PROJECT MANAGEMENT AND VIDEO PRODUCTION

LESSON 5

USING PROJECT MANAGEMENT SOFTWARE TOOLS

July 2019

I. Introduction

Project management is not merely about creating a schedule or table. It’s

ensuring that the project team will meet their objectives and deliverables.
For smaller projects, some people may be comfortable using pen and
paper to draft their plans for handling the project. However, for bigger
projects, there is greater need for effective communication and is where
project management software will become useful.

There is a lot of project management software available but most of them

share the same general set of features for scheduling and information
sharing.

II. Content

Types of Project Management Software

 Desktop Program

There are two types of project management software available for project
managers. The first category of such software is the desktop software.
Microsoft Project is a good example for this type. You can manage your
entire project using MS Project, but you need to share the electronic
documents with others, when collaboration is required.
All the updates should be done to the same document by relevant parties
time to time. Therefore, such desktop project management software has
limitations when it should be updated and maintained by more than one
person.

 Web Based

As a solution for the above issue, the web-based project management

software was introduced. With this type, the users can access the web
application and read, write or change the project management-related
activities.
This was a good solution for distributed projects across departments and
geographies. This way, all the stakeholders of the project have access to
project details at any given time. Specially, this model is the best for
virtual teams that operate on the Internet.

 Integrated System

Some project management software come bundled with corporate

solutions that integrate aspects of various departments within the
company. Other than default scheduling and resource allocation,
these system tie with built-in modules for bug tracking, relationship
management, logistics, etc. Systems such as these are meant for
big organizations that have the resources to manage big system
with various modules for corporate functions.

 What is Gantter?

Gantter is a web-based project scheduling service that is fully integrated with

Google Drive. The system comes with an extensive set of project management
and scheduling features, as well as scheduling and collaboration capabilities.
Gantter also enables users to open and import their existing Microsoft Project
files into the system.
This easy to use project scheduling tool is an ideal option for individual users
who want to plan the perfect birthday surprise or ensure that their home
renovation project is completed within schedule or budget. That said, it is also
powerful enough to handle complex projects such as building construction,
design, and implementation of a new IT service, or rolling out a new store to
name a few.

Overview of Gantter Benefits

 Gantter is widely used by many types of users and businesses. For
one, it is a robust project scheduling service that features a throng
of useful features that simplifies project management, scheduling,
and collaboration in the cloud. Its integration with Google Drive is
also a huge plus. A lot of people are very familiar with Google Drive
mainly because of its ease of use and the obvious fact that many
people use Google Drive for work.
 But perhaps the glaring benefit that many people see in Gantter is
that it mimics Microsoft Project, a leading project management
software. It is like the web-based version of Microsoft Project
without the license fee. Gantter supports the essential scheduling
tool needed to develop and manage a project schedule. For the
many people who use or are familiar with the actual Microsoft
Project software, the Gantter experience is not far behind in terms
of being a straightforward and easy to use application.
 People can easily enter tasks as create them in Microsoft Project.
Updates are automatically entered with each press of the key. The
system also supports many basic features such as task types,
effort-driven tasks, calendars, constraints, notes, resources, and
predecessors.
 For task planning and resource management, Gantter makes it all a
breeze with its Resources and Calendar features. The system
enables users to define roles and hourly costs for each team
members. Holidays and non-working holidays can be configured via
the Calendar view. Whenever a project nears its deadline, Gantter
automatically sends notification and displays a warning indicator if
the deadline is exceeded.
 As Gantter is web-based, all team members can easily view their
projects and its progress in real time without having to refresh or
wait for the next team meeting. Collaboration is fully supported
through the system’s file-level editing with the native Gantter web
repository or via its integration with Google Drive.
III. Generalization

Project management software is like living your everyday life wherein we

have schedules to follow day by day. As a person or a student we have
different schedules that this may serve as your guide onto what you will do
next. We must be prepared and have plans in our future in order to
achieve our goals and dreams in life.
