1 to view the help. This allows you to understand and
decide what characters can be entered in the “Functional loc” field.

● After filling the inputs, the screen appears as shown below.

● Click on the enter icon .

● This opens the following screen to fill in the data for the Functional location.

● There are 4 Tabs under which data can be entered namely General, Location, Organization & Structure
and all these are optional fields.

● Enter the description of the Functional Location in the field “Description” as shown below.

● In this screen you can enter the details like Object Type, Manufacturer name, Model number etc.

● Click on the Location tab as marked above.

● This opens the screen as shown below.

● The Maintenance plant “S2WP” & location “POWER” appears in this screen, as this data has been
captured from the superior functional location “S2WP 41”.

● Click on the tab “Organization” as marked above.

● This opens up the screen as shown below.

● The screen is automatically filled with “Company code”, “Cost Center (if superior functional location is
having)”, “Planning plant” & “Catalog Profile”.

● You can enter the “Planner Group” i.e. the group of persons responsible for planning of maintenance
activities and “Main Work Ctr” i.e. the work center responsible for maintaining this Functional Location
in this screen.

● Click on the tab “Structure” as marked above.

● This opens the following screen.

● In this screen, you can assign/ change a Superior Functional Location to this functional location by

Clicking on the icon as marked in the above screen.

● By default, the superior functional location “S2WP 41” has been assigned due to the hierarchical
structure level based on the structure indicator.

● Remove the tick mark against “Equi-Installation allwd” to restrict equipment installation in this
functional location.

● Click on the save icon .


● This displays the following screen.

● Notice the saved message at the bottom of the screen stating that the Functional location has been
created.

● Click to return to the SAP Easy Access screen. You have completed this transaction.

Result
You have created a Functional Location.
