1. Define project management.

Answer

Project management is the planning, organizing and managing the effort to accomplish a


successful project. A project is a one-time activity that produces a specific output and or
outcome, for example, a building or a major new computer system. This is in contrast to
a program, (referred to a 'programme' in the USA) which is 1) an ongoing process, such
as a quality control program, or 2) an activity to manage a number of multiple projects
together.

Project management includes developing a project plan, which involves defining and


confirming the project goals and objectives, how they will be achieved, identifying tasks
and quantifying the resources needed, and determining budgets and timelines
for completion. It also includes managing the implementation of the project plan, along
with operating regular 'controls' to ensure that there is accurate and objective information
on 'performance' relative to the plan, and the mechanisms to implement recovery actions
where necessary.

Projects often follow major phases or stages (with various titles for these), for
example: feasibility, definition, planning, implementation, evaluation and realisation.

The project manager's role in a nutshell, is the overall responsibility for the successful
planning, execution, monitoring, control and closure of a project.The project manager is
primarily responsible for the successful completion of a project. The project manager’s
role is to ensure that the project proceeds within the specified time frame and under the
established budget while achieving its objectives. Project managers make sure that
projects are given sufficient resources while managing relationships with contributors and
stakeholders and finally the PM works closely with engineers, architects and more to drive
the best outcome

Project Manager Responsibilities

Project manager roles and responsibilities may include:

 Developing a project plan


 Managing deliverables according to the plan
 Recruiting project staff
 Leading and managing the project team
 Determining the methodology used on the project
 Establishing a project schedule and determining each phase
 Assigning tasks to project team members
 Communicating with upper management
 Writing contracts
 Sourcing contractors and suppliers
 Estimating costs and timeframe
 Writing proposals for tender
 Market research
 Establishing and monitoring processes
Throughout the project, the manager needs to evaluate the plan to ensure it remains
on schedule.

Target setting & Time frames


 The project, in its entirety, needs to be broken down into achievable goals to
ensure everything remains on schedule. Knowing how to structure these
milestones allows the project to stay within the designated time frame or be
pushed out if need be.

Budgeting
 Allocating and requesting money and estimating quotes in construction is a vital
aspect of the job, ensuring that every penny is accounted for in budget reports.

 Contracting
 Drawing up accurate legal contracts is one of the primary roles of a PM.
Throughout the project process, they must also ensure that each party adheres to
their requirements as per their signed contracts.

Communication
 The Project Manager is also responsible for keeping the lines of communication
open between the team and the client. Regular updates and reports about the
responsibilities mentioned above ensure a transparent and smooth operation.

Answer

Project success and Project management success are two related but different
things. Project success is the successful completion of the ‘change’ we seek to
implement. The project may be a new accounting system or the building of a bridge.

Project success would mean ensuring that we do have a new accounting system that
works for a long time or that we do have a bridge that is in operation for future
generations.
Project Management Success would mean delivering a Project on schedule, within
budget, in line with the quality and other specifications. Often, we may be preoccupied
with ‘Project Management Success’ to the extent that we actually lose sight of the
‘Project success’. Our focus is on the end date of the Project rather than the long-term
viability of the product of the project.

Identification of long-term Risk is a key element in ensuring that we reach long-term


‘Project Success’ through managing the project successfully. It may be about
ecological concerns and sustainability or the safety and the long-lasting capability of
the product. For example, if you are a coffee machine maker producing machines
which requires users to use coffee cups that do not decompose for hundreds of
years… then you are not thinking long-term project success. Your project management
will be successful but project itself is not supporting sustainability.

Efficiency refers to Project Management Success where being within budget, timely
execution and ensuring delivery of all specifications is considered.

Effectiveness refers to Project success where one considers if the product actually
performs the way it should and is long-lasting and is supports sustainability.
