LRAF INSTRUCTIONS

Note regarding Non-EU learners.


Due to the potential implications for the learner’s permission to remain in the state, certain
amendments must be confirmed with the International Office before they can be processed by
registration. Change of Programme, Programme Deferral, Return from break in studies, and Change of
Campus requests require this confirmation. The Registration Office will arrange for International Office
to sign the relevant section of the LRAF. Unfortunately, change of study mode cannot normally be
performed for non-EU learners.

A. Withdrawal
Learner requested withdrawals should be completed if a learner is withdrawing entirely from a
programme with no intention of returning. Please include their last date of attendance as this affects
their liability for payment of fees. Email confirmation from the learner may be taken as proof of
intention to withdraw.
Academic withdrawals should be completed if a learner is being academically withdrawn. This action
must be approved by chairs action. The date and the reason for the decision should be included on the
form.

B. Change of programme
This request must normally be completed prior to the close of registration and must be authorised by
the Programme Director responsible for the programme the learner is requesting to exit from (page 1)
and transferring to (section B). The programme code(s) must be included when completing this section
of the LRAF.
If the learner is a non-EU category learner, International Office must confirm that there are no visa
implications.

C. Deferral of Entire Programme to next academic year


This request must normally be completed prior to the close of registration. Learners can defer their
entire programme to the following academic year. Learners may only defer for a specific reason as
outlined in the College’s handbook on Policies and Procedures (QAE C4) – this includes illness,
bereavement, or extenuating circumstances, i.e. a learner’s inability to perform to his/her academic

potential due to circumstances outside of his/her control. By signing the front page of the LRAF, the
Head of Faculty is confirming that a reason is valid and approved. The last date of attendance, and
expected return date must be included when completing this section of the LRAF.
If the learner is a non-EU category learner, International Office must confirm that there are no visa
implications for deferring a programme.

D. Deferral of some Modules to the next academic year


This request must normally be completed prior to the close of registration. Learners can defer some of
their modules to the following academic year. Learners may only defer for a specific reason as outlined
in the College’s handbook on Policies and Procedures (QAE C4) – this includes illness, bereavement, or
extenuating circumstances, i.e. a learner’s inability to perform to his/her academic potential due to
circumstances outside of his/her control. By signing the front page of the LRAF, the Head of Faculty is
confirming that a reason is valid and approved. The module code(s) must be included when completing
this section of the LRAF.

E. Assessed Work Deferral to next sitting


Learners may defer a component(s) of a module, i.e. assignment, examination or project, to the next
available sitting. This deferral is normally within the same academic year. Learners may only defer for a
specific reason as outlined in the College’s handbook on Policies and Procedures (QAE C4). By signing
the front page of the LRAF, the Head of Faculty is confirming that a reason t is valid and approved. This
type of deferral is processed within the Faculty and there is no requirement to inform or to send the
LRAF to the Registration Office. Sitting dates are typically either January, May or August.

F. Exemption
Exemptions are normally processed during the application stage. In the exceptional case where a learner
is applying for an exemption, all supporting evidence must be provided with the LRAF when it is
submitted to registration@griffith.ie. The module code must be included when completing this section
of the LRAF.

G. Change of modules

Requests for change of modules must be completed prior to the close of registration in which the
module is taking place and must be requested prior to any assessment taking place. The module code
must be included when completing this section of the LRAF.
A change of elective modules is a change of module request that can be processed within the Faculty
and there is no requirement to inform or to send the LRAF to the Registration Office. Please note that
once any assessment is submitted in relation to the elective, the elective cannot be changed.

H. Personal details
Learners are able to update some personal details through their My Griffith account and should be
directed to do so for the following:
 Change of telephone numbers / email addresses
 Change of emergency contact details.
A LRAF is only required if a learner wishes to change their name, gender, or address. Valid forms of ID to
verify this change include a valid passport, a current Irish driving licence or a National Age Card. A
change of address request can be processed within the Faculty and there is no requirement to inform or
to send the LRAF to the Registration Office.

I. Returning from a break in studies


If a learner is returning from a status of ‘withdrawn’ or ‘did not return’ their return must be approved by
the Programme Director. This request must normally be completed prior to the close of registration. A
comparison of the programme schedule the learner originally followed and the programme schedule in
the current year should be carried out to confirm which modules must be completed by the learner
going forward. The programme code(s) must be included when completing this section of the LRAF.

implications

J. Change of campus
This section should be completed when a learner requests to follow the same programme at a different
campus. This request must normally be completed prior to the close of registration and must be
authorised by the Programme Directors responsible for the programme in both campuses. The
programme code(s) must be included when completing this section of the LRAF.

K. Change of Study Mode


Requests for change of study mode must normally be completed prior to the close of registration and
must be authorised by the Programme Directors responsible for the programme the learner is
requesting to exit from (page 1) and transferring to (section L). The programme code(s) must be
included when completing this section of the LRAF.

L. Other
Any other issues can be addressed in this section with a brief description.
