Activity 1

A.C1.1

1- To satisfy government legal requirements.

Such as insurance (GOSI) this require needs data of number of employees, salary
information and payments to saves the organization from legal issues.

2- To keep the employees information and details updated.

Such as employee's sickness, absence, turnover and dissatisfaction from exit


interviews.
This data allowed as to setting the certain position, comparing and upgrading the
qualifications and job description. Therefore, the details must be without any
mistakes so the organization can be improve employee's performance, solving the
problems of the employees.

1- Legal regulation: the practices are fair, consistent and treatment of employees
incorporates the health and safety.
This type of data dependant on the legal regulations the organization need to be
monitor.

2- Organization record: managed the organization to make informed decision.


This type of recording data is essential to monitor absence levels and recruit.
To make sure productivity is increasing and the employees are getting to highest level
of efficiency through the learning and development all activities.

1- By Paper Files: HR using the records in paper files and stored in the folders manually
and keeping it in locked cabinets.
The paper files can be reach so easily if the files were arranging, controlling and
organized well within hr.
We are using the ID number files of the employee and we can found the information
we needed so easily.
It also so cheap compering of the electronic system and most of the record and
information needed are saved in the computer.

2- By systems: as a HR we are dealing data by locked in ADOO system at

In addition, it has high level of security.
The system can safe time on filling and searching to find information.

1- “The Data Protection Act”: all the information in the company must be
confidential, privileged and securely stored.
If we not do it, we will lead us to financial sanction.
The employee have the right to see all the information he/she has and if it will be
any issue with the information he/she has the right to object to it.

2- “Freedom of Information Act 2000”: in our century are deferent for some century
but I the feels at the same way.
We cannot ask or given any information about our good government to just
seeing or to gain knowledge, it must be a reason for it.
On another hand there are some tricky website ask or request about our
information they start ask random question and in the middle, they will ask about
the personal information.
The purpose of that are getting money and start business with large data or steal
money by take the personal account but this kind of people are few and the
government are always fight them this hard to believe.

Activity 2

Introduction

The company is at the beginning of its development and growth, so it is difficult to make a
survey for employees in terms of employee absence.

However, if we want to talk about at the time of the beginning of the Corona Virus (Covid-
19) pandemic from the date of February 2020.

In general, in the Kingdom of Saudi Arabia, strict and strict decisions taken in attendance and
prevent all employees from coming to work for government departments, companies and
institutions, and all with regard to the employers themselves and the imposition of fines if it
turns out otherwise.

Since that time, some companies and institutions have begun to innovate new and
contemporary methods and use the best available technologies to ensure that customers are
not lost, the facility operated, remote work and access to the customer.

On the other hand, some companies and institutions were unable to continue working and
forced to close the facility completely, which led to the dismissal of existing employees

However, in a beautiful initiative presented in that difficult time by our government and our
wise leadership by proposing not to dismiss any employee working in the private or public
sectors and to automatically enter the (Saned) system to help them at the time in pandemic of
Corona Virus (Covid-19).

After the total ban on companies and institutions implemented.


The situation of employees who did not work it that time they all have been transferred to the
Saned system to make value of their salaries and take care of their needs.

So what is the Sand system? Are taking care all Saudi worker and his/her family during the
period unemployment of time.

Our company, at the time of a pandemic, dealt with absence in a positive way so that it did
not dismiss the employees, but rather did remote work on all employees because we were
working in the field of training and here you have many platforms that allow remote work
such as Zoom, Team, Blackboard at the Institute, etc.

Time Card, and First and Last, First in Last Out)

 In the beginning of my work before the pandemic of Corona Virus (Covid-19) we did
not had a system papers and files for absences.

 At the time of the pandemic, from 2020 April there are a way that we can inter into
the lecture by notification of its time, and then we do the preparation process and
calculate the absences to ensure that the coach reaches the coaches

Of course, this information is incomplete because there is no organization in terms of absence


that was able to collect all the information.

But from a personal perspective, we find that the total absence has increased significantly in
terms of the large number of vacations such as annual leave, sick leave and compensatory
leave.

Conclusions

One of the most important duties of human resources is to always inform the
employee of the latest details, guide him and support him in difficult times so that
he does not cross the red line and destroy everything he owns without knowing
about future risks.

Recommendations

The most important need is for employees to understand the types of leave,
understand the cost to the employee and to each company, and review its
decisions, especially the use of annual leave, because using it incorrectly may
cause damage to the employee, reverse to enjoying it.
