Introduction
Encompassed within the T24forMCB System is a fully operational Standing Order Application. A
maximum of 999 Standing Orders can be defined on the same ACCOUNT. During the creation of the
new standing orders, this number will be generated automatically by the system; however balance
maintenance standing order types must always have a number between 900 and 999, so must be
specifically input by the User.
This Application provides the following facilities:

1. Funds Management Initiated By Balance Levels


The User can determine, on any account, Funds Management conditions by specifying balance
levels which can operate in two ways: As an indicator identifying a balance level starting from
which funds must be transferred either into, or out of, the Account.
2. Fixed and Preset Payments
This will allow the User to load Standing Orders as Fixed payments with known amount and
frequency (for example the monthly payment of the rent) or as preset payments where the
amount is unknown (for example payment of gas bill).
3. Diary Instructions
Any account Diary instructions can be defined with their related frequency. An on line retrieval facility
(list of standing orders by account) will then allow the User to check at any time the outstanding Diary
instructions.
4. Bulk Standing Orders
In addition to Standing Order, which is used for single standing orders, there is another application,
BULK.STO, which is used to pay many accounts with one compensating entry. Its operation is similar
to STANDING.ORDER.
To monitor payment of fixed amounts on scheduled dates, the routine AC.EXPECTED.RECS
is available. This routine could be used to manage payments to compulsory share accounts.

Pre – requisites
In order to get the most out of this manual, it is essential that you are familiar with the standard
procedures regarding navigating your way around the system. This includes items such as
program access via menus, data entry and editing, mandatory and multi level fields, committing
details, and so forth. All of these are described in detail in the Navigation manual.

Maintain Minimum Balance


Overview
This option facilitates maintaining a minimum balance on a specified account. A second account (from
which funds are to be transferred) is assigned and the system will on the specified frequency, during the
Close of Business Process, monitor the minimum balances and transfer funds where required. In the
event of insufficient funds on the assigned account, the transfer will not take place.

1. Select the menu option.
2. Enter the account number, followed by .900.
3. Click on the Edit button.
4. Enter all the required details as described below.
5. When everything has been completed click on the Commit button.

By Debit Account Enter the account number from where funds are to be transferred.

Details Payment Enter the narration to be recorded on customer account statements.

Overview

(perhaps higher interest earning account, where the excess funds are to be transferred to) is assigned
and the system will on the specified frequency, during the Close of Business Process, monitor the
maximum balances and transfer funds where required.

Payment Method This identifies the type of standing order. The value is defaulted by the system
when you select the menu option.
Currency Select the currency in which the minimum balance is to be
maintained from the drop down list. This is the currency of the account.

Maximum Amount Enter the maximum balance to be maintained.

Commence Date Enter the date from when the instruction is to become effective as
and Frequency well as the frequency. For example M0101 indicates each month on the first
day. Other frequencies are BSNSS for each business day or DAILY for each day
of the week.

End Date Enter the last date on which the minimum balance transfer is to apply. Typically
this field will be left blank, until such time as the customer wishes to cancel the

Credit Account Enter the account number where the excess funds are to be transferred to.

Beneficiary Enter the beneficiary name when the beneficiary is not the same customer, also
if the credit account is held with another institution. Note that this is not allowed
for AC type transfers and a version needs to be created for maintaining
maximum balance (Balance Out/BO) standing orders.

Account with Bank Enter the Beneficiary Account number with the other financial institution.

Receiver Bank Identifies the financial institution which is the ultimate receiver of the funds
transferred by the sending financial institution.

Details Payment Enter the narration to be recorded on customer account statements.

Diary Action
Overview
A Diary Action is used to define any type of action on a specific account. This is a means of maintaining
a ‘tracer system’ for ad hoc or regular actions, which cannot be specified in or as a transaction. These
may be reviewed in the report STO.DIARY.REPORT generated daily during the Close of Business.

Diary version
Field Description

Loan or Interest Payments


Overview
This function allows for loan principal and/or interest payments on AZ Loans to be effected. In the event
of standing orders being set up for both principal and interest repayments for the same customer, we
recommend that the standing order be set up in repay order as preferred by the institution, for example
when the principal repayment is created first, (and the repayments are collected in order of the sequential
number) should there be insufficient funds to pay both principal and interest, the principal portion will take
preference.
It is advisable to check the loan repayment schedule to see when principal and interest repayments are
due to ensure that the standing orders are created in accordance with the expected repayments.

Field Description
Payment Method The pre defined AC entry is the only option available on this release of

Currency Select the currency in which the repayments are to be made from the drop down
list. This should be the currency of the debit account.

Amount Do not enter the amount, as the system will through the routine
EM.GET.INT.DUE as defaulted in the application, calculate the principal as well
as the interest due on the loan account.

Commence Date Enter the date from when the instruction is to become effective as well as the
and Frequency frequency. It is recommended that you set the date and frequency in accordance
with the repayment schedule, as these are there payment amounts and dates
agreed to at the time of disbursing the loan.

This function allows for fixed amount transfers to take place between two accounts held at the same
institution at regular intervals.

Authorise Standing Orders


Overview
The capture of standing orders require authorisation for the instructions to become effective (LIVE).

First screen
The system displays t a list of all unauthorised standing orders.

Procedure
1. Follow the Authorisation procedures as described in the Navigation manual. Select the record you
wish to authorise.
2. Click on the Action button.
3. Examine all the fields.
4. When everything has been checked click the Authorise button.

Screen

In a standard T24forMCB system, the changes made can be found in a new tab named “Changes” in
which the old values as well as new values are stored.
Note: Remember that you must open each of the versions when authorising a record, as this
is the only way the system knows that you have checked each field.

Overview
This enquiry lists standing orders (of all types) captured at your institution.

1. Select the menu option.
2. Enter the search criteria and click on the Find button.
3. View the resulting enquiry on screen and manipulate as described in the Navigation manual.
4. Close the enquiry.

A screen like the one shown below is displayed, allowing you to filter the records for on screen enquiry or
report.

When the enquiry displays, it will appear like the screen shown below.

Overview
This enquiry allows you to select the account on which you wish to list standing orders captured.

Budget Standing Orders


Overview
Your institution may maintain a set of Standing Orders from Customer Accounts to a number of Payee
Institutions. This utility is to enable payments to external parties, say utilities, mortgage, insurance, etc.
where more than one of your institution’s customers subscribe to without the requirement of Bank
clearing. In other words, amounts are taken from customer accounts, transferred to payee accounts
from where cheques are drawn or funds transferred electronically (if this facility is available to your
institution) supported by the account statement to provide details of the payees.

Prerequisites
1. The customer needs to have an account, in the category range 6000 to 7313.
2. The account may have a limit, to allow standing orders may take the account into overdraft. The
standing order taking the balance in excess of the available balance will go into exception pending
user intervention before the amount will be debited from the account. For this reason, it is necessary
for the user to check the Funds Transfer transactions in Exception on a daily basis.
3. Payee Accounts need to be set up (please see next Chapter in this manual) – these accounts
represent the account of an institution or bank to which a customer wishes to make regular
payments, e.g. Medical Insurance, Rates and Taxes, Television Licenses, etc. These payee
accounts are set up in T24forMCB as internal control accounts in the ‘cash’ range.

Debit Gap This field determines the debit value date calculation rules. You may combine 1
or 2 date operations, always based on the frequency date, each operation being
+ or - , followed by a number of days, and followed by C or W , meaning
calendar or working days. + and C are taken by default. If nothing is entered
here, default calculation will be done through the Funds Transfer calculation
rules, depending on the payment method. Examples: +01C-01W which means
Last working day before the processing date. -02C means processing date less
2 calendar days, and so on.

Credit Gap This field determines the credit value date calculation rules. You may combine1
or 2 date operations, always based on the frequency date, each operation being
+ or - , followed by a number of days, and followed by C or W, meaning calendar
or working days. + and C are taken by default. If nothing is entered here, default
calculation will be done through the Funds Transfer calculation rules, depending
on the payment method. Examples: +01C-01W which means Last working day
before the processing date 02C means processing date less 2 calendar days,
and so on.

Last Run Date The system displays the date on which the standing order was last run.

Close of business processes


A Start of Day process in the Close of Business batch picks up the Standing Order entries on the system
with the relevant Date Frequency equal to the Current Date on the system (Start of Next Day) and
creates Funds Transfer transactions. In the example above, the next payment will be made on 10th of
February 2009 or rather in the Close of Business batch for the 9th of February 2009 (Start of Day – 10th).
This is a completely automated process requiring no user intervention, the user is to ensure that the
Standing Order instructions are correct (amount, date frequency, etc.) and the customer is to ensure that
there are sufficient funds in the account.

Amend budget standing order


The system accepts updates (amendments) to existing budget standing order instructions up to one
day before the transfer is due, i.e. if the next payment date is 10th of February 2009, the user can
change the amount, due date or both as late as the 9th of February 2009.

Payee Accounts
Overview
These are the accounts to which the budget payments are made; they represent the account of the
institution to which a customer wants to regularly pay a fixed or variable amount. These accounts are set
up as internal control accounts on T24forMCB, each has its own category in the ‘cash’ range. This is so
that any funds held in these accounts report in the same balance sheet group as the customer accounts.
Account products may be created at any time by creating a new category in the assigned range and
opening an internal account for this category. The list of payees is maintained and can be viewed in the
List of Payees enquiry.

Prerequisites
The Finance Department of your institution is to advise the control account number, as they would
typically wish to control the allocation of category codes and opening of internal accounts.

Budget Cheque Withdrawal


Overview
Once the Standing Orders have been processed and all Funds Transfer exception items cleared,
cheques in favour of the various Payees may be processed.
A separate budget cheque account may be maintained for this purpose, this is to be opened as a second
Nostro Account and the account number may be defaulted in the version, so as to ensure that the correct
control account is used.

Procedure
1. Select the menu option.
2. Click on the New deal button. The system allocates a transaction ID number, which you cannot
change.
3. Enter all the required details as described below.
4. When everything has been completed click on the Commit button.
5. The system will print the Bank Cheque as well as the cheque withdrawal advice.
Note: The transaction does NOT require authorisation.
Depending on the set up in your institution, cheques may be printed. The option to predefine a range of
cheque numbers for a working day is available. Refer to the Systems Administrator manual for more
details. Cheques may also be hand written.

Field Description
Cheque Information
Payable To Enter the name of the Payee.
Cheque Number Enter the number as recorded on the cheque form, or depending on the set up at
your institution, the system will populate this field with the next available cheque
number from the Cheque Register, maintained in Administrator
Menu>>Maintaining Tables>>Cheque Register.
DR Value Date Identifies the Date when the Debit entry is to be given value for
interest purposes. For Internal Accounts, the default Debit Value Date is the
Processing Date.
CR Value Date Identifies the date when the Credit entry is to be given value for interest
purposes. When the Value Date is not entered, the Funds Transfer Application
will verify if the Customer has special Value Date conditions or whether it is part
of a group of Customers which have been afforded special conditions, and if not,
it will apply the Transaction Type default Value Date conditions.

Debit Currency Select the currency in which the cheque is to be paid from the drop down list or
accept the default.
Cheque Amount Enter the value of the cheque.

Drawn on Account Enter the number of the account to be debited with the cheque amount. This
should be the control account. You may select this from the drop down list.

Payee Details The system displays the Payee Name in this no input field.
Account Balance The system displays the balance on this internal account.

Signing Should any signing instructions exist on this account, the system displays the
Instructions ‘Y’ flag. Place the record on hold and view the signing instructions on the
ACCOUNT record.

Ordered By Enter the name of the person/department who requested the Bank Cheque if
applicable.

Bank Cheque Acct This is the Nostro or Control account number and will be pre defined at
No. implementation. For institutions that have more than one Nostro account, the
system cannot supply a default account number for this field. Please enter the
account number on the VERSION for defaulting purposes, more in the Technical
Manual.
Advice Information
Payment Detail Enter the transaction description as will be recorded on the debit account
statement.
Total Debit The system displays the total debit amount, inclusive of any charges, once the
Amount record has been validated.

Commission Code Identifies how the Commission is to be applied, i.e. which party is to pay for the
Commission. D = Debit plus Commission: The Debit plus Commission value will
indicate that, for outgoing payments, the complete transfer amount will be
remitted to the receiver bank and the commissions amount will be collected from
our ordering Customer. For incoming payments, the complete transfer amount

will be credited to our beneficiary Customer and the commission amount will be
debited to the Account defaulted or specified in Charges Account Number. C =
Credit less Commission: The Credit less Commission value will indicate that, for
outgoing payments, the amount of commission will be deducted from the
Transfer Amount which is remitted to the receiver bank. For Incoming payments,
the amount of commission will be deducted from the received amount (Transfer
amount) and credited to a Profit and Loss Category code. If the Customer has
requested the bank to apply all commissions and charges to a separate account,
the complete Transfer Amount will be credited to one account and the
corresponding commissions and charges debited to the specific charge/
commission account of the Customer. W = Waive Commission: The Waive
Commission value will indicate that no commission is to be applied on this
transaction. Any input in the fields Commission Type and Commission Amount
will consequently be refused.

commission code here.

which are not available for entry or editing as they are automatically updated by the system.

Overview
The List of Budget Payments can be used for two purposes:
As a report for your institution records of the Budget Standing Order transactions between two dates
grouped by Payee.
As a detailed report of transactions for a particular Payee between two dates. The total of these
transactions should make up the value of the cheque that needs to be sent to the Payee.

Scroll across the report to see the customer reference; this report can be sent to the Payee together with
the cheque.
Depending on the value date range selected and the value dates of the retrieved details, you will notice
that the Transaction Ref (Txn Ref) on the report varies from being a Funds Transfer transaction to being
a Standing Order reference.
If the value date of a retrieved Standing Order is today or in the past, the Standing Order instruction has
already created the Funds Transfer transaction, so the Txn Ref is now a FT reference. If, on the other
hand, the value date of the Standing Order is a date in the future, the Standing Order reference is
recorded in the Txn Ref column on the report.
Please also note that this is quite a wide report and therefore needs to be sent to a bulk printer, else the
report can be saved in another format for manipulation.

Bulk Standing Orders


The Single Bulk Standing Orders application is used to run the Bulk Standing Orders application on-line.
The application allows one or more Bulk Standing Orders to be executed.
The User has to enter the ID of the Bulk Standing Order/s which are to be processed. This corresponds
to Field 0 BULK.STO.NO from the Bulk Standing Order file. The only Bulk Standing Orders which may be
run are those which have Field 4 SINGLE.PAYMENT set to 'YES', and the date in Field 14
SINGLE.PYMNT.DATE must be less than or equal to the date of execution. Obviously the Bulk Standing
Order to be executed must be held on the Live Bulk Standing Order file.

Overview
In addition to Standing Order, which is used for single standing orders, there is another application,
Bulk Standing Order (BULK.STO), which is used to pay many amounts (and accounts) with one
compensating entry. An example for using the BULK.STO application would be for the purposes
of processing Wages, where the customers’ accounts are credited and the internal control account
or Nostro account holds a single debit entry.

Prerequisites
The Finance Department of your institution is to advise the account number, as they would typically
wish to control the allocation of category codes and opening of internal accounts.

Accounting entries
Accounting entries are processed through an internal suspense account, these occur during the Close of
Business Batch process (account number refers to the screen prints below):

Total Debit Specifies the total amount of the Bulk Standing Order.
Amount The value held in TOTAL.DEBIT.AMOUNT must be equal to the total of the
values held in CURRENT.AMT.BAL. Should the amounts in CURRENT.AMT.BAL not
add up to the value in this field, the system provides and error message to the
effect.

Currency Enter the currency of the Bulk Standing Order.

Ordering Identifies the Customer who has instructed the Bulk Standing Order.
Customer If the input in this field is less than 11 characters, the system will interpret the
input as a Customer Mnemonic and try to find a Customer accordingly. For this
reason, any free form text used to input manually the name and address of the
Ordering Customer must exceed 10 characters. This is an optional field.

Waive Charges Specifies whether any charges are to be applied to the main (debit) transaction.
If set to YES then the corresponding fields DR.CHARGE.TYPE and DR.CHARGE.AMT
do not allow any input. For the purposes of building the Funds Transfer record, if
WAIVE.CHARGES is set to YES the charge code is WAIVE and if set to NO the
charge code is DEBIT PLUS CHARGES. The WAIVE charge value will indicate
that no charge is to be applied on the main transaction. The DEBIT PLUS
CHARGES value will indicate that the complete transfer amount will be remitted
to the receiver and the charges amount will be collected from our ordering
Customer.

Dr Charge Type Identifies the Charge Type that is applicable to the main transaction being
processed. The charge is maintained in Administrator Menu>>Maintaining
Tables>>Charges.

Single Payment Identifies the payment date of the Bulk Standing Order for the amount
Date specified in TOTAL.DEBIT.AMOUNT. This specifies the date on which the Bulk
Standing Order is to be executed.

Current Frequency Identifies the current frequency of the Bulk Standing Order for the total amount
specified in TOTAL.DEBIT.AMOUNT. The Bulk Standing Order application will
execute the standing order instruction according to the frequency specified in
this field up to and including the CURRENT.END.DATE specified in the next field.

Current Frequency Identifies the current frequency of the Bulk Standing Order for the total amount
specified in TOTAL.DEBIT.AMOUNT. The Bulk Standing Order application will
execute the standing order instruction according to the frequency specified in
this field up to and including the CURRENT.END.DATE specified in the next field.

Current End Date Identifies the current end date of the Bulk Standing Order for the amount and
frequency specified in fields TOTAL.DEBIT.AMOUNT and CURRENT.FREQUENCY. Enter
a current end date when your institution receives instructions from the Customer
that stipulate that the Bulk Standing Order must only be executed during a
determined period of time. In this case, enter in this field the date of the last
execution of the Bulk Standing Order.

Debit Value Gap This field determines the debit value date calculation rules. You can combine 1
or 2 date operations, always based on the frequency date, each operation being
“+” or “-”, followed by a number of days, and followed by “C” or “W” , meaning
calendar or working days. “+” and “C” are taken by default. If nothing is entered
here, default calculation will be done through the Funds Transfer calculation
rules, depending on the payment method. Examples: “+01C-01W” which means
“Last working day before the processing date” “-02C” means processing date
less 2 calendar days and so on.

Pay Method Identifies the payment method to be used to execute the individual instructions
when the order is passed to the Funds Transfer application. The Pay Method
input in this field will be enriched with the Transaction Type 35 character
description defined in the FT.TXN.TYPE.CONDITION table. The
following Pay Method codes will be allowed:
AC (or records with first 2 chars AC). An in-house transfer of funds, i.e. where no
external payment is involved in the execution of the Bulk Standing Order
instruction.
BC (or records with first 2 chars BC).This Pay Method is used for external
payments.

Cr Value Gap This field determines the credit value date calculation rules. You can combine 1
or 2 date operations, always based on the frequency date, each operation being
“+” or “-”, followed by a number of days and followed by “C” or “W” , meaning
calendar or working days. “+” and “C” are taken by default. If nothing is entered

“+” and “C” are taken by default. If number alone entered then it will be converted
into valid date. If nothing is entered here, default calculation will be done through
the Funds Transfer calculation rules, depending on the payment method.
Examples:
“+01C-01W” which means “Last working day before the processing date”
“-02C” means processing date less 2 calendar days, “01” entered when the
system month/ year is Jan/2001, then it will convert to 01012001 and so on.

Current Amt Bal Enter the amount of this transfer.

Beneficiary Enter the beneficiary name in this optional input field.

Beneficiary Acct Enter the credit account number.

Acct with Bank Identifies the bank where the beneficiary maintains his account. The contents of
this field will be placed in the ACCT.WITH.BANK field in Funds Transfer.

Bank Sort Code Defines the Bank Sorting Code of the bank and branch to whom the payment is
to be sent. This field is only applicable to the Local clearing pay method (BC Pay
Method).The code entered must exist on the BC.SORT.CODE file.

Ben Reference Identifies the reference that is given to the beneficiary of the Bulk Standing
Order. The contents of this field will be placed in the CREDIT.THEIR.REF field in
Funds Transfer. For local clearing payment method (BC), see the section Local
clearing rules for the relevant clearing system.

Payment Details Identifies the Payment Details to enable the beneficiary to apply the payment.
The contents of this field will be placed in the PAYMENT.DETAILS field in Funds
Transfer.

Bk to Bk Int Provides information or instruction from the Sending Bank to the Receiver Bank.
The contents of this field will be placed in the BK.TO.BK.INFO field in Funds
Transfer. Any details input by the User will be relayed to the Receiver Bank. For
local clearing validation rules, see the section Local Clearing Rules under the
relevant clearing system.

Charge Code Identifies how the charges are to be applied, i.e. which party is to pay for the
charges. The contents of this field will be placed in the CHARGE.CODE field in

Loc Ref Data For your own use.

Debit Account The system populates the wash account used to process the Bulk Standing
Orders.

Delivery Outref The system displays the reference numbers allocated by Delivery for all
(each) payments, advices, messages sent by the Funds Transfer to the
Delivery Application.

Process Error Any process errors or overrides that may have occurred on the individual
payments are displayed in this field.
If any errors or overrides are found on the main payment then, if the application
is being run on line, the User may input YES or NO to the override condition.
An input of NO will result in the Bulk Standing Order going to the Exception
file, in which case it will need to be authorised in order to execute it again. An
input of YES will override the condition and execution will carry on and build the
Funds Transfer records.
However if any of the individual payments encounter any overrides the Funds
Transfer records will be built as normal, except they will have a Record Status of
IHLD. The actual override condition will be held in this field.

Salary Payment Indicate in this optional field whether the payment is a salary payment, as the
system allows a choice of advices to be printed.
Y (YES) Salary advice to be printed. N (NO) Normal advice to be printed. Default
value is NO, i.e. a normal advice is to be produced.

Apply Bulk To apply bulk charges for BULK.STO, this field should be specified as YES.
Charge

Bulk Charge Specifies the default charge amount applied to the main payment if the
Amount previous field is set to YES .

Related Ref This internal field that is populated by the system contains the ID of the
frequency based bulk standing order from which this single one off bulk standing
order originates.
If for some reason the payment fails on a frequency based bulk standing order, a
single payment bulk standing order is set up with the same details and written to
the unauthorised file. The frequency based bulk standing order has it s
frequency cycled forward as per normal but the single payment bulk standing
order is set up so the operator may run it once the initial problem is solved, such
as insufficient funds. This field that is only present on the single payment bulk
standing order contains the ID of the parent bulk standing order, i.e. the
frequency based one.

Move to History Used to specify whether to move the BULK.STO to history file (YES) or Not (NO)
after the Status moves to MAT.
If move to History is No, such cases the Bulk STO record still will be available in
live file even after MAT Status.
If we specify Yes or NULL, then as and when the Status moves to MAT, the Bulk
STO record will be moved to History file.
For BULK.STO that are frequency based, only value YES or Null is allowed.

Sort Code For BULK.STO instructions to external financial institutions, the sort code is
required. The sort code is maintained in Administrator Menu>>Maintaining
Tables>>Sort Codes.

Acct with Bank Identifies the bank where the beneficiary maintains his/her account.

Curr Amt Bal Specifies the amount of each individual payment.

Exposure Gap This field determines the credit exposure date calculation rules. It accepts
relative or absolute dates. You can combine 1 or 2 date operations, always
based on the frequency date, each operation being “+” or “-”, followed by a
number of days and followed by “C” or “W” , meaning calendar or working days.

“+” and “C” are taken by default. If number alone entered then it will be converted
into valid date. If nothing is entered here, default calculation will be done through
the Funds Transfer calculation rules, depending on the payment method.
Examples:
“+01C-01W” which means “Last working day before the processing date”
“-02C” means processing date less 2 calendar days, “01” entered when the
system month/ year is Jan/2001, then it will convert to 01012001 and so on.

Date Ac Opnd The date on which the beneficiary account was opened, if known.

Pay Details Describes any additional details about the BULK.STO.

Account No Identifies the account number of the beneficiary.

Override Identifies any override/s that may have occurred on the main payment.

Authorise Bulk Standing Orders


Overview
The data capture of standing orders require authorisation for the instructions to become effective (LIVE).

Access
Standing Order Menu>>Bulk Standing Orders>>Authorise Bulk Standing Orders

First screen

The system displays two screens superimposed as shown below.


The active screen shows a list of all unauthorised members.

Procedure
1. Follow the Authorisation procedures as described in the Navigation manual.
The list closes and the normal Standing Order Authorisation screen displays as shown on the following
page.
2. Examine all new fields.
3. When everything has been checked click the Authorise button.

Screen

In a standard T24forMCB system, the changes made can be found in a new tab named “Changes” in
which the old values as well as new values are stored.
Note: Remember that you must open each of the versions when authorising a record, as this is the
only way the system knows that you have checked each field.

List of Bulk Standing Orders


Overview
This enquiry provides details of bulk standing orders captured.

Access
Standing Order Menu>>Bulk Standing Orders>>List of Bulk Standing Orders

Procedure
1. Select the menu option.
2. Enter the select criteria and click on the Find button.
3. View the resulting enquiry on screen and manipulate as described in the Navigation manual.
4. Print and/or close the enquiry.

Screen
A screen like the one shown below is displayed, allowing you to filter the records for on screen enquiry or
report.

When the enquiry displays, it will appear like the screen shown below:

This screen displays the normal Enquiry Toolbar allowing you to perform the normal functions such as
print and save in a variety of formats.

Termination of a Standing Order


Overview
There may come a time when the customer no longer requires the automated payment to be processed
and we are requested to terminate the instruction. There are two options available to terminate a standing
order: either set the end date on the record, or reverse the instruction.

Prerequisites
Determine the type of Standing Order, for example, a fixed amount, budget or bulk standing order and
select the appropriate menu item.

Access
Standing Order Menu>>(Type of) Standing Order, Budget Standing Order or Bulk Standing Order

Procedure
1. Select the menu option.
2. Enter the debit account number followed by the correct suffix.
3. Click on the Edit button.
4. Enter all the required details as described below.
5. When everything has been completed click on the Commit button.
Note: The end date must be greater than or equal to the first date input or calculated by the current
frequency.

Fields for entry

Mandatory fields are identified by a red asterisk to the left of the input area and needs to be filled with
relevant data.

Standing Order Version

Field Description

End Date Enter the date on which the instruction is to be terminated. Note from the
screen print that the Last Run Date is 2nd January 2009; when this transaction
was processed, this field was populated and the Commencement Date
forwarded from 2 January to 16 January. In order to terminate the
instruction, the End Date cannot be earlier than the Commencement Date,
hence the date entered in the End Date field. The Standing Order will be
processed for the final time on the 16th of January 2009, where after it is
terminated. The amendment to the Standing Order is authorised
through the Authorisation Versions available in the user menu.

Screen – Reverse the Record

The reversal of the Standing Order is authorised through the Authorisation Versions available in the user
menu.
