Candidates Courtyard Final Instructions

SCHEDULE: Exhibit Tables setup 6:30 AM


State Committeemen registration starts at 7:30 AM
Mandatory Meeting hours: 9:00 AM – 3:00 PM.
Lunch break 11:00 AM – 1:00 PM (approximately)

Thank you for your involvement in the Republican Party of Arizona’s 2022 Mandatory Meeting. This year’s
Candidates Courtyard promises to be the highlight of the meeting and we’re pleased that you have chosen to
participate.

In order to make your Candidates Courtyard experience successful and stress free, please review and observe
the following guidelines. Most of your questions and concerns are addressed in these guidelines.

SETUP: Exhibitor tables can be setup anytime starting at 6:30 the morning of Saturday, January 22. State
Committeemen will start to arrive around 7:15 AM to check in at 7:30 AM.

Check in with me or Terry Babb in the Candidates Courtyard area when you arrive to learn the location and
number of your exhibit table. The tables are sequentially numbered around the Courtyard area. DO NOT
MOVE FROM THE LOCATION THAT HAS BEEN ASSIGNED TO YOU. Exhibit tables have been
assigned to provide adequate separation between candidates running for the same office.

TABLES: Each Exhibit Table is 30” x 6’. We will not provide seating, so bring folding lawn chairs and any
décor you plan to use to enhance the appearance of your space. Donuts, bagels and water will be offered for
sale. You can bring light snacks – pretzels, peanuts, chips or wrapped candy – to offer to State Committeemen
visiting your table.

Please do not share exhibit space with another candidate who did not register for the Courtyard. Only
registered, paid candidates will be featured at the Candidates Courtyard.
TABLE STAFF AND LITERATURE: You may staff your table with as many campaign staff
members/volunteers as you deem necessary. Campaign literature, yard signs, buttons and related promotional
materials can be distributed to State Committeemen during the meeting.

WASTE: Of course there will be waste and it would be helpful if you bring a trash bag or receptacle for use at
your table. It can be deposited into larger waste cans located around the area during the day or after the
meeting. Your help in waste collection is greatly appreciated by our cleanup volunteers.

We will place collection receptacles near the doors of the meeting building for State Committeemen to dispose
of any unwanted campaign literature and flyers. RPAZ staff will sort the flyers and let you know if there are
enough for you to have the option of picking up. We will also remove the flyers from the unused State
Committeemen packets and add those to the first group. Again, we will let you know that there are flyers to
pick up if you wish.

FOOD TRUCKS: There are food trucks at the venue during the day. The area in the parking lot will be
marked off to provide ample room for State Committeemen to mingle during the day and during the lunch
break. Please feel free to support the food service vendors.

BANNERS: Volunteers will hang and take down candidate banners inside the meeting hall. If you have paid
for a banner to be displayed be sure that the banner is delivered to the RPAZ headquarters, Suite 101, 17767 N.
Perimeter Drive in Scottsdale on or before Tuesday, January 18, 2022. Banners will be immediately removed
after the meeting and ready for pickup by candidates or a member of their campaign staff in the building lobby
after the meeting adjourns. All banners left at the venue will be taken to the RPAZ office for you to pickup.

CANDIDATES WHO ARE NOT REGISTERED IN CANDIDATES COURTYARD: Candidates who are
not displaying in the Candidates Courtyard exhibit area are not allowed to distribute literature or promotional
campaign material. RPAZ staff will monitor the Courtyard area, however if unregistered candidates are spotted
violating this rule, please let me know.

EXHIBIT BREAKDOWN AND MOVE OUT: Exhibit breakdown and move out can be simplified by
observing the following:
1. Be sure the display table personnel remove leftover campaign literature and materials. Please do
not leave promotion materials for our cleanup volunteers to remove. Also remember to remove
any yard signs your campaign may have placed around the church grounds. Be a responsible
exhibitor and help.
2. Pickup loose paper and other waste materials around your display area and deposit them in the
appropriate receptacles around the premises.
3. Tables will be picked up shortly after the meeting adjourns so please fold your table and leave it
in the Courtyard area for pickup.
