Zoom Quick Start Guide
Zoom is a cloud-based meeting platform that provides video, audio, and screen sharing
options across multiple platforms, including mobile. You can join any Zoom meeting by
clicking the meeting link, or by entering the meeting ID into the Zoom desktop or mobile app.

Preparation for a Meeting

Connect to a meeting from a quiet space with few

JOIN A MEETING

Join Using a Link

1. Click the Meeting Link provided by the host.


2. If necessary, follow the prompts to download and install the Zoom desktop
application. The desktop application is required to use meeting chat and participate in
polls.

Join Using a Meeting ID

1. Click the appropriate link to download Zoom on your device.

2. Open the Zoom Application
3. Click Join (Connect to a meeting).
4. Enter the Meeting ID into the field 1 . The meeting ID is the 9, 10, or 11-digit
number located in the meeting invitation or at the end of the Zoom meeting URL.

5. Click Join 2 .
6. Enter the meeting password.

7. Click Join Meeting.


8. If the host has decided not to allow participants to join before the host, you will see a
message appear on your screen and will be placed in a waiting room. You will
automatically join the meeting when the host arrives.
9. The Zoom meeting window will display. A menu bar containing participant tools will
appear and disappear as you mouse over the bottom of the Zoom meeting.

Mobile Users: Mobile app interfaces will appear differently but contain most of the same

1. Mute/Unmute Audio and Adjust Audio Options

Using audio in a Zoom meeting requires you to have access to either a microphone through
your computer or a telephone. Please be aware that the host can control participant audio in
a meeting. This means the host can mute and unmute you at any time. Check the icons in
the menu bar and the participants panel to determine your current audio setting.

a. To unmute yourself and begin talking, click the Unmute button (microphone) in the
bottom-left corner of the meeting window.
b. To mute yourself, click the Mute button (microphone). A red slash will appear over
the microphone icon indicating that your audio is now off.
c. To test your computer microphone and speakers, click the up arrow to the right of the
microphone icon and select Audio options.

Note: You can switch to a different audio input device using the Audio Options button. If you
have joined the meeting via computer audio, be sure to leave computer audio before dialing
in to the meeting via the phone.

2. Start/Stop Video and Adjust Video Options

a. Click the Start Video button in the menu bar at the bottom to begin your video.
b. Click the Stop Video button to stop sharing your video stream.
c. To choose a different webcam or adjust your video settings, click the up arrow to the
right of the Video icon and select Video Settings.

Note: When video is activated, display options are available in the upper right of the screen
and in the upper right of each participant’s window in both Speaker View and Gallery View.

3. Manage / view the list of meeting participants.

Pop out the Participants pane, where you can see who is in the meeting and who is in the
waiting room. You can mute specific people, mute everyone, invite new people, and remove
people from the meeting.

4. Send Messages with Chat

You can send a chat message to all participants in the meeting or privately to specific
individuals. Note that when you join a meeting, any messages posted in chat prior to you
joining are not visible to you.

Send a Message to Everyone

a. Click the Chat button in the menu bar to open the Chat panel.
b. Type your message in the Text box at the bottom of the panel.
c. Press Enter to send the message.
d. To save the chat transcript, click the More button at the bottom of the chat panel and
select

Send a Private Message

You can send a private message to a single person by clicking the down arrow in the To:
field and selecting the person's name from the list. The person's name will stay selected until
you click the down arrow again and select Everyone.

5. Share Your Screen

Both hosts and participants can share their screen in Zoom. However, participants cannot
share if the host is already sharing, or if the host has disabled this feature for participants.

a. Click the Share Screen button on the menu bar.


b. Select the desktop or application you would like to share or select whiteboard to
share a whiteboard. Selecting Desktop will allow you to share everything on your
desktop.
c. Click the Share Screen.
d. When sharing your screen, the menu bar moves to the top of your screen and
disappears until you mouse over the area. Additional tools, such as Chat, Remote
Control, and Audio options are located under the More button. To reposition the
menu bar, click and drag it to another location.

e. If you receive a chat message while you are screen sharing, the Chat button will
blink. To view the chat message, click the Chat.
f. Click the Annotate button to open the annotation menu. Use the draw tools (arrows,
shapes) to direct participants' attention to an area of your screen or use the text tool
to type notes on the screen.
g. Click the X in the upper right of the annotation menu to close the annotation menu.
h. Click the More icon to view additional options.
i. Click Stop Share in the small menu bar to stop sharing your screen.

Share Your Screen or window

a. Click the Share Screen 1 button on the toolbar at the bottom of the meeting
window.
b. Select a screen or window to share 2 .
c. Click Share 3 .
d. A border appears around your screen, indicating that you're sharing it. The meeting
controls minimize to the top of the screen.
e. To reveal the meeting controls again, just move your mouse cursor up to the top.
f. Click Stop Share 4 when you're finished. The screen sharing stops and your
meeting video returns to the foreground.
Share a Portion of your Screen

a. Click the Share Screen 1 button.


b. Click the Advanced 2 tab.
c. Select Portion of Screen 3 tab.
d. Click Share 4 .

e. Click and drag the green box to move the shared portion or click and drag the edges
of the box to resize it.
Use the Whiteboard

In addition to sharing your screen, you can share a whiteboard that you, and your meeting
guests, can draw on.
a. Click the Share Screen 1 button.
b. Select Whiteboard 2 .
c. Click Share 3 . A new whiteboard is created, and you can begin drawing on it.

d. Click and drag your mouse cursor in the whiteboard to draw on it 4 .


e. Click a tool in the toolbar 5 to select it and see its options.
o Mouse: Stop annotating and resume using the mouse on the screen.
o Select: Select drawings and annotations.
o Text: Type onto the whiteboard.
o Draw: Draw lines, arrows, and shapes.
o Stamp: Shapes that you can repeatedly stamp onto the whiteboard.
o Spotlight: Choose from a laser pointer cursor, or an arrow stamp with your
name.
o Eraser: Remove drawings and objects from the whiteboards.
o Format: Adjust the color and width of drawings, as well as the size and
effects of text.
o Undo and Redo: Undo and redo drawing steps you’ve done.
o Clear: Remove all of your drawings, all of your guests’ drawings, or
everything on the whiteboard.
o Save: Save an image of what’s been drawn so far.
o New Page: Add a new, blank page to this whiteboard.
f. Click Stop Share to close whiteboard.

6. Record the meeting

Record a video of the meeting. Depending on the features of your account, you can record a
meeting to the cloud or to your computer.

7. Live Transcript / Subtitle.

Zoom has a variety of options for creating closed captioning in your meetings and webinars
which provides subtitles of the spoken in-meeting communications. This may be used for
participants to easily follow the conversations or to meet accessibility requirements.
a. Click the Live Transcript 1 button.
b. Select Show Subtitle 2 .

8. Reactions.

Display a reaction emoji on the screen that other meeting participants can see. You can
choose from a hand raise emoji, or an applause emoji.

9. Leave the meeting.

When the meeting's completed by the host, you'll automatically leave the meeting as well.
You can also leave the meeting early whenever you need to.
a. Click the Leave 1 button.
b. Click Leave Meeting 2 to confirm.

You leave the meeting. If you need to, you can re-join the meeting using the same Meeting
ID and passcode you used to join it the first time.
