Crisis management plan (CMP)

A crisis management plan (CMP) is a strategy for handling a serious event that could harm an
organization's reputation, profitability, or capacity to function. Business continuity teams,
emergency management teams, crisis management teams, and damage assessment teams all
employ CMPs to guide their workforces away from potential problems.

A crucial part of crisis management often involves public relations. To manage communications-
related tasks, such as dealing with the media, an institution may decide to hire outside public
relations assistance..

Defining a crisis
A crisis, which can last from a few hours to several days or longer, requires decisions to be made
quickly to limit damage to an organization and its key stakeholders.

An organisation and its major stakeholders during a crisis may take decisions within few
continue for a few hours or it may take many days or more. A CMP enables an impacted
business to move rapidly by offering a well-documented set of answers to possible critical
situations.

Types of crisis
Potential crisis include:

Natural disasters including earthquakes, tsunamis, and cyclones.

Biological risks like food-borne illnesses and pandemics.

Intentional human-caused calamities like robberies, violence and technological

challenges like software bugs.
Accidental human-caused calamities like fires, explosions, building or structure
collapses, and hazardous material spills.

Crisis management plan includes the following components:

Crisis management planning includes preparation, development of processes, testing and
training.

An effective CMP should have the following initiatives:

1. List the team members for crisis management.

2. Outline the standards that will be used to decide whether a crisis has occurred.

3. Create monitoring procedures and procedures to identify any potential crisis situations'
early warning signs.

4. List important emergency contacts.

5. Specify who must be contacted in case of a crisis and how that communication will be
sent.

6. Identify a procedure to evaluate the incident and how it will affect the workplace and its
personnel.

7. Specify crisis response protocols and locations for employee assembly in case of an
emergency.

8. Outline a procedure for evaluating the crisis management plan's efficacy and regularly
updating it.

The importance of a crisis communication:

Communication is key to getting through a crisis because it keeps all the necessary personnel,
ranging from workers to top management, informed. As the crisis develops and evolves, the
organisation should update its communications.

During a crisis situation, employees look to management for leadership and guidance. Without
proper communication, people may speak or act erroneously. Lack of communication could also
cause a safety issue.

An organisation needs to establish a crisis communications team. All messages must be truthful,
concise, and clear. An organisation should create a template with a detailed action plan and
choose the best communication channels before plugging in the relevant information if the
incident actually happens in order to deal with the crisis.

The method of communication includes a call tree, in which a team member calls a designated
fellow employee or employees to communicate the message.

It's crucial to regularly test the crisis communication plan to ensure it will hold up in the event of
an actual incident. For example, an organisation could run through its call tree messaging test.

Customers, incident survivors and their families, employees and their families, corporate
management, and suppliers may all need to receive crisis response communications. All of these
should have up-to-date contact information. Throughout an occurrence, the messaging ought to
be the same for all audiences.

Testing and updating your plan

The crisis management plan must be distributed to the appropriate departments after completion,
and training must be provided prior to implementation and testing. The CMP must also be
updated on a regular basis. Training sessions should be held so everyone involved knows their
role.

After a test or post-crisis, it's important to review the results, discuss what worked and what
didn't work, and make necessary changes to the plan.

Crisis response planning

A crisis response plan outlines the steps that must be taken by an organisation right away after an
incident and covers potential interactions with outside assistance, such as public safety
personnel. It’s critical for crisis management to have a clearly defined crisis management plan
since every second counts in an emergency.

As part of crisis management preparedness, an organization should conduct a risk assessment to

determine potential threats. The organization should develop a Crisis response plan to protect its
employees and other affected parties in the event of an incident. Safety and stabilization are keys
in an emergency.
