Histogram: The most commonly used graph for showing frequency distributions, or how often
each different value in a set of data occurs.
Pareto chart: A bar graph that shows which factors are more significant.
Scatter diagram: Graphs pairs of numerical data, one variable on each axis, to look for a
relationship.
Stratification: A technique that separates data gathered from a variety of sources so that
patterns can be seen (some lists replace stratification with flowchart or run chart).
P-D-C-A (plan do check act cycle): Also known as Shewhart cycle

To identify the cause in order to eliminate & prevent the recurrence

Why is it important to Find root cause of the Problem?
Because Initial response is always the symptom and not the root cause. For Example, a
normal answer is
• Human error
• Equipment failure
Often a deeper issue emerges as a result of investigation
• Process or Procedure Failure
• Poorly Written instructions
• Lack Of training
It is used to eliminate the root or cause of non-conformance and prevent problem from
recurring.

2. Plan-Do-Check-Act Cycle:
In order to equip the staff with latest technology, improve efficiency and enhance the
monitoring and control of the different departments and appraisal of the hardworking
employees, IDAP adopted ERP system back in 2018. It was difficult for everyone to adopt
the new system all of a sudden, hence it was well planned to implement it in different
departments by adopting PDCA Cycle.
In first phase, being the lead of the project, it was implemented in IT department and all of
the projects and assignments of IT department were uploaded on ERP system and after
training of the IT section , It was made functional for day to day operations and need based
trouble shooting was done with the assistance of the vendor. It was easy to adopt for this
section as IT department works mostly on digital platform.
In next phase It was implemented in accounts and admin department. Several training
sessions were conducted to educate the staff and familiarize with this system. Upon
working several issues were highlighted as accounts and admin department has to deal with
paper work in order to meet Audit department requirements of the Govt. of the Punjab.
Therefore, accordingly changes and several features were inducted with assistance from
the ERP Vendor and eventually the issues were resolved and day to day workings and
assignments were smoothened.
Upon successful implementation and improvements in the system, it was implemented in
all the departments of IDAP. i.e. Planning & Design Departments, Engineering & Planning
Departments, Procurement & Contracts Departments, Project Management and Quality
Management Department. Every department reported several issues faced during their
different nature of workings and were resolved by inducing features meeting those
requirements.
This Project proved to be a very good asset for IDAP and it has reduced the timeframe of
most of the administrative activities and has promoted the transparency in each department.
Monitoring and Control has become easy and management can easily track the progress of
assignments and pin point the lags and the person responsible. Foremost of all, It has
reduced the need of staff to be present in office in order to process each endeavor. In the
current situation of Corona Virus Pandemic, IDAP could easily restrict its staff to their
homes and they could continue their jobs from home without effecting deadlines of the
assigned jobs noticeably.

execution.

Check sheets are frequently used at different stages of the project. For example following
