INTRODUCTION

The return to work policy document is intended to provide general information and
understanding of return to work plan. Return to workplace is a coordinated plan to
safely bring back staff.

MESSAGE FROM THE COMPANY

We hope that you and your families are staying healthy.

We are excited to welcome many people from Company back to work. We thank
you for your support commitment and dedication during this unprecedented time.

As the COVID-19 continue to evolve, we remain fully dedicated to the safety,


health and well-being of the Company. During this change, we need to ensure
that we continue to carry out our mission and serve our internal and external
customers with their utmost satisfaction. The purpose of this document is to
provide staff and the entire Company with safety protocols and steps to take to
keep yourself and the Company safe.

Our all offices in other countries have already made the transition back to their
work sites and we need to build on the lessons from our colleagues from these
countries who have smoothly transit to routine while adhering to all social
distancing and other health and safety practices.

Throughout this process, we must watch out for one another. We must do all we
can to keep our colleagues and ourselves safe and healthy.

Together, we will keep moving forward.

RETURN TO WORKPLACE PLAN

This is intended to provide guidance for execution and local implementation.

1. Office Reopening

A current trend we are seeing is that various state operations have smoothly
reopened in phases. We will have to comply with state and local directives, which are
giving us releasing guidance time to time.

Based on the analysis statewide we have decided to resume back in phases from 01st
January 2021.

2. Reopening Guidelines

 PHASE 1 – Below mentioned are the guidelines to be followed during “PHASE 1”.
This phase will be continued for the period of three months i.e. from 01 st January
2021 to 31st March 2021.

A. Headcount capacity

i. In any given point, headcount in office premise shall not exceed 30 people.
ii. HODs are required to give projection to HR a week prior for their department
during entire phase 1.

B. Attendance

i. Each staff required to ensure his/her 25% attendance in office for regular
working hours every month.
ii. HODs need to ensure that all staff in respective departments are meeting 25%
attendance criteria.

C. Meetings

i. All HOD and Board meetings will be held in office.


ii. HODs of respective departments are required to be present for such meetings.

D. Staff Location

i. All staff are required to be present in the cities of their respective office location
ii. Staff currently based at other location are advised to return to their respective
work cities.
iii. HR and Supervisor should be informed if any staff is travelling out of town.

E. Staff Health

i. Staff facing medical discomfort will be sent home on immediate basis.


ii. Staff are advised to stay home or to work from home in case he/she is unwell.

A. Self-care on office commencement

i. Before Entering Office

- You needs to wear Masks before arriving office entrance. You shall
continue to wear mask in office premise.
- You will need to sanitize your hands before entering office.
- You will be screened at the office entrance. No one shall enter office
without being screened.
- Oxygen level will be checked at the entrance.
- You have to maintain 6 feet gap in the office premise.

ii. After Entering Office

- Register will be maintained by one nominated staff. No one will use any
material to sign the register.
- Interaction with front office staff shall be maintained with 6 feet distance
- You are advised not to touch any surface in reception area
- Once enter the main office premise, you have to keep your belonging
nearby your work station where there is minimum contact.
- Once you enters into the office then immediately you have to go to
washroom to wash face, hands and legs. After disinfection only you are
allowed to sit at your desk for work
- You will be restricted to visit any other staff’s desk.
- You shall sanitize your hands in every half n hour.
- You will be screened thrice a day. If you find having a temp of 100° or
higher will be sent home.

iii. Returning Home

- Wash your hands thoroughly while going back home.


- Do not touch any object during travel and even after returning home.
- Once you return home, you are advised to take shower.
- Sanitize your office belongings and all other objects such as wallets,
phone, keys etc.

B. Social Distancing and Hygiene Protocol

i. General Working Arrangements

- Office will operate with 30people capacity.


- There has to be one desk gap between two staffs.
- Paperwork to be emailed rather than handed over as much as possible, if
unavoidable, wash hands before and after handling said items.

ii. Office Entry

- Visitors shall be avoided to office.


- Maintaining 6 feet difference between two staff waiting to enter office.
- Couriers shall be managed at reception. Courier registers will be
maintained by one nominated staff.

iii. Eating Arrangements and Pantry Sitting Arrangement

- Break times shall be staggered to reduce congestion and contact at all


times.
- Hand sanitizer will be available on each dining table and should be used by
you when entering and leaving the area.
- You will be instructed to carry food and refillable drinking bottles from
home.
- You will sit 6 feet apart from each other while eating and avoid all contact.
- Pantry crockery, utensils, cups etc. shall not be used.
- All left over shall be put straight in the bin and not left for someone else to
clear up.
- All areas used for eating will be thoroughly cleaned at the end of each
break.
(Chairs, door handles, microwave handle, water tap, dining table, vending
machines etc.)
- You are advised to limit access and use of coffee machines.
- Disposable coffee mugs, plates, spoons, will be provided.

iv. Office Meetings

- Meetings shall be attended having one chair gap between two attendees.

- Personal diary and pen shall be carried in meeting and avoid using
anyone’s belongings.

v. Toilet and Washrooms

- Physical distancing rules apply to the use of shared facilities, including


toilets.
- You must wash hands before and after using the facilities.
- Don’t keep your facemask anywhere in washroom. Please use your own
pouch or bag.
- Maximum 4 staffs will be allowed in washroom at the time including
waiting area.
- Cleaning of toilet facilities particularly door handles, locks, toilet flush and
sanitary bins will be ensured.
- Washrooms shall be maintained clean by each individual while walking off.
