INTRODUCTION

Industrial training is the last requirement that need to fulfill in order to

graduate. Industrial Training will gain knowledge of the industries to each of
student which are related to the field of study at the university and build quality
graduates before venturing into the job market in future. Students should take this
opportunity to explore new things during their practical as compared to the theory
learned from classes. Practical can be doing either in private or government
sector. As for Bachelor of Business administration with e commerce, the duration
needed for practical is 14 weeks and covered 6 credit hour that need to fulfilled.

Students can find their own practical place and apply to find the practical
placement. Students are encouraged to undergo the practical training in related
areas of study in order to adapt work environment. The purpose of doing practical
is to provide exposure to the students about the real working environment before
graduating from the university and also giving opportunities for students to match
the theories and applications. Expose the BBAEC students to the real operation
and human resources system institutions in Malaysia.

Industrial training is essential in being able to expose students to a real

job. It is also able to add and expand technical knowledge and skills of the
students, if sebelm the students gain knowledge in limited in the lecture only, but
when students began to attend industry training, the student will be able to find
out more about the subjects they learned first. This is because during the training
industry, students will start to practice all what they learned first and indirectly it
will help add knowledge does one in an article.

I have been doing my industrial training in Padiberas Nasional Berhad

(BERNAS) which located at Jitra, Kedah. Therefore, I have been placed in section
‘Operasi Beras Tempatan’.

1.3 COMPANY’S PRODUCT AND SERVICES

1.3.1 Main Activities

The main activities of the company are procuring, collecting, processing,
importing, exporting, purchasing, storing, packaging, distribution of rice,
paddy and other grains, which include activities such as seed production,
paddy farming, paddy procurement, paddy processing, rice processing and
rice storage, distribution and marketing of rice, research and development
of paddy seeds, rice and related products and investment holding.
Company shall also ensure the maintenance of sufficient supply of rice at
reasonably fair and stable prices.

3
The Company’s obligations under the privatization Agreement also
include the maintenance of the stockpile, the distribution of paddy price
subsidies to farmers on behalf of the Government, the management of the
Bumiputra Rice Millers Scheme and acting as a buyer of last resort at the
Guaranteed Minimum Price of paddy. The principal activities of the Group
are those of the procurement, importing, buying, processing and selling of
rice, rice by-products and paddy.

 Paddy Procurement

BERNAS purchases paddy from farmers at 31 Kilang Beras BERNAS

nationwide and 50 purchasing centers (Skim Pusat Belian) located at the
premises of participating Bumiputera rice mills nationwide. The wide
distribution of these procurement centers provides better services to
farmers enabling them to sell their paddy without having to travel far.
Currently, there are approximately 140,000 registered paddy farmers.
BERNAS attempts to provide the best possible aid to them towards the
production of good quality paddy, which would ultimately end up as rice
for local consumption.

 Rice Importation

The import volume depends on the production of local rice. To fully meet
the rice requirement of the country, BERNAS imports about 30% to 40%
of Malaysia’s domestic rice demand annually. To protect the local rice
farmers, BERNAS’s import volume merely covers the shortfalls of
demand after ensuring the local rice production finds its way to the
market.

4
 Rice Processing

There are more than 400 commercial rice mills in the country, out of
which 31 are owned and operated by BERNAS. BERNAS rice mills are
located mainly in major granary areas of Kedah, Perlis, Kelantan,
Seberang Perak and Kuala Selangor. BERNAS mills around 400,000
metric tonnes paddy annually which gives a total rice output of 270,000
metric tonnes of the total rice produced by all mills in the country. This
makes BERNAS the largest rice miller in Malaysia and a major marketing
outlet for the farmers’ produce.

 Seed and Farming

Currently, there are approximately 140,000 registered paddy farmers.

BERNAS attempt to provide the best possible aid to them towards the
production of good quality paddy, which would ultimately end up as rice
for local consumption. In order to produce quality certified seeds,
BERNAS have been collaborating with Pertubuhan Peladang Kebangsaan
(PPK) and other seed producers to produce certified seeds using the
foundation seeds produced by MARDI. Together with 12 other private
producers, BERNAS aims to exceed more than 50 percent of the national
certified seeds requirement next year.

 Rice Distribution

BERNAS is well placed to effectively perform the role main rice

distributor in the country. Both local and imported rice procured by
BERNAS are distributed to licensed wholesalers. Rice is also distributed
to consumers and other end users through our subsidiary companies.

1.4 MANAGEMENT TEAM AND ORGANIZATIONAL STRUCTURE

1.4.1 Corporate Structure

OPERATION SUPPORT
MANAGEMENT

2.1 Rice Process

The by-products of rice are produced during the milling process at

different stages activity.

6
Table 2.1 : Rice Process

2.2 Rice by Product

PADDY
Paddy, sometimes known as rough rice is an
un-milled rice with the hulls still attached to
the kernels. Paddy therefore will have to go
through the necessary milling process before
fully milled rice is produced for human
consumption.

7
RICE HUSK
Rice husk is the inedible outermost layer of
the paddy grain which will be removed during
the milling process. Rice husks can be reused
as fuel source in power plants, heat generator
for boilers and for other non-energy purposes
in farming sector, animal feed stuff and the
like.

WHITE RICE
White rice is also referred to as fully milled
rice simply because the outer layer namely
husks and bran has been completely removed
from the kernel during the milling process.
White rice is the most common type of rice
being consumed among people around the
world.

RICE BRAN

Rice Bran is the second layer underneath the

husk which has a high nutritive value and
contains 10 – 20% of bran oil. Bran is mainly
used as ingredient in animal feeds especially
ruminants and poultry.

8
BROWN RICE Brown rice also known as ‘hulled’ or
‘unmilled’ rice which is produced simply by
removing the outermost layer of the grain
(husk). The bran layer and germ of the grain
remains intact giving the rice a mild, nutty
flavor and chewier. It is also claimed as more
nutritious than white rice. When cooked, the
rice appears fluffy, light and stays separate.
Brown rice is great for making fried rice or it
can also be served plain with any kind of
healthy side dishes. However, the rice
requires longer cooking time because the bran
layer forms a barrier for water absorption.

BROKEN RICE Broken rice are pieces of rice kernels

segregated during the milling process which
can be classified as big broken and small
broken depending on the length of the morsel.
Broken rice commonly used to manufacture
products such as rice noodles, flour,
cosmetics, pet foods and such.

CHIPS Chips are another by product of the rice

produced during the milling process. It is a
smaller fragment of the rice that have been
removed by the sifter and has a variety of
uses including ingredients in rice flour, rice

9
noodles, pet food and to process other
ferment products.

BURNED HUSK ASH

Burned husk ash is generated by burning the

rice husk. Burned husk ash contains carbon
and is therefore black in color.

need to understand the process of paddy and rice happen during the rice season.
Generally I also need to know the kinds of rice and rice that are available. After
that, he was given an assignment to fill the form of the paddy sale and purchase.
And during the week they also organized a wellness program to their staff, and
staff should be involved with the program. This program also describes health in
nutrition for our body.

14
2nd WEEK (28th MAY 2017 – 1st JUNE 2017)

This week, I was involved with 3 important meetings. First is the meeting
with the head of the support and operations department. All staff in the
department attended the meeting. The objective of this meeting is the program in
the eastern zone of Kelantan, Pahang and Terengganu.

This program is an initiative and becomes a benchmark for thoughtful

factories in the north, south and central zones. Second is the meeting with the
tender management unit. Third is about "5s" program. On the day I was given the
opportunity to attend and learn how to choose the best tender. This tender is a
"tender scrap" and I as the secretary of the meeting and assigned to make the

program periodically made three times a year. The program is to monitor the
factory Bernas in Malaysia.

On Thursday, all employees attend training aerobics for an hour and one
hour thus provides clarification on health entitled "the right time for consumption
by individual. This program gives more advantages and awareness about health
for the staff.

15
3rd WEEK (4th JUNE 2017 – 8th JUNE 2017

This week I was assigned to fill the form of sales of rice and rice. Before
filling out the form, I need to identify the form as needed. A sale of rice and rice
takes 24 hours and must be recorded prior to the process. The form shall be
recorded for sales data found in Peninsular Malaysia. After that, the form must be
given to my supervisor for verification and sent by e-mail to factories that buy
rice. Data should be up to the buyer. This form also needs to have a record of
vehicle purchase to delivery process for company buyers. Further the form
reproduced to the point recorded. After that, I took the initiative to the financial
department to learn new things. I placed the financial department. Financial
management is really important in all types of business, either profit organization
or non-profit organization. According to Dr. S.N. Maheshwari, financial
management is concerned with raising financial resources and their effective
utilization towards achieving the organizational goals.

A good working knowledge of financial statements is desirable simply

because such statements, and numbers derived from those statements, are the
primary means of communicating financial information both within the firm and
outside the firm. The goal of financial management is to make money or add
value for the owners. Profit maximization would probably be the most commonly
cited goal, but even this is not precise objective. Basically there are five type of
financial statement which is income statement, statement of comprehensive
income, balance sheet, statement of stockholder’s equity and statement of cash
flow. In this report, I only use two financial statements which are income
statement and balance sheet. Balance sheet records company’s asset, liabilities
and company’s equity for a particular period. While income statement supplied
information on sales or revenue that company earned over.

16

trainer from Herbalife gives a talk about “good fat versus bad fat” after the
Tabatha exercise.

17
5th WEEK (18th JUNE 2017 – 22 JUNE 2017)

This week I was assigned to store any data in DOA System. DOA is one
of the main systems that have been use by BERNAS. I have been taught by my
supervisor to use this system. I need to save payment via direct banking which are
from Bank Simpanan Nasional, Bank Islam and Bank Pertanian. I also need to
save payment via agent and bank instruction which from Bank Islam only. Then, I
need to transfer agent and bank instruction payment from Bernas Domestic
Operation Application system and finalize the payment by using excel then
making payment (KBB PADDY PAYMENT) via e-banker. I recorded all the data
as instructed by my supervisor.

to the company. The second is the vehicle data, this data is used as a reference for
a claim to be made by the company to the buyer. The data is from January to
March. The third is internship student data in Jitra and Glenmarie, Shah Alam,
This data takes a week to complete and handed over to my supervisor. During
this week, Charity work is made for three days in the village of Pahang. I am only
involved in providing equipment before they go to the village to provide

11th WEEK (30th JULY 2017 – 3rd AUGUST 2017)

This week, I started learning Microsoft Dynamic AX is one of the main

medium that have been used by BERNAS which provides the comprehensive,
core functionality regarding financial, human resources, and operations
management. I have been taught to key in salary payment, basic salary, overtime
job payment, EPF and medical expenses for contract worker (Bernas Production).
Then, I also need to key in data and print official receipt (PBN). Reprint invoice
and official receipt from January 2016 until March 2017. In addition, I also need
to key in invoice journal “Perbelanjaan Umrah 2017”.

Other than that, I’m making bank reconciliation which the steps is need to
approve and post payment at Microsoft Dynamic AX by transferring all the data
payment for a certain date from e-banker to Microsoft Excel. Then, calculate the
amount for every batch number. Check amount and make sure the amount was
tally in e-banker and Microsoft Dynamics AX. Next, update the payment
reference at Microsoft Dynamics AX for every payment made by copying the
payment batch number from e-banker. By using Microsoft AX is very helpful and
easy to work. However, this server is very difficult to use because I am still
amateur but I am trying to learn all this week. On Thursday, I attended the
meeting about wellness program. This meeting is about “Sport Day” will be held
on September. The main objective of the program is to strengthen the relationship
between all staff Bernas in Malaysia. The second object is to provide health

23
12th WEEK (6th AUGUST 2017 – 10th AUGUST 2017

In this week, my supervisor give me a new task to make memorandum for

“Tuntutan bayaran gst 6% bagi kerja lebih masa kilang skim subsidi harga padi
(sshp)”. Next, need to find invoice based on the list given and make a copy of the
invoice, then scan the document needed. Reorganize the official receipt and
invoice that has been reprint in the file. Besides that, key in TNB data in excel
based on monthly invoice (July 2016-February 2017).

On Monday, I continued my work with make a quotation about “Skop

Kerja dan Kos bagi Buruh di Kawasan Kilang Beras Bernas Bukit Raya”. This
quotation must be submitted to be checked because this quotation needs approval
from financial department.

On Tuesday I was placed in a quality management unit. Conduct

inspection of local rice quality and import rice and rice. The quality of the
northern region includes Kedah, Perlis, and Penang. Quality inspection of
consignment and periodic rice (quarterly) of the importance of this unit ensures
the quality of standardized rice and the standardized dietary supplements and spec
procedure from the agreed importing manufacturers. The first day I needed to
understand the laws pertaining to rice and rice. Then I was briefed about paddy,
rice types, rice varieties, and other types of insects. Then, I need to read before
making analysis on rice and rice. I spent the whole day with the reading act and
matters relating to the rice. There are three main paddy diseases in Malaysia
namely Bacterial Leaf Blight (BLB), Leaf Blast Disease (LBD) and Bacterial
Sheath Blight (BSB). If the affected paddy plant is not cured rapidly, disease of
paddy production is the crucial concerns.

24
13th WEEK (13th AUGUST 2017 – 17th AUGUST 2017

This week on the first day I need to understand the laws related to rice and
rice. Then I was briefed on paddy, rice type, rice type, and other insect species.
Then, I need to read before making an analysis on paddy and rice. I spend with
reading books on paddy and rice for the first day

On 14th July until 17th July, Mrs. Mursyidah as a head of quality

department gave a book “Act 522 Control of Paddy and Rice, Act (1994)” and she
briefed about (Grade and Price Control) Order (1992). The analysis on this time is
a rice analysis from Thailand. Before starting the analysis, she introduced the
definition in the analysis about rice. The definition is head rice, big broken, small
broken and chips. Each of these definitions has a formula prescribed by the act.
This analysis was made to ensure that the rice had a spec set by the Malaysian
government. This department is a very important to ensure the import and export
of rice has a high quality in Malaysia.

On Tuesday until Thursday, I continue my task to analyze paddy. Paddy

analysis is different from rice analysis. This is because paddy analysis has many
items that need to be identified. For example, young rice, chewy rice, damaged
rice and others. Cik Liza as a quality department assistant guide and teach me to
analyze paddy. I was given the chance to take a sample of rice at ‘Kilang Beras
Bernas Kerpan. The result from this sample must be submitted to the factory for
the quality paddy in this season.

I have spent a lot of knowledge about the paddy and rice and after that I
can know the best quality of rice that we needed in our daily life. This analysis is
made three times a year.

25
14th WEEK (20th AUGUST 2017 – 24th AUGUST 2017

This week, we had an invitation for annual grand meeting For KELAB
BERNAS MALAYSIA (KBM) and Koperasi Kakitangan Bernas Berhad.
Basically KBM is the Group’s sports and recreation club which has its affiliates in
every region where BERNAS operated. Programs organized by KBM include
futsal matches, inter-club bowling and badminton tournaments and subsidized
company trips to foreign destinations. Koperasi Kakitangan Bernas Berhad has
been established to create a form of cooperation and mutual support for business
capital purposes to improve socio-economic standards while establishing a form
of financial facility to help members to solve financial problems. This Annual
Grand Meeting is held in order to choose new president, vice president, secretary
and other position among committee members. While, practicum students have
been assigned to in charge for registration part and need to calculate and record
the number of votes. The meeting was held at JPAM Hall, Anak Bukit, Alor
Setar. Being in the meeting surely was a great and valuable experience for me.

Furthermore, I have done my daily routine like update data from Microsoft
Excel. Then, doing file label, scanning document, rename it and also helping my
colleague in doing indices for file and print out some important document for
tender.

This week is my last day as a practical student here. So, I have to spend all
my work perfectly before practicing ends. For the last day, staff from my
department made farewell party for me for the past three months. In addition I get
a lot of knowledge and experience in work.

26
WORKING EXPERIENCE

PROJECT CARRIED OUT

During my industrial training, I have been given a 1 st project by my

supervisor Mr. Rizal on the second week I joined the meeting tender unit.
Regarding to this project I need to collect information from varies name’s
tenderer and get the exact information as a project reference. The first project is
about “tender scrap”. As a secretary, I have to made every minute of the meeting
and make a full report on the tender. Then, I need carried out this project with
power point and present to my supervisor. After presentation, my supervisor need
to make a decision to choose a qualified tenderer.

The second project is program “5S”. This project is important and i need
to prepare the document. The program is headed by Mr kamal, Mrs. Hasliza and
Cik Syamimie. "5s" is to sustain. It maintains establish standard and procedure.
Secondly is sort. It keeps only necessary item in the work place. Thirdly is
stabilizing. It arranges items to promote efficient work. Fourthly is shine. It keeps
the work place and equipment clean. Fifthly is standardizing. It creates standard
for a consistently organized. I learn a lot of knowledge especially when I have an
opportunity for checks the all factory.

Thirdly is I am handling a new project regarding about tender of

transportation which is assigning by head of tender unit Mr. Hadieiqbal. I need to
gather all information about lorry to take out the paddy and rice from Kelantan,
Terengganu and Pahang. From that I need to come out with the standard
operation procedure and draft the new tender. This is my project I have handeled
in my internship.

27
PROBLEMS ENCOUNTERED AND SOLVED

I need to be wise in order to handle the situation if there are lots of tasks at
the same time which make the important task first and only then make the rest
tasks. Be wise and efficient to well-presented in working environment rechecking
the number and amount before entering the data. For example, if making vendor
payment or making claims payment, I will make sure that the account number for
receiver is correct.

During I am handling my project I have been faced with some problem

especially in my 1st project, I need to gather a lot of information about name’s
tenderer. I am as new staff it is not easy to gather and find the information. So it is
take time to make me confident to ask the question and gather new information.
But this is not a problem because I take an initiative to solve with asking other
staff to help me to get the information. In addition we need to become friendly
with my colleague to make them comfortable with new staff.

For the 2nd project is program ‘5S’. This program requires a high
commitment between the factories in the Kedah Zone. I am practical student I do
not have the opportunity to participate in this program in the Kedah Zone 2. This
was due to the safety factor for practical students who did not have insurance as
long as practical. However, my supervisor gives me to join this program in only at
Kedah Zone 1 and I took the opportunity to gain experience in recognizing the
machines in the factory.

28
RECOMMENDATION

Throughout my 14 weeks industrial training period, I had the opportunity

to learn and gained valuable experience at BERNAS. Each day of my training
session, I have learned many new thing and gain knowledge which is related in
Operation field. Based on my internship experience, I would like to suggest both
parties Padiberas National Berhad must improve to make industrial training even
more efficient and challenging in future.

For university, I suggest that the duration of training may can be longer as it will
be more beneficial, giving more exposure to the trainers to allow them to learn
and gain more knowledge. Besides that, I also want to suggest BERNAS to give
more challenging task to practical student since we have limitation to do some
work given. If we have more tasks to do, then it would be benefit to us in gaining
working experience.

especially in operation job scope and I found that several thing are important
which critical and analytical thinking, time management, goal management and
colleague interactions. Besides that, I also have to face with problem which like
overloads task for a certain time and mistake entering data into system. However,
within this four months of internship, I manage to overcome it with successful and
it would be meaningful for me. Moreover, industrial training give chance to
students to learn in order to improve performance, gain knowledge, measuring the
ability of self and been exposed about the real working life which can be apply in
the future.
