Tool to do daily tasks, every client has its own TMS. Ask during interview what TMS they use.

ZIP Codes
5 digits, very very important. Where must go, where must be picked up and delivered?
- First digit represents States.
- Second and Third Regions within the state. SCF: Sectional Center Facility
- The fourth and fifth: more specific areas like post offices and postal delivery zones a city

ZIP +4 Extra for more specific locations. Domestic transportation, not for large companies

FREIGHT BROKER or 3PL

- Full Truck Load, FTL/TL: Truck loaded in full by one customer.


Freight Broker specializes in this option.
No nationwide, covering some areas.
Negotiation for rates, always.
Private carrier is not obligated to server general public to move or carry goods.
Private carriers, FULL TRUCK LOAD the most.

- 3PL: Third Party Logistics


Less than Truck Load
Not enough cargo to fill a whole truck, needs to do consolidation. Sharing space to
Save money.
Common Carrier, FedEx, UPS… etc.
Nation Wide Coverage.
Obligated to serve general public, they can´t say no.
Can´t Negotiate rates.

BOL: Bill of Lading Legally binding document, important information about the cargo.
Without the document the cargo won’t be released, shipper must
know everything. All information must be updated at all time.
Inspection! Proof of delivery must be signed!
Even if there are damaged items everything must be signed.
Ocean Transportation
Bulky Goods: Not necessary to be packaged. Sand, rocks, metal … etc.
Vessel, cargo secured, ship wide amounts, cost effective, no restrictions as air
transportation.
Perishables are no good for this type of transport. Fruits and Flowers are
restricted.
Port taxes if taxes are not paid container won’t be able to leave the port. And
every day charges a fee.
Tracking system, coordinates.
Environmental advantages consume less fuel than planes.
Weather conditions are more dangerous at the ocean.
Freight Forwarders, in charge of filling documents to transport international
Ocean.
LCL: Less than Container Load. For OCEAN, AIR ANR RAIL.
LTL: Less than Truck Load. For Truck only.

HAZMAT, Hazardous materials.


Never to be consolidated with food, at any circumstances.
Tobacco and Food cannot be consolidated as well

Air Transportation
High Speed, Very Costly
Allows transportation of perishable goods. Airlines have several dimensions and
product restrictions.
Reduced Damage risk, considering that it is in the Air.
Ease to Access, Smaller Capacity
Airplanes, Aircraft: Airplanes are not designed to transfer cargo.
Reduced lead time on supplier
Pallets have specific restrictions for air transportation and cannot exceed it.

Rail Transportation
Low costs, large transport capacity, it is more used for national transport
Slow
Doesn´t get that affected by climate or weather inconveniences
Operators timetable in charge of dispatching trains.

Ocean, Air and Rail will always need a Truck to pick up the cargo and complement to reach the
destination. Always needed to pick up and deliver between other methods of transportation.

Road Transportation
Good for short distances and perishable goods. Fast delivery and cost effective
Easy to track, and communicate with driver
Subject to traffic conditions, weather or other inconveniences.
Possible damage, accidents.
Driving regulations restrictions that can get on the way. Drivers hours of service.
Door to door services, able to arrive at the facility or the exact point of delivery.

Car Hauler: Carrying cars

PACKAGING CARGO

50 lbs or more, must be palletized. Easier to load and unload cargo.


Boxes can be loose but in large quantities is better to pallet them.

Bill of Lading specifies if the product can be stacked or not. Driver must ensure the product is
not stacked.

Crates CRT: Fragile items, Wine, Glass, even motorcycles.
Drums: Transport liquids
Reels and Rolls: wires, cables, hoses
Bulk Bags: Sands, Cereals…
Totes: Suitable for Hazmat

Gaylord: Big box, doesn’t need to be string raped

DOCK: What is a dock?


Space used to receive freight at a terminal.
Bridge between the warehouse and the trailer. Not at the ground level, always at the trailer’s
level
Every Dock has a Dock Number, we can call the driver and let him know which one is his.

NO DOCKS? Special Equipment required


Forklift, Warehouse should have that. Carriers should not be required for that.
Liftgate, we need to let them know if there is no Dock to have available a liftgate. Additional
service, so more expensive. If warehouse has no dock, to be asked to the Carrier to bring a truck
with liftgate.
Palletjack Also should be at the warehouse!! Not we de carrier

Warehouse…. LUMPERS to be hired by the warehouse.

STRAIGHT TRUCK: Cannot deattach the trailer from the truck except the flatbed

WEIGHT AND LIMITATION ON THE ROAD

TO WEIGHT A TRUCK IT MUST BE CERTIFIED, not all shippers have one in that case you
can go to a CAT scale, whenever needed.
Scale ticket will be received and confirm there is no overweight. If it is overweight must go back
to get reworked. Reweight and reworked as much as needed.
- Steer Axle: must be 12,000 lbs
- Drive Axle: must be 34.000 lbs
- Trailer Axle: must be 34,000 lbs
- Gross weight: must be 80,000 lbs
Review page 30 on logistics to know the exact weight.

What is your current location and ETA back to the shippers?

ETA: Estimated time of Arrival whenever they are not able to slice some weight tandems
- Educate driver to call you back, treat them as if it was a teamwork. Always offer help.

DRIVERS HOURS

SOLO DRIVER:
11 HOURS DRIVING, MUST HAVE A BREAK OF 30 MIN, 14 HOURS (3 HOURS NOT
RELATED TO DRIVE)
- Driving
- On Duty/ loading or off loading
- Off Duty / sleeper berth
- 14hr shift
- Break/ lunch or nap (taken as off duty)

LAYOVER: When stuck at a shipper’s facility


Exercise: 8:00am with 15min to inspect, then 3 hours to get to the shippers and 9 hours delayed
15min counted as off duty? 9hours delay considered as driving time, no hours left 1:45 hours left
not for driving before resting time.

DOT BREAK: 10 hours resting, just resting. They cannot do anything job related.
Minimum 30 min, up to 1 hour. Before reaching the 8 hours marks

There are exceptions whenever run out of hours and not able to reach a truck stop.

TEAM DRIVERS:
- Time sensitive orders
- More Expensive
- For perishables, or important cargo to be delivered immediately.
- While one rests the other one can drive, they can sleep inside the trucks.
ELD: Electronic Logging Device
To count driver’s time, smartphones used as well.
Shourt-Haul (115.8 miles whitin): Short distances, same city e.g.
Non CDL: commercial driver licence, they do not transport freight or cargo.

WEEKLY HOURS ALLOWED TO WORK


60/ 7 days if not every day
70/8 day every day of the week.
- Restart break: 34 consecutive hours to start working again if run out of week hours.

CARRIERS

COMMON CARRIER
- Bigger coverage in the country
- Public companies fobligated to serve.
- Annual contracts, great discounts
- Prefer LTL and Volume modalities
- They deal with 3PL companies.

PRIVATE CARRIER
- Private companies
- Limited coverage
- They select their customers, not obligated to serve.
- Able to negotiate their rates and sign rate agreements.
- Normally prefer FTL and Partial modalities
- They deal with broker’s companies.

OWNER OPERATORS
- Owns its own truck.
- Freelancer
OTR: OVER THE ROAD MODALITY

(They are not modes of transportations)


There are companies that handle all type of modalities.
- Normally one works for one department alone and can be upgraded.

FTL: FULL TRUCK LOAD


- Better for large shipments and delicate or high-risk items
- Faster way, less time taken there is only one cargo.
- Time sensitive, able to hire a team driver and the cargo can arrive faster.
- More expensive, the customer is dedicating trucks for himself.
- Dedicated customers, one customer. Even if it has multiple stops.
Multiple stops charge more.
- Max 44,000 lbs, heavier than that will refuse.
- Due to nature, cannot pickup or deliver to residential areas.

FTL AND PARTIAL ARE HANDLED BY FREIGHT BROKERS

PARTIAL: Even though the truck is not full they are going to pay for the empty space
- No able to consolidate if not agreed.
- Offer discount if freight class is the same, when asking if for consolidation. Carrier will
let you know if that consolidation exists, customer is the one that decides. If yes, great for
discount. If not, well then no.
Up to 2 customers when it comes to Partial no more. (Alcohol treated as Hazmat)
Consolidation is done in nearby areas, not that far away. Normally same city.
- Fuel, Distance, Weight are the considerations when it comes of prices for Partial
modalities.
Normally refuses to consolidate since they have the money. 3PL normally consolidate
automatically.
Partial and Volume: Private and Common.
Quote for Partial can be applied for several orders since it is calculated for distance and quantity.
Quotes for Volume is only calculated for one shipment. Different handling depending on the
cargo and freight class. Quotation: Cotización
Common Carriers can offer Dedicated, but it is way too expensive, better to try Partial when this
happens.

LTL: LESS THAN TRUCK LOAD


- More clients, more than 10 even
- Carriers do the consolidation, not us.
- Less than 4 pallet, 10ft or 4000 lbs
- Ideal for Small Businesses
- Hub system
- Only works on Business days, not weekends.
- Transit times are estimated unless you are paying a guaranteed or time critical service.

Priority Service
- 2 hours window call 2 hours prior pick-up appointment, so Carriers have available time
to pick up cargo.
PRO NUMBER (Tracking number): PROGRESSIVE ROTATING ORDER NUMBER. Only
given when everything is confirmed and picked up. Before confirmation you have a pickup
confirmation number.
Always confirm twice!! Is that the pro number that goes to…?
6 pallets or more 5000 lbs will be charged as volume for space taken. Volume customer will still
be sharing as a consolidation, just taking more space.
Fragile, will be treated as special treatment and will cost extra.
(Offer all the services, the client decides which service to take)

LTL HUB SYSTEM:


1. Shipper, BOL: Bill of Lading. Driver 1 takes it.
2. Origin Terminal. Driver 1 Delivers it and Driver 2 takes it.
Origin Terminal can be on the same city or nearby, cargo must be reviewed and
confirmed.
3. Break Bulk Terminal. Driver 2 Delivers it and Driver 3 takes it.
Break Bulk Terminal: point where goods are transfer from one mode of transportation to
another.
4. Destination Terminal. Driver 3 delivers it, and Driver 4 takes it.
At Destination Terminal, not dispatched to be delivered.
Out for Delivery, cargo is on its way to receiver’s location. ETA will appear.
5. Receiver, POD: Proof of Delivery. Driver ends the process.
Will review cargo again, sign POD and have DATE and TIME of Delivery.

YARD AND TRUCK STOPS

YARD:
- Can be owned by Carriers, Private or Common
- Common can rent yards to Private carriers for emergencies.
- Can drop off trailer at the yard and give the process to another truck.
- Security with Trailer Drop offs
- Cannot rest, cannot eat.
- Only for work related activities.

TRUCK STOP:
- Place to rest and Eat.
- Minimum maintenance to the Truck, not to deal with mechanical issues.
- There is no Security with Trailer Drop offs
- Only for non-work-related activities

- How many pieces, item, description, price per unit
- We do not create it. We do not buy anything.
- It has prices.
- Not necessary to resale

PACKING LIST/PACKING SLIP


- Comes with an order,
- Slip comes with the pallet.
- Does not have prices.
- Receive for SALE, to resale
CARRIERS LIABILITY

- Actual cost of the goods supported by a certified copy of the original invoice.
- The cost of replacement or repair of lost or damage
- $100,000 shipment
- Carrier’s responsibility always

Limit of Liability and Max liability


- Class of the shipment 50/500 from low to high
- Value, delicate and type of commodity
Class 500 will cover $25.00 per lbs (from 175 to 500 class)
Check table to review classification of coverage.

Liability can be asked for. Normally not on display


- Vice of the goods will not be covered.
- Act or default of the shipper

Carriers liability is basic.


Third parties can insure cargo.

FREIGHT DEPARTMENTS

QUOTING: Gets rates for the customer. Identify the best modality or service to meet customer’s
needs.
DISPATCH: Contact shippers and receivers. Issue BOL. Schedule Pus. Obtain PROS
CUSTOMER SERVICE: Track and Trace. Follow up In Transit.
ACCOUNTING: Document Retrieval, Accounts Payable or Accounts Receivable

Tell the truth. They know how it works. Is something happened, hours or something else
happened with the driver LET THEM KNOW.
Use the TMS as much as possible.
Call a Driver frequently, but if its not important do no call less than an hour ago.

TL/FTL: FULL TRUCKLOAD


- Business to Business
- Dock to Dock
- Transit times are often accurate.
- Allows pickup and delivery appointments.
- 2 free hours of loading

Best way to transport large shipments.


Ideal for high risk or delicate freight or time sensitive shipments
Shipment remains in the same truck from point A to point B.
Considerably faster than LTL, great for high consumer
Due to its nature, it cannot pickup or deliver to residential areas.

- 1 Customer, 1 Order, 1 Truck


- Full capacity without exceeding limits 44,000 lbs
- Allows multiple services without increasing the final cost.
- Rates based on distance, routes and equipment availability.
- Rate agreement and confirmation required.
Not between us and client, Between Freight broker company and Carrier!! The
negotiation is with the carrier! The customer will pay in full.
- No freight class required.
- One quote can be applied to several orders.
- Rates can be negotiated.

DOCUMENTS AND PAPERWORK:

- BILL OF LADING Contains main information about the freight, cargo, addresses,
names, destination. Between Carrier and the Shipper.
There is no Customers name unless it is a shipper or consignee. If customer is not
manufacturer the name will be the company manufacturing the goods.
Middleman, between Carrier and Customer.
Third Party Freight charges bill to: Our company’s name.

Detention, charge that we pay if driver has in and out times.


- PROOF OF DELIVERY Just for the receiver to sign since they are the ones interests on
the delivery.
OS&D Overages, Shortages and Damages. Proof of what happened.

- RATE AGREEMENT
- SCALE TICKETS Weight tickets from a scale certified.

EXTRA SITUATION ON THE ROAD:


- EFS or TCH-CHECK: Electronic check. Empty, we must provide the number Money
Code.
- COMCHECK
- We can clarify we do not offer that.
- If not offered, does not matter.
- Importance of receipt
- If they do not send any information about it there is no way to pay that

Additional Services and Charges:


- TONU: Truck Order Not Used. Cancellation fee, canceling a truck that was committed to
the order already. Penalty
- DETENTION: Extra fee paid to the carrier when the driver is being detained at the
shippers or consignee’s facility after the 2 free hours
Loading/Unloading
Rates vary from Carrier to Carrier (charged per hour)
Tracking Team, tracking assistant we will notice first a possible detention get loaded or unloaded
in the first 2 free hours. If driver is late, we will not pay for detention. POD AND BOL has in
and out time.
30 minutes will charge you the whole hour (not 15 dollars)
APPOINTMENTS:
Specific hours to pick up or deliver. Exact hours
First come, first serve. Might be CONS or Shippers.

- LAYOVER: Hours that the driver was there waiting. Flat rate, there is no charge per hour.
(e.g., $250) Being on time, doing job. Layover and detention for too many hours…
Tonu, Detention and Layover cannot be paid with TCHECK OR COMCHECK
LUMPER:
- Charge for third party workers. Warehouse workers reimbursed for shippers or freight
brokers. Ask for LUMPER Receipt always!!
- Can be paid electronically.

DRIVER ASSIST:

T.W.I.C: Transportation Worker Identification Credential


Airport, Seaport, or Escort service in case the driver has no TWIC card.
Escort must be paid by us since the cargo must be picked up.

FUEL ADVANCE
TEAM DRIVERS
DROP TRAILER: Drops off something without driver being present. Floor loaded? Not
palletized.
HAZMAT SERVICE

BLIND SHIPMENTS FTL: (PARTIAL, LTL AND FTL)


Shipper does not want to let know the customer a third party was involved.
Very careful about BOLs, TMS will see the accurate information. Driver will have multiple
BOLs.
- Keep the shipping address or consignee address hidden.
- BOL: Can be altered to conceal the real addresses. Left blank or redacted.
- Can be very important to some businesses.
- Cannot know who the shipper or consignee is.
- Middlemen who request blind shipments in order to keep manufacturers or importers
from doing business with distributors, wholesalers, or retailers directly or vice versa.
- Additional charges and require pre-payment.
Disney, Amazon… Companies that don’t produce their own products.
Blind Drop: Directly to the customers addresses and remain concealed.
Blind shipment will only show the distributor’s address although it was done by
the supplier of that distributor (chain process)

Blind Shipments require multiple BOLs. Two BOLs are created one for the shipper one for the
consignee.

Double Blind: Neither the shipper and consignee know where the shipment is coming and
arriving to. (Not illegal)
Shipper only one blind: Dummy and original information
BOL, Blind one will go for shipper and Original for invoices.
Three BOLs will be need it if there is a double blind.

The Carrier will switch the BOLs when the shipment is in TRANSIT.
(Blind shipment, resale.)

HOURS OF SERVICE AND EXCEPTION

DOT: Department of Transportation


- FMCSA, Federal Motor Carrier Safety Administration. Regulates the hours of
service for all drivers.
- CMV, Commercial Motor Vehicle

Four Work statuses:


- Off Duty, Driver is doing something not related to work but included in it
- Sleeper Berth, 10 hours
- Driving
- On duty, related to his job but not driving.

1. Extend up to two hours for unforeseen situations.


- Due to weather conditions drivers can stop and rest.
- 11 hours of driving plus 2 more. No more than 14 hours a day.

2. 16 HOURS EXCEPTION:
- 16 Hours to the shift
- Local Driver
- Terminal nearby
- Exception 1 per week!!!

3. Personal Conveyance
- Truck to do personal errands. Personal life.
- Must be unladen, not pulling a loaded trailer.
- Cannot be performing work related activities.

4. Yard Move
- ELD Mandate, driving done in a limited access lot or yard can be performed in On Duty
status. (rather than Driving status.)

PENALTIES:
- Shutdown:
- Assess Fines
- FMCSA Penalties from $1.000 to 11.000 (carrier411, to review carrier’s reputation)
- Downgraded for pattern violations.
- Federal criminal penalties

SOLO DRIVERS
- Need to take his DOT Break.
- Truck will be stop during the break.
- Orders without due dates or with long lead times

TEAM DRIVERS
- Nonstop.
- 2 Drivers, 1 Truck
- Time sensitive orders

Contact shipper to accelerate the process.


Drop trailer and pick it up tomorrow, Drop off trailer.
Shipper’s space to stay overnight.
Changing the driver if one Driver is at precons running out of hours.

POSITIONS WITHIN FTL

Appointment Setting:
- Identify Pick Up and Delivery Information = Tendered
Appointment confirmation Number if required.
Very careful when we are scheduling appointment.
Schedule appointments depending on the importance of the cargo, food, medicines, etc.
Prioritize the cargo that needs to be dispatched immediately.
- A dispatcher cannot dispatch without an appointment set up and a driver assigned to it.
Specific hours
First come, first served.
- Organize their day to set up the appointments.
Understand type of facility, specific or FC/FS.

TENDERED (Load status): Load that came without appointment, pick up or delivery
one.
EDI: Electronic Data Interchange
Connect systems through EDI to receive all the information right away. Useful for
customers that handle a lot of cargo.

Numbers to identify the cargo for pick up: Every Facility has its own ID number.
TMS ID or LOAD NUMBER: Identify the shipment on TMS.
ORDER NUMBER: Given by the shipper
PO NUMBER: Purchase number, good identifying cargo
BOL NUMBER: Sometimes BOL NUMBER and TMS are the same Number. Shipper has a
copy of BOL so they can compare both.

PICK UP PROCESSES

LIVE LOAD: Driver must be present during the loading process.


PRELOAD: Trailer already loaded, Driver only needs to be attached, already loaded for pickup

LIVE UNLOAD: Driver present


DROP: Trailer to be left and pick up later as soon as unload has finished.

TIMES TO KEEP IN MIND:


- Window Time = Time where the driver will be allowed to pick up the cargo
- Transit Time
FTL: Works 24/7, fee to work on the weekends.

APPOINTMENT CAN BE REQUESTED:


- Over the phone, small facilities (may not have website or emails0)
- Website, able to see calendar and select from there availability.
- Email

FTL TRACKING

- Prevent over-calling.
- Be sure to review the load prior to making your tracking calls.
- Careful about precons
Parties involved:
- Customer
- Sales Representative (Middlemen when reporting inconvenience to customer)
- Track and Trace Agent, not able to talk directly to customer.
- Carrier Representative finds carriers to cover loads. Books the load, sends rates,
dispatches trucks, and solve daily operational issues.

LIFE OF THE LOAD:


OPEN: No Broker assigned to load
RESERVED: Broker has been assigned, looking for carrier. Negotiations started.
COVERED: Rates sent; load covered. Negotiations finished.
DISPATCHED: Driver already assigned to cargo. Driver must be empty, will call to be
dispatched.

Driver must be empty, in order to dispatch them.


Driver in line, does not mean they are being worked out. Too many drivers in line, talk to the
shipper to ensure driver is on time. Educate them to call back in case of any inconvenience.
Trailer inspected and equipment confirmed. Confirmed loaded. Confirm trailer must be cleaned.
Everything that was discussed with the shipper and customer must be confirmed. TMS will have
that. Everything!!! But money.

CONFIRMED LOADED AND SEALED – PADLOCK ADDED.


Padlock number must be added to BOL, Padlock must arrive intact to the receivers. Driver
cannot open that Padlock.

- Call at regular intervals, not necessary to call them. Macro point to track them.
Not all of carriers offer that. Drivers GPS, Macropoint.
Ask, can we track your driver using Macro point?

Pulling into the receiver: Same questions when loading and unloading. How many drivers are
ahead of you?

- PICK UP OR DELIVERY REFERENCE NUMBERS

Tracking could be: (Advise, always try to reach the driver first.)
- Over the phone
- Email updates

A soon as truck is loaded you can ask for an ETA time for delivery.

IN TRANSIT:
- Make check calls at regular intervals!
- Double check delivery address
- Ask for delivery ETA.
- Make a final call at least 1 hour before the delivery time to confirm it is all good.
TRACKING OF DELIVERIES:
- Truck on site, call on intervals to make sure there are no issues.
- If truck is unloaded get in and out times.

FURTHER INFORMATION ON CHAIN OF SUPPLY

BOL: Ownership document, shipper is giving away the property of the cargo or freight, to be
dispatched to the receiver.
- Distribution center BOL will be asked.
- No distribution center will only ask for PU#. Pickup number

Dispatcher calls: are done quick. Only driver’s info (Driver’s number to be asked if we do not
have it) to be asked and general info as well.

Driver’s Calls: More detailed information, ask more questions. Driver will not lie to you.
Dispatchers normally will not give Driver’s info, so call the Carrier. Carriers handle more info.
10-10 min to call the drivers if not, call the dispatcher.
