Introduction to Pivot Tables and
Dashboards

The following is a list of items you should check before creating a Pivot Table.

Pivot Tables are an amazingly powerful tool and you will want to make sure your data is ready for the
Pivot Table before you create it.

This includes organizing your data, formatting the numbers and text properly, removing blanks, and
more.

It is best to go over this checklist each time you create a Pivot Table. It will save you time and help you
get the most out of your Pivot Table by enabling features like Date Grouping.
Sales by Sales Person for Dec 2014.

Procedure:

 Revenue Column: Convert to currency.


 Steps: right click column Value field setting Number Format Currency

Sort Column

 Steps: right click columnSort Largest to smallest

Make Chart

 Click Revenue columnAnalyze optionpivot chartbar chart


 Right Click button in chart click hide all field buttons in chart
 Right click sales person tab in chartclick format axischeck categories in reverse order
 Select barsclick + sign -> add data label
 Right click barsFormat data series gap width make it small
 Rename Total header
 Now make duplicate copy the worksheet
Display:

Sales by product category for 2014

Place Category in rows and Sum of revenue in values area.

Q1. How much is sum of revenue from total?

 Place Sum of revenue in values arearight click columnvalue field settingclick show
value as% of Grand Total. e.g. Beverages makes 25% of total.

Q2. Display Sales Person in each category.

o Place Sales Person in rows along with Category.


o Average unit price of each category.
o Place Unit price in in values area.
o Sum and count of Quantity in each category.

Add more data in Worksheet (Sales data for January 2015).

 Add new data in existing worksheet.


 Click any cell in pivot table Analyze option from menu barChange data
sourceUpdate table range
 Revenue by Sales Person filter by Region for all data.
 Revenue by Date filter by Sales Person.

Revenue(in range of 1000)  count no of orders in each range.


Make the Dashboard given below- 10 Marks

Draw pivot table to answer queries below: 10 Marks


1. What are the top 10 categories of product?
2. What is % of total revenue for Pasta?
3. How many beverages order we have?
4. What is Avg unit price for Candy?
5. Who are the sales reps selling in each category?
