(stakeholder) of the event

Steps and Procedures:

1. Make a contract of agreement between the organizer and the event venue owner or venue
representative.
1.1 Client Contract
50th Wedding Anniversary Contract

EVENT

- This contract is entered on January 29, 2022 by and between Ms. Angelica P. Mirabete (Event
coordinator) and Hon. Salvador Py (Client). In here written all the terms and policies made
between the two parties for the planning and executing the wedding anniversary.

WEDDING ANNIVERSARY DETAILS

- Date: February 14

- Time: 9: 00 am – 5:00 pm

- Ceremony Location: Calapan Bay Hotel

- Reception Location: Brgy. Salong, Calapan City, Or. Mindoro

PLANNER DUTIES

The following objectives are the sole responsibility of the wedding anniversary planner:
-To ensure best allocation of your wedding anniversary budget
-To make sure that you and your guest enjoy the party.
-To apply your chosen theme and programs for the party.
-To give you an event that is fun, organized and even more memorable.
PAYMENTS

- The Client hereby agrees to pay the Planner for the amount of PHP 250,000.00 for the services
performed.

- The Planner will provide an invoice at the time of the payment.

CANCELLATION POLICY

- The Client is entitled to cancel this Contract at any time.

- The Client is entitled to a full refund in case he/she cancels 10 days before the beginning of the
event.

- In case the Client cancels less than 10 days before the beginning of the event, he/she will not be
provided a refund.

- In case of cancellation by the Planner, he/she is required to provide a replacement planner that
the Client agrees upon as well. In this case, the Client will be required to refund any money
previously provided by the Client as a budget for the event.

LIMITATION OF LIABILITY

- Under no circumstances will either party be liable for any indirect, special, consequential, or
punitive damages (including lost profits) arising out of or relating to this Contract or the
transactions it contemplates (whether for breach of contract, tort, negligence, or other form of
action) in case such is not related to the direct result of one of the party’s negligence or breach.

- The Planner assures, however, to do his/her best in finding suitable and top suppliers and/or
service providers but will not be responsible for their performance and/or product.

- The Planner’s availability is not guaranteed for any other date other than the one mentioned
above in this Contract.

ENTIRE CONTRACT

- This Contract contains the entire agreement and understanding among the Parties hereto with
respect to the subject matter hereof, and supersedes all prior agreements, understandings,
inducements and conditions, express or implied, oral or written, of any nature whatsoever with
respect to the subject matter hereof. The express terms hereof control and supersede any course
of performance and/or usage of the trade inconsistent with any of the terms hereof.

1.2 Venue Contract
Las Casas De Acuzar
This contract defines the terms and conditions of Las Casas De Acuzar Event Place and Mr.
and Mrs. Salvador Py which agrees to the client’s use of their facilities on February 14, 2022. This
contract constitutes the entire agreement between the parties and become effective upon the
signature of both parties. The contract may not be amended or changed unless executed in writing
and signed by Las Casas De Acuzar and the clients.

Proposed Event: Golden Wedding Anniversary
Approximate Number of Guests: (50 max. indoor)

1. Location. Las Casas De Acuzar, Bagac, Bataan


2. Venue Capacity. 60 guests for inside only events, 150 guests for
indoor/outdoor with tenting required for events in the yards.
3. Facilities and Services Provided by Las Casas De Acuzar.
Las Casas De Acuzar will provide the facilities and services described in this contract on the
event date noted above for seven (7) hours; two (2) hours are included prior to the event for set-up,
four (4) hours for the exclusive use of the CLIENT, and one (1) hour for breakdown after the event.
Event must end promptly at 10 pm. CLIENT must ensure all guests have exited premises by 10:30 p.m.
Overnight stays must be booked ahead of time. All other services, facilities and arrangements for
services shall be the responsibility of the CLIENT. Any other items needed for an event are not being
supplied by Las Casas De Acuzar and need to be supplied through an approved caterer or by CLIENT.
All existing furniture, lighting, equipment, buildings, and vehicles shall be maintained in existing
condition. CLIENT will be responsible financially for any damage or non-reversible changes made to
the building and/or items listed above.
4. Venue Supplies. Las Casas De Acuzar will supply equipment and facilities where in Client shold be
responsible of it.
5. Parking. Parking shall be on the parking space of the Las Casas. CLIENT acknowledges that Las Casas
is a known place and it is important for safety reasons to make sure no vehicles block the road, or any
part of it, or the gate. CLIENT agrees to ensure that all its guests park safely, and provide additional
lighting, security or other services
6. Booking. I it is required that the client should advance the booking and pay it.
7. Complimentary Tour of Venue. To aid in your decision of choosing Las Casas de Acuzar as your
event location, we invite you to our museum for a complimentary tour of the event facilities. Once
confirmed, we will assist in coordinating details of upcoming event. Schedule a tour by contacting Las
Casas de Acuzar.
8. Access to Venue. CLIENT’S access to venue will be restricted to 3 visits/consultations, not including
initial tour. This access includes caterers, event rental, wedding anniversary planner, family of the
clients.
9. Event Day Staff. Las Casas De Acuzar will supply five staff member for the duration of the event
(setup, event, and breakdown).
10. Rental Fee, Deposits and Payment Agreements. Rental fee, if 50 people or under 50 people PHP
80,000 (for seven (7) hours; two (2) hours of setup, four (4) hours event, one (1) hour of cleanup). To
reserve services on the date requested De Tierra Vineyards requires this contract be signed by both
parties and event price to be paid in full. There are no discounts for non-peak season events.
11. Music and Entertainment. The proximity of local residences to Las Casas De Acuzar is such that
venue sounds, specifically sound related to music, must be kept below certain levels. All music must
end by 10:00PM as for protocol. All music related setup must happen the day of the event.
12. Cancellation Policy. The deposit is non-refundable. Las Casas De Acuzar shall have the right to
terminate this contract if the CLIENT fails to meet or violates any terms of the contract, in which case
the provisions of this cancellation policy also apply. The CLIENT shall not assign or sub-lease any
terms, conditions or services contained in this contract or any interest therein without the written
consent of Las Casas De Acuzar.
13. Responsibility and Security. CLIENT acknowledges Las Casas De Acuzar shall not be responsible for
any accidents, injuries, or damages to CLIENT, CLIENT’S personal property, or CLIENT’S guests or their
property. CLIENT agrees to indemnify and hold Las Casas De Acuzar harmless from any and all liability
in connection therewith.
14. Children. Children must be supervised by an adult at all times. Las Casas Staff is not responsible
for children attending the event.
15. Pets and Animals. Pets and/or Animals must be supervised by an adult at all
times.
16. Clean-Up: All hosts are responsible to leave the property in the condition which it was found,
which may include, but is not limited to ensuring the removal of all rented equipment, waste, and
immediately alerting the staff to ANY damage, accidental or otherwise, as well as the follow-up to
ensure adequate replacement, if necessary. Clean-up involving the washing of glasses and/or any
dishware is included in the venue booking price.
17. Contract Signature. This contract constitutes the entire agreement between Las Casas De Acuzar
and the CLIENT and becomes binding upon both parties when signed.

1.3 Catering Contract


2. Identify the different important data or information necessary to include in the contract.
A contract is a binding agreement paper that is composed of the terms and conditions of
the said party involved. It is important to indicate simple details specifically about the event, the
place, date and people involved. It must also include the policies, terms, and things to consider
in the facilities or services a company is offering. Some information necessary to be include in
the contract are the services, conditions on facilities, staffs, payments, in case of cancellation,
safety and protocols inside the venue, and others. It is important to adhere to these conditions
that the venue, planner, and supplier are requiring the clients. It is for the good of both parties
especially for the client’s event.

3. Explain why these elements must be included in the contract.


3.1 Offer and acceptance- It is important to be indicated because it makes the client be
knowledgeable about the services their offering and be willing to accept what it is. This will
be helpful for the clients not to demand something that is not included in the signed
contract.
3.2 Purpose- It is always the goal that we need to achieve so in order for the event to be
effective we must see to it that the purpose is included. We need to follow and achieved the
purpose because that is the reason why we are working or doing these.
3.3 Capable party/ies to make a contract with – The people involved must be authorized and
capable of understanding the terms and conditions written in the contract. It will be
effective and legal once both parties agreed to it.
3.4 Consideration – there are things that we must consider in order to protect the facilities,
equipment, services, staffs and reputation of an organizer, supplier and event place. The
things that are important and need to be in consideration are listed. This are the conditions
set in using, accessing and renting.
3.5 Date – The date of the main event is important as well as the day of contact signing and
deadline of payments. We must adhere and act on the said dates in the paper. These days
are the D-Day and we must be well-informed about it so there will be no misunderstanding
or mishap.
3.6 Amount of money if there is – Exact amount of payment or if there are down payments,
they must all be included. When it comes to money, communication is a key because we are
talking about finances. This is important to not be left out because we are paying for
services of the people. We must be clear in stating quotes.
3.7 Signature – This is important because it represents that you have agreed to the terms and
conditions written above. Without it a contract is void and with no effect.
