CHAPTER ONE

1.0 Introduction
Laboratory Management "System or Lab Management System is an online web-based
application that manages several tasks of Faculty of System Computer and Software Engineering
(SPSSN) laboratory. This system will manage several modules in SPSSN laboratory such as lab
booking, equipment borrowing, lab maintenance, disposal, report the use of lab and staffs work
schedule. SPSSN only have manual system that manages these modules before. So, this system
will be developing to help the lab administrators to set up and manage the labs easily using the
online web base application.

1.1 Background
SPSSN has 2 laboratories and has provided a total of 100 computers and with an average of 50
computers per lab. The labs are all located at block Y and M close to study halls. Each laboratory
devoted to the subject provided by faculty like LAB1 used for Networking subject and LAB2 is
used for multimedia and graphics subject. These laboratories are managed by 2 Vocational
Training Officer assisted other assistants. The software installed on computers in each lab differs
based on the usage specifications of the lab. For example, LAB1 was provided with software and
devices that will be used by students majoring in computer systems and networking.

Generally, this system will be developed using web-based technology to make the several
modules in that system more structured and systematic beside can make the lab administrator
easier than before. Hypertext Preprocessor (PHP) language will be used to develop the system
interface and connect the interface with the database that will store recorded data. So, this
method will make the user easy to access by using web browser application. Lab administrator
will record each task into the system to enable data to be stored into the database and to make the
troubleshooting work easier if there are errors when recording the data.

This system also can be upgrade by adding more module if there are new modules need to be
recorded into this system that related to the SPSSN laboratories. So, this system quite important

to the SPSSN Technical Unit to make the lab management at SPSSN more advance than other
schools

1.2 Problem Statement


Existing system
It is hard to maintain a lab manually. Data of student is not secure in lab computers and anyone
can access it. Students are not able to define problems coming in their computers. Student are not
able to see their computer information. Teacher not able to maintain the student record.
Manipulation of student record is difficult for teacher.

I introduce this project to maintain the computer lab easily by computer system and reducing
paper work. I provide user id and password. The id password is unique so its data will be
secured. Students can report all problems related to their system by firing queries. Student
borrow the items. Student data will be secured no one can assess that. System administrator can
update the information of computer. Student can show their requests after they login the system.

1.3 Main Objective


The goal of the system is to bring down the work load with the increased efficiency and to speed
up the activities, with this it is very easy to process duties to students and staff as whole.

1.4 Specific Objectives


 To develop the manual lab management system into online web base lab management
system.

 To develop several modules in online Lab Management System such as equipment booking,
warranty and items disposal, and lab booking.

 To help the lab administrators easy to manage the data, troubleshoot and repairing damage
equipment in laboratories.

1.5 Scope of the study

1.5.1 Project Organization


This consists of six (6) chapters. Chapter one (1), discuss on introduction of this project. This
chapter has several parts such as introduction, problem statement, objectives, scopes and thesis
organization.

Chapter two (2) is literature review that will explain the previous projects that have been done on
baseline on-line system. This chapter consists of two parts, i.e., studies on current or existing
system and explains about hardware and software requirement that have been used to implement
this project. For this chapter, the related information can get via book, internet, article, journal
and others.

Chapter three (3) is methodology. This chapter will discuss the proposed approach and the entire
draft of the project that taken in the development of this project. It also will explain the
justification of the proposed approach, hardware and software requirements. This topic also
explains project development that has designed.

Chapter four (4) is implementation. This chapter discusses about the environment used and
coding used to develop the system. It also contains some of the coding like the engine for the
system.

Chapter five (5) is result and discussion. This chapter briefly discusses how the system runs.
System testing will be showed here if got any error or not. The system must have error handling
and user friendly.

The last chapter will be the conclusion which will summarize the results of this project. It also
presents the summarization of project's methodology, implementation that has used, and finally
suggestion for possibility to enhance this project for the future research.

1.5.2 Technical scope


The system will use both software and hardware tools for example the system’s
interface will be developed using PHP, Html, JavaScript, CSS and the database will be
developed using MYSQL and PHP My Admin for their simplicity.

1.5.3 Time scope
The study will be conducted in period of 4 months (that is from January 2022 to April 2022).
According to the researcher, this is time will be adequate because, valid and dependable data that
helped the researcher to understand the phenomenon understudy gathered.

1.5.3.1 SIGNIFICANCE OF THE STUDY

Significance defines the benefits of the study in a certain area. The developed study is significant
to the following areas

Our school (SPSSN). The study is seen significant to the school, due to the fact that they would
have a competitive advantage among other schools.

SPSSN IT Department. The study is seen significant to the Department because they would have
a competitive advantage among other departments.

SPSSN IT Staff. the study is seen significant to the I.T. Staff because the system will be
beneficial to I.T. Staff for it will help them to manage the computer laboratories.

CHAPTER TWO:

LITERATURE REVIEW

2.0 Introduction
This chapter briefly explains about the manual process laboratory management system at St.
Peters Secondary school and background of the project studied is stated. The other aspect that
will be discussed included comparison with the similar existing systems.

2.1 EXISTING SYSTEM

The current Laboratory Management System that has been used by PLV and PPLV is only the
manual system. This manual system operates by recording all data in the laboratory log book and
will be shown on a white board in each block. Procedure and policy for each module in the
manual system will be discussed in the subtopic below.

2.1.1 Borrowing Laboratory Equipment

This module aims to provide laboratory equipment borrowing services to associates, students and
society at the Faculty of Engineering Faculty of Computer Systems. Each user should be
following all the borrowing rules and procedures to make sure there are no mistakes during
recording the information

Application for rental of laboratory equipment can be made by memo or e-mail or letter of
application before working days from the date of borrowing and need to get support from the
head of SPSSN technical unit. PLV and PPLV will be inform the rules or terms and conditions of
loans to applicants before filling the log book of SPSSN Laboratory Equipment Borrowing
Records.

The borrowing period that allowed is not more than two weeks for each period of the borrowing.
The late returning of equipment at the prescribed date will be charged.

The borrower is responsible for safety and cleanliness of all equipment. Any loss and damage to
the equipment, the borrower will be responsible to replace the similar equipment

Using web-based technology, this manual system module will change into web-based application
that allowed applicants or user to enter their information in the application form and will send it
to PLV or PPLV. Then, PLV or PPLV will approve the application if all the information from
user is completed. If the intonation does not complete, PLV or PPLV will inform the user the
complete the application. This method will make the Borrowing of Laboratory Equipment easier
to manage without asking the user to send memo, or meet the PLV if they want to borrow some
equipment from laboratory.

2.2 PROPOSED SYSTEM

The proposed system consists of 3 panels: student, Staff, Admin. The student(s) have to register
themselves. Once registered, they need to be verified or else admin can add them. users can be of
two types they students and official staff; they need to give the relevant details. After that student
can check in, if particular student is inside the school. Suppose if the student wants to book an
item they can check and book the items for future entries Further he/she can decide to
accept/reject the request. From the administrator side, the admin can add student, staff, another
Admin to the system.

Domain Research

2.2.1 Technical Research

Technical research involves study on similar system to know the functionality features of the
existing system, this is to find the flaws in the existing systems and to take note and suggest good
features.

Computer lab management software can have several meanings: it can refer to software like
Foolproof or Fortres which "locks down" the computer and only grants users access to limited
software features. In the context of this article, however, "computer lab management software"
refers to programs used by a teacher in the course of a lesson to maintain student attention and
enhance instructional delivery. Screen sharing is a typical feature of lab management software,
allowing the teacher's computer screen or entire class. They can save time by launching
applications or websites simultaneously on all classroom PCs beforehand, keep a record of

attendance, monitor student activities and progress, and test students for comprehension and
understanding.

Recently, universities have started using computer laboratory management systems that can be
commercial software or a system designed in-house. For example, Tsinghua University in China
developed their lab information management system which realizes automatic management in
computer labs. Their lab information management system was developed by Central South
University of Technology Moreover, developed an archival management platform of computer
laboratory with the.NET frame to eliminate the deficiencies in the computer laboratory
management in Chongqing City Management College, China.

A Smart Laboratory Real-Time Management System (SLRTMS) was developed in the


University of Teknologi, Malaysia. The system increases the efficiency of learning, management
and student monitoring by using a client-server approach.

A survey on “thin client technology” for computer labs in educational environments were
presented by to set out the advantages and disadvantages of this technology, and identified
different educational scenarios where this technology could be a better choice.

Generally, they share some common features that include; (1) having an ability to allow an
instructor to lock a student’s computer during class time, (2) easy supervision and interaction
with their students individually, in groups, or with the entire class, (3) and sharing a particular
computer screen with everyone in the lab. Moreover, they can save time by launching
applications and files at the same time on all classroom computers, taking attendance, monitoring
student activities and improvement, testing students, and collecting feedback from them. Acer
Classroom Manager (ACM) is another classroom management software that developed with the
different needs of teachers, students and technical staff.

CHAPTER THREE:

METHODOLOGY

3.0 Introduction
The chapter deals with methods of data collection that will be used in the system study and
design of the being proposed system. An investigation of the current system will be carried out in
order to determine the requirement and specifications for the laboratory Management System.
The process of data collection involves identifying all the major activities and selective sampling
to choose what activities should be considered for the development of the system. During the
fact-finding process, the researcher will use different techniques like observation, Interviewing,
document review and questionnaires to learn the existing system

3.1 Research Design.


The researcher will use qualitative research design because it will help her to gain insight,
explore the depth, richness, and complexity in the phenomenon and will be provided with the
valuable information about Ict-lab management system the researcher will design. Quantitative
and qualitative are, importantly, words to describe the kind of data gleaned from an experiment
and not the phenomena themselves. The kind of data we extract from an experiment depends on
the experiment design and the parameters we as researchers set before beginning. Thus, external
phenomena of the world are interpreted through a chosen experimental framework – whether this
is quantitative or qualitative depends on the research question.

For example, many cognitive psychologists are interested in the phenomenon of human
intelligence. While some theorists have focused on "counting" IQ (a quantitative approach)
others have concerned themselves with the nature of intelligence, the variation in cognitive
processes, developmental patterns and the felt experience of various phenomenon related to IQ
etc. (a qualitative approach).

3.2 System Development Methodology

The researcher will use the Agile Model research design in system development life cycle
(SDLC). In this model, the system follows a series of phases from the requirement definition and
analysis, system design, implementation, system testing and operational maintenance.

During each phase of the lifecycle, the researcher will carry out a set of well-defined activities
for instance at the Analysis stage where structured analysis of requirements will be carried out.
The system and structured analysis then transform into software design, therefore completion of
one phase led to the next phase.

3.3 Target Population

A target population is particular group of people that are identified as the intended recipient of
the study. The population size will be the system administrator, students and the staff.

3.4 Sample Size

The researcher will use sample size to obtain the information of how the current system is
working. By sampling the population of the school and how it is efficient to the staff and the
students of the school by asking the participant of the system

3.5 Sampling Techniques

During my research combined purposive sampling and convenience sampling techniques to


come up with appropriate samples. The problem with all of the other types of samples is that
there is no evidence that they are representative of the population of interest. Purposive sampling
was used to reach the researcher’s targeted sample quickly hence getting the opinions of the
target population.

While collecting data from the staff and Data clerks the researcher will use convenience
sampling by collecting data from staff who are readily available at the time of the data collection
in different sessions. Though it has the lowest credibility and may yield poor information due to
being prone to volunteer bias, Convenience sampling will be used because it saves time, money

and effort since it would be much more expensive and almost impossible to organize a
systematically selected group of staff’ samples successfully.

3.6 DATA COLLECTION METHODS

3.6.1 INTERVIEWING METHOD

The researcher will carry one-on-one directed conversation with key users and stakeholders of
the existing system among which included the staff, managers and the directors to find out how
the existing system works, what difficulties are encountered with the existing system and their
expectations or suggestions for the new system. This technique was used because;

1. It gives accurate information on what you are researching on.

2. The researcher gets final results since it is collected from the main source of
information.

3. The researcher is able to ask all the questions and gets all the answers at that
moment, since there is direct contact.

4. It allows the researcher to get more information through probing and observing
nonverbal messages.

3.6.2 DOCUMENT REVIEW

In this technique, the researcher analyzed publications of experts and previous studies about
various visitor management systems like online journals and books to review literature on related
systems. Having analyzed the existing visitor management system and reviewed literature on
related systems, the researcher was able to elicit the new system’s requirements

This method was used because of its advantages, which include;

a. It is inexpensive because the data is already there

b. It permits examination of trends over the past

c. It doesn’t interrupt program or client’s routine in program

d. There are few biases about information

3.6.3 QUESTIONNAIRES

In this approach, printed questionnaires will be given to the staff of the school to fill in the blank
spaces. This helps the researcher to know the operation of the existing system. Questionnaires
will allow the analysts to collect data from large number of people quickly.

3.7 STYSTEM DESIGN

The researcher will design the visitor Management system dataflow and processes using
dataflow diagrams, then design the database and its entities using tables and entity relationship
diagrams

The researcher will use Data Flow diagrams as the appropriate tool to design a diagrammatic
interpretation of the processes in the visitor Management System and clarify what data types are
to be exchanged between entities and processes.

3.7.1 DATABASE DESIGN

The design of the database of the visitor management System was done using entity relationship
diagrams and tables after analyzing the requirements identified in requirement specification.
After analyzing the requirements from the research, I will have made I will use SQL, PHP
MYADMIN to design the database with table of the database

3.8 IMPLEMENTATION TECHNIQUES

This will be focused on the details of implementation including the programming environment,
data structures and the language to be used, whereby HTML, CSS, JAVASCRIPT, MySQL, PHP
MYADMIN and PHP will be used to develop the system because of the following reasons;

3.8.1 PHP MYADMIN AND SQL

phpMyAdmin supports a wide range of operations on MySQL and MariaDB. Frequently used


operations (managing databases, tables, columns, relations, indexes, users, permissions, etc.) can
be performed via the user interface, while you still have the ability to directly execute
any SQL statement. Will use them because of the following;

a) It is efficient in developing database driven web sites.

b) It is an open source database; it does not cost anything.

c) It is most popular database systems in use today are relational databases. A


language called Structural Query Language.

3.8.2 HTML

HTML stands for Hypertext Markup Language (HTML) is the standard markup language for
creating web pages and web applications. With Cascading Style Sheets (CSS) and JavaScript, it
forms a triad of cornerstone technologies for the World Wide Web.

3.8.3 CSS

CSS stands for Cascading Style Sheets. CSS describes how HTML elements are to be displayed
on screen, paper, or in other media. CSS saves a lot of work. It can control the layout of multiple
web pages all at once. External style sheets are stored in CSS files. CSS will be used give
designs to the user interface in order for the user to understand how the system will be working

3.8.4 JAVASCRIPT

JavaScript is a programming language that adds interactivity to your website (for example
games, responses when buttons are pressed or data is entered in forms, dynamic styling, and
animation). This article helps you get started with this exciting language and gives you an idea of
what is possible.

The system will be tested using control information obtained from the data collection method
stated above to provide stakeholders with valid and expected functionality of the system.

The system will be validated in order to check if the system can meet the expectations of the
users.
