Abstract
The Online Pre-registration System is designed for the student of Aurora State

College of Technology as a convenient upon registering during enrollment

process. Wherein, with this system the process would be shortly done by the

student by simply inputting their personal information that was require in the

form, as the administrator or school reference of the student enrollee for their

background. In the meantime, accessing the system needed an internet

connection. The Online Pre-registration System is designated as easily to access,

user-friendly, well organized, easy to follow, and easily to understand. Upon

concern with the student’s current situation due to pandemic, we have

concluded to conduct a survey about the current status of the student upon

registering via online, especially if they have a troublesome in accessing for the

internet connection. The system is designed not just to make the process upon

registering more convenient but also with the deep concern about the student

health and safety pertaining to our current situation due to the presence of the

virus that was so called COVID-19. Therefore, the Online Pre-registration System

was well corresponded and suitable for today current situation, which make

things easier for the student and the admission administrator. Also, it adjusted

for the online class or online based study of the student that is more precisely at

these days on.

1. Introduction
The primary stakeholder of all academic institutions was the student and

learners, wherein the first step for them to be part of a certain institution was

the enrollment or registration process. Thus, collecting personal information of a

certain individual is a part of acknowledging the participant’s educational

background. Online pre-registration system is use as a method to make an easy

process or way for the admission and prevent such a hassle during the process.

Its goal is to encourage more students to enroll in a certain subject at Aurora

State College of Technology. The student chooses to enroll whenever and

wherever it is convenient for them. Online pre-registration system is designed

for the user’s convenience in registering and submitting their personal

information via online, which is highly recommended and fundamental for

today’s study. With the technology that provides convenience and comfort for

the users, especially for the student enrollees. Technology plays a very important

role in our society, despite for the worldwide pandemic which is COVID-19. We

students, on the other hand, are not permitted to walk outdoors, especially

those under the age of 20, and face-to-face lessons are forbidden. In addition,

the local, For the people's and the government's safety, such measures are

implemented community in of itself. Hence, the student online pre-registration

system would be very effective for the student registration especially at our

current situation which is online-based study. A system that is fully equipped

with reliable database, easy to follow, well organized, and user-friendly would

cause no trouble and hassle for the student during enrollment process.

1.1 Background of the Study

A system is typically a source and storage of information that serves as the

communication technology. A system for communicating facility consists of an

online interaction and equipment to gather information via online. Online pre-

registration system is a must have in school, considering the today’s situation

due to pandemic.

1.2 Statement of the Problem

With the current circumstance, when face-to-face lessons are outlawed owing to

the worldwide pandemic known as COVID-19, the online pre-registration

method is extremely beneficial in this situation. So that incoming students can

enroll on time and without violating the local government's protocols, which

include: no one under the age of twenty is allowed to go outside, no one under

the age of twenty is allowed to go outside, no one under the age of twenty is

allowed to go outside, no one under the age of twenty is allowed to go outside,

no one under the age of twenty is allowed to go outside, and social distancing is

enforced to ensure the safety of the people and the community.

1.3 Objectives of the Study

The goal of this initiative is to make it more convenient for students to;

 Be able to enroll in ASCOT properly.

 Make the procedure in the admission more convenient and lightly.

 To avoid students from going to ASCOT during the pandemic period.

 ASCOT students' health should be protected.

To maintain the safety of the student despite of the COVID-19 pandemic.

1.3.1 General Objective

1.3.2 Specific Objectives

Specifically, it is sought to make an easy process for enrollment in a way of

enhancing technological advantages, with the use of technology itself and make

the procedure in the admission more convenient and lightly.

1.4 Significance of the Project

Team ERNLASCOT decided to create a pre-registration system for the student of

ASCOT to make it easier for them to enroll. This system will reduce their time in

going and lining up to the registrar office to enroll. Thus, it will bring comfort for

them to register with the corresponding courses which they have prefer to enroll

at their convenient time.

1.5 Scope and Limitations

The system project is designed for the student who wish to enroll at Aurora State

College of Technology. Wherein, the system is made more accessible and easier

for the student to use. The only thing they have to do is to input their data in the

given form via online with the use of internet connection.

ADMIN- Admin is capable to log-in the system and do all the function system.

USER- The user can also do functions in the system, by inputting their personal

information to enroll.

2. Review of Related Literature

Pre-registration implies that you share the introduction and methods part of

your work with others before gathering real data. After the New York attorney

general's office sued pharma company GlaxoSmithKline in 2004, the technique

became the standard among clinical trial researchers. Four unpublished trials,

according to the complaint, demonstrated that the antidepressant Paxil

increased the likelihood of suicidal ideation in young individuals. Clinical trial pre-

registration was established by the International Committee of Medical Journal

Editors in the same year. Since then, the method has gained widespread

acceptance in the disciplines of psychology and political science. It is also

progressively gaining traction in the life sciences. The Center for Open Science
DEPARTMENT OF INFORMATION TECHNOLOGY
ASCOT Zabali Campus, Baler, Aurora
bsit@ascot.edu.ph
facebook.com/ascot.dit

has even launched "The Pre-Registration Challenge," which will award $1,000 to

1,000 researchers who register their papers ahead of time.

The process of pre-registration tries to address a number of issues that plague

academic publication. Positive rather than negative results are more likely to be

published due to publication bias, which, as the preceding case shown, may be

detrimental to research as a whole. To our general understanding, null or

unexpected outcomes can be equally as valuable as the more exciting positive

results. Pre-registration also inhibits HARKing, or "hypothesizing after results are

known," which is when we, as researchers, assume that we anticipated the

proper study conclusion from the start.

There are two forms of pre-registration: reviewed and un-reviewed. The term

"reviewed pre-registration," also known as "registered report," refers to the

submission of a study's registration to a publication for evaluation by specialists.

Behavioral Neuroscience, Experimental Psychology, and the Journal of Business

and Psychology are among the journals that accept or require registered

reporting. Your manuscript will be published regardless of the outcomes if it is

approved. An unreviewed pre-registration can be deposited in a public or private

repository. As Predicted and the Open Science Framework are two such

repositories.

Enrollment management is "not simply an organizational concept: it is both a

process and a sequence of actions involving the entire campus," according to the

university (Hossler & Bean, 1990). Enrollment management, according to Dennis

DEPARTMENT OF INFORMATION TECHNOLOGY
ASCOT Zabali Campus, Baler, Aurora
bsit@ascot.edu.ph
facebook.com/ascot.dit

(1998), involves projecting trends that will affect higher education and using

research to plan for the future (Dennis,1998). Second, Dennis identifies the

following characteristics of enrollment management experts. According to

Hossler and Bean, enrollment management has two objectives. "First, to exert

more control over the characteristics of the student population, and two, to

regulate the size of the student body" (& Bean, 1990, p.5) (Braxton, Vesper, &

Hossler, 1995).

Enrollment management, according to Donhardt (1995), entails the effect of the

entire enrollment picture from recruiting through graduation. Enrollment

management, according to Bateman and Spruill (1995), extends to the

educational consequences of attendance. "Efforts to affect the characteristics

and size of enrolled student populations through guiding the operations of the

offices of admissions, financial aid, new-student orientation, career planning,

retention, and a number of other student affairs areas," according to Hossler and

Bean (1990). (Dennis, 1998). According to Tinto and Russo (1994), enrollment

management programs have been fairly successful. Manual enrollment is a

frequent means of enrolling students in the conventional way of enrolling

students, and it is still used today. In the manual method of registering and

enrolling pupils, they must first fill out an enrollment form sheet provided by

their teachers with a ball pen. They have designed several systems for the

registration and enrollment process with the aid of various developers and

programmers. Computerized, online registration and enrollment solutions that

assist the school in handling student information more efficiently.

LOCAL STUDIES

According to the researcher, a web-based enrollment system for Veritas

Parochial School (VPS) in Web Based enrollment system, Manila was created to

help its students enroll in a more efficient manner without the hassles of waiting

long hours to fill out redundant forms or standing in line and paying at the

cashier. This new kind of enrolling may be accomplished with the VPS Web-

based Enrollment System. This new sort of system gives VPS students more

alternatives when it comes to enrolling. One can register for classes and enroll in

subjects for the school year by going to the VPS website. With these, all students

are expected to complete specific forms that take no more than a few minutes

to complete. For future reference, the system saves its entries in the school

database. Payment of tuition fees must be submitted in the school registrar, and

confirmation of the transaction completed by the students must be validated.

The students can also go to the VPS website and verify their current account. He

can also consult a list of the school's current tuition price rates (Pascual & Riceo,

2008). According to Lopez (2005), a registration system assists students,

enrollment personnel, and administration by providing efficient and dependable

services. Furthermore, this technology enhanced the enrollment process in

terms of search, retrieval, and subject scheduling. In a research’s done by

Cayabyab (2007), various challenges and difficulties in the present Dagupan City

National High School system were discovered (DCNHS). These fundamental

challenges are wreaking havoc on the student enrollment system. The safety of

the pupils' records was discovered to be in jeopardy. Some crucial papers may

not be protected by the existing system. It also produces reports that are late

and inefficient. A computerized system for DCNHS will result in a significant

increase in the number of students. Network-Based Enrollment system

According to Conde (2007) in his study "Network-based Enrollment System of

Paete National High School," the manual process of enrollment and manual

handling of student information and reports is very laborious. To deal with the

massive quantity of labor, the proponents created a network-based system

enrollment system for the mentioned institution. Garcia (2002) developed the

"LSPC Enrollment System," which can be of great assistance to those involved

during the enrollment period, such as the registrar and students' instructors, by

retrieving necessary information when needed and alleviating the burden of

manually browsing through enrollment slips for record purposes. Saayo et al

(2008) developed the "Network based automated Enrollment and Grading

System for Morong National High School." Due to the institution's growing

population and the school's present manual method, each student spends a

significant amount of time during the enrollment period, such as paying tuition

money and processing school prerequisites. "Network-based student Permanent

Record keeping and Enrollment System of Balian National High School," by Valina

et al. (2009). This system was created to save both students and school

personnel time and effort. It's also designed to provide accurate reports and

maintain track of each student's progress, as well as to make enrolling simple

and quick. Soria (2006) created a system called "Network-based Computerized

Inventory System for the LSPC Main Campus Supply Office." As technology

progressed, equipment and machinery were improved, enhanced, and reversed

to meet the demands of the new environment. There are several systems that

are meant to be dependable, efficient, and extremely valuable to the user.

Cabang et al. (2003) designed the "Siniloan National High School Computerized

Students Record Monitoring System." Computerized Student data will be greatly

aided to the user via the school continuous administration. It might assist the

registrar in providing fewer time-consuming services at the institutions,

particularly in terms of updating, printing, and deleting student records.

According to Velasco's (2002) study, "Maulawin National High School Student

Information System," manually updating students' information is a laborious and

time-consuming process. In such situation, a computerization system that can

assist and manage 17 these data are required to expedite the student record-

keeping procedure while also promoting and ensuring dependability. Cura et al.

(2004) designed a system called "computerized inventory system of the office of

the supply in LSPU" that can handle large amounts of data about the flow of item

insurance and responses to the flow of item issuance and return in the supply

office. Torres et al. (2002) conducted a study on the importance of

computerizing student information. This research was carried out in the hopes of

bsit@ascot.edu.ph
facebook.com/ascot.dit

reducing the amount of time and effort required to process student information

at Maulawin National High School. The study's main characteristic is the retrieval

and updating of data after it has been stored and accessed. According to Alcaira

(1999), as the usage of computers grows, the demand for more timely

information and data processing grows, as does the requirement to keep track of

any manual tasks that require the application, because doing so manually would

be inconvenient. Aravia et al. (2002) demonstrate how computers are becoming

increasingly important in society. The study's importance is centered on the

automation of student permanent record keeping. Garnace (1999) used the

database idea to create application software for a commercial piggery's

computerized information system, which he built in a database.

Gumitao (2001) created an Automation Enrollment System for the computer

Science Department of the Laguna College of Business and Arts. The system

designed to provide reports of the list of enrollments per school year, periodical

grade of students, and list of new, old, and transferees. Revalla (2005) created an

Automation Enrollment System for the computer Science Department of the

Laguna College of Business and Arts. The study was inspired by the need to

upgrade the LCBA's present registration system, which is now done manually.

Her research was based on Mr. Bonifacio E. Bacani, Jr.'s unique challenge of

"Student Record Information System." Kampitan (2000) created the Liceo De

Victoria Enrollment System, which is used to maintain track of students'

information. Liceo De Victoria Enrollment was established and implemented

utilizing a relational database and constructed in Clipper 5.3 to give an effective

and speedier way of supplying student information as well as accounting

objectives. Previously, Encila (1999) introduced the Enrollment System for the

computer science department of LCBA and traders. The Enrollment System is

beneficial to the school since it speeds up the procedure while using the least

amount of power and resources possible. Cacao (2002) created the "Morning

Star Montessori School," which used Fox Base to execute form 137. Solomon

(2002) created the Enrollment and Record Keeping System in order to learn how

to read and sign the data that is needed to store student record files and how to

manage it more effectively in a computer with his project. Quiver (2001) created

a database III software capable of retrieving, accessing, and altering data in a

simple manner. Pajarillo devised a computerized system in 2002 to reduce the

loss of records and the stress of labor. Monsalve and Ilagan (2005) used

Microsoft Visual Basic 6.0 and Microsoft Access to create a software and design.

The system can accept access, search for objects, provide appropriate

information, and collect statistics. This system was created using Microsoft Visual

Basic 6.0, according to IPizzara and Veridiano (2001). This conducted system

follows the computerization trend in order to remain competitive in the field of

difficult labor. This study, according to Relayo (1999), will aid the researcher in

the usage of databases and Visual Basic. This system was created to speed up the

access and retrieval of information while also reducing the amount of human

labor required in the library transaction procedure. Magalang (2003) advocated

DEPARTMENT OF INFORMATION TECHNOLOGY

bsit@ascot.edu.ph
facebook.com/ascot.dit

that software be developed to assist the management of the school "lyceum" in

providing good service to its students by speeding up the process of monitoring

the account obtained during enrolment and other payment transactions.

According to Lazaro (2004), the password for the "Liceo de Los Banos record

monitoring system" was devised for the protection of data fundamental

information and was meant to be user-friendly by only authorized personnel. In

her paper "a systematic enrollment procedure employing database system in

Saint John academy," Lumbers (2002) noted. Calamba, Laguna" that using a

database system to streamline the enrollment process will considerably improve

its efficiency, and that automating the enrollment process will improve the

quality of services offered to qualified participants. An online enrollment system

was suggested to replace Cavite Maritime Institute's manual enrollment system

in order to promote an ordered flow of transactions and ease of labor concerned

with how the manual enrollment system operates throughout the institution's

operations. The manual operating system is inefficient for the institution's needs

because of the various operations it handles, such as updating and adding

student information, creating advising and evaluation slips, and so on. The

investigation necessitates tracing the limits and evaluating the manual system

since it needs correct record keeping (Bacala and Reano, 2009). Harvent School

in Dagupan City, for example, is made up of primary and high school students.

The school places a high value on registration. The enrolling procedure is the first

step in acquiring genuine and correct student information that will be used to
DEPARTMENT OF INFORMATION TECHNOLOGY

facebook.com/ascot.dit

create permanent student records. To handle the abovementioned scenario, the

institution requires a registration and billing system. The study was conducted to

assist Harvent School in gathering timely and accurate information (Calabozo &

Fernandez, 2006). Many colleges now use an online enrollment system to help

students enroll in programs each semester (Gaton, 2012). Students can pick

whatever courses they wish to study based on the available class schedules. This

allows students to build up their time plans for various classes without having to

worry about scheduling conflicts. The mechanism operates after the allowed

registration time and allocates spaces to pupils. Students may use the Online

Registration System to log in, check their schedule, make adjustments, and pay

without having to wait in line or hurry to meet deadlines to complete all of the

transactions necessary for registration (Ella, 2012). The Online Registration

System is a mechanism for completing the processes of student registration,

advising, assessments, and payments, as well as class scheduling at any

educational institution. Computer applications are becoming increasingly

important, according to Aquino (2005). Winning organizations in the latter

decades of the millennium are those who are willing to incorporate business

strategy and information technology into their particular professions. The ability

to develop products quickly and make decisions quickly, the ability to have fluid

organizational structures, the ability to cope with a demanding work force and

external environment through the rapid development of innovative approaches,

and finally, the use of information technology confirms the company's vision and

mission. In order to develop an enrollment system, schools need information

systems. As a consequence, they are able to recruit new students and generate

money. Enrollees are drawn to the system because it speeds up and simplifies

processes. According to Alcuaz (1988), computer utilization can provide a

competitive edge and increase profitability. People's productivity is boosted by

computers. This is true whether they are operating alone or as part of a formal

organization such as a commercial corporation. "A lack of enrollment system in

schools may lead to confusion and issues," according to Adrian (2011). Students

will be confused about what they need do to enroll, which is why such systems

are highly important in the sense that they make working on enrollment

procedures easier. Enrollment is highly beneficial for accessing important

student information. Without it, registration processes may be problematic for

both school administration and students. Many countries today, particularly

emerging ones, are confronted by rapid technology advances. The whole

society's living and working methods have been drastically altered as a result of

this. Rapid technical innovation has played a role in this change. While the

industrial revolution intensified and expanded human productive power in the

twentieth century, the twenty-first century was marked by the birth of machine-

powered flight and the emergence of broadcasting and computer technologies

that extended the reach of human creativity even further and created new ways

for humans to live and work together (Tinio, 2002). One example of what was

fueled in part by rapid technical progress is the change of manual enrollment

transactions to automated and now web-based automation. With the advent of

computer technology, any technique to make labor easier and faster, such as

enrollment transactions, is feasible. Data processing, economic transactions,

research, planning, monitoring, and even surgical operations on human anatomy

are increasingly entrusted to computer technology due to technological

advancements. Web apps are popular owing of their widespread use. Its appeal

stems from the ability to update and manage web applications without having to

distribute and install software on potentially thousands of client machines. The

ability to function as described, regardless of the operating system available on a

specific client, is a key benefit of developing web applications to support a

standard browser feature (Bacala & Reanno, 2009). Web-based enrolment

system A web-based enrollment system has characteristics that suit the

demands and requirements of most academic institutions' systems. Standardized

modules for student registration, enrollment, grade administration, and other

modules deemed required to run a school are included. According to the

researcher, a web-based enrollment system for Veritas Parochial School (VPS) in

Web Based enrollment system, Manila was created to help its students enroll in

a more efficient manner without the hassles of waiting long hours to fill out

redundant forms or standing in line and paying at the cashier. This new kind of

enrolling may be accomplished with the VPS Web-based Enrollment System. This

new sort of system gives VPS students more alternatives when it comes to

transaction completed by the students must be validated. The students can also

go to the VPS website and verify their current account. He can also consult the

school's current tuition charge schedule (Pascual & Riceo, 2008)

FOREIGN STUDIES

According to Lopez (2005), a registration system assists students, enrollment

employees, and administration by providing efficient and dependable services.

Furthermore, this technology enhanced the enrollment process in terms of

search, retrieval, and subject scheduling. In a research’s done by Cayabyab

wreaking havoc on the student enrollment system. The safety of the pupils'

al. (2002) conducted a study on the importance of computerizing student

information. This research was carried out in the hopes of reducing the amount

of time and effort required to process student information at Maulawin National

High School. The study's main characteristic is the retrieval and updating of data

after it has been stored and accessed. Information systems, according to Jennifer

Rowley (2005), are a tool for supporting information management. Organizations

are progressively implementing information systems with the goal of gaining a

competitive edge. Transaction processing systems, management information

systems, decision support systems, executive information systems, expert

systems, and office information systems are some of the types of information

systems utilized by businesses. The birth of the information society has been

foreshadowed by information technology. It's possible that the information

society may become a "virtual society." The electronic classroom, electronic

workplace, and electronic library have all been investigated. Changing work

patterns, archiving, and bibliographic control, security and data protection,

intellectual property, marketplace concerns, and access are all challenges that

information systems raise in society. An enrollment system is essentially included

in one of the author's classifications of information systems, and it acts as a tool

to assist information management with regards to student data, enrollment fees

information, and other information related to the enrolling process. Every school

gains a competitive edge by implementing this system since they will be able to

handle sensitive information with simplicity and security. The iterative

implementation technique is a hypothesis that claims to solve the issues

associated with waterfall studies. This was created to circumvent a linear and

chronological study progression. The system's overall functionality is divided into

feature sets. These feature sets are frequently based on use cases from the

analysis stage, and they contain groups of individual features that are related,

typically by a functional area (Stephen McHenry, 2010). Using Stephen

McHenry's iterative implementation theory, the overall functionality of the

system is broken down into what he calls feature sets, and those feature sets

represent different processes involved in an enrollment system. It aids in

determining what features an enrolment system will have, as these systems

perform a variety of tasks and operations. Science and technology, according to

Dunn and Scott (2005), are at the foundation of the world's developing

breakthroughs. A person in this field of competence has been reshaping the

landscape of today's corporate world for many years. The enrollment method

has had a significant influence on the educational arena. It's a system based on

cutting-edge program strategies. It's a mechanism that will make it easier for

both the enrollment professionals in charge and the students to process

enrollments in a shorter amount of time. LAN enrollment system, unlike

conventional enrolling, processes a vast variety of student records and delivers

efficient and consistent information services. "The Internet is neither an

outstanding communication tool nor a revolutionary," writes Holmes (2006). It

merely depicts the current stage in the evolution of human capacities through

written language, which is developed from spoken language." That remark only

serves to demonstrate that contemporary technology has reached its pinnacle.

Web-based apps are becoming commonly utilized due to their accessibility.

Web-based enrollment systems are now gaining traction on the market because

they provide transaction ease and service efficiency over the Internet. This

system becomes a great tool for dealing with enrollment transaction information

management. According to Forman (2007), continued technological innovation

can lead to organizational changes ranging from improved day-to-day operations

to easier access for end users. Many schools have adopted this innovation in

their service delivery, which is similar to Tinn's (2001) view that computerization

reacted to the demand of the office or any workplace to assist in their everyday

operations. According to Malolos et al. (2002), the study of automation is vital

since it reduces the time and effort generally used in manual processes. While

Janes (2001) stated that computers are extremely dependable devices and

powerful calculators with some great accessory applications such as word

processing problems for all business activities, regardless of size, computers have

three advantages over other types of office equipment that process information

because computers are faster, more accurate, and cost-effective. Manually doing

Reyes (2005) work would be time demanding, but with the assistance of

computers field in cabinet, it would be more feasible. According to Flores (2002),

automation is defined as the replacement of human control by machine control.

According to Dioso (2001), computers aid in careful intelligent planning,

organizing, actuating, and controlling. This has been observed in the past when

computers were used to monitor production activities, solve scientific problems,

and assist in arriving at a tentative solution to a variety of involved conditions.

According to Ralph M. Stair (1999), technological advancements have enabled us

to accomplish more with less effort throughout time. From the invention of the

light bulb through the industrial revolution and beyond, we've been trying to

find more efficient ways to do jobs. According to Lewis (2002), the reasons for

utilizing computers differ from person to person. Some of the functions of

computers in business include accuracy, productivity, reducing bottlenecks or

difficulties, changing financial flows, and elevating your standing. According to

Gold Chager et al. (2003), most people are aware that computers play a

substantial part in their lives, but few are aware of exactly how widespread that

role is. Mane (2000) stated that the invention of the computer made it simpler to

complete tasks than doing so manually, and that having direct access to a simple

solution by just monitoring records made it possible for everyone to receive data

in a specific requirement. We can consider the computer to be both essential

and useful for individuals. According to Gurewich (1999), the database system

speeds up work for all institutions. For the simple reason that everything is done

faster when using computer technology rather to doing things manually. Halili,

M.C.N. (2004) claims that man's activities are just involuntary motions, especially

when time allows him to prepare his next action. These replies go through a

thinking and analytical process. According to Huntchinson et al. (2001), a file is a

collection of connected records. The full student's courses card for Anthropology

101, for example, or the transcript of all courses at the register's office are two

examples. The information system, according to Bryan (2006), is a collection of

people, procedures, and resources that collects, transforms, and disseminates

information in an organization. Many types of information systems are used to

achieve the company's goals (IS). They might include basic manual and informal

information systems, as well as computer-based information systems that make

use of hardware, software, communications, and other types of information

technology (IT). According to Sander (2002), computers are an intelligence

amplifier that allows people to make better use of their time. Because a

computer is a high-speed, high-accuracy electronic symbol or data manipulating

machine, it can take and store data, process it, and provide output results under

the guidance of a recorded program or instruction. According to Tows and

(2005), a database is a structured collection of data. Data might be about people,

products, or events; in short, any sort of information can be used to manage

data collecting for reporting and decision-making. According to Adamski (2007),

database processing has the following advantages: economy of scale (getting

more information from a given amount of data), sharing data (balancing

conflicting requirements), enforcement of standard, controlled redundancy

(consisting of integrity, security, flexibility, and responsiveness), increased

programmers productivity, improved program maintenance, and data

independence. According to Alcaria (2004), as the usage of computers grows, so

does the need for more rapid information and data processing. Keeping records

of any manual processes requires the use of a computer because doing so

manually would be inconvenient. According to Kroenke (2002), database

processing was regarded as an arcane topic of interest exclusively to the largest

firm with the largest computer in the early 1970s. Information system- Database

System Concept Database processing is quickly becoming a norm in today's

information systems. According to Silberschatz (2006), the purpose of database

systems is to simplify and ease data access. Ahitud et al. (2007) said that

information systems are more than just a collection of hardware, software, and

people. They should be built to meet the organization's strategy and structure so

that the information they require may be readily altered. Access to information,

according to Asumbra (2002), is the greatest means to. Access to knowledge at

one's fingertips, in accordance with technology, is a more convenient approach

to be prepared in the future. According to Hammer (2003), computers can

eliminate the necessity for copying and rearranging information once it has been

entered into the system. They can also execute mathematical computations; in

other words, computers can do away with the majority of paper work. Computer

networks, according to Microsoft Corporation (2002), are a collection of

computer and intelligent peripheral devices that are interconnected by

telephone lines, microwave relays, and other high-speed communication

channels for the purpose of exchanging data and sharing equipment. Southern

California Community College's Long Beach City College has gone live with a

Cognos-based enrollment management system created by e2e Analytic, a

professional services organization located in Irvine, California. Prior to the

installation of the new system, LBCC used manual spreadsheets to manage its

enrollment. The college has two main campuses and many satellites that support

nine schools and 34 departments. The school's enrollment management

budgeting and planning took up to three months to compile, consolidate, and

implement due to a lack of reporting, continuity, or standard practices, as well as

lengthy error corrections (Koft 2007). The study on problems involving schools

such as Long Beach City College is an aid for proponents to formulate solutions

on transferring manual enrollment transactions to an automated or

computerized one. The Edith Cowan University Web Enrolment Approach

(ECUWES) has replaced the conventional hard copy system of enrollment,

according to Kerian Greenaway, the coordinator of Admission Support. The

technology allows students to enroll in courses immediately and conveniently

through the internet. Because of its online enrollment technology, the

mentioned institution in Australia is now enrolling more than 5,000 new

students with quicker transactions. Academic institutions, both private and

public, are transitioning from manual to computerized systems, which includes

student registration. This can be done on an intranet or in an internet-based

environment. Acceptance of modern technology has resulted from a desire to

overcome these obstacles and difficulties. It comes with a computer network, a

CD-ROM, and a fast CPU. The problems of admission and evaluation of academic

records, subject reservation, assessment and payment of fees, and issuance of

class cards are besieged by these technologies, which led to the development of

information databases that provide simple and prompt retrieval of information

through networking. In Local Area Network Enrollment System (LANES), the

problems of admission and evaluation of academic records, subject reservation,

assessment and payment of fees, and issuance of class cards are besieged.

Similarly, searching for records is efficient owing to the primary key that is

employed in retrieval. A LANES (Local Area Network Enrollment System) is a

comprehensive system. It combines many functions such as databases,

searching, retrieving, and updating student records, monitoring students'

schedules, and calculating fees. (Dzubeck, Frank, 2003) Proponents of an online

enrollment system for schools with a large number of students were inspired by

advances in contemporary technology and challenges with enrollment

transactions. The suggested system is designed with certain elements in mind.

The first is the time-consuming chore of filling out application forms, as well as

mistakes in information supplied by students, which cause the enrollment

process to be delayed. Another issue was that there were issues with issuing and

advertising enrollee timetables, causing them to be late for their first lesson. The

researchers gathered data in the enrollment system that was important for the

study's effectiveness in giving benefit to employees and students so that they

may have direct and convenient access to information. In Governor Andres

Pascual College, a software development and IT service provider built an

integrated online platform to provide content management, transaction

processing, marketing, and interactive community functions to the two rice

schools. Catalyst meets the Jones School's two main requirements for choosing a

web-based platform: content management and user reaction to information

such as event RSVPs and course enrollment. The Jones school personnel may use

the content management tools to edit, update, and contribute to the large

volume of curriculum and event material without requiring technical support.

They just copy and paste the document into the content management system,

check for consistency, and post it to the internet. The school's various audiences,

who include MBA executive MBAs, executive education participants, and

graduates, will now receive timely notifications of news and activities, and will be

able to RSVP for events or register for Executive Education courses online.

SIMILARITIES

The enrollment system of Veritas Parochial School uses web-based and

databases to keep their records in the research mentioned above. Students will

access the website, register, and complete several forms. Relational databases

were used to build and implement Liceo De Victoria Enrollment. Quiver (2001)

created a database III-based application capable of retrieving, accessing, and

altering data in a simple manner. Lumber's (2002) study, which focuses on the

systematic enrollment process in Saint John Academy utilizing a database,

demonstrates how the enrollment process may be made more efficient. The

ability to operate as described is a key advantage of creating web applications to

support a standard browser feature, according to Bacala & Reanno (2009).

According to Stephen McHenry (2010), WAMP (Windows Apache MySQL PHP) is

used to develop dynamic web sites with an apache server, PHP5 script

languages, and a MySQL release 5 database. The studies support the use of web-

based applications so that students can access the websites. The researchers

used a database to improve the efficiency of registration procedures, as well as

to store records or information about students and to manipulate data.

According to Ella (2012), students will be able to check their schedules, view

topics and professors, make needed adjustments, and pay online. According to

Gaton (2012), the system allows students to select courses based on available

class schedules. This allows students to build up their time plans for various

classes without having to worry about scheduling conflicts. The mechanism

operates after the allowed registration time and allocates spaces to pupils. Both

the concept and the concepts do not cover the researchers' system in terms of

online payments, grade computation, class scheduling, or fee assessment.

This chapter presents the project design, project development, project

implementation and evaluation, population and local of the study, data

collection procedure, data collection instrument, treatment of data.

2.1 Project Design and Development

This research leads to the design of an online registration system that does not

require the physical presence of students on campus during registration or

enrollment process.

The current system requires the presence of the students physically in the

campus, wherein the faculty and staff asked each student to provide their basic

personal information. The faculty or staff will then feed their information to the

registration system. Then the student will be given a payment slip based on the

course/subjects they have enrolled. The student will pay in cash at the cashier

the receipt number will be added to the registration form of the student before

printing out the registration form with the time and date that the registration

was completed.

While in online registration system the physical presence of the students in the

campus will not be needed and in can be done by the students simultaneously.

Payments for enrollment fees can also be done online.

3.1.5.1 Test Plan

The testing phase is an important phase in the development where

the software bugs and errors are discovered and worked out. There

are many types of testing that can and should be performed during

the testing phase including trial and error testing. This type of testing

is invaluable with developing in a professional administrator, but can

prove difficult when developing a software application without

professional support. Testing is a very time-consuming phase that

should be run by a different team that the development team in

order provide a non-bias assessment of the software.

As a result of the limitation in testing above, the testing in our

system focused on unit testing and using real-world test data in

testing. Although ideally the testing phase would have lasted for

weeks, the developer successfully finished testing and finished the

entire database to be used.

3.1.5.2 Requirements-Based Testing

3.1.6 System Deployment

2.2 Project Implementation and Evaluation

Implementation of this system may first need a trial run by Faculty and staff.

They need to try providing information like the students then evaluate if this

information was fed properly to the registration system. Also, check if the

merging/combining of the old system database and the new system database is

possible.

2.2.1 Population and Local of the Study

The focus of this study is the students, especially the new students who will

register for the first time. The faculty and staff can provide the information of
DEPARTMENT OF INFORMATION TECHNOLOGY
ASCOT Zabali Campus, Baler, Aurora
bsit@ascot.edu.ph
facebook.com/ascot.dit

the existing student in the online registration system based on the old system

database. This is to provide pre-loaded information for the existing students.

2.2.2 Data Collection Procedures

First, the link for the Online Registration System will be given to the students.

The students will then go to the site and fill-up the necessary basic personal

information required. The student will then choose his/her course and the

subject/s he/she enrolling to. After choosing his or her course and subject/s the

system will then generate a payment slip with the amount to pay and the bank

details where the payment will be transferred. After the online payment or bank

transfer of the student the system will automatically check and update if the

transaction was successful. If the payment was successful the online registration

will be marked as “DONE”. The students can then save or print-out his/her

registration form.

2.2.3 Data Collection Instruments

In-depth interviews were conducted for the purposes of this study. In depth

interviews are unstructured, personal conversations with the goal of eliciting

participants' emotions, sentiments, and opinions about a certain study topic.

Personal interviews have the advantage of involving personal and direct contact

between interviewers and interviewees, as well as eliminating non-response

DEPARTMENT OF INFORMATION TECHNOLOGY

bsit@ascot.edu.ph
facebook.com/ascot.dit

rates; however, interviewers must have developed the necessary skills to

conduct an interview successfully (Fisher, 2005, Wilson, 2003). Furthermore,

unstructured interviews allow for more flexibility in the interview's flow, allowing

for the generation of conclusions that were not originally intended to be drawn

about a research topic. However, there's a chance that the interview will stray

from the research's stated goals and objectives (Gill & Johnson, 2002). In terms

of data collecting technologies, the study was conducted using semiautomated

data gathering tools.

The researcher was given a standardized questionnaire to serve as an interview

guide. Some questions were prepared ahead of time to help the researcher steer

the interview toward meeting the research objectives, but more questions arose

during the interviews.

2.2.4 Treatment of Data

The responses to the questionnaire by incoming college students were

statistically analyzed with the data requirements of the study. Students were

statistically analyzed with the data instruments of the study. The responses

made by students describing their socio-demographic profile for instance, age

and courses was included. This was also applied for pre-registration form and

student preference. In providing of the socio-demographic profile and career

preference, as well as anticipated problems in pursuing their studies and its

effect on students, the summary presentation will be also presented.
