Dear Madison,

I am emailing today to request your permission and approval for our Year 4 STEM
Egg-ibition Event, Package it Better, to take place on the school’s oval on the 20th May 2021. The Year 4
teachers propose that the event takes place between 9:30am – 10:30am on this day. In the even schedule
attached below, you will see that we will need to utilise the under covered area and oval between 8:00am
and 12:00pm for the event, the pack up and the set up. During this time, both parent and student volunteers,
the Year 4 staff members and teacher assistants will be involved in ensuring this event runs smoothly.

This designed STEM event has been created to further develop the Year 4 students understanding about
packaging and how properties of materials influence their purpose. In class this term, students have been
actively engaging in the Physical Science Unit and have been learning about how different materials can
safely package breakable items. Subsequently, the event has very strong links to the Australian Curriculum
and will be of great benefit to the students as they are able to take on the role of an engineer for a day. In
fact, the activities planned during this event adapt STEM pedagogies which will enhance students critical
and creative problem-solving skills, ability to work collaboratively to resolve conflicts and use inquiry and
problem-based learning to respond to a task.

This STEM event provides students with real-world applications when they are given a packaging problem
provided by Australia Post. Students are asked to respond to this problem by designing and testing two
different packaging options that will be able to successfully not break a raw egg when dropped from various
heights.

For the purpose of this task, students will be working in groups of five and forty students will be taking part
in this event. To further educate students about STEM careers and to motivate, engage and inspire students,
we have been able to secure two STEM experts, Kylie Jones and James Marsman, to join us on the day of
the event. Australia Post has also kindly donated materials needed for this event subsidising the total event
cost to just $56.30. To assist in the funding for this event, students have asked to bring a gold coin donation
with them on the day of the event.

A completed risk assessment has been completed and attached below for our STEM event. The event
managers and staff will ensure that all risks are mitigated and minimised on the day of the event. A consent
form and invitation will also be sent home to parents to alert parents about our STEM event and encourage
them to volunteer and attend the event. Our Year 4 staff members have considered Covid-19 regulations
which is why the event will be held outside and parents are required to check-in via the various signs that
will be displayed around the boundary of the event.

Our Year 4 cohort would be very appreciative if you, our principal, attended this event and encouraged
students to be active participants in STEM education. Your approval and support for our STEM Egg-ition
Event, Package it better, would be very beneficial in engaging students further and developing their interest,
knowledge and understanding about our current science unit and STEM education in general.
