The satisfaction that accompanies the successful completion of any task would be incomplete
without the mention of people whose ceaseless cooperation made it possible, whose constant
guidance and encouragement crown all efforts with success. Therefore I would like to recognize
the following; I thank the Almighty God for the gift of life, strength knowledge and skills I have
acquired. I praise Him for this wonderful opportunity that I have to achieve another level of
education and professionalism. My regards are invaluable to my supervisor Prof Constantine
Nyamboga for his consistent checking my progress in the system development. My classmates
for their encouragement and support. My family members for the continued moral and financial
support. The use of Information Technology has been identified as one of the means suitable for
supplementing the various reforms in convalescing the performance of the e-justice sector. The
Government of Kenya has made strides in the implementation of e-justice to effectively utilize
Information and Communications Technology.
ABSTRACT
With the steady increment in the cost of quality education, learning has been left as preserve for
the well to do leaving needy but bright students in a helpless situation leading to increase in the
number of school dropouts. There are several organizations in Kenya offering scholarships to
students but there are still thousands of students who cannot get access to the scholarships either
due to ignorance on their part or corruption that might be existing within the organizations. No
one knows if the criteria being used to select students who qualify for scholarship is being
followed to the latter. Many times it has been noted that needy students miss out chances of
getting a scholarship while those students who are not so needy qualifies for the same
scholarship. Scholarship must be awarded on an objective and nondiscriminatory basis. The
group of applicants from which the recipients are selected must be sufficiently broad as to be
considered a charitable class. One of the challenges that organizations face is an organized
manner of mapping out the targeted recipient and offering scholarship in a nondiscriminatory
manner .The main objective of this project is to research on how students can get the scholarship
and how to develop a scholarship management system that will provide fair and equal
opportunity to students in need of those scholarships, the most essential details that will be
captured during the mapping exercise is the name of the student, age, sex, marks attained during
KCSE, family background in terms of income and employment status of the parents/guardian or
if the student is an orphan or being raised by a single parent. The target group for the collection
of data will include Engashura location in Nakuru North sub-County. The design tools to be used
include a point system and case diagrams.The online system will make great use of the internet
technology with database, which will capture, organize and store records of applicants. The user
graphical interface will be designed using PHP and HTML. The scripting languages of Css and
java script will also be used; MySQL will be used to create the database. The designing tools to
be used may include the DFD, Use Case diagram, ERD, the access to the system will be
permitted through use of a password. In conclusion this system will solve a number of problems
faced by scholarship fund committee.

INTRODUCTION
1.1 Background of the Study
A system is a group of elements or components joined together to fulfill a certain function.
Management information system according to [CITATION GUP12 \l 1033]. Management
system: A management system is defined as an assemblage of facilities and personnel for
collecting, processing, storing and retrieving of information required by managers in the
performance of their functions by [CITATION SAL11 \l 1033]. Online scholarship fund
management system is a computerized system that is used to manage distribution of funds.

The Nakuru sub-county constituency is an electoral constituency in Kenya within Nakuru


County. It was established in the 2013 election, the constituency population is estimated at 72845
and an area square of 1959.59km square.[ CITATION Thu14 \l 1033 ] The Nakuru sub-county
constituency scholarship committee is consisted of 16 members, while forming the committee
the 1/3 gender rule is observed. Among the committee are representatives of the disabled and the
youth.

The process of applying scholarship in Nakuru Sub County is too tiresome. Following my
observation that i encountered, there are so many students who lose hope pursing there career
due to lack of fees although there are so many scholars who are willing to take career of needy
students but due to lack of clear identification of the background of the needy students and also
many students don’t know where to go and apply for scholarship hence making some to loses
hope while searching for scholars offices. For the few students who gets form for applying for
scholarship they have to visit up various offices in order for them to get the form stamped hence
making them to take a lot of time searching for chief offices and the pastors offices with them
carrying brown envelop. After successfully submitting your filled form you have to wait for long
time to get the feedback addressing you if you were consider in the scholarship program but for
those who did not get and opportunity they are not being notified. Unsuccessful applicant will
have to wait for the next time of which they don’t know if there will be another chances to apply
for scholarship because they will keep on reading on notice board to check on the date to apply
for applying for scholarship and if the opportunity comes again they have to follow a long
procedure of applying again because there previous documents was discarded and it won’t be
easy for the organization to check back all applicants who were not considered on the last
applications.

1.2 Problem Statement


The existing system do not inform students whether they qualified for the scholarship, some
waits until the whole process is completed that’s when they know their application did not go
through.

The existing system does not offer platform for applicants to register online also most students
do not know when it’s the right time to apply

The existing system do not track students behavior and performance in school which may result
to student not performing well ending up wasting resources which could be have been used by
another bright pupils/students.

The existing systems do not allow the student upload their profile and sign for the period they
should be given scholarship fund

1.3 Proposed Solution


In the proposed system, students who have applied for the scholarship program will be notified
earlier whether they have secured a position for the scholarship program. However this system
will help student to know how to apply for scholarship by accessing the system easily over the
phone through internet. Also the students will have to take less time in uploading there details by
just submitting it hence providing the scholarship team to get to know amount to distribute to the
scholar’s. And the system will stores the applicant records in the database hence no need of
applying yearly same record.

1.4 Objectives
1.4.1 Main Objectives
The main objective of this research proposal is to develop online scholarship management
system that manages student records. Processing and notification of scholarship award hence
minimizing time wastage.
1.4.2 Specific Objectives
I. To develop a system that will allow students to register and get quick access to readily
available and reliable information about the appropriate time for applying scholarship.
