An Application For Registration of An Association

It’s with great honor and respect that we are applying for the

registration of our association, our aim is to promote computer literacy within previously

and currently disadvantaged communities in the Southwest region and Cameroon at large.

Our objective is to bring the computer literacy gap and also become a resource for

community members from different spheres of life, helping them to access global

technological improvement.

CONSTITUTION ECOTREK COMPUTER LITERACY CENTRE

PEAMBLE: This association will be strictly on development activities

The association shall NOT be operating on neither political nor religious basis.

Article I: NAME: the name of the association shall be called: “Ecotrek Computer Literacy

Association

YOUTH ASSOCITION” abbreviated (ECLA)

Motto :( Where The Future Begin..)

Article II: MEMBERSHIP: Admission is open to both sex (boys / girls) eighteen years and

above and registration stands at Twenty-five thousand francs per member. (25,000 frs)

Article III: The meeting shall be held in Buea “Opposite Royal Pharmacy Soppo”

Starting time: The time of the meeting is 4pm every Sunday. And any member coming after

4:15pm, a fine is levied Closing time: this time is fixed at 6:pm

Article IV : ECOTREK ASSOCIATION

Mission: We the members of Ecotrek Computer Literacy Association have our aim is to

promote computer literacy within previously and currently disadvantaged communities in

the Southwest region and Cameroon at large.


Article V :OBJECTIVE

 To foster the growth of Computer literacy in our communities.

 To exploit and encourage identification of computer technology in remote areas.

 To educate sensitize the public to engage in computer related activities as an

alternative source of income generation

 To cooperate with other stakeholders be it in the public or private sector in executing

information technology activities.

 To bring together students offering IT and provide them industrial learning, and

improve their professional skills in the IT job market.

Article VI: COMMITTEE

(a) The day to day running of the association shall be carried out by a seven

executives comprising of:

i. The president

ii. Vice president

iii. The Secretary

iv. Adviser

v. The Financial secretary


vi. The Public relation officer

vii. The Treasurer

The committee is elected for a one year term of office

In case of any vacancy, election is within three months

The supreme organ of the association is the general assembly

All the committee members shall be elected among the registered members

They should be of good moral standard and be able to read and write

They should be responsible and very stable personalities in the society

Article VII: DUTIES OF THE COMMITTEE

(a) To implement the resolution of the general assembly

(b) To study and exploit possibilities of enhancing the growth and property of the association

(c) To report all its activities to the general assembly

Article VIII: DUTIES OF THE COMMITTEE MEMBERS

PRESIDENT

He shall preside over all meeting

He shall represent the meeting when need arises

He shall sign and countersign all cheques related to financial transaction


He shall appoint any member to assist him in any occasion

 VICE PRESIDENT

He shall assists the president when he is not around

He shall take charge of the meeting in the absent of the president

 SECRETARY

He keeps record of all meeting proceedings

He shall draw up an agenda and present it to any member

He shall keep the list of registered member that have to be updated annually

He shall keep the list of all expenditure incurred by the group

 FINANCIAL SECRETARY

He shall keep all financial records of the meeting that has to be updated monthly. He shall

sign all cheques related to financial transaction

 TRESURER

He shall sign, withdraw and receive cheques

He shall provide money when needed


He shall release money only with the accordance and signature of the president and

financial secretary

He shall keep the cash book and prepare the monthly financial report

 ADVISER

Help the association identify its goals and should help members and officers to clarify

their areas of responsibility and related duties

Resolve any problems that may occur within the association that could not be resolved

with the leadership or the membership of the association.

Be available as a mentor to association members to assist them with individual

problems and decisions as well as with those related to the association.

 PUBLIC RELATION OFFICER

Planning publicity strategies and campaigns

Writing and producing presentations

Dealing with enquiries from the public, the press, and related association

Organizing promotional events such as press conferences, open days, exhibitions, tours

and visits
Article IX: MEETINGS:

(a) The general assembly meets once a week

(b) Extraordinary meeting can be convened by the president or upon the request of the

majority of the committee members.

Article X: BIRTH

(a) A member is entitle to call “baby shower” (born house) twice a year

(b) For registered active member 2000frs and one big C.C.C soap and the person in

question shall provide food and drinks (2Olitters, the person shall give ten thousand

franc for food)

Article XI: DEATH

Dearth contribution shall be as follows

(a) For registered active members 3000 FRS. The association will take care of food and

drinks.

(b) If a member dies, the whole association must be present there at once until the corpse

is buried or taking to the village.

(c) If a member is in the mortuary, we all have to be present on the day of corps removal

from the mortuary to the burial ground


(d) This meeting shall not contribute incase of death of a child below five years

(e) Incase of the death of mother, father, sister and brother, we shall contribute 2500frs

each, the person concern shall provide food and drinks.

Article XII: DISCIPLINE

Cleanliness: Each member is expected to dress correctly before appearing to the general assembly.

Failure to do so, the person in question will be heavily fined.

Security: To protect our community from exploitation and dangerous working condition. To

protect and preserve our national resources, To protect and assist any member when need arises.

If a member happens to be out of town during any occasion, he or she will have to pay the

contribution the next meeting day. In case any member leaves the occasion before the required

time, they will drink his or her beer and a fine of one thousand five hundred franc will be imposed

on the person in case of fighting between two members in an occasion ground they will pay a fine

of five bottles of beer and the defaulter will be heavily fine incase of quarreling, three bottles of

beer each In case of theft or stealing the member will be dismissed In case of abortion the member

will be dismissed If a member is lock up in prison, cell, police each member is supposed to

contribute two hundred franc each. If a registered member is sick and in the hospital or legal

traditional doctor, each member will have to contribute the sum of five hundred franc each. All

outstanding debts shall be deducted before the money is handed over Absenteeism without any

justified reason or from two consecutive meeting section has a fine of five hundred franc. The

official language among members shall be English or Pidgin English Members should dress
responsible. No bathing slippers shall be allowed Any member who comes fifteen minutes after

meeting time is considered late and he pays a find of l00frs during meeting section all phones shall

be switched off or set on vibrations. Any phones ringing attract a fine of 2000 Frs. Noise making is

strictly prohibited.

Article XIII: SOURCE OF FINANCE

 Through registration Fees from members

 Through annual contribution from members

Article XIV: TROUBLE BANK

Each member shall contribute the sum of 25000 FRS for trouble fund each year. He or she has to

pay the trouble fund before an occasion. At least 15000 FRS should be giving at the end of every

six months. No member calls an occasion unless he or she contributes at list 10000 FRS for trouble

fund..

Article XV : SAVING;

There are saving every week, savings depends on individual ability to do so that is from 1000 FRS

and above. A member saving goes to his or her personal account.

Article XVI : DECISION

Decision shall be arrive by a simple majority by the member present at any meeting provided.

More than half of the registered members present. If attendance is half or less than half another

meeting shall be schedule were the simple majority of those present shall carry out the vote
irrespective of the attendance.

Article XVII : AMENDMENT:

i. This constitution is subjects to amendments.

ii. In case of revision of the constitution, 2/3 effective and registered members will be required

and by vote cast.

Article XVIII : DISSOLUTION :

i. The life span of this association shall be 99 Years

ii. In any case of dissolution, the properties of the association shall be given as charity or to

any other association that has same objectives.

iii. The dissolution may come as a court decision or by the authority that gave it legality or by

the promoters

Article XIX : Final Disposition / Provision :

Any issue that is not mentioned in this constitution shall be handle by the general assembly.

Minutes

It all started on Sunday the 15 June 2015 when one member by name Wanye Florian and who

invited 4 members that same day in his house and explained to us the necessity of us being

together to form something like an association that will help to keep us together. He further

explained to us some of the advantages we could encounter if we could stand and joint our hands

together. After so many deliberations for that day, the few of us that were there found it interesting

and we all accepted to be together like one family. Finally, he rounded things up for that day by

telling us to go and inform some of our friends. We all agreed to meets on the 29th of October

2015. Sunday the 29th October 2015 was the fix date for the next meeting for the creation of this

association. On this day, there were 8 members this time around, and we had 4 items on the agenda

which were: opening prayer, appointment, closing remark and closing prayer. As the meeting

started, we all decided to appoint 4 post of responsibility for the main time. And this various post

of responsibilities was: the president, secretary, treasurer and the Adviser.

Still on that day, we accepted to choose a name to called the association and some proposals of

names like; BUSHTRAP ASSOCIATION, LYON ASSOCIATION and ECOTREK

COMPUTER LITERACY ASSOCIATION were suggested. The general assembly decided to

choose the name Ecotrek Computer literacy Association. After gotten a name for this association

we move forward to fix the meeting days, the place that the meeting will be held and the starting

and closing time of the meeting. Two names of some elderly person were also accepted by the

general assembly to stand as the Matron and Petron that will guide and assist us. We continue our
discussion for that day by putting some rules that will keep and bind us together and these rules

will help us for realization of the constitution for the association. The general assembly decided to

carry out a grand election on the 9th November 2015 in which during this period, the association

must have had enough members and must have finish preparing the constitution that will bind and

keep us together so that immediately after the grand election, we are going to prepare the permit

for the association. As the meeting draws closer to an end, we were all happy and satisfied with the

resolution and some remark made for the day. We ended up by having some light refreshment for

the day.

Minutes on Sunday the 6th of Decmber 2015

At exactly 4:15pm the deliberation started, the opening prayer came from no other person but

Mpaco Akede who invite the holy spirit to come and take charge for the session. Reading of the

last minute was next were the secretary does his usual job. Matters arising from the minutes set in

were a member asked about the constitution the reply was that the constitution is still to be

completed. Under general discussion we deliberated only on one issue which was the realization of

the permit. After so many deliberations the meeting excluded that Sunday the 15th will be the last

day for the realization of the permit. Finance then follows were we had the following

contributions; weekly dues 5000frs, trouble fun 25000frs, finds 2500frs. That gives us the total of

32500frs. Closing remark came from Wanye Florian and closing prayer came from Mpaco. The

session finally ended at 5:20pm with the present of 10 members.
