1 PROJECT MANAGEMENT AND COORDINATION DOCUMENTS

List of documents (DL)


A list which contains a record of all the documents associated with a particular project,
produced by the project leader, subcontractor or participant for their particular scope of
design or equipment supply.

The listing may be of a general nature or may be specific for a particular type of equipment
or document.

This definition includes print outs issued from the document management system of the
project.

Planning document (PL)


All planning and progress follow-up documents, are identified by this document code. They
include :
- project planning
- design
- procurement
- civil works
- erection
- commissioning.

Project procedure (PP)


Mandatory procedures issued to Participants, Consortium Members, Subcontractors and
Client as appropriate, by the Project Manager or the Project Engineering Manager, detailing
responsibilities, requirements and routines to be followed to assist in administration of the
Project.

Note of applicability (NA)


A note of applicability is a document used to condition, complete, or modify a technical
standard document to make it applicable to the specific requirement of a particular project.

Contract commercial document (CC)


A document defining commercial conditions and requirements.

Contract deviation notice (CV)


A document which sets out the purpose of a contract technical change request. It is
accompanied in appendix by a corrected copy of the relevant pages and, if need be, by
engineering report justifying the change request.

Design variation note (DV)


A document which is a notification of a variation to the design involving a change to budget
only. These variations are normally in the form of changes that do not affect the contractual
specification of the plant and do not involve a change to documents already certified for
construction.

Project report/document (CR)


This document type is used on a project and identifies project specific reports or documents
such as :
- progress reports
- monthly reports
- weekly report

for internal or external issue of project progress report.

Engineering report (ER)


A document used as the means of communicating the results of engineering studies. These
may be detail studies of a particular aspect or more general.

They are used as a means of expression and communication with the technical services of
the customer, his consulting engineer, participants or subcontractors involved in the project.
They are drawn up :

- to define general technical options


- to solve interface problems
- to propose technical alternatives
- to justify deviations from the contractual technical specifications
- to define an execution procedure
- to reply to technical matters in general

Engineering reports may also record significant pieces of calculations, tests or other
investigative work necessary to substantiate the design/arrangement of a system or
equipment.

Quality evaluation report (QE)


A report produced following a regular examination of a sub supplier on the Assessed
Suppliers List or a specific examination of a potential supplier as part of the assessment
procedure.

Design services specification (SS)


A technical specification for design services subcontracted to specialised companies
(execution drawings for civil works, steel structures, turbine-generator foundation block, etc
.). This document defines the scope, codes and standard, design requirements, quality
assurance requirements, document preparation and approval requirements and planning
requirements for the relevant design services.

Sketch (SK)
A drawing used to convey preliminary information, alternative proposals, etc... prior to
incorporation into a formal drawing.
A sketch will always be superseded by a formal drawing or deleted.

2 CALCULATIONS

Calculation necessary to support the design of a system or equipment formally recorded and
filed for future reference.

The calculation sheets are mainly related to :


- consumption
- transients
- design pressures
- pump equipment dimensioning
- piping definition and flexibility
- building structure (Civil Work, steel structure, ...).

Main calculation (CA)


The calculation sheet, produced specifically for submission to customers and/or other
external bodies (regulatory bodies, etc.), defining the basic criteria considered, the methods
and the results.

Detail calculation (DC)


Detail calculation for all equipment or system, produced for internal use only.

3 ELEMENTARY SYSTEM DOCUMENTS

System design manual (DM)


A manual is drawn up for each elementary system or group of systems. It sets down the
design basis, description of how it works and describes the instrumentation and control
loops. It includes the lists of the controls available to the operator and a description of the
analogue and logic control loops together with their logic charts.

Process flow diagram (PF)


A drawing containing an operation principle diagram issued for an elementary system or a
multiple function system. It shows the main equipment and indicates physical values
(pressure, temperature, flow, etc.) either on piping lines or in tables. Secondary equipment
and valves may also be shown and other physical values may be indicated for various
operating cases.

The diagram may also be issued in detail or simplified form depending on the information
required to be shown.

Process flow diagrams may include flow balance diagrams.

This code is used also for control mimics on VDU’s.

Piping and instrument diagram (FD)


A detailed engineering representation of a system showing in diagrammatic form all
pipework, ductwork, mechanical equipment, valves, controls and instrumentation. It defines
the functional codes of all equipment.

Analogue chart (AO)


A block simplified diagram representing the required modulating control loops, analogue
signal conditioning and indication for a particular equipment or system produced as a design
input to the control system designer from the system designer.

The information concerning instrumentation and control may be shown on diagrams


containing the following data :
- the control loops, from the primary sensor up to the actuator
- the measurement loops, with identification of the indicator and the recorder
- the signals and alarms related to the elementary system.

Logic chart (LO)


A chart showing the logic of the system control in outline "bubble logic" or similar form to
facilitate the understanding of the operation of a mechanical system when necessary. The
document is used as a design input to the control system designer from the system
designer.

Electrical load list (EL)


A list, drawn up for each project, summing up all the electrical auxiliaries in the power plant.
For each auxiliary it indicates its main data such as power, speed, efficiency and power
factor. This is produced as a design input to the electrical systems designer from the
mechanical systems and plant designers.

Equipment list (LE)


A listing of the major items of plant and equipment in the scope of supply drawn on a per
system basis. The lists of equipment for particular sub suppliers and systems build up into

the power plant part list which is a complete listing of all major components of the Power
Plant.

Note : The listing would only contain equipment and assemblies. Component part required
to fabricate the component are listed, as appropriate, on separate material lists.

Pipe line list (LP)


A list prepared for each system itemising every line shown on the P & ID with the associated
pipe class and other design characteristics.

Valve list(LV)
A list identifying the valves on a system together with their type, identification, operating
medium, size and other relevant data.

Piping specialities list (LA)


A list identifying, on a per system basis, the piping auxiliaries such as drain traps, strainers,
expansion joints, nozzles and orifices, flow limiting orifices, ... together with their size and
other relevant data.

Measurement list (LM)


A list of field instrumentation (sensors), prepared for each system defining the use of the
signal from the instrument. The list includes signal type (analogue or digital), destination and
use (alarm, control, etc...).

Instrument hook up drawing (HD)


A schematic diagram depicting design requirements, pipework and fittings associated with
an instrument loop.

4 ELECTRICAL DIAGRAMS

Single-line electrical diagram (SD)


A schematic diagram which defines basic electrical system process and functional
arrangements.

Electrical circuit diagram (CD)


A diagram showing in full the functioning of a circuit depicting all its essential parts and
connections by means of symbols arranged to show the operation as clearly as possible
without regard to the physical layout of the various items of their parts or connections.

This diagram allows understanding of the operation of a system or group of systems. The
representation of symbols is such as to make reading as easy as possible. It may include
data useful for repair.

Wiring diagram (WD)


A diagram showing the detail connections between components or items of equipment or
system and, in some cases, the routing of these connections. Can be in graphical or in
tabular form.

Termination chart (TC)


The diagram represents under its graphical or list form, the electrical connections of cables
on equipment terminals.

Typical diagram (TD)


A typical electrical or logic diagram repeated several times within the project (e.g. motor
contactor circuit diagram).

Logic diagram (LD)


A block diagram representing the required sequence initiation and logic for each operational
sequence for a particular equipment or system to be implemented in the distributed control
system.

It shows all starting and stopping sequences, interlocks and safety devices.

Analogue diagram (AD)


A block diagram representing the required modulating control loops , analogue signal
conditioning and indication for a particular equipment or system.

Software programming document (PD)


A document giving the programming codes of a controller, a computer ....

List of cables (LC)


A list of cables indicating for each of them, its functional identification, characteristics and
routing.

5 MANUFACTURING DOCUMENTS

Equipment specification (ES)

A technical specification for an item or items of plant or equipment. It specifies the
equipment and services to be supplied, quality requirements, limits of supply, local
conditions of installation, basic data, design requirements, documents and information to be
exchanged, conditions of acceptance and tests, conditioning of equipment for shipment,
erection and commissioning. The specification has annexes such as list of spare parts, list
of documents, quality control plan, technical documentation.

Outline technical specification (OT)


A document used during the tendering phase of a project or used to obtain a pre-
qualification bid from potential subcontractors which defines the outline requirements for
plant, equipment and services.

Such documents are superseded by Equipment Specifications, Design Services


Specifications, etc. during the implementation phase of the project.

Purchase requisition (PQ)


A document containing reference to sufficient technical information to facilitate procurement
of a specific product.

List of spare parts (LS)


A listing or schedule of the spare part required. The listing may be subdivided into separate
lists showing for example :
- Commissioning spares
- Operation spares
- Strategic spares

Spares lists can be provided for individual equipment items or consolidated into an overall
plant listing.

Quality control plan (QC)


A document setting out the sequence of quality related activities relevant to the
manufacture of a particular product or service including all documents produced.

For each item of equipment, the quality control plan defines :


- a list of manufacturing inspections and tests imposed on the supplier
- the rules, codes and standards applicable to the manufacturing and inspection operation
- the list of documents constituting the end of manufacturing report
- the services or control authorities entrusted with the inspections and/or supervision
- the notification requirements
- the list of records.

Data sheet (DS)
A technical specification sheet which defines equipment technical features or performance.
The forms may be issued or filled in by the supplier using a standard form.

Standard technical specification (GS)


A document which defines the technical requirements, codes and standards to be taken into
account by all manufacturers for the standard equipment regularly supplied by them :
electric motors, piping, supports, valves, actuators, local instrumentation and control
equipment, heat insulation, painting, etc.

Manufacturer document (MD)


These are manufacturer produced documents which, due to their content, cannot be
classified on any existing code or which contains information classified on more than one
document type (e.g. an actuator drawing which contains both a detail arrangement and a
wiring diagram).

Equipment arrangement drawing (EA)


A drawing showing the overall arrangement of an equipment assembly or of a particular
item of equipment. The arrangement drawings would show locations and details of terminal
points with other equipment and the civil structures.

Equipment detail drawing (DD)


A drawing showing the detail arrangement of an equipment assembly or of a particular item
of equipment. The detail drawings can include, with their component identification :
- exploded views
- component drawings
- sectional views
- detail drawings of a part of the equipment.

Tender analysis (TA)


A document which contains the analysis of the bids received from sub suppliers and a
documented proposal for the suitability of suppliers. The document may be in several parts
to line up with the analysis carried out by several separate functions (e.g. technical, quality,
commercial).

Erection components list (MA)


A list which constitutes an exhaustive enumeration of all the items to be made available in
the manufacturer’s plant (each item is coded). It is drawn up as soon as practicable prior to
manufacturing and following the order required for the erection on site, and updated as
necessary up to factory release.

Inspection and test plan (MP)
A document which contains the necessary information to enable fabrication, inspection and
test at the factory to be carried out.

The Inspection and test plan made out by the supplier states the inspection sequences and
for each :
- the specifications, procedures or standards applied (including weld and NDT procedure)
- the type of intervention (witness point, hold point) of the different control authorities
(subcontractor, purchaser, customer, independent authority)
- the documents necessary to compile the end of manufacturing report.

The Inspection and test plan contains, as a minimum, the requirements of the quality control
plan.

Quality control procedure (QP)


A document written by the supplier which defines the procedures and controls to be applied
during the execution of activities which affect or confirm product quality.
Examples of such documents are welding and special process procedures, non destructive
test procedures, performance test procedures, painting and protection procedures, etc...
Where the document defines activities to confirm product quality, the acceptance criteria
must be stated.

Manufacturing non-conformance report (NC)


A document which records a deficiency in characteristics, documentation or process
implementation which renders the quality of a product or system indeterminate or outside
that required by the specifications and indicates any corrective action required.

Manufacturing conformance sheet (MC)


This sheet generated by the quality surveillance service for an equipment to be taken over.
It is written on a standard form and signed by the supplier, the customer or his
representative (if required) and purchaser. It particularly allows the shipment of the
equipment and the payment thereof in the case where the conformance file is not yet
complete.

Shipment release certificate (SR)


This sheet is generated by the Quality Surveillance Service. It initiates the equipment
shipment formalities. It is written upon a standard form and signed by the purchaser
inspector, once :
- the manufacturing conformance sheet has been issued
- the equipment conditioning and packaging has been checked
- the packing identification and conformance has been checked.

End of manufacturing report (EM)


A file drawn up in accordance with the quality control plan requirements for the items of
equipment to demonstrate compliance with specified requirements. The end of
manufacturing report is progressively compiled by the supplier during manufacture.

The report contains particularly the material certificates and inspection and test records for
the equipment.

Ex - works equipment care (EW)

A set of documents that define all the necessary parameters for the care and handling of
equipment from the completion of manufacture to the installation into place at the job site.
The documents typically include :
- Packing & protection
- Shipping precautions
- Special handling requirements
- Site storage requirements
- Transport arrangements
- Preservation measures.

Manufacturer maintenance manual (MM)


A manual produced for each equipment which contains the description and operation and
maintenance instructions. It also gives the necessary information about accessories and
spare parts. The maintenance manual is drawn up by the equipment manufacturer.

6 INSTALLATION DOCUMENTS

General arrangement (GA)


A coordinated scale drawing showing all the plant, equipment and structures located in a
particular area. The drawing is used for layout only and should not be used for arrangement
drawings of a particular piece of equipment (see Equipment arrangement drawing EA).

This drawing defines as necessary :


- dimensioned layout and type of buildings, works and premises
- layout of all anchored equipment, indicating axes position
- main passages with cut-outs
- access-ways to the different floors
- areas necessary for dismantling of equipment
- areas necessary for removal of main parts
- handling equipment
- main equipment handling operation
- routing of main piping
- routing of coaxial busbars
- main cable passages to transformers and HV switchyard
- overall loads of the equipment and overloads on floor, namely :
. permanent static loads
. overloads on floor, taking account of piping installations
. any permanent punctual loads greater than 3 t, due to piping installations
. hydraulic testing overloads
. equipment erection overloads defined on the item handling drawings
. major dynamic forces, when equipment transmitting these efforts do not rest on a
separate basement (e.g. : travelling crane, feedwater tank)
. loads given by seismic calculations.

Particular cases of general arrangement are :


- Site layout
- Key plans
- Cable envelope drawing
- Pipe envelope drawing

Piping arrangement drawing (PA)


A drawing which defines :
- the installation of all circuits the nominal diameter of which is above 2" (50 mm) with
equipment and valves
- the location of the corresponding supports with their references in relation with the
building structure
- the cable ways of the pneumatic and electric wiring for power, instrumentation and
control.

Cables support steelwork arrangement drawing (CS)


A document which defines the layout of cable supports or ladders, the location of the
corresponding supports with their reference in relation with the building structure and the
necessary details for erection. It indicates also the cables trays marking (and/or the node
numbers) used for routing.

Civil guide interface drawing (CG)
A drawing produced by the mechanical and electrical designers or supplier to provide their
requirements to the civil designers. The drawings show the layout of the plant and provide
the requirements for holes, penetrations, foundations and trenches, etc. Civil works are
shown on these drawings in concept only and are subject to verification and detail design by
the civil designers :

• Civil work guide drawing


A drawing which defines the layout of basements and different works, the layout of
trenches for piping, cables, draining system and sump pits, the building steel structures,
doors and windows, ventilation openings and passage apertures. All references to
anchoring drawings are indicated on this drawing, together with details of imposed static
and dynamic loads.

• Foundation arrangement
A scale drawing showing the required outline, embedments, pockets, etc for the civil
works concrete, together with details of imposed static and dynamic loads.

This drawing may also define the grouting and cement filling requirements and civil
works requirements for particular large embedments for plant items.

• Embedment schedule
A list of all items to be embedded or built in to civil concrete structures and foundations
to support plant, equipment or steelwork identifying each item, its supplier, its physical
attributes and its location.

• Steel structure guide drawing


A drawing which defines the main steel structures (gantries, floors) and the secondary
structures (access-gangways and handrails, supporting structures for the equipment and
large piping, steel irons for monorails and pulley-blocks). The loads of the equipment on
floors and supporting structures are indicated on this drawing. For the secondary
structures, standards may by used.

Note :
The guide drawings are not updated after issue of the detailed design drawing (shuttering,
rebar, steel structures detailed design drawings).

Instrumentation location drawing (IL)


A drawing which defines :
- location of measurement and instrumentation/control taps, separate or grouped on
frames
- location of instrument air distribution headers.
- identification of equipment to be supplied with instrument air and to be connected to the
electric circuits.

7 CIVIL WORK DETAIL DESIGN DOCUMENTS

Civil work general drawing (CX)


A drawing produced by the civil designer showing the civil designs for the plant.

The drawings would typically include :


- piling arrangements
- excavation arrangements
- enabling works
- architectural drawings
- statutory planning consent drawings
- civil standard detail (sealing drawing...)
- drainage

Civil execution drawing (CE)


Also known as formwork and shuttering drawing. A drawing showing the outline of a
reinforced concrete structure.

Equipment specification (ES)


A technical specification for an item or items of plant or equipment. It specifies the
equipment and services to be supplied, quality requirements, limits of supply, local
conditions of installation, basic data, design requirements, documents and information to be
exchanged, conditions of acceptance and tests, conditioning of equipment for shipment,
erection and commissioning. The specification has annexes such as list of spare parts, list
of documents, quality control plan, technical documentation.

Civil work finishing drawing (CF)


A schedule or drawing defining the finished surfaces for floors, walls and ceilings by location
and quality, plumbing and sanitary fittings and indicative networks to be supplied, etc.

Reinforcing bar arrangement (RA)

Reinforcing bar bending schedule (RB)


A schedule listing the reinforcing bar steelwork requirements for a particular concrete
structure. The schedule would specify the material, diameter, length, weight and required
shape of each reinforcing bar.

Civil work quality control plan (CQ)


A document setting out the sequence of quality related activities relevant to a particular civil
works activity or service.

Civil work conformance file (CK)
A file drawn up in accordance with the Civil Work quality control plan requirements for the
particular Civil Works activity or service to demonstrate compliance with specified
requirements . This file includes the certified reports made for each civil works unit.

Civil work non-conformance report (CN)


A document which records a deficiency in characteristics, documentation or process
implementation which renders the quality of a section of the civil works indeterminate or
outside that required by the specification and indicates corrective actions when required.

Steel structure arrangement drawing (SA)


A drawing showing a building, an equipment support or an access steel structural
arrangement. Such drawings define all such arrangements together with structure sizes and
identification

Steel work detail drawing (SW)


A drawing which defines details for steel structures : Main and secondary structures, floors,
roofs, wall cladding, connections. Each drawing or set of drawings has a corresponding bill
of quantities.

Equipment specification (ES)


A technical specification for an item or items of plant or equipment. It specifies the
equipment and services to be supplied, quality requirements, limits of supply, local
conditions of installation, basic data, design requirements, documents and information to be
exchanged, conditions of acceptance and tests, conditioning of equipment for shipment,
erection and commissioning. The specification has annexes such as list of spare parts, list
of documents, quality control plan, technical documentation.

Cladding and penetration drawing (CP)


A drawing which details the cut-outs to be performed on the site, the steel sheets used for
wall-cladding, roofing, steel pans, gratings, chequered plates, etc. as well as the execution
of accessories. This drawing is issued by the suppliers of the products.

9 PIPING DETAIL DESIGN DOCUMENTS

Large bore piping isometric drawing (PR)


An isometric drawing of a piping line of diameter greater than the agreed site run limit in the
turbine hall and auxiliary buildings. The material take off accompanies the isometric drawing
and indicates the nature, the quantities and the specification of the material required to
fabricate the line.

Small bore piping indicative drawing (PS)


A drawing which shows the indicative routes or schematic arrangement of the small bore
pipework which will be detail routed at site as part of the installation process. With each line
is a material take off.

Outdoor piping detail design drawing (PT)


A drawing which routes buried piping or piping on racks or in trenches especially for
connection between buildings and or outdoor plant. With each line is a material take off.

Piping support/hangers drawing (PH)


A drawing is issued for each support or type of standard support. The material take off
accompanying the support drawing identifies the material necessary to fabricate the support.

Piping material management document (PM)


Computerised lists, material take-off, of piping and support materials (tubes, fittings, steel
sections, etc.) for purchasing and material control.

Erection instruction (EI)


An erection procedure produced as required for an equipment item is drawn up by the
supplier in compliance with the relevant specification requirements. This erection procedure
details :
- the operations and the associated inspections and tests
- the reference documentation.

Erection quality control plan (EQ)


A document setting out the sequence of quality related activities relevant to a particular
erection activity or service.

Erection conformance file (EK)


A file drawn up in accordance with the Erection quality control plan requirements relevant to
a particular erection activity to demonstrate compliance with specified requirements. This
file includes the certified reports drawn up for an erection activity.

Erection non-conformance report (EN)


A document which records a deficiency in characteristics, documentation or process
implementation which renders the quality of an area of erection activity indeterminate or
outside that required by the specification and indicates corrective action when required.

Field change document (FC)


This document is used to indicate a change to documents/drawings made in the design
office or on the site, and already certified for construction. It serves the following purposes :
- updating of the original document, where applicable
- immediate application by erection and commissioning teams.

Erection file (EF)


A file summing up all erection requirements and erection documentation per trade activity.
This file groups together the erection documents of the concerned equipment specifications.

11 CIVIL WORK CONTRACT PACKAGES

Technical specification for civil work contract package (CT)


A specification drawn up for each civil works contract on a similar basis as the technical
specification for equipment procurement. It specifies in particular the supplies and services,
local conditions, technological requirements, documents and information to be exchanged,
acceptance conditions and tests. It includes appended documents such as quantitative
specifications for trade works execution and works execution procedures.

Quantitative specification for civil works contract package (CB)


A technical specification which defines for each trade of civil works the main quantities to
be used. It specifies in particular the detailed limits of supplies and services taking into
account the equipment civil works unit availability state.

Civil work job rating table (CJ)


A document which lists items (equipment, products or operations) implemented during
works execution. Each item is defined in both quality and content and then accompanied by
a unit price or significant values in order to follow work progress and calculate the contract
price (contracts on a "unit price schedule" basis).

Civil work and steel structure erection standard (CI)


A document which specifies the requirements for the execution and control of civil works
and steel structures. This document concerns one type of activity, e.g. :
- earthworks
- concrete fabrication and implementation
- formwork execution and installation
- reinforcement profiling and installation.

Additional work request (AW)


A document produced by the site team which identifies the requirements for additional or
modified civil works or steelwork to that contained in the original design. The additional work
may be due either to it not having been allowed for originally by the design office, or it may
be work specifically identified as being required by the site team.

13 COMMISSIONING AND OPERATION DOCUMENTS

Standard guideline (SG)


Tests on repetitive equipment such as valves, sensors, pumps, etc., as well as common
tests such as vibration measurement, etc. are described in standard guidelines to simplify
writing of test procedures.

Commissioning programme (SP)


A commissioning program is prepared for each elementary system as well as for each
overall test. It specifies the aim and principle behind the different tests to be carried out for
the first start-up of the equipment and to ensure that the equipment operates as expected.
The different tests mentioned in the commissioning programme are grouped according to
phases, each phase concerning a category of tests.

Test procedure (TP)


A test procedure is an elaboration of one of the test phases planned in the commissioning
programme to which it refers. For each test, it specifies :
- the aim
- the prerequisites
- details of the inspections and tests to be carried out.

The test procedure defines the preparation of the equipment for test, the testing sequence
and procedures, reading to be taken, performance calculation methods and acceptance
criteria.

Test report (TR)


A test report is made out in association with a test procedure. This report is composed of a
copy of the test procedure cover page signed, a page of comments on the tests carried out
and the tables of readings with the observations and measurements taken during testing.

Operating instruction (OI)


An operating procedure is drawn up for each elementary system as well as for the main
overall operation phases. It indicates the inspections or interventions to be effected to
ensure that the operations considered are carried out safely. For the operation of an
elementary system, the operating procedure includes :
- normal operation (start-up, shutdown, operation supervision)
- incidents
- periodic tests
- exceptional operation.
For overall operation, special instructions are given for each main phase of normal
operation or operation following an incident.

Commissioning non-conformance report (SN)

or outside that required by the specification and indicates any corrective action it required.
