CHAIRPERSON’S OPENING REMARKS

The Chairperson gave warm welcomes to all the members of the PMU and laid out the
purpose of the meeting as stated below.

PURPOSE OF MEETING

The PMU meeting was called for to evaluate quotations for cleaning materials, stationary,
and exhibition materials and make proposals, based on their conditions of sale, prices,
delivery time, and any other yardstick that would surface out of evaluating the comparative
schedules on tap.

Here are the details and results:

1. COMPARING STATIONERY QUOTATIONS

• Items quoted.

The items to be examined were bond paper, toner catridge 05 A, toner catridge 85A,
toner catridge 83A, Arch Lever files, flat files, carbon paper, pens, might markers,
suspension file, stapples 26/6,masking tape, paper clips, rubber bands, stick stuff,
tipex,and flip charts.

• Traders competing
Traders proffering included, Print flow, Spack Link, Lotus,LJ Business Solutions, The
Copier Parts.

Print Flow quoted $74313.9 for eleven items

Spack Link quoted $173040 for all the seventeen items above.
Lotus quoted $71263.11 for thirteen items on the list but omitted rubber bands, staples 26/6,
carbon paper, toner cartridge 83A.
LJ Business Solutions total cost was $160866 for all the items
The Copier Parts quoted $189700, for only four items, which were bond paper, toner
cartridge 05A, toner cartridge 85A, and toner cartridge 83A.

• Proposal

Printflow was accepted for the supply of all the items it offered, by virtue of being cheaper,
albeit Prinflow did not have quotations for other items enlisted, toner catridge 05A, toner
catridge 85A, toner catridge 83A, suspension file, masking tape, stick stuff. Decision is
yet to be made on toner catridge, suspension file, masking tape and stick stuff.
Members noted the need to broaden companies’ quotations to get value for money since the
few quotations submitted had prices beyond council tender.
Lotus was disapproved because of its inferior supplies in a previous trading relationship with
MRDC.

2. COMPARING CLEANING QUOTATIONS

The items described included soft brooms, hard brooms, Dish washer 5 l, Toilet Deep 20l,
Sanitizer 5l, Toilet cleaner , window cleaner 750 ml, washing powder 5 kgs, Air freshner
300 ml, Cobra 5l, Complete mops, Toilet tissue 50l, Mukwa 500ml, Mutton cloth
kg,liquid bleach.

• Traders competing
The dealers on tap included Arkwright trading, Millennium Clean, Kusi Chemicals,
Farlam enterprises, Purpose Chemicals, offering the aforementioned cleaning utensils.
Arkwright trading quoted $22716 for all the fifteen items on the list, which are stated above
Millennium Clean quoted $16085 for fourteen items excluding Mukwa 500ML
Kusi Chemicals quoted $ 21164 for all the fifteen items on the list above.
Farlam Enterprises quoted $ 40190 nine items on the list excluding liquid beach,mukwa 500
ml,toilet tissue 50l, air freshener 300ml,washing powder 5kgs, and window cleaner 750ml.
Purpose Chemicals quoted $ 22662 fourteen items on the list, excluding mukwa 500ml.
Multi Clean quoted $15762 for thirteen items on the list, excluding mukwa 500 ml, and toilet
tissue 50l.

• Proposal
Kusi Chemicals was nominated, being credited for offering at cheap prices, and proffering a
more convenient delivery service. However, Kusi Chemicals was asked on site to correct its
miscalculations of the total cost of all its items.

3. COMPARING EXHIBTION MATERIALS

• Items quoted

The items enlisted include executive khakhi shirts with logo, golf shirts with logo, caps
with logo, floppy hats with logo, branded pens, business cards printed,key holders
branded, tear drops 3m with a strand, and there was an origination fee

Swazy litho, Dariro Mode, Print biz, Creative Bureau.

Dariro Mode quoted $54225
Print Biz quoted $22150 for four items on the list omitting floppy hats with logo, caps with
logo, golf shirts with logo, executive khaki shirts with logo, no origination fee as well.
Creative Bureau quoted $40030

• Proposal
Swazy Litho, was proposed on account of its cheapness.

CLOSURE
The chairperson thanked the Procurement Management Unit members for the progress
attained by the meeting held. The meeting ended and people went to their distinctive offices.
