Important Safety Notices
Prevention of Physical Injury

1. Before disassembling or assembling parts of the main machine and peripherals, make sure that the
power cord of the main machine is unplugged.
2. The wall outlet should be near the machine and easily accessible.
3. Note that some components of the machine and the paper tray unit are supplied with electrical
voltage even if the main power switch is turned off.
4. If any adjustment or operation check has to be made with exterior covers off or open while the
main switch is turned on, keep hands away from electrified or mechanically driven components.
5. The inside and the metal parts of the fusing unit become extremely hot while the machine is
operating. Be careful to avoid touching those components with your bare hands.

• To prevent a fire or explosion, keep the machine away from flammable liquids, gases, and
aerosols.

Health Safety Conditions

1. This machine, which uses a high voltage power source, can generate ozone gas. High ozone
density is harmful to human health. Therefore, the machine must be installed in a well-ventilated
room.

Observance of Electrical Safety Standards

1. This machine and its peripherals must be serviced by a customer service representative who has
completed the training course on those models.

Smartphone/Tablet Support

For connection from a smart device, a dedicated application "DocsConnect" must be installed on the

Equipment Needed

Prepare the following items before installation.


• Notebook computer
Prepare a notebook computer with Windows XP or later and Internet Explorer 8 or 9 installed.
• LAN cable
Use the cable included in the machine. However, some computers cannot be connected with a
straight cable. Use a cross cable in such case.
• All versions of the firmware up to the latest version
Download them from the download site. If the firmware on the machine is old, you must install all
newer versions in chronological order.

Installation Requirements
Environment

Temperature Range: 0°C to 40°C (32°F to 104°F)


Humidity Range: 20% to 80% (No condensation)
Atmospheric condition: No corrosive gases
Do not install the machine in the following areas to avoid malfunction.
• Areas where the machine will be exposed to salt air or corrosive gases
• Areas where chemical reactions take place, such as a laboratory
• Areas subject to vibration or shock
• Areas exposed to direct sunlight
• Areas where temperature or humidity changes radically
• In the vicinity of devices that emit strong magnetism or radio wave, e.g. magnets, monitors,
speakers, TV sets or radios.
• Humid areas such as kitchens or bathrooms
• Areas subject to strong static electricity
• Inside or on top of materials that retain moisture or heat, e.g. carpets, sponges, cardboard boxes
or Styrofoam. (Storing the machine is possible.)

Power Requirements

• Connect to a power source that meets the following conditions: EU/AP: 220-240V 50/60Hz 6A
or less/NA: 110-120V 50/60Hz 11A or less.
• Use a power source with an independent circuit breaker if possible.
• When plugging in or off, always hold the plug, not the cord. Pulling the cord may damage it.
• Push in the power plug all the way.
• Avoid a loose power outlet which may cause bad connection. The power plug may heat up.
• Make sure that the wall outlet is near the main machine and easily accessible. Be sure that it can be
easily disconnected in case of an error.
• Do not connect any other devices to the same power source. Connecting many plugs to one outlet
may cause a fire or tripping of a breaker.
• Never put weight on or bend the power cord. The power cord may be damaged, leading to a fire
or a electric shock.
• Be sure to ground the machine.

Machine Space Requirements

Maintenance space is required.


• Secure maintenance space for the CE as shown below.
• If the machine is to be put on the floor, instruct the customer not to kick the machine.
• The machine is kept cool by means of the ventilation holes. Secure sufficient space around the
machine.

Installation Procedure

• Do not plug in the power cord before starting the following procedure.

1. Take out the RICOH e-Sharing Box [A] and accessories.

2. Connect the power cord to the RICOH e-Sharing Box.


To prevent the power cord from being disconnected as a result of sudden motion or impact, fasten
the cord with the provided clamp.

3. Connect the power cord to a wall outlet.


4. Connect one end of the LAN cable to the CE maintenance port [A] and the other end to a
notebook computer (peer-to-peer connection).
You can use the provided LAN cable (straight cable).

5. Turn on the RICOH e-Sharing Box.
When it starts up normally, it emits a sound twice. It takes about 3 to 4 minutes from power on to
the second time it emits sound.
First time: Single beep: Startup device detected (HDD)
Second time: Double beep: Windows OS and application startup

6. Perform the Initial Settings (see page 25 "Initial Settings").


7. Connect the LAN cable to the port for users and restart the machine.

8. Make sure that the host name which has been configured in General Settings in the Web
UI is displayed under “Network” on a computer connected to the customer's network.
(Example: Windows 7)

Connection through the CE Maintenance Port

• As a client computer, Windows XP and later/Internet Explorer 8 and 9 are supported.

1. Connect one end of the LAN cable to the CE maintenance port [A] and the other end to a
notebook computer (peer-to-peer connection).
You can use the provided LAN cable (straight cable). However, peer-to-peer connection with a
straight cable is not available on some computers. Use a cross cable in such case.

2. Open the “Network Connections” window and click “Properties” of “Local Area
Connection”. (The illustration shows Windows 7 display)

3. Click “Internet Protocol Version 4 (TCP/IPv4)”, and then click [Properties].

4. Set the segments of the RICOH e-Sharing Box and the notebook computer to the same
value, and then click [OK].
The IP address of the CE maintenance port of the RICOH e-Sharing Box is fixed to “192.168.0.4”.
Configure the IP address of the notebook computer to “192.168.0.xxx” (xxx must be other than
4). Enter “255.255.255.0” for Subnet Mask.

5. Start a Web browser and enter “http://192.168.0.4/” in the address bar. The Web UI of
the RICOH e-Sharing Box will be displayed.

• Start a Web browser after you hear a double beep (Windows OS and application startup). It
takes about 3 to 4 minutes from power on to the double beep.
Web UI
Web UI (Web User Interface) is a feature that allows you to check the status/settings and change
the settings of the RICOH e-Sharing Box on the network.
Protocol used: http (port 80: TCP) and https (port 443: TCP)
Supported Web browser: Internet Explorer 8/9.

Configuring the Administrator Account

The administrator account must be set up by the customer.

1. When started up for the first time, the e-Sharing Box initial settings screen is displayed.
Ask the customer to configure “admin settings” (for the built-in administrator), “New
administrator account”, “Language settings”, and “Time zone settings”, and then click
[Next].

• The administrator initial settings screen is also displayed after system initialization.

Login

1. Ask the customer to log in.


Either admin (built-in administrator) or an administrator account can be used.

• You will be logged out when disconnecting the connection or logging off from/shutting down/
restarting the computer.
• In the case of Explorer (Personal folder/Shared folder), you will be automatically logged out when
there is no communication for 1 minute. (Automatically logged in when communicating again.)
• If you make no communication for 10 minutes after logging in to the Web UI, you will be
automatically logged out. When you operate the Web UI after being logged out, the screen
changes to the session timeout screen.

Changing the Web UI display language

To change the WebUI display language, give the top priority to the target language in Internet Explorer.
Move the target language to the top of the list in “Internet Options” “General” “Languages”.

General Settings, Date/Time Settings, and Network Settings

1. Click “Show Setting Screen”.

2. Configure the “General Settings”, “Date/Time Settings”, and “Network Settings” under
System Settings.

3. In “Network Settings”, configure the IP address and proxy server settings according to
the customer's network environment, and then click “Apply”.
• If a DHCP server is not used, check “Set manually” and enter the IP address.
• If a proxy server is used, configure the “Proxy settings”.
• When setting a fixed IP address under a DHCP environment, use an address outside the
allocation range of the DHCP server (which also works a router in many cases). Check the
setting of the DHCP server.

4. Select a time zone and click “Apply”.

5. Set the time and click “Apply”. You can either enter the time in “Date/Time” or configure
the machine to synchronize with the time server in “Internet time”. The setting of the last
clicked “Apply” button takes effect.

6. In “General Settings”, enter the host name, workgroup name and DNS suffix according
to the customer's network environment, and then click “Apply”.

Update Settings

Check the firmware version and update it if it is old.

• Download all versions of the firmware from the firmware download site and save them on the
notebook computer beforehand.
• When applying multiple updates, you must apply them in chronological order starting from the
oldest one.

1. If you have changed items such as the host name in “General Settings” under “System
Settings”, the RICOH e-Sharing Box restarts and the Web UI times out. Log in again to the
Web UI.
If you have not changed the “General Settings”, start from Step 3.
2. Click “Show Setting Screen”.

3. Click “Update settings” under “Maintenance”.

4. Check the current version.

5. If the current version is older than the one you downloaded from the download site,
upload all versions newer than the current one in chronological order.

6. Click “Apply Update Program” to start the update process.


When update is completed, the machine restarts.
7. Log in to Web UI again.

8. After completing applying all versions of the firmware, check if the “Current version” is
the latest version.

• If you intend to download the updater files from the firmware download site via the internet, first
connect your computer to the internet (through the customer's network environment for example).
• If the RICOH e-Sharing Box is connected to the internet, it checks once a day if a new update
program is available.

Backup/Restore Settings

• Make these settings only when an external HDD is installed. Backup/Restore cannot be done
without an external HDD.

1. Click “Backup/Restore Settings”.

2. If you click “Execute Now”, backup will be made on the external HDD.

3. Check if the value of “Last executed:” has changed to the time Step 2 was done.

4. If operation check was successful, configure the Execution schedule. It can be set to Every
month, Every week, or Every day.

• If you select “Every Month” for “Interval:” and select “31” as the date in the Execution schedule,
backup will be executed on the last day of the month if the day is not available on that month
(February for example).
• If a user with administrator privilege requests shutdown or restart of the RICOH e-Sharing Box
during the backup process, it is prioritized over the backup process and backup stops.
• The content of a file cannot be guaranteed if it is updated after the backup process starts.
• The RICOH e-Sharing Box ignores a restart request received during the restoration process. It can
still be shut down by holding the power button pushed for 3 seconds. Data is not guaranteed in
such case.
• Restoration cannot be done if the firmware of the RICOH e-Sharing Box you are going to write
data onto is older than that of the RICOH e-Sharing Box from which the backup was made. Apply
the latest firmware to enable restoration.

• The configuration is to be made by the customer.


• The recommended interval is “Every day”.

When backing up for the first time, it should take up to about 24 hours.
From the second time on, only the difference in the data since the last backup is saved and
therefore the required time depends on the difference in the data.

After restoration, the system data is rebuilt. The process speed of the RICOH e-Sharing Box may be
slow for the next 12 hours or so.

Settings for Smart Devices

For the following steps, it is required that the RICOH e-Sharing Box is connected to the customer's
network.
Configuring the Web Browser Settings
If the Personal Folder/Shared Folder buttons on the top screen after logging in to Web UI are
grayed out and cannot be clicked, make the following configuration.
When you log in as “admin”, “Register Device” is also grayed out.

1. Select “Tools” “Internet Options” on the browser.


2. Click the “Trusted sites” icon on the “Security” tab, and then click [Sites].
3. Add the IP address of the RICOH e-Sharing Box to the list of trusted sites.
4. Select “Custom level...” to change the security level.
5. Change the following settings.
• “Run ActiveX controls and plug-ins” “Enable”
• “Initialize and script ActiveX controls not marked as safe for scripting.” ” Enable”
6. Close the browser and start it again, and then display the login screen.
7. Enter the account information and log in.
If the security setting of the Internet Explorer is configured to "Prompt", the following dialog
appears when starting Explorer (Personal folder/Shared folder). Click [Yes]. If you select
"No" in this dialog, Explorer (Personal folder/Shared folder) cannot be started.

• The following procedure is required only if the customer connects to the RICOH e-Sharing Box from
a smart device through a 3G/4G network.
During this procedure, you will activate the application and configure the relay server. Afterwards, see
page 45 "Smart Device Registration" and register the RICOH e-Sharing Box on the smart device.

1. Connect the customer's LAN cable to the user port [A]. It must be connected to the internet
because access to an activation server is required.

2. Click [Application Management] under “System Settings”, and then click [Add New

Smart Device Security Settings

Specifying a passcode can restrict the access to the RICOH e-Sharing Box from smart devices using
DocsConnect. For this, customer can decrease the risk of information leakage and use the remote access
function safely.

the user accesses the "Fax PDF" folder of the RICOH e-Sharing Box via the relay server.
If the RICOH e-Sharing Box can be accessed directly, the document can be opened by clicking the link
in the process completion mail.

Setting Up a Projector

• Ricoh network projectors are supported.


• The projector must be connected to the network.

Creating a QR code for projector recognition

1. Click [Generate Connecting Code].

2. Specify “Projector” for “Output device”.

3. For “Method to specify:”, select how to specify the projector.


When specifying by address, enter the IP address or host name of the projector.
When specifying by projector name, enter the device name set in the projector and the network
address in which the projector is located (the network address is the first three numbers of the IP
address, for example: 192.168.184).

A QR code will be displayed.


5. Click [Print...] to print the QR code.
If you put a checkmark next to "Print with projector information", information such as the IP address

Registering as My Projector

Email Sending Settings

Overview

Register a mail server to use the mail notification function.


Notification mails are sent in the following cases:
• When a process in a workflow is successfully completed: A notification mail is sent to the
destination specified by the user.
• When an error occurs, e.g. because the RICOH e-Sharing Box is malfunctioning (see page 141
"Troubleshooting"): A notification mail is sent to the administrator.
• When the backup process is completed: A notification mail is sent to the administrator.

Setting procedure

Configure Email Sending Settings, email authentication, email address of admin (built-in administrator),
and destination.

1. Ask the customer to log in as admin (built-in administrator).


It is required that the admin (built-in administrator) account is used.

email notification. When using an SMTP server specified by the Internet Service Provider (ISP),
it is recommended that you register an email address provided by the ISP.
• The RICOH e-Sharing Box uses the email address configured in user information as the sender
(From) of the completion notification of a workflow. If an email address other than one
provided by the ISP, such as one provided by the carrier of the smart device, email
notification may not be sent, as described above. See User Information (page 118 "Personal
Settings") and User Management (page 122 "System Settings").
• The RICOH e-Sharing Box does not support SMTP over SSL. SMTP servers provided by
services that require SMTP over SSL, such as the iCloud service and Gmail service, cannot be
specified as the “Email server”.

Using DocsConnect, you can view, print, project or transmit data saved in specified folders on
commercially available network attached storage (NAS) devices.
The data will be accessible from the RICOH e-Sharing Box without being copied onto the HDD of the

• The maximum number of folders that can be registered is 4.

1. On the Web UI, click [Network Share Connection] under “System Settings”.

Check if a file being viewed in DocsConnect can be projected by a projector.

DocsConnect can be downloaded from App Store (for iOS devices) or Google Play (for Android
devices) free of charge.

• If it is hard to scan the QR code, advise the customer to enlarge the QR code when printing it.
(The screen samples are of an iPad.)

6. Confirm that the scan is completed successfully. When the scan is completed, the smart
device connects to the projector and sends the file being viewed. The file is projected.

• When you turn the page of a document with multiple pages, the projected image also changes to a
different page. When you pinch the image to reduce or enlarge it, however, the projected image
does not change.

Connection with an Interactive Whiteboard

Overview

By scanning a QR code displayed on the Interactive Whiteboard, the user can display data saved in the
RICOH e-Sharing Box on the Interactive Whiteboard and save the contents displayed on the Interactive
Whiteboard onto the RICOH e-Sharing Box. (It is required that both devices are connected to a
network.)

Supported version

The firmware version of the Interactive Whiteboard must be 1.3.20.0 or later.

Explanation to the customer

When the customer has already been using the Interactive Whiteboard when you install the RICOH e-
Sharing Box, explain the following operation procedure to the customer. (Verbal instruction only, if the
Interactive Whiteboard is in use)

Conditions

The customer must make sure that the Interactive Whiteboard meets the following conditions:
• The firmware version is 1.3.20.0 or later.
• It is connected to the network.
• The main operation panel is displayed.

Procedure

• This machine does not support hot-swapping. (Hot swapping means replacing parts and/or cables
with the computer powered on.

HDD

• Borrow the key for the HDD cartridge from the customer beforehand.
• When turning off the RICOH e-Sharing Box, do not keep the power button pushed for a long time.
If the power button is kept pushed for 3 seconds or longer, a forced shutdown starts.
• The replacement procedures for HDD1 and HDD2 are the same. This section shows HDD1 (left) as
an example.

1. Shut down the RICOH e-Sharing Box (see page 97 "Shutdown Procedure").
2. Disconnect any peripheral devices connected to the RICOH e-Sharing Box.
3. Unlock the HDD using the key.

9. The HDD duplication process starts. The Status LED lights green and the HDD LED flashes
green. The machine can be used before duplication is complete.

• Inform the customer that the machine can be used before duplication is complete. Normally, the
duplication process takes about 3 to 4 hours. It may take longer depending on the usage.

Checking the HDD Status from the Web UI

1. Ask the customer to log in from the Web UI.


2. Click [Show Setting Screen].

3. Click [System Information] under [Device Information].

4. “Copying” is displayed for “HDD Hardware Report”.

Use the procedure to replace the Main Unit in the following cases:
• When both HDDs are broken.
• When the Main Unit is broken.

• Be sure to turn off the machine and disconnect the power plug from the wall outlet when
disassembling the machine or replacing parts. Failure to do so may lead to electric shock or

1. Shut down the RICOH e-Sharing Box (see page 97 "Shutdown Procedure").
2. Disconnect any peripheral devices connected to the RICOH e-Sharing Box.
3. Remove the protective sheet [A] from the old RICOH e-Sharing Box and pull out the serial
number decal [B] from the holder.

4. Insert the serial number decal into the holder of the new RICOH e-Sharing Box and attach
the protective sheet.

5. Replace the RICOH e-Sharing Box. (see page 21 "Main Machine Installation")
6. Move the clamp for fastening the power cord from the old machine to the new machine.
7. If you are replacing the entire system including the HDDs, refer to the customer’s setting
report and execute the Initial Settings. (see page 25 "Initial Settings")
(This is to be done when both HDDs are broken. The system is restored to the state of a newly
installed system.)

Activation

• For customers using the relay server, complete the activation process to allow continued use of the
relay server.

1. Connect the customer's LAN cable to the user port [A]. It must be connected to the internet
because access to an activation server is required.

3. Select the application, enter a new product key, and then click [Add Application].
Enter a product key prepared for the new RICOH e-Sharing Box.

Restoration from an External HDD

If an external HDD is used, restore data from the external HDD.

• Operation for restoration must be done by the customer.

1. Have the customer click [Backup/Restore Settings] under “Maintenance”.

2. Explain to the customer what “Restore from:” “Execute:” “Check:” mean and confirm that
they are understood.

deletion of all data and settings”.
4. Have the customer click [Restore].

• The RICOH e-Sharing Box ignores a restart request during restoration. It can still be shut down by
holding the power button pushed for 3 seconds. Data is not guaranteed in such case.
• Restoration cannot be done if the firmware of the RICOH e-Sharing Box you are going to write
data onto is older than that of the RICOH e-Sharing Box from which the backup was made. Apply
the latest firmware to enable restoration.

The Time It Takes for Restoration

When restoring up to 2TB of data, it should take up to about 24 hours.


After restoration, the system data is rebuilt. The process speed of the RICOH e-Sharing Box may be slow
for the next 12 hours or so.

When You Cannot Display the Web UI or Mount the e-Sharing Box as an SMB
Folder

Try the following measures in order.


1. Restart the RICOH e-Sharing Box by keeping the Power button pushed for 1 second.
If the problem is solved, proceed to step 4. If the problem persists, proceed to step 2.
2. Turn off the machine, remove HDD 2, and then turn on the machine again.
If the problem is solved, proceed to step 4. If the problem persists, proceed to step 3.
3. Turn off the machine, remove both HDDs, set the HDD that has been set in the HDD2 slot in the
HDD1 slot, and then turn on the machine again.

The RICOH e-Sharing Box uses RAID1 (mirroring) mode. It includes two 2TB HDDs and the same data
are written to both HDDs. Because of this, the RICOH e-Sharing Box can operate even if one of the
HDDs crashes, using only the other HDD.
