Yardi 101
I. Module II Overview

Yardi 101 Manager Module II will introduce FCM Learners how to complete a move in from the
Community Manager’s dashboard.

II. Completing a Move In

The Resident Activity tile on the dashboard will show any move ins for the current day or past due/
exceptions. To complete a move in, you can click on the number link listed next to move in or you can
locate the move in on the calendar on the dashboard. All activity scheduled for each day must either
be completed or rescheduled (adjust dates).

If the lease has not been executed, you can click on the resident name and complete the final step in
the guest card or you can click Execute Lease from the dashboard. This will take you to the final
Leasing Step “Application Status” where you will see the Execute Lease function.

Prior to clicking on the Execute Lease button, ensure that the unit that has been assigned to the
Approved Applicant is the correct unit. This step will commit the unit to the Applicant’s t-code.
Now that the lease has been executed, you will see the Resident Screen. The status will be changed
to Future in this step and the t-code will be created.

You still have access to the Guest Card- you can click on the P-code (directly above the Future
status) and it will take you back to the Leasing Steps. If the Future resident wishes to select a
different unit- you must cancel the move in by clicking on the Function scroll and choosing Cancel
Move in. This will show as a cancel on your weekly report and you will need to re-apply in order to
choose a new unit.

You can adjust the move in date and view move in and prorate calculators by clicking on the Function
scroll at the top of the resident screen.

The Move In Calculator will show you a breakdown of all of the prorated charges that will occur at
move in. These charges are rent and any typical move in charges that were loaded into the set up of
your property. If your property has a fixed charge based on the size of the unit (ex: all 2 bedrooms will
be charged $40 for water each month) you can request that Systems Training load these fixed
charges in so that they automatically appear in the move in screen. Any of the charges that appear
and that are greyed out as shown below are charges that were automatically added based on the
information entered in the guest card. You can add charges by clicking on the checkbox next to the
line item and entering a move in amount. If you want to add more detail to the charge you can edit the
description field to add more information.

When you are finished, you must click Save. If you have not entered the resident’s renter’s insurance
information you will receive a warning message reminding you to enter their insurance prior to move
in.
The Prorate Calculator is a one- line calculator that gives you the ability to quote someone their move
in amount but does not break it down by charge code or allow you to include any one time fees such
as Pet Fee or Security Deposit.

You must enter renters insurance prior to completing the move in. The system will not allow you to
post any move in that does not have renters insurance and renters insurance cannot be backdated.
Move ins cannot be “held/not posted” due to the move in not having proof of insurance. You must
enroll them in the master policy and those premiums cannot be adjusted or waived. Anyone enrolled
in the master policy must have the correct information listed in their lease agreement, including the
monthly lease charge. Go to the Data scroll in the resident screen and choose Renters Insurance
Interface.

• Renter’s Insurance is mandatory on all properties- the resident must either provide a third-
party Certificate of Insurance (COI) which includes a minimum of $100,000 in Liability and lists
the property as “Interested Party” (This is an important step since it will notify the property if the
policy is in default).
• The policy must start on move in day and the resident must provide us with the certificate on
or before move in. If the resident does not have their COI on hand at move in, we MUST enroll
them in the Master Policy. The Master Policy is Liability Only and does not cover their personal
belongings.
• The cost will vary by community and once enrolled, the lease charge will automatically prorate
at move in and charge each month. If the resident wishes to purchase a conventional policy
that covers their belongings through Resident Shield you can provide them with a brochure
that will direct them to the website to get rate information based on their coverage. If they
choose to purchase a policy through Resident Shield they are guaranteed approval and will
never have to provide you with a COI since we are notified of their coverage automatically
upon enrollment.
• To enroll in the Master Policy (liability only) click on Enroll in Master Policy.

The policy begin date would be move in day- no exceptions. We cannot back date or post date a
policy. The Satisfies Move In Requirement and Property Is Interested Party boxes need to be
checked and then click Save.

You can print off a policy certificate to provide to the resident or place in their file.

If the resident has a third-party COI (ex. State Farm, Allstate etc) you can enter it by clicking on
Create New Policy. The COI must show $100, 000 in liability, property listed as an interested party
and begin on move in day. Make sure check the Satisfies Move In Requirement and Property is
Interested Party boxes and click Save. You can then upload their COI as an attachment in Yardi. All
office staff must complete the required Renters Insurance training in FCU.

You will need to get an updated COI each year upon expiration and can check the Renters Insurance Dashboard (side menu) to see
policies that are set to expire to help you monitor them. Once their insurance is entered, you can proceed with moving them in.

You can do a person search from the dashboard or you can go to the Resident Activity Tile on the
dashboard and click on the move in link to locate them.

If you click on the Move In box it will take you directly to the move in screen, we recommend you click
on the resident’s name and review their resident screen first to ensure all data is correct. Doing this
will take you to the Resident Screen where you can verify move in/lease begin and lease sign dates
match and preview the move in calculator. If you need to adjust dates you can click on the Function
scroll and Adjust Move In Dates.

All of the standard move in charges will be greyed out, you have the ability to add lease charges by
clicking on the checkbox for the line item and add the amount under Move In Amount. Once you are
ready, choose Move In from the Function Scroll. When you Post the move in charges it will change
the status from Future to Current resident.

Note: Charges posted on the move in screen should be for the move in month only. Do not add future
month concessions on this screen. Ex-. A move in on the 28th of the month paid for the prorated rent
and also the following month’s rent. Do not charge up the next month’s rent on the move in screen.

You can now review their lease charges to ensure they are set up properly and set up any recurring
lease charges- such as a monthly fee for pest control. Current lease term rent, rentable items and
utility charges should not have an end date. Concessions should always have an end date. These
rules change a little when you are looking at a renewal’s lease charge history when changes have
occurred but it is cut and dry on the move ins.
