Mission:
The Hospital Disaster Emergency Preparedness Project Assistant is based in Yangon office under the
supervision of the Project Officer. His/her mission is to assist the project officer in managing and implementing
activities related to Hospital Disaster Emergency Preparedness Project, in term of logistic and financial
management. The Hospital Disaster Emergency Preparedness Project is part of the project team and so,
collaborates with the other projects.

Objectives:
Under the supervision of project officer, support timely and quality hospital disaster preparedness project
implementation for Yangon General Hospital, North Okkalapa General Hospital, Yangon Children Hospital,
charity based ambulance volunteer organizations and other disaster preparedness and response stakeholders
with logistic and financial support by close collaboration with logistic and financial department.

Responsibility 1 : Support project’s logistical and material resources

• To submit monthly purchase supply request and ensure regular follow up


• To cooperate with logistics in the procurement process and dealing with supplier
• Ensure proper transfer of consumables and non-consumables to beneficiaries
• Arrange meetings, trainings and workshops
• Arrange project ‘s expenditures, logistical and material resources
• Arrange accommodation and travel of technical persons visiting to project

Responsibility 2 : Support project’s financial resources

• Ensure the financial resources are available to implement project activities in line with HI rule and
regulations and in cooperation with Finance department
• Ensure commitment authorization (CA) is submitted to financial department as soon as the activity was
implemented
• Ensure all required documents such as contract with supplier, quotation, invoice etc are prepared and
submitted to financial department in timely manner

Responsibility 3 : Visibility and Documentation

• Ensure project and donor visibility for every project activity is implemented and organized
• Ensure each project activity is documented and presented to communication officer

The Project Assistant role and responsibilities described in this job description could evolve in line with the
growing of HI in Myanmar and evolution of the contexts of intervention. The Project Assistant could be
temporarily assigned to tasks not described in this job description but linked with his/her area of expertise.

PROFILE:
Education / Professional Experience • At least 3 years’ experience in INGOs

• Experience in Logistics and finance


• Diplomatic and professional
• Ability to work within a multi-cultural team
Skills / Competency • Ability to respect deadlines
• Able to English spoken, written
• Knowledge and practical experience of
accounting software, and in MS Office Pack
(Excel, Word, PowerPoint)
• Well organized and detailed oriented.
