The Ideal Secretary

The role of a Secretary is extremely crucial to the daily operation of a business or a small

office. The secretary is the central point of contact and is the main line of correspondence

throughout the office. In order to be effective, the ideal secretary must understand his or her role

and the expectations of executing each responsibility. A secretary excels by demonstrating a

mastery of numerous interrelated and cohesive personal characteristics, which allows a

professional interactive relationship among fellow staff members and students.

A secretary must develop excellent communication skills, in order deliver a clear and

precise exchange of information. A secretary must be approachable and alert, empathetic and

willing to find solutions as well as eloquent and persuasive when articulating ideas. A secretary

must also take confidentiality in consideration, when communicating with staff members and

students. A secretary that is able to execute ethical characteristics will not only establish trust,

but will also show a sense of professionalism when approaching staff members and students.

An ideal secretary will possess leadership qualities, which shows managers or supervisors

an interest in growth. This individual should also possess integrity, reliability, and vision. Such a

secretary will be loyal and always strive for the best interests of the students, staff members and

the entire mission of the department. A secretary with leadership qualities will alleviate the stress

of the office, by assisting with other intense responsibilities.

A secretary should overall possess concrete skills. A secretary must be well organized,

efficient and adaptable to any environment or changes to the office. Secretaries must also be

punctual and develop a time management plan, in order to multitask effectively, and be able to

attend to the needs of the students and staff. It is important for a secretary to always be eager to

learn and to continually strive for personal improvement or improvement of the office, and be an

advocate of overall success for both the students and department.
