Workplace Guidelines to Reduce the Transmission of Covid-19


As of 16 May 2020

• We are coming up with our “New Normal” on how to operate as we enter the
MECQ on 16 May 2020 and then the GCQ.
• We ask for everyone’s understanding and full cooperation.
• We will evaluate daily and adjust as needed.
• For questions, clarifications or suggestions, please refer them directly to JGJ.

GUIDELINES ON WORKPLACE PREVENTION AND CONTROL OF COVID-19
(WITH SOME COMMENTS FROM TT MANAGEMENT)

A. Increase physical and mental resilience


1. Eat nutritious and well-cooked food
2. Drink plenty of fluids & no alcohol
3. Sleep for 8 hours
4. Exercise regularly
5. Vitamins
6. Referral for counseling

B. Reducing transmission of covid-19


1. Prior to entrance in buildings or workplaces
a. All employers and workers shall:
i. All must have face masks, and it must be worn at all times and
remove the same only when eating/drinking
1. For Trust Trade, we are also providing Face Shields, which
much be worn at all times. We are also providing Hats
with Face Covers, which is recommended while you’re
travelling. Please use these all the time.
ii. Spray alcohol to both hands; use disinfectant foot bath
1. Make sure you dry your shoes well after the 20-seconds
foot bath. WET SHOES ARE VERY SLIPPERY! Please tell
clients also!
iii. Undergo temperature check, and have them recorded in the
health symptoms questionnaire
iv. Accomplish daily health symptoms questionnaire and submit to
guard or designated safety officer

• If a worker has a temperature of > 37.5°C, even after a 5-


minute rest, or if his response in the questionnaire needs
further evaluation by the clinic staff, the person shall be
isolated in an area (Galleria clinic for the mall or PNPGH in
Crame) and will not be allowed to enter the workplace
premises.
v. Observe proper coughing etiquette:
1. Cough and sneeze into tissue or into shirt sleeve if there is
no tissue
2. Dispose used tissue properly.
3. Disinfect hands by washing with soap and water for at
least 20 seconds (or alcohol if there is no soap and water)
b. Equipment or vehicle entering the office or store area must go through a
disinfection process
i. For all firearm deliveries, let’s use the disinfectant spray on
external boxes (no need for internal pistol cases). This is for both
FEO and Galleria store.
ii. For all couriered documents, do not bring them inside the office.
Someone wearing gloves will open all outside the office and
throw the outside packaging. Try to keep the documents as clean
as possible. After, clean the scissors used with with soap and
water for at least 20 seconds, as the person washes his or her
hands.
c. If there will be long queue outside the office or store premises, roving
officers should instill physical distancing of one meter.
i. For Galleria store: C/o Marlon for batch 1 & Vhal for batch 2
ii. For TT-FEO: Meg for batch 1 and Bhel for batch 2 will just tell
clients to come back

2. Inside the workplace


a. Disinfection of facilities, and touched objects, such as doorknobs and
handles, at least once every two hours.
i. For unit 1106: C/o Gina
ii. For Galleria store: C/o Marlon for batch 1 & Dong for batch 2
iii. For TT-FEO: C/o Dengie for batch 1 & Bernard for batch 2
b. All washrooms and toilets shall have soap; workers are to wash hands
frequently for at least 20 seconds and avoid touching eyes, nose and
mouth
i. For TT-FEO, always bring the soap dispenser whenever you go to
the toilet
c. Sanitizers shall be made available in areas where workers and customers
pass
d. Workers, whether in workstations or sales area, shall always practice
physical distancing of at least 1 meter between workers (side, back, front)
e. Eating in communal areas in discouraged.
i. You may eat in the dining table one at a time or on your desks.
1. For everyone but specially TT-FEO, you CANNOT share
food anymore. This includes chichiria. If you do, you

have to open and dispense on a clean container exclusively


for one person only. No sharing of drinking glasses.
ii. Disinfect tables before eating and after eating.
iii. Dispose wastes properly.
iv. Please pack garbage into garbage cans well (pipiin).
f. Each one is to disinfect one’s table, chair and area after work and before
going home.
g. Disinfect also the floor after work (or even after lunch):
i. For unit 1106: C/o Gina
ii. For Galleria store: C/o Marlon for batch 1 & Dong for batch 2
iii. For TT-FEO: C/o Dengie for batch 1 & Bernard for batch 2
h. IN THE CUSTOMER AREA:
i. DISINFECT COUNTER AFTER EACH NEW CUSTOMER IS
SERVED.
ii. DISINFECT CHAIRS AFTER EACH CUSTOMER SITS DOWN.
iii. USE GLOVES EVERYTIME YOU DISINFECT COUNTERS AND
CHAIRS.
1. For unit 1106: C/o Gina

C. Minimizing contact rate


1. Alternative work arrangements (working-hour shifts), work from home (WFH)
where feasible and on rotation basis
2. Prolonged face-to-face interaction between workers and clients are discouraged
and masks shall be worn at all times and must not be removed. Meetings
needing physical presence shall be kept to a minimum number of participants
and with short duration.
a. For Trust Trade, aside from face masks, face shields should also be worn
at all times.
b. For Galleria store, please refrain from too much “kwentuhan” with
clients. Some clients like to hang out and engage in “kwentuhan”, but we
have to avoid this now. Just respectfully explain to the client that it’s for
everyone’s safety.
c. We will still continue to demonstrate to clients the basic know-how of the
firearm he or she is releasing. Trust Trade to use gloves (again, reminder
on the use of gloves).
3. Online or cell phone system shall be highly encouraged to be utilized for
clients needing assistance from offices. For Trust Trade, we will maximize
this. If clients can come to the store for pick up of their firearm only and no
longer for deposits and accomplishments of forms, better.
a. Let’s maximize the emailing of LTOPF forms, Firearm Registration
forms, PTF forms. For the accomplished form, it’s better and safer for
us if the client just emails and we will print. (If we can avoid external
documents, better for us.)
b. For Galleria store and TT-FEO, let’s encourage all clients to pay online
including for full payment before relase (but at least 2 working days

before release of firearm so we have time to verify payment). This will


help avoid holding money. Just explain well to clients. But if client still
prefers to pay cash, use gloves.
4. If feasible, employers must also provide shuttle services and/or decent
accommodation on near-site locations to lessen travel and people movement.
a. For Team Trust Trade members without their own vehicle (car or
motorcycle), we have fixed a shuttle system; and, Chai is looking for a
nearby accommodation.
i. If you have leads or recommendations to help Chai, please let us
know asap.

D. On Reducing the risk of infection from covid-19:


1. In the event that a worker is suspected as having covid-19:
a. The worker shall never remove his or her mask.
b. For RG, bring to mall clinic or call DoH.
c. For FEO, bring to PNPGH (?) or call DoH.
d. Decontamination of workplace for 24 hours
i. People who will do it to use mask, face shield, gloves.
ii. People in the work area of the infected to go on 14 days
quarantine.
iii. If suspected worker tests negative, everyone may go back to work.

E. Reportorial requirement: The employer must provide the DOLE through its
Regional Office, copy furnished DOH, the monthly reporting of illness, diseases, and
injuries utilizing the DOLE Work Accident/illness Report Form (WAIR).

F. Additional Requirement by Quezon City Government:


a. Plan for testing of Team Trust Trade – plans for this will follow

FURTHER NOTES FOR TRUST TRADE

1. Protective items we have for all Team Trust Trade members:


a. New & washed face masks (3-ply with umbrella fabric in the middle) – 2
pieces for each one, in addition to what were given before
b. Trust Trade “We Heal As One” Face Shields for office use – for each one
c. Hat with plastic shield for outside – for each one
d. Foot bath and drying foot mat – 1 per office (2 for FEO – 1 for office and 1 for
ballistics space but keep it inside Trust Trade office at the end of each day as
they might get lost! PLEASE PUT TRUST TRADE SIGN SO PEOPLE WILL
KNOW IT’S OWNED BY TRUST TRADE.)
i. Warning on foot bath trays:
1. If a person is not conscious, after stepping out of the foot
bath tray with very wet shoes, there’s a very big chance for a
person to slip on slippery concrete floors!
2. We have to print and put signs to warn people who will step
on foot bath trays! The guard should also warn people.

3. While we don’t have the big drying mat yet, please put
carton box first so people can dry their shoes.
4. Also, do not make the foot bath super wet with Sanyx
Disinfecting Concentrate, so as to lessen the probability of
slippage. Just the right amount.
a. Use: 1 gallon of water and 1.5 cups of Sanyx
Disinfecting Concentrate. Or if 1 liter of water, use ½
cup of Sanyx Disinfecting Concentrate.
e. Alcohol & dispensers – 2 for Galleria store, 3 for FEO
f. Sanyx anti-bacterial soap & some dispensers - 2 for Galleria store, 2 for FEO
g. Sanyx Disinfecting Concentrate - 2 for Galleria store, 3 for FEO
i. Please but disinfecting spray dispenser for disinfection of items
coming in, handles, floors, counter, etc.
h. Thermoscan – 1 for store, 1 for FEO
i. Isolation Gown (washable and waterproof) – 3 for store, 2 for FEO (for use of
those who will clean/ disinfect places if they want to use it)
j. Hand gloves – This is NOT recommended for continuous use. It is for use
only when we handle items from clients (like payment, documents); 1 for box
for store & 1 box for FEO to begin with for the meantime but for
replenishment. Still, wash hands with soap and water for at least 20 seconds
or use alcohol!
i. Important note: The problem with using gloves is that the wearer
loses consciousness that whatever he or she touches is dirty. He or
she touches things not thinking of the dirt on his or her gloves.

2. As provided on the Team Trust Trade Workforce (Bodega/ Store/ Office Duties &
WFH by Batch document, only 50% of our team will work in our onsite facilities.
The rest will work from home. This will be done by batches.
a. Please refer to this separate document.

3. For all who will work from home (WFH), the following are to be strictly followed:
a. Team member who will do WFH are to discuss with Management (both JGP
& JGJ) his/ her proposed WFH tasks and estimated calendar to finish the
tasks. Management (both JGP & JGJ) to comment on/ approve proposal
b. A daily accomplishment report prepared by WFH team members is to be
submitted at the end of each day (to both JGP & JGJ).
c. The standard report as emailed/ sent by JGJ (updated as needed) are to be
used.
d. Email the daily accomplishment report at the end of each day to both JGP &
JGJ. No satisfactory daily accomplishment report will mean absent for the
day.
e. Please note that daily report submission is standard for other companies
implementing WFH.
f. To be strictly done: If it is not applicable for a team member to work from
home, he or she has to go to work. If not, he or she will be marked absent.
g. Daily meetings: For those who will WFH, there will be set daily online
meetings with Management per group. The time will be set once we have
finalize those who will WFH.

h. Needed changes or adjustments to these guidelines will be done.

4. Galleria Store – to be implemented


a. We will try to avoid for clients to touch demo units. But if clients really want
to hold demo units, ask them to use alcohol and dry their hands first before
holding our demo units. For Team Trust Trade member, MAKE SURE YOU
USE GLOVES, SPECIALLY WHEN YOU RECEIVE THE FIREARM BACK
FROM THE CLIENT.
b. At the end of each day, clean all guns with gun oil since the alcohol will make
the firearms rust.
c. For preparation of store for social distancing:
i. Remove excess chairs. Just leave:
1. On the Counter: 3
2. On the waiting chairs inside the store: 2
3. Put big masking tape box or square marks on the floor where
the chairs are supposed to be.
4. Remove the other waiting chairs so we can follow social
distancing.
a. Pile them inside the store so they won’t be used.
b. If there are many clients outside and RLC allows us,
please put them outside for our clients.
c. If RLC allows us, please ask them if we can already put
masking tape boxes or squares with 1.5 meter distance
outside our door (along the glass).
ii. Put the foot bath tray and put the Sanyx solution.
1. Put carton first around it so people can dry their feet.
2. Put many clear signs to inform people to:
a. Please soak your shoes for at least 20 seconds.
b. PLEASE DRY SHOES WELL TO AVOID SLIPPAGE.
c. WARNING: FLOOR IS VERY SLIPPERY WHEN
SHOES ARE WET!
iii. Put more alcohol dispensers:
1. In front of the door where the guard stands (use the clear
dispenser)
2. 2-3 on the counter (use the clear dispenser)
3. By the landlines (use Joy’s shampoo dispensers for all inside
the store)
a. CLEAN THE PHONE HANDSET EVERYTIME YOU
USE IT!
4. By the photocopying machine
a. CLEAN THE XEROX MACHINE BUTTON
EVERYTIME YOU USE IT!
5. On the dining table beside the water dispenser
a. CLEAN THE WATER DISPENSER BUTTON AND
TOILET DOOR AND VAULT DOOR EVERYTIME
YOU USE IT/ OPEN IT!
iv. Use of Thermoscan
1. Please review the box for instructions.

2. Please instruct and orient the guard well on how to do it.


3. Please provide a clear place on the table near the guard for the
thermoscan while the guard is not using it. He doesn’t have to
hold it all the time.
4. Please ensure it’s shown daily before closing by the guard to
Marlon for batch 2 and Dong for batch 2 to ensure it doesn’t
get lost.
v. Gloves for use of those who will handle: cash, guns from clients,
couriered documents, deliveries from FEO, etc.
1. Release 1 box at a time only.
2. Where will the rest be kept? Please advise me.
vi. Isolation Gown (waterproof and washable) – for those who will
clean/ disinfect, if they want to use it.
vii. Individual PPEs:
1. Distribute for each Trust Trade Members: 2 pieces of 3-ply
face masks, 1 Trust Trade We Heal As One Face Shield, Black
Hat with plastic cover
2. List down team member names who are given.
3. Where will the rest be kept? Please advise me.
viii. Ballpens for clients
1. Prepare ballpens for clients to use.
2. Then, tell the client he may keep the pen if he likes.
3. If he leaves it, disinfect with alcohol after.
4. For Team Trust Trade: Use your won ballpens only. Do NOT
share, even with fellow Team Trust Trade members.
d. If it is already full inside the store: Have client first-come-first-served system
(like in restaurants or in clinics):
i. Prepare List with:
1. Client name
2. Service needed
a. If for release, get SI or SN so it can be prepared
already, including full payment SI & DR so client will
be faster when he’s inside the store
3. Cell phone
ii. Politely request client to wait outside (observe social distancing) or he
can go around the mall if he or she likes
iii. Call out or call on cell phone customers if they can come in already.
e. If needed and if RLC allows it, put waiting chairs outside with masking tape
box or squares to ensure social distancing.
i. Offer forms to fill out while waiting outside
ii. If a client doesn't have a pen, give him or her a new one (with plastic)
and tell him or her it’s his or hers already
f. Sanitize doors, counters, seats every 2 hours
i. C/o guard or Marlon for batch 1 & Dong for batch 2
ii. Use face mask, face shield and gloves for the one who will do this.
Also, isolation gown if he likes.
iii. Wash hands for at least 20 seconds after. Use alcohol also.

5. TT-FEO
a. We will wait for the “New Normal” policies that FEO is currently crafting for
the approval of the D,CSG and/ or C,PNP. We will adjust to it as needed.
b. Check on the QR code ID requirement to enter Camp Crame.
c. For preparation of our FEO office for social distancing:
i. Can we replace the bench into 1 or 2 stools for clients at the counter?
1. Put big masking tape box or square marks on the floor where
the stools are supposed to be.
ii. Put the foot bath tray and put the Sanyx solution.
1. Put carton first around it so people can dry their feet.
2. Put many clear signs to inform people to:
a. Please soak your shoes for at least 20 seconds.
b. PLEASE DRY SHOES WELL TO AVOID SLIPPAGE.
c. WARNING: FLOOR IS VERY SLIPPERY WHEN
SHOES ARE WET!
iii. Put more alcohol dispensers:
1. In front of the door, which people always touch (use the clear
dispenser)
a. What if we leave the door half-open already, so there’s
no need to keep on touching it?
2. 1 on the counter by the landline (use the clear dispenser)
a. CLEAN THE PHONE HANDSET EVERYTIME YOU
USE IT!
3. 1 by the photocopying machine
a. CLEAN THE XEROX MACHINE BUTTON
EVERYTIME YOU USE IT!
4. On the table near the water dispenser
a. CLEAN THE WATER DISPENSER BUTTON AND
VAULT DOOR EVERYTIME YOU USE IT/ OPEN IT!
iv. Use of Thermoscan
1. Please review the box for instructions.
2. Please instruct and orient Dengie for batch 1 and Bernard for
batch 2 well on how to do it.
3. Please provide a clear place on the table near the water
dispenser for the thermoscan.
4. Please ensure it’s checked daily before closing to ensure it
doesn’t get lost.
v. Gloves for use of those who will handle: cash, guns from clients,
couriered documents, deliveries, etc.
1. Release 1 box at a time only.
2. Where will the rest be kept? Please ensure it’s accounted for.
vi. Isolation Gown (waterproof and washable) – for those who will
clean/ disinfect, if they want to use it.
vii. Individual PPEs:
1. Distribute for each Trust Trade Members: 2 pieces of 3-ply
face masks, 1 Trust Trade We Heal As One Face Shield (less
those who were already given: Bernard, Meg), Black Hat with

plastic cover (less those who were already given: Michelle,


Dengie)
2. List down team member names who are given.
3. Where will the rest be kept? Please advise me.
viii. Ballpens for clients
1. Prepare ballpens for clients to use.
2. Then, tell the client he may keep the pen if he likes.
3. If he leaves it, disinfect with alcohol after.
4. For Team Trust Trade: Use your won ballpens only. Do NOT
share, even with fellow Team Trust Trade members.
d. Do as before: ask clients to come back if there are many customers already;
get list of SNs for release so items can be prepared.
i. If clients can text the SNs instead of paper to be given by them, this
will be better/ safer.
e. Request dealer-clients to transfer money online, instead of cash for less
handling.
f. When team members receive items from clients (money, documents), use
gloves
i. Gloves to be changed how often? Daily?
ii. Reminder to read important note above for gloves.
g. We will try to avoid for clients to touch demo units. But if clients really want
to hold demo units, ask them to use alcohol and dry their hands first before
holding our demo units.
h. Sanitize doors, counters, seats every 2 hours
i. C/o Dengie for batch 1 and Bernard for batch 2
ii. Use face mask, face shield and gloves for the one who will do this.
Also the isolaton gown if one wants.
iii. Wash hands for at least 20 seconds after. Use alcohol also.
i. WASH hands before eating.

6. For Davao Store


a. Davao needs the items above to be provided for staff. Do we:
i. Send from here?
ii. Ask Vhal and Davao staff to source?
b. The following will work in the store:
i. Rey
ii. Jan Ric
iii. Guard
c. When team members receive items from clients (money, documents), use
gloves
i. Gloves to be changed how often? Daily?
ii. Reminder to read important note above for gloves.
