SCP (STUDENT COUNSELING PROJECT)
ABSTRACT:
Ivas solution Pvt limited is a education institute providing training on Oracle products. The process
involves enquiry, enrollment, Inviting new students for the new batch, fee collection and preparation of
monthly and quarterly collection reports. Currently all the above mentioned processes are done manually.
Detailed steps involved are :
A student walks in and fills up the enquiry form. The enquiry form contains the student details
like name, address, email address, mobile no, course preferred and preferred batch timings etc.
Once the students fill the enquiry form, the counselors will counsel them by giving details of the
course and duration etc
The result of the counseling
1. Student may get interested in the offered course and will be ready to take the demo class
immediately
2. Student is interested but may not ready to take up the demo class immediately due to
various reasons.
If the student is ready to take the demo class and he is satisfied with the demo class he will get
registered by either paying nominal amount or full fee payment
If it is part payment the counselors has to follow-up with the student on the date specified by the
student when he is registering.
If the student is not interested to attend the demo class immediately then counselors will follow –
up with the student whenever there is a demo of the course for which the student is interested. To
do this the counselors are filling the enquiry form course wise
Once a student is registered for the course he/she is interested, then in the enquiry form filed by
the student will be marked as registered
The counselors are also responsible for preparing monthly / quarterly collection report.
Validity of an enquiry form is 3 months
Whenever there is a follow up with students the feedback from the student will get updated.
Sometimes the cycle is not getting completed i.e. marking of enquiry form if the student is
registered
Following up with the students for fee – this is person dependent not process dependent
Following up with students who attended the demo is manual
Preparation of reports is time consuming.

Difficulties Faced in the current system and the solution from the proposed system
Sometimes the cycle is not getting completed i.e. Marking of enquiry form if the student is
registered – proposed system starts from the enquiry form entry and ends at counselor’s feedback
for closing the loop. Hence one can’t miss the steps in between.
Following up with the students for fee, this is person dependent not process dependent –
Proposed system will give reminder if the fee collection is not done on due date.
Following up with students who attended the demo is manual- With the help of proposed system,
once the enquiry form is updated, its easy to do a follow ups for those who attended the demo and
got registered.
Preparation of reports is time consuming- Proposed system will generate different combination of
report which will be more comfortable to understand and user friendly.
This High Level Design is with respect to iVAS counselor Project. With this application the
counsel process can be automated.

DB Setup:
1. Install Oracle DB 10g and Oracle Developer 10g in different homes or on different servers.
2. Create a schema “PHARMA_SSK” on the DB server and grant required roles and privileges.
create user PHARMA_SSK identified by <password>;
3. Create the DB structure by executing the “pharmatble.sql” script file which create tables,
constraints and other DB objects.
Application Setup:
1. Load form module files (.fmb) to Application server where Oracle Developer 10g is installed.
2. Compile the forms source code to generate executables (.fmx). frmcmp command or form builder
may be used for the purpose of compilation.
frmcmp userid=<user_id>/<password> module_type=form module=<form_module name along
with source location path> output_file=<form_executable name along with destination location
path>
3. Start the OC4J instance on the application server and ensure HTTP server is also running and
query for the port number. (By default the port is 8889, check for availability of the port)
Client Setup:
1. Ensure Oracle application server support web browser (MS IE, Netscape Navigator or Mozilla
Firefox) installed on the machine.
2. Install JInitiator 1.3.1.22 and give permissions to this service on the browser.
3. Manage the firewalls if any between the server and client so that http services are not blocked.
4. Access the main form by typing the URL of the form.

5. Can create a .cmd or .bat file to run explorer with this URL and use it as a desktop icon for easy
use.

Conclusion:
The project is developed in a user-friendly manner. It is developed in such a way that a person without
any prior knowledge of the computer can handle the System with little training. Initially the entire
procedural flow of the System is represented diagrammatically in the form of er and uml diagrams. All
the data is stored in the form of tables. These tables are normalized to reduce the problem of
inconsistency and redundancy. To perform operations on the database, different forms are designed and
developed.
The project Student Counseling Project is used to monitor the details of the educational Institutions. This
software helps to monitor all the details of the employees, customers, maintain the database of each
customer, financial details of the company etc.
The Student Counseling maintains their database efficiently depending up on the operations performed on
it. Administrator can customize the property information of the society. Administrator can perform the
actions of create, edit, delete and update the details of the community management. This software is
mainly used for data consistency. The plan is to offer SCP as a software service in later versions.
