Assessment Task 1: Workplace digital There are five parts to this task:

Assessment Task 3: Case studies You are required to read the case studies, review the Grow
Management Consultants' IT Policy and Procedure to answer the
questions.

PART A – CONDUCT RESEARCH

INSTRUCTIONS:

The first part of this assessment requires you to conduct research about workplace digital applications.
You will use your research to write a briefing report (Part B) about the workplace digital applications that you
have researched. Your assessor will provide you with a template for developing the report. You should review
the template prior to commencing your research. The report should be written in clear and concise English.
Your research should address the following:
1. General trends and innovations in digital technology applicable to workplaces. You will need to research
at least five trends/innovations, give an overview of each and briefly discuss what that trend/innovation
means to the small to medium sized business.
2. Identify and review six digital applications that are available to Australian workplaces – two each for
communications, technologies and networks
 Workplace communications (ie any digital tools that allow two or more people to
communicate/collaborate with each other and that may be written, verbal, visual, audible or a
combination of these).
 Technologies that can be used in any area of the workplace eg hardware and software, learning
management systems, record management, document management systems, etc.
 Networking through digital applications to form and/or maintain relationships with other individual or
organisations.
Note: you may focus on both general technologies eg project management software, as well as a specific
version of the technology eg Wrike
 For each of the digital applications you identify, address as a minimum:
 the name of the digital application
 brief description of the digital application, including its use in the workplace
 at least one benefit of using the digital application.
3. An important part of accessing digital information is to review the validity and reliability of information
sources. Research the Internet to find out about ways to assess the validity and reliability of digital
information sources. Make notes on at least five questions that should be considered to assess the validity
and reliability of a digital information source.
4. In your briefing report, you will be also be required to list at least three of the information sources you have
used to research the digital applications. For each of those sources you will need to answer each of the
questions you developed to determine and report on the validity and reliability of the identified information
sources.

5. You are required to research legislation and regulations relevant to intellectual property and digital
technology. Your research should:
 discuss intellectual property risks in relation to digital technology
 list the names of at least five Acts and Regulations that apply to intellectual property and digital
content including their purpose and scope.
6. Research the key elements a workplace would need to consider when evaluating digital technology and
information options to determine if they are fit for their purpose. You will need to discuss your findings in
your report.

PART B – DEVELOP RESEARCH REPORT

INSTRUCTIONS:
Develop your research report based on the research you conducted above.
Use the research report template provided by your assessor to document the research that you conducted.

PART C – RESEARCH CLOUD STORAGE SERVICES

INSTRUCTIONS:
You are required to research and compare cloud storage services. You will use one of the public cloud
services to share your briefing report with your assessor.
1. Research four cloud storage service options – at least one of the options should be a public cloud service
that you can use later in this assessment.
Your research should address:
 the name of the cloud storage service
 how it compares to other services - the advantages of disadvantages of each
 brief description of the cloud computing systems
 storage capability
 pricing and plans (as applicable).
2. Write a brief report that includes the comparisons, your chosen cloud service and the reasons for
choosing it (this report will need to be submitted in Part E of this assessment).
3. Send an email to your assessor letting them know which cloud service you are going to use.

PART D – WRITE A BRIEF PROCEDURE

INSTRUCTIONS:
Write a brief procedure for using your chosen cloud storage service in a workplace.
Your procedure should cover the following points:
 The purpose and scope
 The relevant legislation that applies to the service (identified in Part A and Privacy)
 Information/instructions on how to protect intellectual property and copyright
 Where the information/data is stored prior to sharing on the cloud service
 Where the information/data is stored after it is retrieved from the cloud storage
 How long it can be stored in the cloud (from the workplace prospective)
 Instructions on how to use the service including logging in and out
 Any protocols that may apply (naming conventions, usernames, file size, etc).
Your procedure should not be longer than two pages.

PART E – UPLOAD DOCUMENTS TO A CLOUD STORAGE SERVICE

INSTRUCTIONS:
The final part of this assessment requires you to use the public cloud service you chose in Part C of the
assessment.
Create an account for the cloud service, if you don’t already have one, and upload the following documents to
share with your assessor:

 Research report (Part B)
 Cloud Storage Comparison Report (Part C)
 Your procedure (Part D).
Your assessor will provide feedback via the cloud service which you will be able to download.

Part B – Research Report

Briefing report: Workplace digital technologies

1. Digital technology – trends and innovations

Describe at least five current trends and innovations in digital technology in the workplace. Describe each
trend or innovation in a paragraph or two, briefly explaining the trend/innovation and its application to the
workplace.

Intelligent Assistants

Allowing an IA to handle these routine chores saves users hours per week and allows them to focus on more
important responsibilities. Although significant improvements are needed before IAs can be considered
actual assistants, early adopters in the enterprise area claim that they will scale enormously in the next
years.

The Anywhere Office

The digital workplace has become more mobile, putting less emphasis on physical workplaces than ever

before, thanks to the ever-expanding market of mobile-first platforms. Mobile technology allows for real-time
communication with coworkers as well as digitally based work, allowing employees to work and contribute
from anywhere.

Enterprise Social Platforms

In today's workplace, effective collaboration is critical, and corporate social platforms allow employees to
communicate and cooperate with everyone in their organisation as easily as they do on their favourite social
networks. Enterprise solutions aim to provide a positive user experience while also increasing efficiency.

Smart email

The Intranet provides a secure environment for real-time collaboration and communication, allowing
information to be transmitted rapidly and efficiently. Employees can stay nimble because they have fast
access to the information they need, which encourages a change-adaptive culture.

Artificial Intelligence

Artificial intelligence is a system that can perform tasks in a way that mimics human intelligence and can
iteratively improve itself based on the data it collects. Artificial intelligence (AI) helps organisations thrive by
assisting with decision-making and transforming them into more intelligent, automated, and scalable entities.

2. Workplace communications – digital applications/technologies

Provide examples of two workplace communications technology i.e. any digital tools that allow two or more
people to communicate with each other and that may be written, verbal, visual, audible or a combination of
these. Make sure the technologies you choose are up to date and/or innovative.

Describe:

 The name of the digital technology/application


 The digital technology application, including its use in the workplace
 At least one benefit of using the digital technology/application.

Google drive

Individual documents and drives can be shared with other users. Multiple people can access and maintain a
single document using this permission-based capability. The changes made by each user will then be
credited to them. This means that people from all around the world may sit down and start collaborating on
projects, resulting in projects being completed faster. Supervisors can also watch the process to check that
everyone is doing what they're supposed to be doing, and that if there's a delay, it's easy to figure out where
it's coming from. That way, we will know right away when the ball is dropped and will have the opportunity to
react. With access to this document from anywhere in the world, we may have personnel working around the
clock to ensure that a project continues track and, in some situations, is completed ahead of schedule. We
can then download the file and use the contents for whatever project we are working on once it's finished

3. Digital technologies – general

Provide examples of two digital technologies that can be used in any area of the workplace e.g. hardware

Zoom Meeting Transcriptions

In the post-COVID-19 age, many digital workplaces are delivering software that allows video conferencing
and employees' hybrid work styles. One example is Otter.ai. Otter.ai, a company that delivers AI-powered
real-time transcribing services, announced the debut of Otter Assistant. The tool automatically joins Zoom
meetings that have been scheduled, as well as records and shares meeting notes.

RPA systems with machine learning

According to Deloitte analysts, intelligent IT solutions can improve analytical capabilities and simplify audit
and historical document tracking processes. End-to-end back-office automation is now possible thanks to
Natural Language Processing (NLP) and Robotic Process Automation (RPA). Government centres are one
example mentioned by Deloitte researchers: AI-powered online self-service portals are intended to increase
data intake capacity while decreasing reliance on physical government offices.

4. Networking through digital technologies

Provide examples of two digital technologies for networking i.e. to form and/or maintain relationships with
other individual or organisations.

Google hangouts

Google Hangouts can not only replace lost face time, but it also allows you to exchange displays and files in
the middle of a conversation, just as you would if you strolled up to someone's desk. It's ideal for
presentations, meetings, and walkthroughs, among other things. Hangouts allows users to make free audio
calls to other Hangouts users and costs users to call landlines and mobile phones overseas (through pre-
registered credit), except for calls to the United States and Canada, which are free.

SharePoint

It can be used as a shared file repository, a blog, a web content management system, or even an intranet.
It's also available in a variety of flavours, including SharePoint Server and SharePoint Online, both of which
are part of Office 365. It's one of the simplest ways to preserve templates that assure brand and corporate
standards consistency, which can be difficult for firms with employees operating in a variety of places around
the world.

Intellectual property is potentially a company's most asset. Intellectual property, whether tangible or digital,
customer data or operational information, trade secrets or business strategy, is often the primary source of
revenue for any company.

 Legislation and copyright – list at least five Acts and Regulations that apply. List the name, the
purpose and scope of each.
Australian intellectual property law is intended to promote innovation and protect businesses that produce
unique intellectual property to gain a competitive advantage. Australia is also a signatory to a number of
international treaties that safeguard intellectual property rights in other countries .

Part C – Research cloud storage services

You are required to research and compare cloud storage services. You will use one of the public cloud
services to share your briefing report with your assessor.

Pricing IDrive's basic plan is completely free. It has a storage capacity of 5 GB

$99.50 per year, are the other plans available. For the first year, each
plan comes with a discount.

range from $4.99 to $17.99 per month, annual plans from $19.99 to

subscription with 10 GB of storage and 3 GB of daily bandwidth is also
available. This design, however, does not include client-side encryption.
After comparing the four cloud storage services (Cloud Storage Services, IDrive, SugarSync,
IceDrive) from the advantages and disadvantages, I decided to choose IDrive for some reasons,
they are:

• Allows bulk uploads and restores
• Fast upload speeds
• Stellar mobile experience
IDrive also offers specialised backup software, such as IDrive Lite for backing up contacts from mobile
devices, IDrive EVS for software developers, IDrive Portable for local data backup, and IDrive Photos for
backing up photos from users' phones

The Privacy Act 1988 (Cth) (the Privacy Act) governs any overseas disclosures of personal information,
which is a topic that many cloud computing implementations touch on. When exposing personal
information outside of Australia, any organisation subject to the Australian Privacy Principles under the
Privacy Act must adhere to specific duties.

Before releasing data outside of Australia, the person disclosing the data must take reasonable precautions
to ensure that the recipient does not violate the Privacy Act, according to Australian Privacy Principle 8.
Unless an exemption exists, the disclosing party is responsible for the recipient's violations of the Privacy
Act. One exception is if the disclosing party has reasonable grounds to believe that the recipient is subject
to a law or binding scheme that protects the information to at least a substantially similar level as the
Privacy Act, and there are mechanisms available to the individual to whom the information relates to
enforce that law or binding scheme.

based across different offices, meetings are usually held in any one of the offices with senior managers

PART B – PREPARE FOR ONLINE MEETING

INSTRUCTIONS:
You are now required to prepare for the online meeting with your assessor.
 Complete the following preparation tasks:
 Access or download the online meeting software and familiarise yourself with the system.
 Research online meeting protocols – identify at least six online meeting protocols that should be followed.
 Develop a brief procedure that could be used by staff that covers the meeting protocols and written
instructions on how to use the online meeting software (including accessing the software, setting up a
meeting, how to use audio and share documents and any other important information). This document
should be approximately one page.
 Prepare a short presentation using Prezi or PowerPoint about the online meeting application you have
selected. You will use this presentation in Part D of this task.
The presentation should be for approximately two-three minutes and address the following:
– The name of the application
– Brief description of the application, including its use in the workplace
– The benefits of using the application
– How to access the digital application
– How information is stored and retrieved (in relation to IP and copyright laws)

The final part of this assessment requires you to conduct an online meeting.
The purpose of this meeting is to talk about the digital application you chose. You will use your presentation
from Part B of this task to guide you through the meeting.

transferred a large number of files via the Internet at work to her phone and a colleague has reported it to
the Branch Manager.

Jane has broken the regulation by using cloud computing services on her personal cloud services account
to send and store files that are company-owned data without adhering to the company's rules controlling
such data. She moved work files using cloud computing services without the IT manager's permission.
Cloud computing services may result in data loss or theft, exposing individuals and businesses to internet
risks and exposing the company's network to unwanted intruders. Jane may have exposed the company's
information to unauthorised attackers by transferring files via cloud computing account without proper
oversight.

2. If Jane had authority to use her mobile phone at work, what other component of the policy and
procedures did she breach?

Jane has been issued a formal warning and instructed to uninstall the software from her phone. Since then,

Jane has received a formal warning and ask been asked to remove the app from her phone. Management
have since heard that a number of staff have downloaded cloud storage services onto their devices so that
they can work from home. While they have had their devices approved for use, they have not had
permission to use the cloud services.
