Procurement related issue

1. Procurement dept. was not procuring total indent qty.

For example, when a new project is going on, we indent for running plant “Indent 1-cutting disk
Size 4”, Thk. 1.5mm-100pcs.” & new ongoing plant “Indent-2-same item 1000pcs.”
Procurement procure 30pcs. From indent-1 & 200pcs. from indent-2, but after that they didn’t
procure rest of the items always. In this case, we need to make new indents for further
procurement though we have pending qty. from previous indent.
We didn’t get update on procured & balance qty. also.

2. In time of emergency breakdown of any machinery we made request for repair

maintenance/fabrication from outside workshop. We send our manpower for helping the
procurement dept. Then we take quotations & forward it to procurement dept.
They didn’t take necessary steps rapidly in most of the case. When we finally create pressure
than they start collecting two more quotations to make CS while it’s already too late.
This claim is also applicable for some critical new machinery’s procurement.
For example, we use Pneumatic Diaphragm type pump for our process for evacuation of
hydrocarbon from API or another place. We found we are facing problem with aluminum casing
pumps so we indented SS. Casing pump & collected a quotation which has been forwarded to
procurement dept. After approximately 25 days they informed us they are collecting new
quotations for making CS. But it was & it is now very urgent issues for process dept. to use
Pneumatic pumps for their works.

3. “Emergency” word means nothing to procurement system now a days. For LNHT tower two
eyebolts has been requested to procure at an emergency basis. In the meantime, indent also
accomplished. After approximately one month they procure one eyebolt.

4. Mail communication regarding update & other related issues is very poor from procurement
dept.

5. They didn’t maintain sample detail. For this, they need sample of same item for procurement.

6. We mention “brand new” when we need fresh material. But, procurement dept. didn’t maintain
it. For example, we indented brand new 8”150# gate valve, but we didn’t get that.

7. Sometimes quality of material negotiated by procurement dept. if a certain product didn’t found
in some specific shop. We wanted good quality speed level. But we found poor quality because
of this reason.
