College Inquiry Chatbot System Department of Information & Technology

ABSTRACT
This System will provide answer to all the queries of the student. Students just
have to query through the bot which is used for chatting. Students can chat
using any format there is no specific format the user has to follow.

The user does not have to personally go to the college for enquiry. The System
analyses the question and then answers to the user. The system answers to the
query as if it is answered by the person.

The system replies using an effective Graphical user interface which implies that
as if a real person is talking to the user.

The user just has to register himself to the system and has to login to the
system. After logging user can have access to the various helping pages.

The user can query about the college related activities such as date and timing
of annual day, sports day, and other cultural activities and many more things.
This system helps the student to be updated about the college activities.

How is this project beneficial to us?

 User does not have to go personally to college office for the enquiry.

 This application enables the students to be updated with college cultural

activities.

 This application saves time for the student as well as teaching and non-teaching
staffs.

1. INTRODUCTION
Design engineering is an initiative taken by Gujarat Technology University in this
direction with the help and guidance of the professors of IITs and the GTU
Innovation Council we are looking ahead in moving on the path of innovation. so
now let’s understand, what is design engineering..?
Design is a plan of a system, its implementation and utilization for attaining a goal.
It is to change undesired situation into desired situation means to find solution for
undesired/uncomfortable situation. ... Designing means evolving goal oriented
processes.
Design Thinking is a methodology used by designers to solve complex problems,
and find desirable solutions for clients. A design mindset is not problem-focused; its
solution focused and action oriented towards creating a preferred future. Design
thinking draws upon logic, imagination, intuition, and systemic reasoning, to explore
possibilities of what could be—and to create desired outcomes that benefit the end
user.
“Design-thinking firms stand apart in their willingness to engage in the task of
continuously redesigning their business…to create advances in both innovation
and efficiency—the combination that produces the most powerful competitive
edge.”
—Roger Martin, author of the Design of Business

Team Profile:-
Team members are
1. Surabhi Varma: Good in programming and technical skills.
2. Suthar Chintan: Have innovative and creative ideas.
3. Bhumika Chaudhari: Good in creative art and drawings.

2. OBSERVATIONS
Understanding the problem of society is one of the biggest challenges for
engineering student as till now they were making project on imaginary ideas. On the
first day, we got the basic knowledge of design engineering. What is design
engineering and why we need design engineering? How this subject will be useful
to the student? All this questions has been cleared properly and also that how this
activity will be useful in design engineering.
These are the steps of the project or problem. In this canvas, you have to find out…
 What is user to your problems?
 What is Environment of your project?
 What are activities?
 What is objects and Interaction of your problems?

These are the 1ststep of the Project or Problem. List out all these things and make
an AEIOU Canvas, it is the basic action of Design Engineering. It will help you to
know about your problem or project.

2.1 Activites
Activity is a basic step to understanding engineering design. We have observed user,
of this system they are performing following activites. So our activity canvas is as
below:

Fig 1 Activity canvas

2.2 Environment
Environment is an also important part of the observation; it has also effect on the
users and activities. In our project, as it is website it can be accessed from any place.
So our environment canvas is showing some as below:

Fig 2 Environment canvas

2.3 Interaction
Interaction is a kind of action that occurs as two or more living and Non-living things
have an effect upon one another. The idea of a two-way effect is essential in the
concept of interaction. There are some examples of interaction that will tale place in
our system. So our Interaction canvas is as below:

2.4 Objects
In this part we have noted down all the objects that are related to our system. So our
object canvas is as below:

Fig 4 Object Canvas

2.5 Users
Users are the person who will interact with the system. So our key users will be
Admin and Customers. So our User canvas is as below:

2.6 AEIOU Summary Framework

In this canvas we have covered summary of AEIOU canvases. The canvas is as given
below:

3. Mind Mapping
A mind map is a graphical way to represent ideas and concepts. It is a visual thinking
tool that helps structuring information, helping you to better analyze, comprehend,
synthesize, recall and generate new ideas. Mind mapping is a simple technique for
drawing information in diagrams, instead of writing it in sentences.
All that mind mapping is a way to get all ideas in your head down to paper.
A mind map is a diagram used to visually organize information. A mind map is
hierarchical and shows relationships among pieces of the whole it is often created
around a single concept, drawn as an image in the center of blank page, to which
associated representations of ideas such as images, words and parts of words are
added.
Our mind mapping canvas is as below:

4. Empathy Mapping
Empathy Map is the canvas where designer has to observe and understand the
emotional need of the user and on the basis of empathy of user he will think of the
solution. An Empathy Mapping is a tool which helps us to summarize our
observations and take out unexpected ideas with no restriction and any bound. It is
used to deliver better user experience of system/service/product. The discussion will
be center on what was observed and what can be inferred about these user’s group
belief and emotions.

5. Product Development Canvas

This exercise is meant for giving strategic orientation to the project of each team so
that it achieves its true goal as defined by previous canvas exercises.
This exercise is more about developing strategy for the proposed product/solution
design, after team has successfully attempted the ideation process and has
incorporated input from all Stakeholders.
So our Product Development canvas is as below:

Fig 9 Product Development Canvas

6. Learning Need Matrix

LN –Learning Needs Matrix will help students to identify the learning requirements
at an early stage along with prioritization of specific learning along with defined
time duration/ time allocation for each.
Identification will be focused with listing out Syllabus based and out of syllabus
learning & skill development.

7. Ideation Canvas
In the following canvas the focus would be on finding different ideas for solving the
predefined challenge.
So our ideation canvas is as follows:

8. PROTOTYPE
Users are able to confirm changes or elaborate upon the specification with the help
of the prototype. Software Prototype is a dynamic simulation. It should reflect the
user’s real task with appropriate scenarios. This will provide information on task
sequence operations and any difficulties which the user may experience.
