IMPORT PURCHASE

Step 1: Create a contract in the system using transaction ME31K, and assign the
necessary contract value ,quantity and condition values.

Step 2. Fill the condition table ZMM_COND_MAP with values and validity start date
and validity end date against the corresponding vendor and plant .

Step 3. Create an import purchase order with reference to the above contract and
assign the necessary custom duties and conditions (if you have filled the
ZMM_COND_MAP table with the relevant conditions then system will automatically
fill the purchase order condition value, need not to assign the condition value
manually).
Step 4. Fill the necessary contract quality parameters in the purchase order , as
depicted in the below picture.

Step 5. Release the purchase order using transaction ME29N.


Step 6 .

Now user need to create manual inspection lot for the result recording and uses
decision of goods at load port (Vendor premises),
t-code-QA01. specify the port plant, and import purchase order in the text field
provided in the below screen short.

Inspection lot get created

Step 8.
Result recording and uses decision will get done as depicted in the below picture,
Step 9 . Now all the process of quality inspection at lord port is completed .
Step 9. You can assign the currency exchange rate on the specific date using the t-
code OB08, So that any invoice booking process get automatically fetch the correct
currency conversion rate, if you are trying to book the invoice in foreign currency.
Step 10. Now first you need to book the invoice for custom duties as you have the
documents of BOE.
System will give you the pop-up to choose the vendor (already assigned against the
conditions in purchase order).
Select the commissioner of custom vendor and booked the bill for custom duties.
Step 11. Now if the GR based invoice verification check box is not ticked at the time
of purchase order creation then you can book the invoice against importer also.
Here in this case GR based invoice verification check box in ticked.

Step 12. You can do the GRN at the port plant (from where PO has been raised).once
GRN has been done Material will get assign for quality inspection in your system
again.
Step 13. An inspection lot get created for quality inspection of the received imported
material.

T-Code-QA32.

Step 14 . Perform the result recording and uses decision and finally transfer the
material quantity to unrestricted stock.
Step 15. Now you can do the invoice verification process for delivery costs relevant to
the PORT charges,(say Warehouse charges , documentation charges, plot rent
,security charges etc..).
Step 16. Until the material get clear from quality inspection procedure system will
not allow to book the invoice verification.(Enhancement is in process ).

Step 17.Material bill booking process against the importer.(you can book the invoice
in foreign currency also , provided necessary exchange rate has been filled in OB08
transaction or in purchase order).
Step 18.

Now the paying process of custom duties.


If advance payment process is there then use t-code-F-48.
Licence fees paid as advance.
Vendor line item..

As the normal process, If the liability has created by custom miro(as here in this
case).

Use t-code-F-53.

Here while making payment we have to select the advance in order to adjust the
licence fees and paid the remaining balance only.
As per our example we have to pay Rs.98,71,500 further.
STOCK-TRANSFER FROM PORT PLANT TO
PRODUCTION PLANT.

Step 1. Before sending the imported goods (here in this case COAL) from port plant
to production plant (Here in this case RML-SINTER), business needs a quality
inspection to perform again.

T-code-QA01.
Inspection lot creation ( manually Inspection Type 89)-This is to check the quality of
materials which is lying on the port premises .
Step 2. Execute QA32 and perform the result recording and uses decision and finally
approve the quality of the lying material , in order to send it to production plant.

Step 3. Fill the necessary condition types value and its validity start date and validity
end date in table ZMM_COND_MAP, then only the delivery charges will get auto
flow to the purchase order .
Step 4.
Create info record and assign there a tax code, then create the stock transfer
purchase order with reference to info record.

Step 5.
After doing he necessary gate pass and weighbridge process,
Create the delivery and post goods issue from the sending plant using VL10B and
VL02N
Step 6. Process the tax invoice using VF01.

Step 7. Now once the vehicle will reach in your premises, do the gate pass and
weighbridge and perform the goods receipt process.
Step 8. Once the goods has received and inspection lot get created for quality
insurance .
T-code-QA32.
Step 9. Perform the result recording and uses decision and finally approve the goods
to increase the inventory quantity.
Step 10. Lastly perform the GST invoice creation step using transaction J_1IG_INV ,
in order to complete the whole cycle of stock transfer under GST rule.
