SECOND G20 SHERPA MEETING

INTRODUCTION

The 2nd G20 Sherpa Meeting will be held in Labuan Bajo on 10-12
July 2022, followed by a Sherpa’s Side Event Seminar on Blue,
Green, and Circular Economy on 13 July 2022.

The meeting will also invite all the Sherpa’s spouses for a
program to a hidden gem destination filled with heavenly paradise
that Labuan Bajo offers, such as glimpse of the stunning culture
of the Manggarai Tribes as inhabitants of Labuan Bajo as well as
homes of the Komodo Dragons.

The Administrative Circular contains logistical and other general


information regarding the event’s arrangements. Delegate will
be notified via registered e-mail of any amendments or additional
information.

The Indonesian G20 Sherpa Secretariat can be contacted via e-


mail at sherpa.policy@g20-indonesia.id for all substantive
queries, and sherpa.logistics@g20-indonesia.id for
administrative and logistical concerns.

ACCREDITATION

Each delegation should nominate a Delegation Accreditation


Officer (DAO) who will also function as the Delegation Contact
Officer (DCO) for the Sherpa Meeting as the initial point of
contact regarding further assistance and information.

Please send the name and contact details (e-mail and phone
number) of the DAO/DCO via e-mail to sherpa.logistics@g20-
indonesia.id. An Access Key will be sent to the nominated DAO to
register all members of the delegation.

To be accredited, all delegates are kindly requested to register


no later than Friday, 1 July 2022 through registration portal
https://g20.org/registration/. Only accredited delegation
members will have access to the venue and no on-site registration
will be provided by the committee.

Access to the main sessions will only be granted to Head of


Delegation plus two additional members of the delegation for G20
Members and Invitees, and Head of Delegation plus one additional
member of the delegation for International Organizations.

Delegation will receive further information once the registration


and accreditation process has been completed. User guidelines
for registration and accreditation is attached in Annex 1.

VISA REQUIREMENTS

Indonesia’s government has a visa-free short visit bilateral


agreement with a number of countries for diplomatic and service
passport holders. The list of countries is attached in Annex 2.

Delegates who are not exempted from that agreement but intend to
travel using diplomatic and service passports may apply for a
multiple entry diplomatic and service visa. Kindly contact our
Embassy for more information.

Delegates who travel on ordinary passport are strongly advised


to apply for a visa from Indonesian Embassies or Consulates
accredited in the respected countries of residence.

Each delegate applying for Indonesian visa to Indonesia must


possess a valid passport with a minimum validity term of six
months, minimum of two blank passport pages for validation, and
identical information between the country represented and the
holder's nationality.

Alternatively, the Government of the Republic of Indonesia


applied Visit Visa Exemption or Visa on Arrival for Leisure
Purpose to 72 countries (Annex 3), that can also be granted for
foreign nationals on official visit or government duties to
attend international events including the 2nd G20 Sherpa Meeting
2022, with the additional requirement to enclose invitation and
accreditation letter to attend the event.

For Visa application to Indonesian Embassy, Consulate or Visa on


Arrival (VoA), delegates must bring:

• The 2nd G20 Sherpa Meeting invitation and visa recommendation


letter.

• Approved delegation accreditation from the 2nd G20 Sherpa


Meeting Secretariat.

• Recommendation letter of assignment from their foreign


ministry or other relevant institutions.

• Travel insurance document which covers health financing while


in Indonesia.

• Vaccination certificates (digital or hard copy).

• Proof of payment for VoA revenue of 500,000 IDR (during


arrival in entry point).

HEALTH PROTOCOL

Pre-Arrival

In accordance with the recent regulation regarding the


implementation of COVID-19 health protocol for all delegation,
the general travel requirements to be allowed to enter the
territory of Indonesia includes COVID-19 vaccination certificate
and the use of PeduliLindungi application.

Delegates are not required to show a negative RT-PCR test result


in which samples were taken in the country or region of origin.

Arrival

Upon arrival at the entry points, delegates must undergo a COVID-


19 symptom check, including a body temperature check, with the
following conditions:

• If there is no symptom and body temperature is below 37.5


degrees Celsius, RT-PCR upon arrival is not necessary.

• If there is a symptom and body temperature is above 37.5


degrees Celsius, delegates must undergo RT-PCR examination
upon arrival.

Quarantine applies for delegates with the following categories:

• If tested positive COVID-19 upon arrival after symptom check.

• Those who have not been vaccinated and cannot provide a


medical exemption from receiving a vaccination.

• Those who have not received at least 2 doses of COVID-19


vaccination, at the latest 14 days before departure.

All delegations are expected to comply with the existing laws


and regulations pertaining to COVID-19 health protocols in force
in Indonesia.

During the Meeting

To guarantee the health and safety of delegates, the 2nd G20


Sherpa Meeting committee implements meeting layout with physical
distancing setup to protect participants’ safety and require all
participants to wear masks when indoors and implement hygienic
measures at all times.

In the interest of collective safety, The PeduliLindungi


application is also mandatory to access meeting venues and
hotels. We shall notify all delegates in writing immediately if
any changes are made to the health protocols.

Leaving Labuan Bajo

At the conclusion of the meeting until 14 July 2022, the committee


provides free PCR tests to help delegates in obtaining the
appropriate health documents for their return flight departures.

Convention Centre Labuan Bajo.

Floor Map

The Indonesia G20 Presidency sets a security zone for the


duration of the meeting. The security zone is only accessible to
accredited delegates who have been issued a personal
identification badge. As a result, all participants must ensure
that their meeting identification badge is worn and visible at
all times while inside the meeting area. Entry without the badge
is prohibited. Throughout the meeting, the location has
complimentary wireless internet access. For further information,
please contact our helpdesk.

Business Centre

A business centre is available and equipped with workspaces,


internet, and printing capabilities.

Prayer Room

The committee will provide a prayer room for Muslims, which can
be accessed by following the venue's signs. It is open during
meeting hours. However, as praying equipment is limited,
delegates are encouraged to bring their own.

Bilateral Room

The committee provides 4 (four) bilateral rooms with a capacity


of each up to 6 (six) delegates at Meruorah Komodo Labuan Bajo.
All delegates, upon request, will have access to the bilateral
meeting room from 08.00 to 18.00 (UTC+8) on 10-12 July 2022.
Requests for bilateral meetings can be arranged through
sherpa.logistics@g20-indonesia.id on a first-come-first-served
basis. Delegates may reserve a meeting for a maximum of one hour.

Access to Venue

Delegates use badges to access the venues. The badges are colour-
coded according to their category. It contains personal
information such as photographs, name, country, and institution.
Badges are required to be worn throughout the meeting and
hospitality event to enter the meeting venue and hospitality
facilities. They are non-transferable.

The number of accesses given to the venues is determined based


on health protocol consideration, as follows:

Collection of Accreditation Passes

The DCO may collect accreditation badges (access cards and pins)
on behalf of their delegations at the designated official hotels
upon arrival.

ACCOMMODATION

The Indonesia G20 Presidency has arranged the Meruorah Komodo


Labuan Bajo and Ayana Komodo Resort as the designated official
hotels. It complies with CHSE (Cleanliness, Health, Safety, and
Environmental Sustainability) protocols to ensure health and
safety procedures during COVID-19 pandemic.

Delegates are encouraged to book the accommodation before 1 July


2022 and submit the booking details on the registration portal.

Delegates could arrange the hotel reservation by sending an email


to https://meruorahlabuanbajo.com/ (Meruorah Komodo Labuan Bajo)
or rahmat.arifin@ayanakomodo.com (Ayana Komodo Resort) with the
“2nd G20 Sherpa Meeting Reservation” subject.

ACCESS TO LABUAN BAJO

Delegates could arrange a connecting flight to Komodo


International Airport from Soekarno Hatta International Airport
in Jakarta and Ngurah Rai International Airport in Bali.

Delegates are responsible for organizing their own travel


arrangements to and from Labuan Bajo.

TRANSPORTATION

The Indonesia G20 Presidency will provide shuttle service to all


delegates from and to Komodo International Airport to the
designated official hotels, and between designated official
hotels. The designated committee will greet the HoD and
delegates upon their arrival at the airport and will direct them
to the provided shuttle.

GENERAL INFORMATION

Dress Code

The dress code for the meeting is formal business attire.


Meanwhile, delegates are also encouraged to prepare a separate
smart casual attire for the Sherpa Sofa Talk, as well as the Gala
Dinner and Cultural Performances.

Time Zone

Local time in Labuan Bajo is Central Indonesia Time (UTC+8).

Electrical Equipment and Drinking Water

The electricity supply voltage in Indonesia is 220


Volt with plug types C and F. Tap water is
undrinkable. We advise delegates to consume
provided bottled water.

Currency and Banking

The currency in Indonesia is the Indonesian Rupiah (Rp). The


government regulates that all transactions done in Indonesia must
use Rupiah as a legal tender. Authorised money changers are
available at the airport and near the meeting venue. Delegates
can also withdraw Rupiah through Automated Teller Machines
(ATMs). Major credit cards are widely accepted in most hotels,
restaurants, and stores. ATMs are also widely available in Labuan
Bajo. You can withdraw money from any ATM with the logo of your
card network operator.
