EXPERIMENT #3: LONG DOCUMENTS

Experiment #3A: Applying Style


Procedure:
1. Click in front of the first word, Bicycles, to place your cursor there.

2. Make sure the Home tab is selected.


3. In the Ribbon, click the Styles Window icon.

When the Styles window appears, click Heading 1.


The word Bicycles should now look like this:

4. Click in front of the word Overview in the second line.


5. In the Styles window, click Heading 2.

6. Save the document on the desktop as Bike Fun.

Experiment #3B: Creating new styles


Procedure:
1. Scroll down about 2/3 of the way down the document.
2. Highlight the words: The Cozy $$

3. Make this text bold and italic.


4. In the Styles window, click the New Style button.

5. When the Create New Style From Formatting window appears, type: Restaurant Name
in the Name box.

Then click the OK button.


Restaurant Name should be listed among the styles.

6. Highlight Friscos $.

7. In the Styles window, click the Restaurant Name style.

This should apply the Restaurant Name style to the text.


8. The text Friscos $ should now look like this, bold and italic:

Experiment #3C: Modifying styles


Procedure:
1. Scroll back up to the top of the document, and highlight the word Overview. The Heading
2 style should be selected:

2. Make the text Arial.


3. In the Ribbon, put your cursor on Heading 2 and right-click the drop-down arrow that
appears to the right of it.

In the menu that appears, click Update Heading 2 To Match Selection.

4. Click on the page to deselect the text. The text should look like this:

5. In the Bike Fun document, apply the Heading 2 style to the text: What to Ride, Where
to Ride and Where to Eat.
6. Apply the Restaurant Name style to the text: The Orchard $$$
7. Change the Restaurant Name style so it's not italic. Hover your cursor over the
Restaurant Name style, then click the drop-down arrow that appears. In the menu that
appears, click Modify.

When the Modify Style window appears, click the Italics icon to un-italicize it.

Then click the OK button.


When you're done, it should look like this:

8. Close the Styles window and save the document.

Experiment #3D: Find and replace


Procedure:
1. Place the cursor at the beginning of the document.
2. Make sure the Home tab is selected. In the Ribbon, click Find.

3. In the search box in the Navigation window, type: ride

The word ride should be highlighted in the document.


4. Place the cursor at the top of the document.

5. In the Ribbon, click Replace.

6. When the Find And Replace window appears, type: Frederick in the Find What textbox.
7. In the Replace With textbox, type: Historic Frederick.
8. Click the Find Next button.

The first instance of Frederick is highlighted.


9. Click the Find Next button twice. Frederick County has many good restaurants, is the
next text found.
10. Click the Replace button. The word Frederick should be replaced by Historic
Frederick.

11. Close the Find and Replace window, then the Navigation pane.
12. Save the document.

Experiment #3E: Set Tabs


Procedure:
1. Highlight the three lines under Typical check for one person.

2. Click the View tab.

Then make sure the Ruler checkbox is checked.

3. Click the Left Tab icon to the left of the ruler.

It should change to a Center tab.

4. Click the Center Tab icon. It should change to a Right tab.


5. Click the Right Tab icon. It should change to the Decimal tab.

6. Click 5 more times on the Decimal icon. It should cycle back to the Center tab.
7. Place your cursor at 2 inches on the ruler, then click.

A Center tab should be set, with the typical check prices centered vertically on the tab
marker.

8. Place the mouse pointer on the Center Tab marker, then drag it to the left 0.5 inches so
it rests on 1.5.

The check prices should move closer to the $ symbols:

9. Move up in the document and highlight the three lines under Speed.
10. Set a right-aligned tab at 1.5". The page should look like this:

11. Save the document.

Experiment #3F: Insert breaks


Procedure:
1. On the first page of the document, click in front of the word Overview to place your
cursor there.
2. Click the Insert tab.

3. In the Ribbon, click the Pages icon, then Page Break.

The word Overview should move to the next page.

Section breaks
Section breaks allow you to format different parts of a document differently. By
breaking up a document into different sections, you can apply different page numbers or
margins to different parts of the same document.
4. In the text: What to Ride, click in front of the W.
5. In the Ribbon, click the Page Layout tab.

6. Click Breaks, then click Section Breaks/Next Page in the menu that appears.

7. What to Ride should move to the next page.

8. Insert a Next Page Section Break before each of the following headings: Where to Ride
Where to Eat
9. Return to the first page of the document.
10. Click the Insert tab. In the Ribbon, click Header.

In the menu that appears, click Blank.


11. The Header area should appear:

12. In the Header area, click [Type text], then type: Bicycles

13. In the Ribbon, click Page Number.

When the menu appears, click Bottom of Page, then click Plain Number 1.
The page number should be visible at the bottom of the page.

14. Save the document.


15. View the Header area.
16. In the Design section, check Different First Page.

The header (and page number) should disappear from page one.

Using different headers/footers


For long documents like manuals and proposals, you might want to give each
new section (or chapter) of the document a different header and/or footer. If a section
break has been inserted at the beginning of each new chapter, you can create different
headers and footers for each chapter.
17. Double-click outside the header to close it.
18. Go to the second page of the document.
19. Double-click the header to view it and highlight the word Bicycles in the header.
20. Type the word Overview to replace Bicycles.

21. Move to the third page of the document. The Header area on page 3 should indicate
Section 2. Section 2 is the What to Ride section of the document, but its header still says
Overview.

22. Click in the header.


23. In the Ribbon, click Link to Previous to de-select it.

24. Change Overview to What Bike to Ride.

25. Go to Section 3, Where to Eat.


26. Change the Header for Section 3 to read Where to Ride Your Bike. TIP: In the Ribbon,
click Link to Previous to de-select it.
27. Change the Header for Section 4 to read Where to Eat After Riding.
28. Click outside the header to close it. Each section should have the correct header.

29. Save and close the document.
