Welcoming Visitor

Situation 1
You work as a receptionist at Zero Waste Adventure. Mr. X from Ministry of Environment and
Forestry comes to visit Ms. Nirmala, the founder of Zero waste Adventure. He wants to discuss
about the campaign of Zero waste lifestyle movement. Ms. Nirmala is not available, she is joining
a seminar and will not return to the office until tomorrow. Mr. Indra will take over Ms. Nirmala’s
responsibility at the office today. Mr. Indra’s room is on the ground floor, 2 nd door to the left of
the receptionist room.

Situation 2
You work as a receptionist in Cikal school. Mr. Adrian, the school supervisor from Ministry of
Education and Culture comes to see Ms. Najeela, the founder of Cikal school at 10 a.m. to discuss
about the school curriculum. Ms. Najeela is having a very important meeting with the students’
parents and can’t be interrupted until 10.30 a.m. After waiting for about 30 minutes, Ms. Najeela
is ready to see Mr. Adrian. Ms. Najeela’s room is on the ground floor, the 3 rd room at the right side
of the receptionist table.

Situation 3
You work as a receptionist in the Westin hotel. Ms. Gherys comes to see your customer service
manager, Ms. Carla, to talk about the hotel service. Unfortunately Ms. Carla is having her sick
leave today. Ms. Arini is Ms. Carla’s assistant who handles all her responsibility. Ms. Arini’s office
is in the room 7004. It is on the 7 th floor, the fourth room at the left side of the lift.

Situation 4
You work as a receptionist in Trans TV. Ms. Anna from Click Production House comes to meet Ms.
Tania, the program manager, to offer a new fantastic program to be on aired through Trans TV.
Ms. Tania is supervising a shooting program in studio 2 at this moment and it will be done in
about an hour. After waiting, Ms. Anna can be accepted in Ms. Tania’s office. Her office is on the
4th floor, room number 402. After getting out from the lift, turn left, then walk straight, turn right
at the 2nd alley and her room is number 2 from the end of alley. There is a program manager board
on the door

Situation 1
You work as a receptionist in PT. ATP Insurance. Mr. Steve from PT Jaya Raya would like to speak
with the director, Mr. Diman. He would like to inform that the meeting has been rescheduled. The
meeting will be held on January 3rd 2018 in Pasta and Pizza restaurant, Savoy hotel, at 1 pm. Mr.
Steve asks Mr. Diman to confirm if he is still available to attend the meeting. Mr. Diman can call

Situation 2
You work as a receptionist in Hartono Law Firm, a client, Ms. Susi from House and Property, calls
to talk with the lawyer who represents her company, Mr. Harun. She would like to arrange for a
meeting to discuss a law suit against her company. Mr. Harun is out for a lunch with his client and
will return at 2 p.m. Mrs. Susi would like to be called at 021 8718155 as soon as possible
Situation 3
You work as a receptionist in La Belle Corp. Mr. Anya from Boutique Store calls to speak with Ms.
Sasha, the marketing manager. He would like to complain about the clothes and shoes product he
had order from La Belle. Some of them are not the same with the catalogue. Ms. Sasha is not
available at the time. She is out of the town to visit the company factory and will return until next
Thursday. Mr. Anya would like Mrs. Sasha to call him back as soon as possible at 09899174580

You are working in Grammar Company as a secretary. Your boss, Mr. John is in the meeting. You
must handle the phone calls from Mr. James. He wants to speak to Mr. John to discuss about the

You are working in TOEFL company as Secretary. Your manager, Mr. Anang is not available. You
must handle the phone calls from Mrs. Sabrina. She is from IELTS company. She wants to speak to
Mr. Anang to tell the information about TEFLIN conference and ask him to call her in

Situation 6
You are working in PPKPI as an administrative Assistant. Your head officer, Mr. Amir is not
available. You must handle the phone calls from Mrs. Mega. She is from English department. She
wants to talk to Mr. Amir, to discuss about the general schedules of this year. She wants to
arrange a meeting with him in his office next day, at 8 a.m
Situation 7
You are working in Microsoft Corporation as a Secretary. Your manager Mr. Bill Gates is not in the
office. He is on the meeting. You must handle the phone call from Mr. Steve Jobs from Apple
company. He wants to meet with Mr. Bill Gates in Microsoft building on Tuesday morning. He
wants to make sure the time schedule and he plans to call him back later at lunch.
Situation 8
You are working in Panasonic Global Indonesia. Your manager is Mr. Gobel. He is not in the office.
You must handle the phone calls from Mr. Hary Tanoesudibjo from RCTI. He wants to meet Mr.
Gobel in Balai Sarbini on Saturday at 7 p.m to discuss about the agreement of the Panasonic
award event. He asked Mr. Gobel to call him back before meeting in 08098997766.
Situation 9
You work as customer service in Mc.Donald. Andrew is a customer who wants to place an order.
He plans to have take away order. The order lists are 2 happmeals with spicy chicken, 4 colas in
large size, 3 cones of vanilla ice cream, 2 fried potatoes. You didn’t catch the information and ask
him to clarify. You inform that the order will be ready around 45 minutes. Andrew confirms that
he will pick up soon. Don’t forget to ask his direct line.
