Notice is hereby given for the Fifty Ninth Annual General Meeting of the Indian Institute of Materials
Management, Navi Mumbai. Due to the Covid-19 the meeting will be organized virtually on
11th April 2021 at time 4.00 p.m. onwards to transact the following business:
lTo confirm the minutes of the Fifty Eighth Annual General Meeting held on 29th November
2019 at Hotel Vivanta, Kolkata.
lTo receive, consider and adopt the Income and Expenditure Account for the year ended
31 March 2020, Balance Sheet as on 31st March 2020 and Auditor’s Report thereon.

lTo appoint auditors for the ensuing year and fix their remuneration.
lTo consider any other matter with the permission of the Chair, if a written notice for which
is received at least seven days before the meeting.
Note : If any member has any question, it should be given in writing to National President
through e-mail id: malay_mazumdar@yahoo.co.in /jsprao@gmail.com at least 7 (seven)
days before the AGM, so that the questions could be answered appropriately in the AGM.

MINUTES OF THE 58 TH ANNUAL GENERAL MEETING (AGM) HELD
ON 29th NOVEMBER 2019 AT HOTEL VIVANTA - KOLKATA
National President Mr. G K Singh, welcomed all the members present at the 58 th AGM, he
confirmed that all the members received their copy of the Annual Report in time. He requested
Manager Administration to confirm the quorum. After confirming the quorum he declared the
meeting open.
He informed the house that all activities during the year are recorded and everyone has read it
in the Annual Report.
Mr. G K Singh, requested for confirmation of the 57 th AGM Minutes as the same had been
emailed to all the members. Members approved the same.
Mr. G K Singh requested Mr. L R Meena, National Secretary & Treasurer to take up the Accounts
proceedings.
Mr. L R Meena, National Secretary & Treasurer welcomed everyone and read the notice for the
58 th AGM.
He proceeded to explain the Income & Expenditure Account for the year ended 31 st March 2019
and made a Power Point Presentation on Key Areas. He also appraised the members present
on the Balance Sheet as on 31 st March 2019 and clarified in details the aspects of balance sheet
items. He informed the members that IIMM NHQ is in good financial condition and as per last
year investment was 83 lakhs and this year it has increased to 160 lakhs which is almost double,
the credit goes to all our branches.
NST informed the house regarding the branches that have not been audited for the last 3 years
2016-17, 2017-18 & 2018-19
NST informed that income tax refund have been received for AY: 2011-12 & 2012-13 and the
amount will be refunded to the Branches that are claiming the same along with supporting
documents.
It was pointed out by one of the members present that if our account is on cash basis - interest
accrued on fixed deposit - it means not received how it is accounted.
Investment on Mutual Fund should not be entertained by Branches
Mr. L R Meena, informed the house that our auditors M/s. Chandabhoy & Jassobhoy have
requested for an increase in audit fees for the year 2019-20. A few of the members informed
that professional fees of C & J should not be increased this year.
National President informed that this year we should not agree for any increase. It was
approved by members.

Mr. Ageet Kumar informed that once in three years the Statutory Auditors should be changed
over as per Co-operative Society Act. If necessary to change over as per act, action should be
taken.
Outstanding amount should not be more than one year. Outstanding amount from Bhoj
University and Punjab Technical University should be collected at the earliest .
Mr. B V Iyer had a few points and with the permission of the Chair, informed that Life
Membership subscription pro-rata of approximate 7,000 members, minimum 3,000/- of Life
Membership of 50%, the amount should be in fixed deposit to be maintained as corpus fund.
Administration expenses should be reduced. We should not spend more amount for
advertisements - Proportionate of students from the advertisement, collect feedback from the
branches - how many students see the advertisement and get feedback from the branches and
increase in number of students from the advertisement.
There were many points raised by members, for which Mr. Asok Dasgupta, Former National
President, informed the house that if any of the member has any question it should have been
given to NP before the AGM, the Annual Report was sent to all members 30 days before the
AGM, so that all the questions could be answered well before the AGM
National Secretary & Treasurer presented the Vote of Thanks and thanked all the members for
approving the accounts and giving their valued suggestions. He also thanked Kolkata branch
for successfully hosting the Natcom.

1. The National Council of Indian Institute of Materials Management, NHQ - Navi Mumbai has
the pleasure in presenting the Annual Report for the year ended 31 st March 2020.

An annual mega event of IIMM was jointly organized by IIMM Kolkata & Jamshedpur Branch
on 29 th & 30 th November 2019 at Hotel Vivanta Kolkata.
The Theme chosen for the event was “Transforming Supply Chain through Digitization”.
Mr. Subhasendu Chatterjee, Wholetime Director of Haldia Petrochemicals Limited graced the
occasion as the Chief Guest and Mr. Gautam Ray, Executive Director - HR & Admin. of CESC
Ltd was the Guest of Honour. Natcom was attended by more than 300 delegates from large
supply chain professionals throughout the country.
The Theme selected was : “Future of Business Circular Economy: Role of Supply Chain”.
MM Day was celebrated at all IIMM Branches. IIMM Branches conducted various events,
seminars. Some of the branches organized programs throughout the month as part of the
celebrations. Quiz Competitions were conducted by few branches.

6. NATIONAL COMPETITION FOR YOUNG MATERIALS MANAGEMENT - 2019
The Theme selected for the YMM “Soft-Skills are Key to Success in the Emerging Role
of Supply Chain Managers”. 17 teams from various organizations participated in the
competition and the following teams were declared winners based on written and oral
presentation evaluation.

A cash prize of 5000/- was awarded by Dr. C Subbakrishna, Former National President for
“Best Young Material Manager” to Ms. Payal Agarwal from BPCL, Mumbai.
7. NATIONAL BUDGET
National Budget for the year 2020-2021 was filed with the Charity Commissioner on
25 th February 2020.
Dr. M K Bhardwaj, Chief Editor & Publisher of MMR has done an excellent job by timely
circulation of MMR to all members. MMR has served as a useful tool for brand building of
IIMM.
9. BRANCH ACTIVITIES -
Mumbai Branch organized their annual signature event - DISHA on 17 th & 18 th April 2019.
The theme selected was “Supply Chain Management - Value Drivers for Business
Technology, Innovation, Talent Management, Stakeholder Alignment”. The Chief Guest was
Mr. B Narayan, Group President, Projects & Procurement - Reliance Industries Ltd. The event
was attended by a good number of Chief Procurement Officers from leading companies and
many other delegates. The event was extremely well received by the delegates with over
90% rating as Good / Excellent.
• One day Pharmacist Training program was conducted for AMRIT Pharmacists -
Guwahati on 17-8-2019 for Abbott Healthcare Pvt Ltd
• Two days Training Programme was conducted for Panasonic Life Solutions India Pvt
Ltd on 15 & 16 th Novembr 2019 at Daman and 3 days on 9, 10, & 11 January 2020.
INTERNATIONAL NEWS
IFPSM Asia Pacific Regional Meeting was held from 16 th to 18 th May 2019 at Shanghai -
China.
From IIMM, National President, Sr. Delegate & Alternate Delegate attended the meeting.
The IFPSM World Summit 2019 was held at Mombasa - Kenya from 10 th to 13 th September
2019. The Theme of the Summit was “Sustainable Procurement and Supply Chain Practices
for the 21 st Century”. From IIMM, National President, Sr. Delegate & Alternate Delegate had
the privilege of attending the Summit. Networking with Professionals from 45 countries,
world class speakers, the deliberations during the Summit were of high caliber and relevant
to the trends and developments in the field of Supply Chain Management globally.

International Courses
Board of Studies
The Educational activities of the Institute are governed by the Board of Studies. The Board consists of
eminent academicians, professionals with vast knowledge and experience in various facets of materials
management in particular and related functional areas of management in general. The Board is
responsible for all matters relating to curriculum planning, educational delivery system, teaching
methodology, examination procedures, standards and all matters relating to education.

11. Activities of CRIMM
The year under review witnessed multifarious activities of CRIMM not only restricting to Fellowship
programme and enrolling researchers but also expanding CRIMM’s boundary into collaborations and
MDPs.
At the Kolkata NATCOM 2019, four of the research scholars were awarded the CRIMM Fellowship
Certificates.
CRIMM is now self-supporting in finance. The Financial status as on date is INR 451,109/- (Net Income
over Expenditure).
Some of the CRIMM fellows have shown interest to do their PhD in TIU, WB after completion.
It was also decided in the last BOG Meeting that CRIMM is looking forward for future consultancy and
expansion programs in and outside India.
The year ahead predicts all round activities of CRIMM in full swing
Chandabhoy & Jassoobhoy were appointed National Auditors for the Fiscal Year 2019-2020 to
audit Branches / NHQ accounts including Education Wing and the Materials Management Review
and annual fees is 5.25 lacs plus out of pocket expenses and traveling for Branch Audit.

1. We have audited the attached Balance Sheet of Indian Institute of Materials Management (”the Institute”)
as at 31st March, 2020 and Income and Expenditure Account for the year ended on that date prepared
under sub section (1) of Section 34 of the Bombay Public Trust Act, 1950 (”the Act”) in which are
incorporated accounts of the Headquarters & 36 branches audited by us.
2. These financial statements are the responsibility of the Institute’s management. Our responsibility is to
express and opinion on these financial statements based on our audit.
3. We have conducted our audit in accordance with auditing standards generally accepted in India. These
standards require that we plan and perform the audit to obtain reasonable assurance about whether the
financial statements are free of material misstatements. An audit also includes assessing the accounting
principles used and significant estimates made by management, as well as evaluating the over all financial
statement presentation. We believe that our audit provided a reasonable basis for our opinion.
4. The Balance Sheet and Income and Expenditure Account have been drawn up in accordance with the
provisions of the Act.
5. (a) As stated in note no. 7(a & b) of Schedule E, Inter branch and other balances are subject
to confirmation, reconciliation and consequential adjustments, if any;
(b) As stated in note no. 8 of Schedule E, 36 branches and Headquarter are considered in
consolidation of financials for the year under audit. Remaining 16 branches are not
included in the consolidated financials.
a. Accounts are maintained regularly and are in accordance with the provisions of the Act and Rules
thereto.
b. Receipts and disbursements are properly and correctly shown in the accounts.
c. The cash balances and vouchers in the custody of the Managers and/or Trustees on the date of audit
were in agreement with the accounts.
d. All books, deeds, accounts, vouchers or other documents or records required by us were produced
before us.
e. During the year, register for movable and immovable properties has been properly maintained by the
Institute.
f. The representatives of the trustees appeared before us and furnished the necessary information
required by us.
g. No property or funds of the Institute were applied for any object or purpose other than the object or
purpose of the Institute.
h. During the year, the Institute has written off ` 80,873 which was outstanding for a period exceeding
one year.

I. No money of the Institute has been invested during the year under report contrary to the provisions of
Section 35 of the Act.
j. Tenders were not invited in respect of repairs construction expenditure exceeding 5,000/-,
k. There was no alienation of immovable properties contrary to the provisions of Section 36 of the Act,
which has come to our notice.
l. During the course of our audit, we have not observed any case of irregular, illegal or improper
expenditure or failure or omission to recover monies or other properties belong to the trust or loss or
waste of other property thereof.
m. The budget has been filed in the form provided by Rule 16A of the Act on 25th February 2020.
n. The minimum and maximum number of trustees is maintained.
o. The meetings of the trustees are held regularly as provided in the Trust Deed.
p. The minutes of the proceedings of the meetings of the trustees is maintained properly.
q. None of the trustees is a debtor or creditor of the Institute.
r. None of the trustees have any interest in the investments of the Institute.
s. The irregularities pointed out by us in the previous year have been complied with by the trustees
during the year except as stated under :

t. There is no special matter during the year that we should bring to the notice of Deputy Charity
Commissioner apart from the one stated herein i.e. Audit of various branches and NHQ of the Institute
has been conducted remotely under exceptional circumstances due to prevailing lockdown conditions
on account of Covid-19 pandemic. Documentation and other requirements along with discussion were
held telephonically / over emails with some restrictions. We had adopted relevant alternative
procedure to issue our audit opinion in respect of these matters. Our opinion is not modified in respect
of these matters.
