REF: Terms of Reference: Teambuilding Retreat Facilitator


1. Background:
1.1 Background of Global Communities
Global Communities (formerly CHF International) promotes long-lasting positive change in low-
and moderate-income communities around the world, helping them improve their social,
economic, and environmental conditions. Global Communities’ Kenya office intends to Identify
and engage a team building consultant to facilitate upcoming one day team building retreat for its
staff in the month of December, 2017.

2. Objectives:
The team building retreat is intended to promote a more integrated way of working. Specifically,
the retreat is expected to:
i. Enhance communication among staff within and across team to improve team spirit.
ii. Enhance managerial and leadership skills in consideration of different personality
types.
iii. Improve staff morale, motivation and goal congruence.
iv. Improve conflict management skills and enhance support and trust levels among staff.
v. Improve copying mechanisms for managing stress and work.
3. Major Duties and Responsibilities of teambuilding facilitator:
i. Assess the team’s working dynamics through interviews with key team members.
ii. Lead the design and develop the agenda and delivery methodology of the
teambuilding retreat, in consultation with the Management Team;
iii. Facilitate the retreat, including developing activities and exercises aimed at
strengthening and encouraging efficient and effective communication, team building,
knowledge and information sharing;
iv. Write a retreat report that includes the results of the assessment of working dynamics,
identified strengths and weaknesses in communication and collaboration within the
team and recommend how to build on strengths and address weaknesses.
4. Responsibilities of Global Communities
i. Cater for transport and accommodation cost of the staff and facilitator
ii. Participate in the teambuilding activities

5. Expected results: (measurable results)
 A thoroughly planned and smoothly executed team-building retreat;
 A written report of the team’s working dynamics, including results of the assessment
and concrete recommendations on how to strengthen the team.

7. Key competences, technical background, and experience required:


i. At least 5 years of current and relevant work experience, with a focus on facilitating
meetings or workshops for international, regional or bilateral development
organizations;
ii. Facilitated at least 2 retreats in the last year.
iii. Demonstrated expertise in designing and implementing a wide range of interactive
methods to strengthen teams and improve communication in the workplace;
iv. Cultural sensitivity and experience moderating meetings of culturally diverse and
international groups;
v. Fluency in English.
vi. Experience working on or knowledge of Kenyan health, youth and development
issues an added asset;

8. Proposal submission Procedure
Interested firms or individuals should submit a proposal that includes:
1. A brief profile of the firm/Individual and the CV of the Facilitator clearly highlighting
the bidder’s suitability and capacity for the provision of services required.
2. Contact information for three professional references with whom the prospective vendor
has provided similar services in the last three years.
3. A brief summary of the proposed approaches and methodology and a detailed work plan
for the effective delivery of the team building. The facilitator will be allocated one and
half (1.5) Days (Between 8am and 10pm) during the staff retreat.
4. A financial bid for incorporating the 3 Days level of effort (as per table above) and
broken down to show the bidder’s daily rate.
5. The financial proposal should remain valid for a minimum period of 90 Days from the
close out date of this RFP.
6. Prices must be in Kenya shillings and must clearly show any applicable taxes.

10. Submission Procedures.

2. Bids must be submitted on or before close of Business December 01, 2017

11. Engagement and Payment terms
a) Global Communities will engage the consultant through a Local purchase order.
b) Payment will be made upon receipt and acceptance by CHF of the deliverables herein
stated.
