Dear Owners,
Greetings!. We hope you and your family keeping yourself safe.

Status update on layout up-keeping by the association MC team as of 06/Dec/2020:

A. KEY DECISIONS
1 Raising the layout boundary compound wall next to owner’s boundary
● Owner is required to do an assessment of the strength of wall before doing any civil work at
his/her expenses.
● It is owner’s responsibility to take care of all future repair, maintenance on this part of wall
● Maximum height can only be 6ft of wall, beyond which one could have MS grill. To raise the
wall beyond 6ft, owner may need to take approval from BBMP.
● Its recommended to have a common design, colour scheme across layout.

2 Construction related rules


● Owners are required to follow the association by-laws, while doing the construction
activities.
● Addition 1: it is recommended to have a minimum setback of 2ft on all sides, with all good
intention to keep our layout a nice gated community. If members are not even maintaining
that association has no option but to push with BBMP and they may ask for much more than
2ft.
● Addition 2: Owners are required to follow the submitted working plan w.r.t to set-back etc
which is concerning to the neighboring plot owners. It is found that owners deviating from
what has been submitted and approved by neighbors.
● Addition 3: Once the construction is completed, owners are required to clear-off and clean
all the debris, balance material etc in the adjacent owners plots and common areas like
roads and parks etc. Also, need to repair any damages done to common areas like road,
paving, SWD etc.This has to be done within 2 weeks of house warming. Failing to do so
would attract a penalty and along with payment for clearing-off, if the association ends up
doing the same.

3 Maintenance charges waiver for owners with un-occupied tenants


● MC had brainstormed the pros and cons on this and the options like - no waiver, monthly
declaration of occupancy by owner, charges waiver for unoccupied tenants for more than 3
months/6 months etc. And, decided that no waiver would be allowed.

B. MAINTENANCE WORKS, KEY SPENDS AND ACTIVITIES COMPLETED


● Completed onboarding MyHome App.
● Original document hand over by Oberon to the MC
● All drain stilts were cleaned by employing BBMP
● Sump & OH tank cleaning completed
● Painting of gates, water tanks and new sign board at school side entrance completed
● Borewell repairs completed and 2nd borewell started functioning
● Completed geological survey for the 3 rd borewell.
● Purchased new ladder, grass cutter
● New/replacement of street lights
● Added additional security at village side gate
● Obtained quotation for basketball/multipurpose court

C. FINANCE
● Received money for the pending works (STP, 3rd borewell, club house etc)
● In progress: Audit of association account & IT filing - income, spends etc.

D. WORK IN-PROGRESS
● Club house site registration 
● Club house construction work (80% complete)
● Construction of security toilet at the school side entrance
● Road side drain and electric meter
● Change of security and gardening service provider. Association will hire them directly the
through the security agency and pay gardeners directly. Saving money and GST for the
association.
● Adding facility management service provider - for recurring and ad-hoc maintenance items.
List below:
● Monthly inspection on major items and report to association
● Tree & plant maintenance – watering, pesticide treatment, grass cutting on site,
parts and streets
● Streetlights
● Borewell maintenance
● Sump & OH tank cleaning
● Keep-up health of storm water drain (SWD)
● STP maintenance (once ready and functional)
● Club house maintenance/mgmt.
● Utility payments

E. UPCOMING ACTIVITIES
● Call for election, form the new MC, transition and hand over. This will be a virtual zoom
meeting to be held some time in January 2021.
● New maintenance cycle and drive for collection
