ERP in Fashion Business


ERP or Enterprise Resource Planning has been in Apparel and Textile industry
for quite a long time. The need of ERP came when industry required smarter
way of working and reducing data redundancy.

The key success of ERP implementation in Textile and Apparel Industry is full
involvement of Business Process Owners and a Core Team from client side
which is having deep knowledge of their business process. To ramp up the
implementation process the core team must have on time implementation as one
of their KRAs.

An apparel ERP system gives a real-time view of business processes every step


of the way, from design to delivery. All parts of the process are coordinated
because the system consolidates applications into a single platform, from design
through sales, purchasing and warehouse management.

With an ERP system, you can wave goodbye to spreadsheet-based planning. An


ERP eliminates the need for email, spreadsheets and hardcopies and replaces
manual processes. Purchasing management from entry to billing allows buyers
to make decisions based on inventory level requirements and customer demand.

Automation prevents human errors in record-keeping, in addition to avoiding


delays and wasted labour. By reducing manual processes for shipping, the ERP
system reduces the risk of shipping errors that would disappoint customers.
Improved accuracy ensures customers receive the correct products on time,
increasing customer satisfaction.

An integrated accounting system presents flexible payment options and allows


for automatic generation of invoices, reducing the possibility of invoice errors
and providing automatic invoice delivery.

In retail, customer satisfaction is key. An ERP system that improves the


consumer experience can enhance customer satisfaction and keep your
customers coming back.

Integrated ERP systems provide a personalized customer experience by working


in concert with customer resource management. If sales associates can review
stock balances and real-time inventory availability, they can advise customers
more effectively. When items are out of stock, the sales associate can suggest
substitute items and prevent the disappointment of a customer waiting for

delivery of an article that isn’t available. Real-time information also allows the
salesperson to give the customer expected receipt dates.

Order processing and returns management ensure transparency throughout the


entire order lifecycle, from quotes and orders through fulfilment and invoicing
procedures. At any time, a customer can access real-time information on the
status of their order. If a customer is dissatisfied with an order, the ERP system
helps your business regain their trust and satisfaction through return
management, which accelerates replacement orders and tracks returns.

By taking advantage of mobility, self-service enables customers to manage and


review their accounts. Self-service empowers the customer and therefore
increases the level of customer loyalty and engagement.

The retail industry can take advantage of the big data trend by applying data
analytics to the information gathered and managed by your ERP system to
understand and predict customer behaviour. The insights you gain through data

All kind of processing information are stored in ERP and we can know it short
time from ERP. Such as in Merchandising - creating order sheet, costing,
sample tracking, material booking and reserve, follow up design and Emb
making, follow up bulk production, packing instruction and shipment, all kind
of working process can be done in ERP.

According to work process ERP system in merchandising is divided into some


system. These are

 Order Management System- Order management system is the most


important part in ERP. New bulk order sheet created in this part. All
types of information about an order input here. Such as order quantity,
order style pictures, fabric colors, threads, ship-mode, elements, order
items description, accessory description, customer details, parts mold,
packing description and other information are input here to make a
complete order sheet. After making order sheet is checked very carefully
because of production floor flow this order sheet. If any mistake
information input in order sheet then in production floor will make
mistake which is great hamper for production process.
Booking of Material (BOM) is input in this part for reserve material,
fabric, accessories and necessary thing of an order. After making order
sheet BOM is done according to the parts which are used in order sheet.
If any wrong consumption input in BOM also, there are great problem
happen during the production. It causes waste of time in production
process and great loss for factory. So, in this part input information are
check very carefully.

 Embroidery Management System- There are different types of design and


logo in sample but these designs and logos were picture format and these
picture format need to convert into DST and EMB format for sewing on
fabric. If there are so many designs and logos then its need to follow up
so that works finished required time. By this ERP system we can easily
follow the work and complete work in required time.

 Sample Management System- After finishing sample order sheet then


order sheet passed sample section for sample development. Sample order
is sheet similar to bulk order sheet. All types of fabric parts, materials,
accessories and other information are input in sample order sheet. In

ERP, from sample management system we can know sample making


status such as which date sample submit, which date sample send for
cutting, when sample finish. If any problem in sample making, we also
know about this problem from ERP.

 Inventory Management System- All types of fabric, thread, material for


making sample and bulk production information are input here. We can
easily find required fabric, thread, materials which are available or not
available in factory. It saves time.

 Purchase Management System- Sometimes there are many kinds of


accessories, label and fabric which are not available in factory, it’s need
to buy from another source and we can make purchase materials order in
ERP easily. Also, we can know purchasing orders, quantities, materials
description and many information about purchasing from ERP in short
time.

 Production Planning System- After approved sample order then it’s ready
for bulk production. Before bulk production of an order make sure all
material, accessories and fabric are available for production in factory
and we can easily find that all material, accessories and fabric status of an
order from ERP in very short time. Also, we can know running
production status of orders in floor individually in this system.

 Shipping Management System- It is the finishing process of an order in


ERP. There are different types of polybags, hangtags, stickers, bar-code
stickers, cartons required after finishing bulk products of an order. If any
parts are missing of an order then it causes delay of shipment. But in ERP
we can easily input information partly such as packing instruction, carton
instruction, shipment date etc. We can also input price information of an
order in ERP and any time we can easily find about order price, packing
and shipment process information. We can also track shipping invoice in
ERP.

Implementing ERP IN Fashion Industry

Selecting an ERP software vendor is one of the most important decisions to


make for an apparel business. Taking the time to select the ideal system for

business will make for a clean, swift implementation. After all, people want a
system that will impact their business positively by contributing to greater speed
and productivity.

If the implementation is within the apparel, fashion, footwear, or accessories


industry, the vendor selected should cater specifically to this market. This
recommendation is paramount for a number of reasons:

 The company will avoid the pitfalls of too much software customization
that may result in error, and will ultimately be more costly.

 When composing a request For Information (RFI), the vendor should be


able to answer hundreds of questions with the type of business in mind.
An apparel manufacturer will need different ERP databases than a fashion
retailer, for example.

 The ability to obtain references from peer companies within the retail and
apparel space will inspire confidence and ensure a harmonious fit
between fashion business and an apparel-specific software vendor’s core
competencies.

Predictably, the ideal implementation partner is vendor. The ERP vendor’s in-
house implementation and training team will already be experts on the
software’s intricacies. Alternatively, people may opt for an extraneous ERP
consultation team. However, beware of the following:

 An outside implementation team may not be experienced with the new


ERP system and may need additional time to familiarize themselves with
it, extending training time. This is doubly true if the outside
implementation team does not have a fashion and retail background.

 The cost of ERP implementation and allocated hours can be arranged


between company and their ERP vendor. Contracting an external
implementation team may add more costs to company.

 Company would need to expend time and effort into finding an external
ERP implementation partner. This time can be saved by continuing their
partnership with your ERP vendor. Moreover, after establishing a
professional relationship between company’s personnel and ERP vendor,
comapny would have to start anew with an outside ERP implementation
team.

During the process of implementing an ERP system, a company will have to


undergo changes in its culture that will have to be managed by its leaders.
Identify who in the company will be affected by the changes from the new ERP
system, and guide them to embrace this change. Consider these steps when
developing change management strategy:

 Communicating to the group about the upcoming changes, making sure to


explain the benefits the new ERP system will bring to the company, and
most importantly, their daily work.

 Giving clear instructions about everyone’s roles within the new direction that
the company is taking. Speaking with members of the team about their
concerns to help alleviate them and to prevent them from rejecting change
down the road.

 Providing the team with frequent updates to foster feelings of progress and
triumph, and reinforce their merit and work to fortify ERP in the company’s
culture.

Before an ERP system goes live, first comes the daunting task of data cleansing.
Company will likely find that master data is distributed across multiple systems.
Correctly forecasting company’s needs and bringing only pertinent, cleaning
data from legacy system guarantees a more successful transition to the ERP
system, speeds up conversion time and minimizes setbacks after the go-live
date. A few tactics to facilitate the data cleansing process include:

 Making appropriate determinations. Deciding exactly how data should be


entered and subsequently consolidate spelling, abbreviations, addresses,
etc.

 Trimming accumulated fat. Determining how long products should be


kept on record. It helps to remove items that are no longer manufactured.

 Eliminating inactive client accounts. Records of companies that have


folded or have not been patrons for years do not have to be introduced to
the new ERP system.

Change management is made all the more effective if the right team to take on
an ERP implementation is assembled. Forming a competent, well-rounded
group can make the ERP testing process seamless since they can envision
meaningful scenarios and anticipate obstacles. The team should be able to

strategically plan changes to the company while preparing for its future growth.
The following constitutes who their ideal team is and the qualities to look for
when putting it together:

 The in-house ERP implementation team will typically comprise an


executive member of senior management who will lead the project; a
project manager that will develop the project and maintain timelines and
budget; an IT manager responsible for coordinating the processes
between the company and the ERP vendor; and the user team who fulfill
all other domains such as sales, finance, manufacturing, etc.

 Select people based on their expertise, and not their job titles. Seeking
those who can determine which parts of the business model can shift and
which ones must remain unaltered. Choosing people who can ideally
integrate everyone’s best ideas into their plan.

 Surveying the team members’ quality of input. Choosing members that


prioritize solutions that help the organization as a whole. They should be
open to hearing competing notions then bringing them together to a point
of convergence.

ERP systems are complex, yet adaptable. Because of this versatility, a series of
tests need to be repeated in order to effectuate the system perfectly. Be sure to:

 Choosing and import both static and dynamic data during each test cycle.
This ensures that not only permanent information like vendors and
inventory items migrate adequately, but to also evaluate if changing
information such as accounts payable and inventory is functioning during
simulations too.
 Being prepared for many adjustments to be made after the initial test;
then running the test again. Tests become more sophisticated with every
round, and the in-house ERP implementation teams need to design
scenarios and simulate running the business.
 Arranging to have well-developed master data by the final phase of
testing. During this phase, ERP integration tests will rehearse and execute
a go-live, consolidating inventory, sales and purchase orders, etc. The
goal at this point is for the ERP system to fully perform the lifecycle of
the business.

Before the implemented ERP goes live, it is time for the user team to become
well-versed in the new system. End users need to be trained in their respective
department in order for them to effectively do their jobs. There are a few
considerations to take into account:

 Designating super users for each department. They will be the most
qualified to coach end users and will have the most impactful rapport
with them.

 Approaching training from multiple angles. While a classroom-like


method is an effective way to teach, aim to create video tutorials,
manuals, trying hands-on practice and other forms of instruction.

 Providing enough time for training. End users’ training will, more often
than not, take place during the final stages of ERP implementation; that
period will also probably be taxing and highly pressured. It is important,
however, that training is prioritized alongside the implementation
process, not to mention normal daily tasks.

Fashion ERP systems have been developed with best business practices for the
apparel industry in mind. Therefore, not all of your company’s former methods
can be carried over, especially when they are not in line with said best practices.
In order to know the ins and outs of the company and where it is headed, it is
important to be resolute about the best route for the organization. The following
are some of the metrics used to measure success:

 Measuring concrete numbers. Numbers are one of the easiest parameters


to measure; these include straightforward revenue increase and cost
savings, for example.

 Monitoring KPIs. Observing production times, delivery, and customer


satisfaction for tangible metrics to record. These are also excellent
indicators of how the ERP system is fulfilling the company’s goals.

 Qualify abstract benefits. Deliberate on and review intangible


consequences such as customer experience, public image and reputation,
and employee engagement.

1. Business planning
Business planning is the first and foremost step of any apparel brand in
the retail lifecycle. As of today, business plans tend to reside in large and
complex spreadsheets, which are hard to share and update effectively. A
centralized, software-based approach can improve utilization of resources
and generate more efficient operations to hit profit targets, and thus
getting the overall product’s lifecycle, beginning with the plan, off to a
strong start.
2. PLM and design
The development of a fashion collection can begin up to 12 months prior
to the “shop-floor delivery,” and from the initial designs only up to 30%
of the sketches created by designers come to life and get delivered to the
shop.
An integrated ERP can provide teams with one version of the truth, where
designers have visibility to plans and price points, and at the same time,
planners can see collections as they develop. This provides an excellent
opportunity for teams to make course corrections and have a
comprehensive view of information across fashion seasons.

3. Inventory management
To meet the demand in today’s omnichannel market, brand owners and
fashion retailers (as well as those working in the wholesale industry) need
an accurate view of their inventory position in order to optimize stock
levels across all channels. Manually tracking items and collections across
online and offline channels can cause errors and miscalculations that can
eventually lead to profit loss.
However, integrated ERP systems improve accuracy and transparency,
allowing businesses to keep tabs on stock levels across all channels and
act swiftly on overstock situations.

4. Retail operations
In the final leg of the product cycle of fashion brands, we see how the
centralized nature of ERP systems is also vital for managing retail
operations. Retail operations involve key activities such as end-of-season
planning, logistics, and markdown modeling. In order to meet customer’s

operations such as price adjustment and moving merchandise from one
store to another.

Most used ERP systems in Fashion Industry

Ysoft

Apparel Industry Extensions (AIE) is an apparel system/solution built upon


open-source technologies, primarily Compiere ERP system and customer
relationship management (CRM) software. Compiere is the number one open-
source ERP system software application and features a comprehensive solution
covering customer management and supply chain to accounting for small- to

 Style/color/size can be entered to the system in a grid window; this


feature is available in both sales order and purchase order.

Assortment number:

 Assortment number is used to group garments by the destinations within


a customer’s organization such that customers are not required to

repackage their garments before dispatching them to their final


destinations within their organizations; assortment number is instrumental
to distribution order.

Assortment Details Report:

 A nice looking Assortment Details Report is printed in style-grid format


showing the quantities ordered for each combination of color and size;
this report is intended to supplement the sales order printout, which
contains quantity ordered per style without the detailed breakdown of
colors and sizes.

Packing instructions:

 Packing instructions, if available, can be entered in sales order (or


purchase order) and even printed as part of the sales orders; packing
instructions are used to indicate how garments should be packed for
delivery, and if entered in sales order, are automatically copied to
shipment and purchase orders to save duplicate data entry.

Merge garments of multi-style/color/size into a carton box:

 This gives the highest flexibility in merging garments of different styles,


colors, and sizes into a carton box; overflowing a carton box with more
garments is permissible, and if remerging is necessary, it can be easily
done with a click of a button.

Packing instructions printout:

 An intuitive printout of packing instructions is developed to make the


viewing of quantities of garments packed in different carton boxes easier;
the printout is designed to cater to multistyle, color, and size.

Copy packing instructions from sales order to purchase order:

 To save redundant data entry for packing instructions throughout the sales
cycle, packing instructions that are entered in sales order are carried over
to shipment and purchase order automatically.

Generate apparel products using style/color/size combination:

 To make the creation of garment products easier and faster, a product


generation window is provided for generating garment products using the
specified style/color/size combination.

Order status tracking and email notification:

 Sales orders and purchase orders can be tracked for progress. The system
allows defining milestone templates for different type of orders. Each
milestone carries an expected completion date, among others. If today’s
date is greater than the expected completion date of a milestone, the
system will highlight the milestone to draw your attention when you are
viewing the order status of the sales order. In addition, when you are
away from the system, you can still get an email notification sent out by
the alert. An order status information window presenting the status of all
orders in tree structure by order and by style is provided for easy enquiry.

Exceptions alerts:

 The system sends alerts by email for situations that you might like to act
upon. The alert is user-definable, and hence, it can be used to alert
basically anything.

Product catalog by style with style image:

 A product catalog is specially designed to show/print some key


information about a style along with its image/picture; information to be
shown/printed is user-definable.

Product BOM definition report and copy:

 It is a printout of all the BOM details of a product; this report is useful


when customers are making a serious enquiry about a particular product.

BOM drop of sales orders into production order:

 To facilitate the update of inventory of raw materials consumed by


garment products in a sales order after shipment, a new feature similar to
BOM drop was developed to make the copy of sales orders into
production orders easier.

Generate consolidated material requirements plan for multiple orders:

 This is one of the most important and powerful features of the system; it
will explore the BOM definitions of the garments and compute and
consolidate all raw materials that are required to manufacture all the
garments in the order selected.

Other features include 3-month calendaring, auto-update year-end retained


earnings brought forward, and auto-alert on prepayments and outstanding
invoices.

Sync:

Sync is a fully integrated ERP system software designed specifically for the
apparel industry. This business management system manages the entire job of
costing as well as the project management process, and it includes seven

Conclusion/Summary
A successful fashion business is a wonderful thing—provided it’s in the right
position to scale.

It’s certainly a “good problem to have.” But companies that are ready to make
the leap out from small potatoes are confronted with all manner of issues that
need addressing: inventory management, retail relationships, speed to market.
