Prepare new employees to succeed, from the beginning of their


incorporation to the organization; improving commitment and

After a complex recruitment process, it is necessary to prepare all


the documentation and information for the new hire. Often,
there are many documents that need to be signed on the first
day, legal procedures and an introduction to the organization by
those responsible.

Onboarding improves the employee's experience and facilitates


their professional bond with the company, in addition to
providing better internal management in the area, to ensure
success for both parties.

the processes. Manage programs, responsible groups and view
the documentation flow. Also restart or cancel the Onboarding

Execute activities according to the program, also follows up on

The dashboard will be displayed on the monitor and will follow


up each of the Onboarding processes for all the New Hires that
are in execution.

A new “Dashboard” will open with the details of the New Hire

General data: You can see the location, the joining date and the
name of the Hiring Manager. 10.1 ONBHTAdmin_10_6

Tasks: You can keep track of the tasks that have been assigned
for the New Hire induction, with their due date and who should

Nudge: Send a reminder of a task. 10.1 ONBHTAdmin_10_8
View Details: Now let’s see the details for this task. 10.1 ONBHTAdmin_10_9

If you click on "View Details" on an Onboardee, you will be able


to see the details of the tasks of their processes, the status of the
task and the person assigned to it. 11 ONBHTAdmin_11_1
You can view the details of each Onboardee. 12 ONBHTAdmin_12_1

Data Collection: These tasks are necessary to continue with the

Compliance Forms: These are documents related to legal

New Hire Tasks: The last section contains tasks that are executed
at any time during the Onboarding process. They are assigned to
the Direct Manager or HR Representative, depending on the
case. 12.2 ONBHTAdmin_12_5

At the top of the “New Hire details”, you can see a series of
actions for the Onboarding process that can be executed at any

Here you can view the documents that the New Hire has already
signed. 14 ONBHTAdmin_14_1

View: When you click on it, a pop-up window will appear with
the employee's signed documents. You will only be able to view
the document in a PDF format. 14 ONBHTAdmin_14_2

This function will open a dialog box to perform the necessary


actions to cancel the process when a New Hire does not respond
to the follow-up of the process. 15 ONBHTAdmin_15_1
Click on the following steps to learn the “Onboarding

1. Check the box to cancel all tasks related to this Onboarding
process automatically. 15 ONBHTAdmin_15_3
2. Select the reason for the cancellation: “No Show”. 15 ONBHTAdmin_15_4
3. You may add comments if needed. 15 ONBHTAdmin_15_5
4. Click on “Confirm”. The process is now cancelled. 15 ONBHTAdmin_15_6

This function allows you to restart the Onboarding process for


the employee when the New Hire information has changed (such
as entry date, Manager, Position) if you need to run the process
again, you can restart it. 16 ONBHTAdmin_16_1
Click on the following steps to learn the Onboarding restart. 16 ONBHTAdmin_16_2

1. Check the box to confirm the action of restarting the process. 16 ONBHTAdmin_16_3
2. Write the reason for restarting the process in the box . 16 ONBHTAdmin_16_4

3. Click on “Confirm”. Now the process has been restarted. 16 ONBHTAdmin_16_5

At any time, the Admin and HR Representative can consult and


update all the information of the New Hire, commonly many of
these fields will be filled in the recruiting module or by the New

Identity: Contains basic information such as date of hire,
company and Event Reason. 17 ONBHTAdmin_17_3
Name Information: Contains personal information, first name,
last name and middle name. 17 ONBHTAdmin_17_4
Biographical Information: Contains date, country and place of
birth. 17 ONBHTAdmin_17_5
Attachment: This section hosts attachments of the New Hire’s
information. 17.1 ONBHTAdmin_17_6
Employee Information: In this section the employee's ID is set
consecutively from the Employee Central. 17.1 ONBHTAdmin_17_7
National ID Information: This section contains a Social Security
Number. 17.1 ONBHTAdmin_17_8

Personal Information: Contains the New Hire's personal


information such as: gender, marital status, nationality, second
nationality, native language, health insurance and citizenship.
There is also a space to attach documentation. 17.2 ONBHTAdmin_17_9
Global Information: Contains all the New Hire information,
specially for United States. 17.3 ONBHTAdmin_17_10
Email Information: Contains the email information. 17.4 ONBHTAdmin_17_11
Phone Information: Contains telephone information. 17.4 ONBHTAdmin_17_12

Primary Emergency Contact: Contains the emergency contact. 17.4 ONBHTAdmin_17_13


Dependents: contains the dependents of the New Hire. 17.4 ONBHTAdmin_17_14
Job Information: Contains all the information about the job
(organizational information and job information). 17.5 ONBHTAdmin_17_15

Payment Information: information regarding payment details. 17.6 ONBHTAdmin_17_16


You need to perform the following tasks so that the Onboardee

As an Admin, you can run any task at any time even if you are not
assigned to it, by following these steps: 20 ONBHTAdmin_20_1
1) From "New Hire Details" scroll down and in the "New Hire
Tasks" section click on "View Details". 20 ONBHTAdmin_20_2

2) The task pop-up window will appear, click on "Edit Task". 20.1 ONBHTAdmin_20_3
3) The window to execute any of the tasks will appear for you to
perform yourself. 20.1 ONBHTAdmin_20_4

When an internal employee assumes a new role, there may be a


requirement to onboard the employee because of a change to
their job, management and so on. 21 ONBHTAdmin_21_1

The objective of the Internal Hire process is to create an


atmosphere that will enable employees to blend in with their
new role, team and management. By doing so, you can help
them to be productive quickly and lower the rate of attrition as
well. 21 ONBHTAdmin_21_2

There is no special Dashboard for Crossboarding processes,


however, you can use the Onboarding 2.0 tile and click on the
"New Hire Type" filters, the "Internal Hire" option shows the
employees in Crossboarding process. 22 ONBHTAdmin_22_1

You can also check in the “Onboarding 2.0 (New)” tile the "New
Hire Tasks" column, that appears as "No Data”; also, when
clicking on the "New Details" button the employee does not
show any tasks in the first two sections: Data Collection and

Anticipate the commute by providing the address, which will
allow the Onboardee to plan his route. 24 ONBHTAdmin_24_1

A task you need to perform as HR Representative during a


Crossboarding process is to indicate the New Hire the address of
the work center. Click on “Start”. 24.1 ONBHTAdmin_24_2

In the "Where to Go" window, check the boxes of the employees


to select them, then click the "Continue" button. 24.1 ONBHTAdmin_24_3

Important: You can perform the mass action for all the
Crossboardees you have pending by checking the "New Hire"
box. 24.1 ONBHTAdmin_24_4

A new screen will appear. It already contains the address of the


workplace and a note box for you to add additional instructions. 24.2 ONBHTAdmin_24_5
Finally, click on "Submit“. 24.2 ONBHTAdmin_24_6
During the first weeks of an employee's incorporation, it is very
helpful to have an ally; a colleague who acts as a buddy or
mentor to guide us in our day-to-day work, introduce us to the
team as a whole and solve any doubts that may arise. 25 ONBHTAdmin_25_1
To perform this task, click on the "Start" button. 25.1 ONBHTAdmin_25_2

In the "Assign a Buddy" window, use the search bar to select the
employee to be assigned as the New Hire Buddy.

Once you have assigned a Buddy, write a message to the New


Hire and optionally, you can write to the Buddy to let him know.
Click on "Submit". 25.2 ONBHTAdmin_25_4
A notification will appear to verify that the task has been
successfully executed. 25.2 ONBHTAdmin_25_5

You can schedule meetings for the Crossboardee occurring on or


after the onboarding date. These meetings do not appear in your
Outlook calendar but are visible in the Meetings tile on the home
page. The meetings are sent via .ics email to update the new
employee's outlook calendar. 26 ONBHTAdmin_26_1
To perform this task, click on the "Start" button. 26.1 ONBHTAdmin_26_2
In the "Schedule Meetings" window, use the "Add Meeting"
button to create a new meeting. 26.1 ONBHTAdmin_26_3

Fill in the following fields to generate the meeting:

Meeting Location
Start Date and Time
End Date and Time
Agenda

Click "Add" when you have finished filling all the fields. 26.2 ONBHTAdmin_26_5

Offboarding allows you to set up a seamless exit process for
employees leaving the company. 27 ONBHTAdmin_27_1
Termination can be voluntary or as a result of retirement. 27 ONBHTAdmin_27_2
Offboarding gathers all termination-related information and
triggers time-sensitive activities. 27 ONBHTAdmin_27_3

To run an Offboarding process, from "Home" go to the "My


Speciality" section and click on the "Offboarding Dashboard" tile. 28 ONBHTAdmin_28_1
The "Offboarding Dashboard" will open, and the columns

Offboardees: The employee's general data. 29 ONBHTAdmin_29_3
Termination Date: Expected date of employment termination. 29 ONBHTAdmin_29_4

Due Date: Deadline for each task. 29 ONBHTAdmin_29_6

When the "Termination" event is cancelled, the employee will


not leave the company, the cancellation of the Offboarding
process can be executed since Offboarding Dashboard. Click on
“View all tasks”. 30 ONBHTAdmin_30_1
In the "Actions" section click on "Cancel Onboarding“. 30 ONBHTAdmin_30_2

A pop-up window will appear, check “Employee’s Termination


will continue as per approvals. All Offboarding tasks will be
cancelled, and the exit tasks will be handled outside the system” 30.1 ONBHTAdmin_30_3
Important: Select one of the "Cancellation reasons" from the
dropdown list: 30.1 ONBHTAdmin_30_4
When finished, click "Confirm". 30.1 ONBHTAdmin_30_5
To complete the Offboarding process, these are the tasks you

Conducting meetings with the employee who is leaving the
company. 32 ONBHTAdmin_32_1

Click on "Start" to open the task, the dashboard to generate


meetings will appear, click "Add Meeting" to schedule the

Fill in the following fields to generate the meeting:

From the Offboarding Dashboard, click on "Start" to open the

workers will appear, fill in all fields:

Finally, click on the "Submit" button to successfully save the

Dedicate a farewell message to the departing employee wishing

From the Offboarding Dashboard, click on "Start" to open the

The window for sending the farewell message to the employee


will appear with the following sections: Message Delivery
Date
Subject

Finally, click on the "Submit" button to successfully save the

Creating and tracking knowledge transfer tasks by the employee


who is leaving the company to existing co-workers. 35 ONBHTAdmin_35_1
From the Offboarding Dashboard, click on "Start" to open the

The Add Knowledge Transfer Task window will appear. Click
"Add Task". 35.1 ONBHTAdmin_35_3

A pop-up window will appear with the following sections for


adding a task:

Click on "Add Task" button to add the task to the plan. Once the

As an Admin, it is your duty to launch the exit interview for the


employee who is leaving the company in order to finish the
Offboarding process. 36 ONBHTAdmin_36_1
In the search bar, locate the tool "Launch Forms". 36.1 ONBHTAdmin_36_2
In the "Form Template" click on the drop-down menu and select
"Exit Interview". 36.1 ONBHTAdmin_36_3
Click "Next". 36.2 ONBHTAdmin_36_4

In the "Launch Date" section, set the date on which the exit
interview will be launched. When finished click "Next". 36.2 ONBHTAdmin_36_5
In “Review Period”, select if you want to use review dates for the
exit interview, then click "Next". 36.3 ONBHTAdmin_36_6

In “Select Employees”, check the "One Employee" box and use


the search bar to select the offboardee. When finished click
"Next". 36.3 ONBHTAdmin_36_7

You will see the summary of the interview you are going to
launch; you can modify the information with the "Back" button
or click on "Launch" to launch the exit interview. 36.4 ONBHTAdmin_36_8
A confirmation window will appear before launching the
interview. Clicking "Ok" confirms the action and an
announcement will appear, the exit interview is in progress and
will be launched upon completed the form. 36.5 ONBHTAdmin_36_9

New Hire you are in charge of, such as name, position, location

Hiring Manager: In this column your name appears as Direct

Crossboarding processes are executed by you, let's see how you

There are many ways to make new employees feel at home, and

In the "Write a Welcome Message" window a default message

A notification will appear to confirm that the task has been

You can provide a list of things that the new hires should bring on
their first day.  Also add their own additional personal note with

A window will appear with the list of items already


predetermined and an Additional notes box to send more

To run an Offboarding process, from "Home" go to the “To-do"

These are the tasks needed to complete the Offboarding process,

Track the company assets possessed by the employee who is
leaving the company. 19 ONBHTAdmin_19_1

When you click on the task, the general information of the task
will appear, which consists of a list of items that were assigned to
the employee and that must be returned. 19.1 ONBHTAdmin_19_2
“Does the Offboardee have assets to return?” Select “YES” and
create a list of Assets clicking on the button. 19.1 ONBHTAdmin_19_3
Click on "Add Asset" at the end of the column. A pop-up window
will appear. 19.2 ONBHTAdmin_19_4

Fill all the drop-down fields:


Asset Type
Model
Serial Number

Important: When finished, click "Add" and the asset will be
registered in the list for the employee. 19.2 ONBHTAdmin_19_6

When the list of assets is completed, click "Confirm" and they will
be sent to the responsible departments to follow up on the
return of these assets. 19.2 ONBHTAdmin_19_7
