1. Help with Installation

• For a detailed description of all installation types, in the installation routine press the
Help button

4
2. First-Time Installation

• License
Softlock: file from any folder -> PSD license from USB Stick / Allplan Connect
Hardlock: license file from any folder -> NHLock file from USB Stick/ Allplan Connect
• Paths
Program folder
C:\Programs\Nemetschek\Allplan
Central File Storage Folder Local
C:\Data\Allplan
Central File Storage Folder in the network is specified as a UNC path, e.g.:
\\SERVERNAME\ReleaseFolder\Allplan (e.g. \\SERVER\Nem Data\Allplan)
• Workgroup Manager
In the case of installation with Workgroup Manager, the check box for the relevant option must be
selected.
• Installation Type
Standard installation from first client -> all others as minimal installation,
where no more standard data is copied (approx. 500 MB + time saved)

5
3. First-Time Installation with Data Copy

• New data path is generated

• You can select what folders

are to be copied (PRJ or STD or USR)

• Data is converted the first time Allplan is started

• Projects are converted during initial access

• Data conversion of all project data into the current version, see the following FAQ
in Allplan Connect:
https://www.allplan-
connect.com/en/support/loesungen.html?tx_nemsolution_pi1[dokID]=20090408124904.html

6
4. Continue with First-Time Installation with Data
Transfer

• If, in a network on a different PC that accesses the same central file storage path, a
'First-Time Installation with Data Copy' takes place, this is the only option available.

7
5. Update Installation of Version 20XX

• An update always takes place within the same version, e.g. from 2012-0-5 to 2012-1

• The existing installation is updated. Missing or defective resources are regenerated.

• Data conversion not necessary

• Note: Hotfixes are removed and may need to be reinstalled afterwards

Example: existing installation Allplan 2011-1-5
Update with 2011-1 -> afterwards only 2011-1 without Hotfix 5 present

8
6. Upgrade Installation of Version 20XX

• An upgrade leads to a higher version, e.g. from 2011-2 to 2012

• Existing Allplan installation is overwritten with the installation to be installed; all data
and settings are retained.

• Here, only the program core is "swapped".

• Data conversion
• Office standard and user data are converted the first time Allplan is started.
• The projects are converted when the project is accessed for the first time
Data conversion of all project data to the current version:

9
7. Hotfix Installation

•Hotfixes are small updates/patches,

provided for download to resolve
urgent or minor program errors
.

•Hotfixes are installed via the Automatic Update for

Allplan and can be downloaded from Allplan Connect.

•In the case of installations with Workgroup Manager,

the administrator can "distribute" the hotfixes to the clients on the network.

10
8. Service Release

• A service release is an updated full version containing all previous hotfixes and other
modifications/updates.

• The service release can be used

• for an update installation (within the same version)
• for an upgrade installation (of a lower version)
• for a first-time installation

12
Workgroup Manager
1. Benefits

• Assignment of privileges:
 Normal users are not authorized to change the office standard
 Only assigned projects belonging to the user are visible and can be processed

• Shared working in the project is possible

• PC/laptop can be checked out

13
Workgroup Manager
2. Installation / Requirements
• License - must include the WGM option
 The Workgroup Manager must be acquired separately.

• Can only be set up by means of first-time installation.

 Only in the case of a first-time installation can the installation be carried out with Workgroup Manager.
 The necessary folders and files are created on the server.

14
Workgroup Manager
3. Configuration
• Note:
all information on the Workgroup Manager can also be found in the Help in Services

• Add a user
Services - Workgroup Manager - Configuration - Add a user
Following a first-time installation, the Allplan users must be added. To do so, log in as the Allplan
Administrator.

First, the Windows user name is entered in a dialog box; this is then followed by the Allplan user
name in a second dialog box.

15
Workgroup Manager
3. Configuration
• User types:
In the Allplan installations with Workgroup Manager there are
• Users and
• Users with administration privileges in Allplan (Allplan Administrators)

 Users: Users that have been created in the Workgroup Manager Administration without
administration privileges.
 Allplan administrators: Users to whom administration privileges have been granted in Workgroup
Manager Administration.
 Special form: Users with the internal CAD user name (user assignment) "sysadm" always have
administrator privileges in Allplan

• Differences between administrators

 Allplan administrators and users with the internal CAD user name sysadm may change and save all
settings in Allplan and in Services.
 Important note about the hardlock license server:
Only users with the internal CAD user name sysadm may modify settings on the hardlock license
server.

the Workgroup Manager user administration

17
Workgroup Manager
3. Configuration
• Workgroup Manager – Information
Only displays information. This can also be viewed by normal
users.
 Show list of users
 Show list of computers
 Show list of projects

• Workgroup Manager – Different user folder

The system administrator can switch to the user folder of
another user.
The administrator can then access this user's private data.
Here, the administrator can for example add a user's private
data such as icons, patterns, etc. to the office standard

4. Checking out a PC
Services -> Workgroup Manager –> Administration

•Checking a PC in or out
Checking out means that a PC is temporarily removed from the workgroup environment and that you
can work on it as on a PC with standalone installation. This is useful if you work in a workgroup
environment and you wish to work on a project temporarily, e.g. on the weekend or at the client site,
without having access to the workgroup environment.
When checking out, a copy of the office standard is created on the local PC, all projects on this PC
that access the office standard now access this local copy.
When you check the PC back in, the copy of the office standard remains on the PC; however the
projects access the office standard in the network again.

•Notes:
To be able to check out, a license must be present locally on the PC. Installations with license server:
for the PC to be checked out, either a separate dongle must exist or the license must also be checked
out.

4. Checking out a PC
I. Adding a PC
•Log in as
Allplan Administrator.
The laptop must be added to the workgroup
as a possible location for data storage
(data server)
.
•Folder, e.g. 'Nem data', for which you set up a
folder release (with full access).
•In this folder, create a subfolder called
'Allplan'. In the Allplan folder, create two
subfolders 'usr' and 'prj'.
•Select the Computer icon to add this PC.
•The added PC will then also be included in the
Administration (Nemetschek ProjectTool).
•Note:
your own PC is shown in green in the list.

II. Taking projects with you
You have the following options for taking projects with you.

a. You move the project to the laptop.

 Advantage: easier handling.
 Disadvantage: the project can be lost if the laptop develops a fault or is lost.
Move project: click on the project and drag it to the target PC. Alternatively: In the project context menu, click Cut
followed by Paste from the context menu of the target PC. After checking the project back in, move the project
back to the server.

b. You copy the project to the laptop.

 Option 1: you lock the original project on the server, thereby protecting it against changes. As a result, no work
with the project can be carried out during this period, but it is stored as a back-up on the server. When you
check the laptop back in, you unlock the project on the server again, delete it and copy your copy with changes
back to the server.
 Option 2: you leave both projects active, in which case you can work in the copy on the laptop and in the
original on the server. Caution! Manual data update must be carried out if the PC is checked in again. Copy
projects together using the ProjectPilot.
Click on the project, press the CTRL key and, keeping the left mouse button pressed, drag it to the target PC.
Alternatively: from the context menu of the project, click Copy followed by Paste from the context menu of the
target PC.

III. Checking out a PC
•You can confirm the message that
user folders are still on the
PC to be checked out.

Enter a comment
which the users in the office will see
when they try to access
a project located on the checked
out PC.
Specify which areas of the office
standard must be copied
to the laptop.

IV. Checking in a PC
•No data update takes place. The laptop is immediately included again in the network.

• Note:
If user folders have been moved onto the laptop and the laptop has been checked out, the user
concerned can only work on the laptop and not in the office.

• Defining the project owners:

To be able to move projects as a user, the user must own these projects.
Ownership of a project can only be modified by an Allplan Administrator (or by the owner of the
project).
