Overview
Current Situation

Creative Schools has carried out an analysis of the current website and communications
strategy.

Website

The school is currently using Fronter as their website and VLE provider. The school’s web address is currently a sub-
domain of “webfronter.com”, which is damaging the brand, site traffic and visibility of the school.

The website is inaccessible for users. Content of a high interest (i.e. news and events) is often buried within PDF
newsletters. Also the lack of drop down navigation means that users have to guess where content resides. The
website does not perform well on mobile devices, including mobile phones and iPads.

The overall standard of content is good, as the website has been well maintained over the years. However, the
presentation of this content is dated. The school produces lots of great work and needs a platform that showcases
their success.

The website is currently maintained by a sole editor. The school wants to assign editing rights to a number of staff,
along with appropriate workflows to allow for quality control.

The school doesn’t have access to website statistics but it is believed that traffic to the website is low.

The visual identity and ethos of the school is currently lost with the current website. The generic template doesn’t
portray the school’s visual identity, whilst the ethos of the school is buried in a paragraph on a low ranking page.

The school demographic is mixed with a number of parents with EAL. However, they are currently failing to cater for
this hard-to-reach group as there is no translation facility for users with EAL, or mobile integration for users with
smart phones.

The school is currently rated “Oustanding” and this needs to be reflected in the website. Not only should the website
showcase the schools achievements, but also provide evidence for Ofsted inspectors making judgements. The school
requires a full content audit to ensure that it is meeting all of its legal obligations.

Overview
Current Situation (continued)

Communications

The school currently produces an adhoc newsletter that is printed and handed out to pupils. The newsletter is then
uploaded to the website homepage.

There is a high amount of duplication across the different communication channels. Staff are having to re-create the
same news story for the website, newsletter, parental boards, SMS etc.

There are no brand guidelines except for the logo and colour palette.

Teachers give parents’ letters to pupils on an ad-hoc basis. These are then uploaded to various areas on the
website.

The school is currently not using any social media, but would be interested in using YouTube and Instagram to
promote video and pictures content. However, these channels would need to be secure.

Parental involvement in the school is good, with high numbers of parents being involved in school activities.
However, their engagement with the website is believed to be poor.

There is a calendar facility on the current website, where parents can subscribe if they have a Google calendar.
Events are also added to the newsletter.

The use of rich media such as video, audio and imagery is very limited with the current website. Content of this type
is very popular with users and helps give the school identity, whilst also providing a valueable insight into school life.

The school will arrange their own photo shoot and will provide Creative Schools with the photos for the project.

The school is looking to moving towards paperless communication with their parent body. The newsletter is currently
emailed out to parents. This method of working should be incorporated into the new website.

Project Summary

Creative Schools will be designing one website for Yerbury Primary School

We want you to feel informed and empowered during the progression of your project. Below we
have outlined in detail what each of your unique project specifications will involve.

1 Design of school website

During the initial design meeting you’ll receive a full content audit on the current state of the
school website. We’ll also start working through the information architecture of the website,
so you we can determine how the website will be structured. We’ll discuss different styles and
methods to achieve your design. You’ll then receive the first round of conceptual designs, as
Photoshop drawings of your website. This will show the “global” features (logo, colour-scheme,
typography, navigation, footer etc) along with the proposed homepage layout. We’ll work with
you to tweak and adapt the design (up to 3 rounds of changes) until you’re happy with it.

We’ll then provide further conceptual designs for the news blog, calendar, portfolios, standard
page, Yerbury TV and mobile view, so you are fully informed of how the different features of your
website will look. The design phase ends with official sign-off from your school.

Front and rear-end development of website and digital displays

We’ll begin converting your conceptual designs into a fully functioning website. The website will
be developed in our test environment where it will remain until launch. You’ll receive a link so you
can track the progress of the build.

We’ll start by building the structure, adding the global elements and core functionality. We’ll then
create the different page templates (styles of pages). This will include the micro-site for the digital
displays. This phase will conclude with the confirmation of the sitemap and the school submitting
all new content required for launch.

3 Upload content, training and social media management

We’ll then create the pages in accordance with the sitemap and upload all content from the existing
website.

We’ll then create YouTube, Instagram and Google (web stats) accounts for the school. These will be
branded and fed into the school website. Any appropriate videos and photos will be uploaded to
YouTube and Instagram, repectively. You’ll also receive a monthly report of website statistics from
Google, outlining how people are using your website.

This phase will conclude with the staff being trained in the Content Management System. We’ll
hold one session at the school where staff can attend. The session will last two hours and cover
everything required to maintain and update the website. The session will also include written and
video materials that trainees can take away and access any time.

4 Domain name, hosting, SEO and testing.

The school will provide their completed “SEO pack” so we can carry out the necessary Search Engine
Optimisation on the websites.

We then carry out full testing on the website to ensure it is performing correctly across a range of
Internet browsers and devices.

The website will be hosted on Creative Schools web servers, ensuring that the school has full
technical support, disaster recovery and back-ups available in case of any future issues.

The domain for Yerbury will be www.yerbury.islington.sch.uk. This is controlled by LEA. The school
will request that the domain provider re-points the domain at the Creative Schools servers. Note: It
sometimes takes up to 24 hours for these changes to filter through the Internet.

This signifies launch and the end of the project.

Design is in everything we make, but it’s also between those things. It’s a mix of craft, science, storytelling,
propaganda, and philosophy. A designer knows he has achieved perfection not when there is nothing left to
add, but when there is nothing left to take away.

This platform (as well as being scalable, free, open source and completely
customisable) has the benefit of providing complete control to your school
though its easy-to-use content management system.

Responsive Web Design

Responsive web design (RWD) is a web design


approach aimed at providing an optimal viewing
experience across a wide range of devices (from desktop
computer monitors to mobile phones)

This essentially means that the website expands and contracts to the type of
device being used. Mobile browsing is set to overtake fixed Internet access by
2014 and with the variety of mobile devices be used, you cannot ignore this
issue.

Not only do we build your website to appear correctly on each device, we


can also tailor content depending on the device being used. For example, it’s
beneficial to provide simplified information to mobile users.

Search Engine Optimisation (SEO)

Search engine optimisation (SEO) is the process of


affecting the visibility of a website in a search engine’s
“natural” or unpaid (“organic”) search results.

SEO can be effected by a wide range of factors but there are several techniques
which we use to get your school rising through the ranks of search engine
results.

At the start of your project your school will receive an “SEO pack” to complete.
You’ll need to provide a title, short description and some keywords based on
the content of your website and the nature of your school.

Machine Translation

Machine translation is the use of software to translate


text or speech from one language to another.

Schools with a diverse demographic often find it hard to communicate with


parents who have English as an additional language. Translating messages by
hand is both expensive and time-consuming.

Creative Schools’ translation tool uses “Google Translations” to translate


English into any one of their 65 supported languages. You simply write your
web pages in English and the user can translate it into their chosen language
with the click of a button.

Creative Schools is a trading name of Creative Schools Ltd, registered in England no: 08261456.

1. Definitions

1.1. “Agreement” means these terms and conditions on which the Products will be provided.
“Customer” means the Customer named on the attached Acceptance of Quote or Proposal as having ordered the
Products.
“Invoices” means invoices from Creative Schools to the Customer for the Price of the Products.
“Price” means the amount charged by Creative Schools for the Products specified in the Acceptance of Quote or Proposal.
“Products” means any Products contained in the Acceptance of Quote or Proposal.
“Proposal” means any proposal attached to this Agreement.
“Acceptance of Quote” means an offer by Creative Schools for the provision of Products to the Customer and refers to
Quotations attached to this Agreement.
“Creative Schools” means Creative Schools Ltd (registered in England no: 08261456).

2. Products

2.1. Creative Schools agrees to supply and the Customer agrees to purchase the Products on the terms and conditions
set out in this Agreement.
2.2. Creative Schools will provide the Products to the Customer in accordance with the Acceptance of Quote or Proposal.

3. Payment

3.1. The Customer agrees to pay Creative Schools the Price for the Products.
3.2. Invoices shall be payable by the Customer within 30 days of date of issue. All payments should be made via BACS
transfer. Where the Customer wishes to pay by cheque, this should be made payable to ‘Creative Schools’ and sent to the
address on any Invoice.
3.3. Creative Schools reserves the right to charge interest at a rate of 2% per month calculated on a daily basis from the
date payment is due until payment is received.
3.4. If a Customer has paid for Products that Creative Schools cannot provide, other than in situations where the
Products cannot be provided because of some act, failure to act, delay or negligence on the part of the Customer, the
Customer will be refunded or not charged for the Products.

4. Quotations and Proposals

4.1. The Customer, by signing the Acceptance of Quote, accepts the Price proposed by Creative Schools for the Products
and shall be bound to pay Creative Schools that Price.

5. Creative Schools’ Obligations

5.1. Creative Schools will provide the Products in accordance with the Acceptance of Quote or Proposal and any other
specific requirements that have been agreed between the parties in writing.

6. Delivery

6.1. Creative Schools shall endeavour to deliver the Products at the time and date and in the manner specified by
Creative Schools or as otherwise agreed with the Customer.
6.2. Creative Schools shall not be liable for any delay in the delivery of the Products howsoever caused.
6.3. The Products may, by mutual agreement, be delivered in advance of the delivery date quoted on the Acceptance of
Quote or Proposal.

7. Customer’s Obligations

7.1. The Customer shall provide Creative Schools, in good time, with all necessary information required to perform or
provide the Products. If the customer does not provide all necessary information by the dates set out in the Proposal,
the customer may be liable to proportional excess charges. Creative Schools will inform the Customer before charges are
incurred.

8. Modifications and Variations

8.1. In exceptional circumstances, Creative Schools may need to vary the nature or delivery of the Products and will
advise the Customer of its intention to do so.

9. Termination / Cancallations

9.1 Either party may cancel any or all of the Products contained in the Acceptance of Quote or Proposal by giving the
other 12 weeks written notice.
9.2. If the Customer gives Creative Schools less than 12 weeks notice or cancels part way through delivery of Products, it
may be liable for the full cost of the Service ordered or charged any costs that Creative Schools incurs as a result of the
cancellation, up to the full cost of the Service.
9.3. In the event that Creative Schools is unable to supply all or any part of the Products, it shall refund the Customer for
that part of the Products it cannot deliver.
9.4. If Creative Schools has scheduled Products to take place on the Customer’s site, and the Customer fails to advise
Creative Schools of any change in the schedule of those who will be receiving the Products within a reasonable time
period (in the opinion of Creative Schools) before the Service is due to be carried out, then those Products shall be
deemed to have been delivered and will be charged for by Creative Schools.
9.5. If a Party is in breach of a material term of this Agreement and despite written notice from the other Party, fails to
remedy such breach within 30 days, then the other Party shall be entitled to terminate this Agreement with immediate
effect.
9.6. Creative Schools may cancel all or part of the Products (and refund a reasonably apportioned percentage of the
Price) if it considers that the usage of the Product exceeds what Creative Schools considers to be fair use in all the
circumstances.

10. Confidentiality

10.1. The Parties shall keep confidential all information pertaining to the Products and this Agreement, unless otherwise
agreed.

11. Health & Safety

11.1. Creative Schools and any of its personnel shall, when using the Customer’s premises or facilities, comply with the
Customer’s policies and procedures relating to security and workplace health and safety.

12. Copyright

12.1. Copyright in all reports, documents and the like produced by Creative Schools in the performance or provision
of the Products shall remain vested with Creative Schools, but Creative Schools shall grant an irrevocable, royalty free
license to the Customer to use such Goods, reports, documents and the like for any purpose in connection with the
Products.

13. Dispute Resolution

13.1. Concerns relating to the Products provided under this Agreement should be raised in writing in the first instance
with their respective Project Manager, whose details are enclosed in the Proposal. If the Customer’s concern is not
resolved within one month of receipt of written notice of the concern, the concern shall be escalated to the Managing
Director.
13.2. Where disputes arise that cannot be settled within the above resolution process, an option for referral to an
independent arbitrator may be considered. In this case, the arbitrator’s decision shall be final and binding on the parties.

14. Limitation of Liability

14.1. Creative Schools will provide and/or perform the Products for the Customer with reasonable skill and care and
acknowledges that it may be liable to the Customer for any losses, damages, costs or expenses (“Losses”) if a breach of
the duty of care, wilful default or dishonesty is established.
14.2. Creative Schools will maintain insurance coverage at a level commensurate with a business of Creative School’s size
and risk profile, and include cover for employer’s liability and professional indemnity and malpractice with a reputable
insurer.
14.3. The aggregate liability of Creative Schools, whether to the Customer or to any third party, in contract, tort or
otherwise, for any Losses arising from or in any way connected with the Products shall be limited to ten (10) times the
contract value, or £50,000, whichever is lesser.
14.4. However, Creative Schools will not be liable if such Losses are due to the Customer providing false, misleading or
incomplete information or documentation or due to the acts or omissions of any person other than an employee of
Creative Schools.
14.5. Creative School’s liability, whether to the Customer or any third party, in contract, tort, under statute or otherwise
shall exclude any indirect or consequential loss or damage (including loss of profits) suffered by the Customer or any
third party arising from or in connection with the Products being provided.

15. General

16.1. This Agreement constitutes the whole understanding between the parties and supersedes any prior discussions,
negotiations, arrangements or agreements between the parties in relation to the Products.
16.2. The invalidity or unenforceability of any provision of this Agreement shall not affect the continuation in force of the
remainder of this Agreement.
16.3. The rights granted to either party under this Agreement shall not be waived except in writing. Any waiver of any of
such rights or of any breach of this Agreement by either party shall not be construed as a waiver of any other rights or of
any other or further breach.
16.4. Failure by either party to exercise or enforce any rights conferred upon it by this Agreement shall not be deemed
to be a waiver of any such rights or operate so as to bar the exercise or enforcement thereof at any subsequent time or
times.
16.5. The section headings contained in this Agreement are for convenience purposes only and shall not affect the
interpretation of this Agreement.
16.6. Nothing in this Agreement confers or purports to confer any right pursuant to the Contracts (Right of Third Parties)
Act 1999 or otherwise to enforce any of its terms on any person who is not a party to it.
16.7. This Agreement shall be governed and construed in accordance with the laws of England and Wales.
