1) ANALYSIS
Description of the system
Gaborone Private Hospital came into existence together with Lancet Lab in 1992.Gaborone
Private Hospital owned 80% and Lancet owned 20%.Providing patient services such as manually
recording patient information which took longer to record and you had to enter information
repeatedly. In 2001 Lancet brought technological advancement and technical expertise, then
emerged Medical tech as a system. Meditech came in to try and process patient records that were
done manually and took longer but with Meditech now things are done faster and efficiently. For
example patient information were recorded in manual cards and they would get lost easily while
with Meditech patient data is entered into the system and can be easily retrieved. It provides
various service which are accounting, providing patient services and procurement of
materials/inventory.

c) Evaluation of existing solution
AVANTAGES OF MEDITECH
Populate data
Confidentiality
Prevent medical errors
Increase healthcare efficiency and quality
DISADVANTAGES
Interface-it cannot send notifications to patients when results are dispatched
It only allows you to run with two tubs. That is to say if I open up patient 1 and I need to
open up patient 2,I must close patient 1 but still I need that information.
Data downloaded needs to be edited to have a final report. Data would be scrambled all
over a spreadsheet with the need to re-arrange it and some edits.
IMPROVEMENTS
Redesign-installing notification app called SNAP COMMS that will automatically alert the
patients that the results have been dispatched.

b) PROPOSED SOLUTION
Meditech is a system used by pathology department. Meditech populate data, promotes
confidentiality of patients information as the system has the usernames and passwords thus
not everyone can access it. It has a limitation where it cannot send notifications that patients’
results are ready to the Meditech end user. We came up with a solution in which we will
install notification application known as snapcomms. Snapcomms will be able to display
messages directly on screen or offer the user the choice to open the messages now or later,
thus emergency messages are seen or read.
QUALITIES
Alert notification is in a real time, thus making the message or notifications unmissable.
Display messages directly on screen or offer the reader the choice to read the message
now or later.
The snap comms desktop scrolling ticker tool-allows display of important messages and
updates on the computer screen, thus emergency messages are seen or read.

c) System requirements
HARDWARE REQUIREMENTS
Mouse-moves cursor to their destination or for navigation.
Keyboard-to input patients’ data into a computer.
Printer-to output patients result
Monitor-output or display patient data as it is input into the computer in a form of a
softcopy.
Central Processing Unit (CPU)-to process patient data.
Processor-Intel ® Celeron® to p
SOFTWARE REQUIREMENTS
Microsoft Access Features
We chose this software because it has ideal features best to be used in the creation of our
system, for example making queries and forms.
KEY FEATURES
Easier than client- server database to understand and use
Ideal for individual users and smaller teams
Import and export to other Microsoft office and other applications
Allows building and publishing web databases effortlessly.
3) IMPLEMENTATION
a) Method of solution
PARALLEL IMPLEMENTATION – we are going to use the old system (meditech) alongside
with the new improved version of meditech, until a certain point where the user is sure that the
updated version is running or working effectively.
4) TESTING
a) Test strategies or plans
Normal testing-inputting correct data into the computer. In the database there will be a
field name. Where their name will be input and a validation box will pop written
accepted to show that correct data has been entered.
For example;
PATIENT NAME EXPECTED RESULTS
Tebogo Molete Accepted
Abnormal testing-inputting incorrect data into the computer therefore a computer will
give a validation message.
Extreme testing-this plan is divided into 2 types namely;
~Upper extreme testing-refers to maximum range
~Lower extreme testing-refers to minimum range
5) DOCUMENTATION

management.
MATERIAL MANAGEMENT
List of fields under material management appear. Then click option 31 which is process
purchase order.
SIGN OFF
Then click on option 0 which is sign off to sign out of the system.
We have installed the notification app now the user can receive messages about purchase and
patient result when they are ready. After getting the users perception that they are fine with
the system then we can maintain it.
b) Future development/Improvements
