About CNCA Nepali School


1. CNCA Nepali School is for Children of Nepalese origin ages between 4 and 18. Objective of this
School is to teach children to read, write and speak Nepalese language. Children also taught about
Nepal and Nepalese culture. This School was started in June 2007.

2. This school program is run by the parents themselves. As the parents bring their children to the
school, they become part of school body.

3. New parents learn from returning parents about school program. As their children graduate from
this school program, parents also become school alumni.

4. This handbook provides details of the school program. It is updated each year as parents gain
experiences and find new and improved way to run this school program.

General Information
1. CNCA Nepali School is held weekly on Sundays at

Western Canada High School

641 17 Ave SW, Calgary, AB T2S 0B5

2. Classes are held on ground floor in Math wing.

3. School entrance and parking is via student parking lot located off of 5A St SW.

4. CNCA Nepali School calendar follows the regular school calendar from September to June. School
is closed during July and August. Classes are not held during long weekends and holidays. Please
refer to the school calendar for school closure dates.

5. School runs from 2:15 pm to 4:45 pm, please refer to the timetable for detailed activities.

6. CNCA Nepali school enrolment is open throughout the school year. School admission form is
available on CNCA website. School Coordinator manages all student enrolments.

7. All parents are requested to ensure that studentsnot left unattended in the classroom. If the class
teacher has not arrived, parents are required to stay in the classroom with the students.

8. Special attention is required for the use of these classrooms. Please note the following items,
• Do not write/scribble/doodle on the desks.
• Do not use/touch any material (books, papers, notebooks, posters, wall clocks,
electronic devices etc.) in the classroom.
• Do not use permanent markers on the board.
• Put back the furniture in the same arrangement as it was prior to the Class.

9. There are four levels of program. Students will be eligible to move to next level as they graduate
from their normal school grade for that level, based on Teachers’ evaluation and recommendation
at the end of each year. Please refer to School Curriculum for details.

10. All new student enrolment is placed in the appropriate level based on students’ language
competency and age by School Principal.

11. Student Volunteers - Level 3 graduates or high school students can volunteer as teacher assistant
for Level 1 or 2.

12. All parents are required to sign off waiver to release CNCA from liability. Also all parents who
carpool to bring students to CNCA Nepali School are required to sign off the waiver form.

13. Each student is given a drawstring backpack, binder with pencils and erasers, class book and
reading book on the first day of school. There will be a $15.00 payment required for any lost
backpack, class book or reading book to be replaced.

14. For returning students, drawstring backpack and binder with pencils and erasers will be replaced
based on the condition of the bag from previous year(s).

15. Attendance - Student must attend a minimum of 40% of classes to qualify for certificate of
participation for the schoolyear. Student with highest attendance is given a reward at school year
end program. Student absentees have been a major concern at CNCA Nepali School.

16. Reporting Student Absences- All parents are required to report absentees to the class teacher
and school coordinator via an e-mail sent to nepalischool@calgarynepalese.caPosting in Nepali School
Facebook Group is optional.

Teachers Information
1. Class Teachers – Parents make the best teachers, especially to teach heritage language and
culture. Class teachers are one of the parents of a student in that class. Generally, fall session
teacher is the lead class teacher for that class and lead the preparation of class lessons for the
school year. Fall session teacher plans for the first day of the school. Spring session teacher
prepares for the class presentations for the school year end program.

2. Reporting Teacher Absences - Main teacher communicates and ensures that the support teacher
is available to conduct the class when one is unavailable and informs School Coordinator, and
Assistant Principal, Teacher Scheduling. If the support teacher is also unavailable, main teacher
communicates with Assistant Principal Teacher Scheduling to assign a teacher for that day for that
class.

3. Homework - Students are given homework every week. Parents are requested to ensure that
home work is completed and submitted on the following school day. Absent students are also
required to complete the homework. Class teacher will notify all parents about weekly homework via
emails.

4. Quiz
a. There will be a quiz in each class at the end of each session. Refer to school calendar for the
dates.

b. Each session class teacher is responsible for preparing the quiz, marking them and handing in
the records to next session class teacher. Quiz will be based on what was taught during that
session.
c. Results will be shared with respective parents on the same day during the parents-teachers
interview. Student results will be kept confidential and not disclosed or posted.

5. New Student Introduction - The class teacher introduces the new student to the rest of the school
during snack time in the cafeteria.

6. One and One Reading


a. One on one reading activity takes place between 3:45pm to 4:05pm for 20 minutes.
b. All parents are required to report to School Coordinator and sign up for one on one reading
each day and arrive to classroom area prior to 3:45pm.
c. School Coordinator will assign a parent to help a student read a short story or paragraph
each day.
d. One on one reading parent will
i. Let the student read the paragraph/part of story using the alphabet cheat
sheet, if required.
ii. Let the student take as much time as one needs to read it. Do not rush them
or read for them.
iii. Review the meaning of words that appear as new or not common in use.
iv. Review the exercise (verbally) at the end of the story.
v. Motivate and praise the attempt and give positive feedback, every time!
e. All one on one reading parents are required to report to the class teacher at the end of the
reading and log student reading status – such as, completed story or pages of story, repeat
same story, start next story, completed verbal comprehension, if applicable, etc.

7. Teaching Resources – Each class has a class workbook and reading material for one-on-one
reading.

a. The class workbook is prepared based on school curriculum each school year and based on
the progress of the previous school year.

b. The class workbook is updated and modified based on lessons learned in the previous year.

c. The class workbooks and one-on-one reading material are printed prior to the first day of
school, and the quantity of printed workbooks is based on number of enrollments.

d. All previous year’s class workbooks and one-on-one reading materials are available on
CNCA Nepali School Resources OneDrive, and is accessible to all teachers.

8. CNCA Nepali School OneDrive – The OneDrive contains CNCA Nepali School curriculum, forms
and templates, reference material (i.e. Nepali textbooks, standard curriculum for Nepali language,
teaching Nepali as a second language resources), children e-books, and teaching resources for
class workbooks and one-on-one reading material.

Access to this Server is limited to Principal, Assistant Principals and School Coordinator only.

9. CNCA Nepali School OneDrive for Resources Only – Access to this Server is available to all
class teachers.

Username and password is provided by the Principal to all teachers.

10. School Storage Room – The school storage room is located on the landing between the first and
second floors of the math wing. All school supplies are stored in the storage cabinet year round.

School Fees, Funds and Expenses


1. School Fee - CNCA Nepali School annual fee is $40.00 for CNCA members and $50.00 for
others. Fees collected are used for additional programs/special snacks for the students. School
Coordinator is the fund manager for the school year.

School fee is not prorated, regardless of time of enrolment. Also, fee is not refundable.

2. Summary of use of funds from fees collected is kept by fund manager and reported to school
committee.

3. Southern Alberta Heritage Language Association (SAHLA) Fund - CNCA Nepali School
receives maximum of $4000 from SAHLA for teaching resources and exact amount varies by year.
This fund is used for printing and binding of all teaching materials, purchase of stationeries
drawstring backpack and books for the Library.

4. Facility Rent – CBE facility rent is covered by CNCA via casino funds as per the bylaws.

School Library
1. Mobile Library – Our school library is open at each school day. Besides books, Nepali songs and
documentaries CD's are also available in the library. School Coordinator is the school librarian.
a. Parents read the book to children who have not yet developed the reading competencies, i.e.
Level 1C and 1B. Content of the story helps children learn about Nepal and develop vocabulary.
Library is integral part of the school program.
b. All parents are required to log the name of the book on the sheet "मैले पढे का ककताबहरु", provided to
all students. Students, who have read the greatest number of books, will receive a prize.
c. School Coordinator will verify that the book is logged into list of books read by the student with
parents’ signatures.
d. School Coordinator will help students pick new book to borrow, fill out the sign out card
and hand in the books to each student.

School Snacks
1. Snacks - Students will take turn bringing snacks for the school based on the Snack Schedule.
There will be a special snack provided by the school on certain days. Parents need to make sure

your child brings snacks on their assigned date. If you are unable to attend school on your assigned
snacks day, parents need to contact other parents to switch the snack schedule.

2. School Cafeteria –Parent with the turn for the snack monitors the students in the cafeteria and
ensures there is no student running in the school cafeteria.

3. Garbage and Recycle - Parent with the turn for the snack monitors disposal of trashes from the
snack in the cafeteria and ensure that they are disposed to the current bins as provided and
labelled in the cafeteria.

School Special Events


1. First Day of School
a. All parents must fill out the enrolment and waiver forms and join their child’s class on the
first day of school.
b. Fall session main teacher for each class conducts the parent orientations, reviews the
school handbook, school calendar and time table in the class. Fall session support
teacher hands out the class book and reading book to each student and keep record of
students who have received them.
c. Fall session teachers ensure that the classroom box is correctly labelled and verify the
supplies or content of the box.
d. School Coordinator completes the enrolments, fees collection and handout student
package (a drawstring backpack, binder with pencils and erasers)
e. Assistant Principals distribute the classroom teaching resource material for the school
year to the each class fall session main teacher.
f. Gym Coordinator ensures that the school first aid kit is equipped with necessary supplies
at the beginning of the school year.
g. Snack Coordinator arranges for special snack for the first day of school.

2. School Year End Program


a. Each class does a class presentation.
b. Based on the final report card, certificates are handed out to students for their
participation or graduation.
c. The Principal shares a summary of the school year.
d. The next school year school committee is finalized and announced.
e. Check inventories of school supplies and drawstring backpacks.

3. Field Trip - Further details and date will be announced by School Event Coordinator.

4. Other Special Event - School special event Coordinator communicates the date and detail
information about following special events.

School Gym
1. Students can go to gym as per school time table.

2. Gym Coordinator assigns and ensures that there is a parent as gym supervisor at all times
when students are in the gym. No outdoor footwear is allowed in the gym.

3. Only indoor non-marking runners are permitted in the gym.

4. No food or drink allowed in the gym.

School Communication
1. School Communication – All communication regarding school program is conducted via
email,nepalischool@calgarynepalese.ca. Parents must provide valid email address to school at
the time of enrolment and advice of any changes to School Coordinator.

2. Nepali School Facebook Group–The Nepali School Facebook Group is a closed group under
Facebook name “Nepali School”. This group is used for sharing event photos and other general
information about heritage language learning. This is not the official mode of communication and
participation is optional.

3. CNCA School Website - CNCA Director for Language School ensures that CNCA website content
in school page is up to date and correct.

CNCA Nepali School committee


1. Roles and Responsibilities
• CNCA Director
- Elected from CNCA AGM as per its Bylaw
- Liaison to CNCA Executive Board
- Communicates about CNCA school program to CNCA Executive Board
- Promotes school program within and outside CNCA community
- Provides update for CNCA Website Nepali school content

• Principal
- Responsible for overall school program
- Evaluates of new student enrolments and placement
- Forms of school committee
- Schedules and conducts school committee meetings
- Applies for SAHLA fund application and submits expense report preparation
- Prepares updates for CNCA website content and updates
- Assigns a school fee fund manager for the school year
- Updates the school hand book for the school year
- Ensures the school handbook, school calendar and time table are ready for the first
day of School
- Gets feedback from students, teachers and parents; design and lunch new programs
- Helps evaluate the curriculum developed by Asst. Principal
- Prepares official forms (e.g., registration form, waiver form, progress report card
template etc.)
- Prepares the report to present in the CNCA AGM and school’s year end program
- Designs and prepares the year end program.

• Assistant Principal, Curriculum


- Responsible for teaching material preparation for school year
- Custodian of School Microsoft 365 cloud server and electronic teaching material
- Purchases of school supplies for school year
- Reports all activities to the Principal.

• Assistant Principal, Teacher Schedule


- Prepares Teachers list for school year
- Oversees teacher absentees and find substitutions

- Communicates with the parents regarding kids and their absence in the school and

• CBE and SAHLA Interface Coordinator


- Prepares School year calendar
- Obtains CBE facility rental permit for school year program
- Coordinates Payment of CBE facility rental
- Assists with SAHLA fund application and expense report preparation
- Interfaces with CNCA treasurer for all school expenses
- Obtains liability insurance for the school program.

• School Coordinator
- Completes enrolment for new and returning students for the school year
- Maintains student list
- Prepares and distributes parent contact list
- Takes daily student and teacher attendance
- Assigns one on one reading and maintain log
- Manages school library
- Reports the activities to the principal.

• Event Coordinator
- Plans for school events as per school committee decisions
- Communicates details of each event with Parents
- Provides the list of the awardees if any to the principal

• Snack Coordinator
- Prepares snack schedule
- Coordinates special snack arrangement
- Sends reminder to parents for their snack turns

• Gym Coordinator
- Plans and submits a proposal to the school committee with the required equipment for
the school year.
- Ensures that children are safe in the gym
- Assigns a parent to be the gym supervisor
- Ensures no outdoor shoes are used in the gym

- Ensures that the school first aid kit is equipped with necessary supplies at the
beginning of the school year
- Must be aware of first aid procedures, practices, and first aid kit location

• Western Canada High School (WCHS) Liaison


- Communicates with the principal about the issues and concerns related to use of
facility with WCHS
- Promotes a good relationship between CNCA Nepali School and WCHS

• Advisor
- Provides guidance as required.

2. School committee is formed at the school year end program every year. Any parent interested in
joining the committee can sign up at the school year end program.

3. School committee comprises of at least one parent from each class.

4. School committee meets at least once every session to review/resolve any issues or concerns.

School Workshop
1. The School Workshop is conducted in August and is led by the School Principal.

2. The workshop comprises of review of classroom teaching material, lesson planning, and guidance
and orientation for new teachers.

3. Preparation for the first day of school.

CNCA Wellness Program


1. Yoga is held in School Gym from 2:30 pm to 3:45 pm

2. It is open for all parents and grandparents.

3. Participants need to bring mat and proper outfit and follow the rules for the use of school gym.

Conversational Nepali Language Lessons


CNCA also provides assistance in conversational Nepali language on individual need basis.

Since CNCA Nepali School will be conducted online September – December, 2020, School Teacher
will finalize a time with students and their parents for 1-1.5 hours every Sunday as in our Nepali School
Calendar. Once we go back to Western Canadian High school hopefully in the New Year, the time table
will be as under:
