CHANGE REQUEST TRACKER

ABSTRACT
Objective:

This project is aimed at developing a tool for tracking the change request for
any project. This tool will be an Intranet based application used by various
people to track the change requests. This will have additional features like
cost, mail notification, Reports per CR etc must be included in this system.
Say for example the project has been estimated and being executed with
15% buffer already than if the CR are exceeding the 15% buffer than the
notification of re-negotiation must be send.

Existing System:
 This existing system is not providing secure registration and profile
management of all the users properly.

 This system is not providing on-line Help.

 This system doesn’t provide tracking of cost of change request that


are made by customers.

 This manual system gives us very less security for saving data and
some data may be lost due to mismanagement.

 This system is not providing intranet based email service in between


users.

 This system is not providing automatic warning to managers and


management when change request crossing the buffer cost.

 The system is giving only less memory usage for the users.

 The system also not giving help to implement and tune the system.

Proposed System:
The development of this new system contains the following activities,
which try to automate the entire process keeping in the view of database
integration approach.
 This system maintains user’s personal, address, and contact details.
 User friendliness is provided in the application with various controls
provided by system rich user interface.

 This system makes the overall project management much easier and
flexible.

 Various classes have been used for maintain the details of all the users
and catalog.

 Authentication is provided for this application only registered users can


access.

 Report generation features is provided using to generate different kind


of reports.

 This system provides the intranet based email services in between


users.

 The system provides automatic alert email to concerned managers and


management based on change request.

 This system is giving the user to track change request made by user
on-line.

 This system is providing more memory for the users to maintain data.

 This system is providing accessibility control to data with respect to


users.

 This system also maintains the user hierarchy.

Number of Modules:

The system after careful analysis has been identified to be presented


with the following modules:

1. Authentication and Security Module


2. Mail Admin Module
3. Manager Module.
4. Engineer Module.
5. Track Change Request Module.
6. Reports Module.

Modules Description:
1. Authentication and Security Module

The user details should be verified against the details in the user
tables and if it is valid user, they should be entered into the system.
Once entered, based on the user type access to the different modules
to be enabled / disabled and individual user can change their default
password or old password.

2. Mail Admin Module


This module consists of the following sub modules:
a. Registration Module

Here mail admin register new employees and store their


details in database. Create their mail account in intranet
service, and username , password to them.

b. Users Management Module

Here a mail admin can access any user related


information, for example their hierarchy ,contact details,
login details…etc. He can also view the current login
password of a user, and can block him from system access
if requirement comes .He can also communicate with
others using mail service.
c. POP3 Management Module

In this module mail admin can start and stop pop3 server.
For automatic email alert and intranet based mail service
pop3 server must be started by mail admin.

3. Manager Module
This module has following sub modules:

a. Project Management Module:

In this module new project registration, viewing old project,


updating buffer cost with respect to requirement and deletion
of older project can be done.

b. Change Request Management Module:


In this module new change request of user can be added
and viewing them and if requirement came to delete them
can be done.

c. Others

A manager also can use the mail service to communicate


with other registered users of the system.

4. Engineer module:

In this module a engineer can view his managers projects


and user change requests with respect to that project. He
can also take the advantages of mail
service .

5. Track Change Request Module:

In this module tracking of change request is done


automatically with respect to a project . If the total change
request cost exceeds the buffer cost fixed, then an
automatic mail will be sent to respective manager and
management about it, so that they can
Re negotiate with the customer.

6. Reports Module:

In this Module the User and Administrator can generate the different
types of Reports according to their access.
